About

The Portal Module now gives the BBT Management the ability to be pro-active in keeping

track of their performance in the field. This Management software module features:

Internet Explorer version 10 or greater

Firefox version 30 or greater

Chrome version 30 or greater

Opera version 12 or greater

Safari version 5 or greater

Default browser on current Android and IOS devices

Windows mobile 6 and earlier are not supported

JavaScript and sessions cookies must be enabled in the browser.

Flash is required for export of data tables lists to CSV files and clipboard via Copy and

CSV buttons at the bottom of tables. Flash is not required for general functionality.

Multiple Devices:

The user can be logged into the one version of the App and the Web

simultaneously, however, they cannot be logged into two versions of the App or

the Web simultaneously. Being logged in on two devices versions (Web or App),

simultaneously can create potentially conflicting data and GPS Coordinates.

Portal Home Page:

The Portal Home page provides the user with a User Options menu, a History button and

two graphs:

User Options:

The User Options Menu selection is located in the top, upper left corner of the page.

When the user clicks on this selection, an additional section appears.

User Preferences:

The User Preferences menu button is the button showing a blue computer screen and a pencil

above the words User Preferences. User Preferences is an important key for each user as it

allows the user to personalize the PenguinData System to their personal preference.

There one (1) sections in the User Preferences:

Preferences

There are four (4) settings in the Preference section:

Show Calendar Months – Select from one or three calendar months to be shown

An Example Calendar and Date section are shown to help the user select

Title-bar Calendar – Select from Popup or Fully Expanded

Session Timeout – Select one of the five options for session timeout

5 minutes; 15 minutes; 30 minutes; 1 hour; 2 hours

Scrollable Tables – Select one of three options for table scrolling

Enable; Only When Mouse id Over Table Header; Disable

User Manuals:

The User Manuals option menu button is the button showing a red book above the words User

Manuals. This button provides a link to the user into the User Manuals work page. On the User

Manuals work page the user will find the User Manuals for each module, the options menu and a

navigation manual to help the user navigate in PenguinData.

The User Manuals work page provides the user with one section called:

Manual Selection

In this section the user has five columns showing:

Module

Subject

Name

Description

Open in New Window

The Module column is the only sortable column of the five. This column lists the

modules that are located in PenguinData, it also list System as a module. Any manual

listed as System is a manual that covers the PenguinData System and will help the user to

move around within the system.

The Subject Column provides the user with the breakdown of menu selections within the

module. Not all modules will have multiple manuals. Multiple manuals for a module

have been made if the information in all menu options are too large to be included in one

manual and/or if the information included in the manual is of importance to a specific

work group.

The Name Column provides the user with the name of the manual. This can be the

navigation menu name for modules having too much information to be included in one

manual.

The Description column provides the user with a description of the manual.

The Open in New Window column provides the user with a book. The book is a link

that allows the manual to be opened in a new window. By opening the manual in a new

window the user is able to navigate through the manual and the system at the same time if

they have them both opened on their monitor.

Another option that is provided to the user, for viewing the manuals, is for the user to

click on the row of the manual they wish to view in one of the first four columns. The

wording will turn red to show the user that there is a link. This will open the manual up

on the work page, in a new section, below the manuals section. The new section will be

titled with the manuals name they have selected.

With either option being selected, the user can either scroll through the manual, or they

can go to the Table of Contents and click on the Ctrl key and left mouse key. This will

bring them to the page in the manual listed in the Table of contents through a hyperlink.

Lock Session:

The Lock Session Menu button is the button showing Lock above the words Lock Session. This

Menu button is available to all users. This is an important security button. With this button

all the user needs to do is to click it and PenguinData will be locked so no one else can access the

user’s system.

* Locking the computer is an important safety issue made simple in PenguinData. Work

is tracked in the system by login. If the user has walked away from their desk for a

moment and has not locked the system and another person uses their computer the work

or changes made will be shown under the users’ login. It is a good habit to get into, to

lock the computer anytime that the user steps away.

To re-open PenguinData the user only need to enter their password and the system will open to

the area the user had been working in.

History:

In the upper left corner of the screen is the word History. If the user clicks on this icon, it

provides a dropdown list selection for Failed QA Acknowledgement and QC Follow-up

Inspection.

Below the page heading, TQA Portal, the user will see the two graphs:

Stats – this graph shows the QC Pass Rates for the last four (4) weeks.

QC Pass Rates – this graph lists the techs with the Highest Failure Rates

Stats:

The Stats section of the Portal Home page provides a line graph of the last four

(4) weeks of QC pass rates. The blue line shows the In-house QC’s pass

percentage rate. The dates are listed horizontally on the bottom of the graph, with

the Pass Rate showing vertically on the left side of the graph.

The user can place the cursor on a circle in the graph and a pop-up will show the

date and the pass rate percentage for the day.

Top Failing Techs:

Below the Stats graph is the Top Failing Techs Graph. This graph lists the techs

with the Highest Failure Rates. This graph is continually being updated. It shows

the last four (4) weeks, top twenty (20) technicians, having the highest failure

rates. Below the graph, listed horizontally, is the technician name and the number

of pass/fail inspections. On the left side of the graph is the Pass Rate code shown

vertically.

If the user places the cursor on any of the rectangular boxes above the tech

number, a pop-up box will appear. The pop-up box will show the techs last name,

first name. Below the name it will show the Pass/Fail ratio, then the Pass

percentage.

If the user left clicks on the tech box on the graph, they will be taken to a new Top

Failing Graph. This graph shows the items failed by the selected tech. On the

right there is a percentage key. On the bottom below each item failed the user

will see the number of times the item has been failed in parenthesis, then the

points taken off the QA Inspection for the failure type, behind that the user will be

provided with the detail of the failure type.

When the user clicks on column in the graph the color of the block will change to

Aqua to show it is the column being viewed. A pop-up will appear that provides

the user with the number of times the item has been failed in parenthesis, then the

points taken off the QA Inspection for the failure type, behind that the user will be

provided with the detail of the failure type. Below this line a failed items and the

number. To return to the Top failing tech graph the user will click on the Back to

Pass link on the right side of the screen.

The column chart and pie chart provide the user an easily accessible instrument to

help locate problem areas specific techs are having. It is a great tool to assist with

retraining techs to become better at their jobs, helping your workforce to become

the best.

Failed QA Acknowledgement

In PenguinData Portal go to the History Button in the upper left side of the page, click,

and select Failed QA Acknowledgement from the dropdown menu.

This selection provides the user with a page to acknowledge failed QA’s and add notes.

Once the user clicks on the menu selection they will be brought to the Failed QA

Acknowledgement page. This page has a calendar in the header section of the page to the

left side.

The calendar allows the user to select the Quota Month. When the Month quota is set

with the monthly end date, the Failed Acknowledgement calendar will list the entire

month of failed QA’s from the prior month start date, the date after the month end setting

date, to the Month End Date (example Feb 22 – March 21 when the end date is set to the 21st of the

month). If the monthly quota has not been set, the user can view individual dates. In the

middle of the header section of the page is the page name and the date(s) that are being

viewed.

This page has one (1) section: Unacknowledged Fails. Unacknowledged Fails for the

Quota month or date selected will prefill this section. In this section there are four (4)

columns:

Field Tech – Tech Number and Name – Last, First

Date – This is the Date the Work Order was QA’d

Address – This is the work order address

Work Order – This is the work order number

The user will locate the failed QA they wish to review. Once located the user will place

the cursor on the row and click in one of the columns when the information turn red. If

the column does not contain information there will be no link available, be sure to select

a column having information filled into it.

Once the user clicks on the selected work order they will be taken to the selected work

order failed QA acknowledgement page.

On this page there are Four (4) sections:

Acknowledgement

Info

Fails

QC Images

In the Acknowledgement section there are two (2) fields:

Acknowledgement: This field provides the user with a drop down list for selection.

Notes: This field is a fill-in field. It will expand as the user adds notes in to allow for

detailed notes.

Once the user has completed this section they can click the submit button to transmit the

entered data.

In the Info Section, the data is prefilled from the work order and is information only – no

changes are able to be made. The information that is available, if entered into the work

order, will be:

Pass/Fail: FAIL

In the Fails Section, the data is prefilled from the Inspection and is information only – no

changes are able to be made. The information that is available are the Failed Items and

the Points for the fail items.

In the QC Images Section, the images are of the inspection site. Images can be given

New Description, Opened in a New Window or Deleted. The user will select the image

by using the arrow buttons on the right side of the page to scroll through images.

Below the smaller images the user will see an icon. Once this icon has been clicked

upon, an additional section will open. It will show the current name given to the image,

this is in the grey section. Below the name is the name listed again in a white box. This

area is editable. Once a new description has been given to the image the user will select

the Save image button to save the new image description. The additional section will no

longer be shown and the user will need to click on the icon again if they wish to add

additional descriptions to other images.

The next button is the Open in New Window. This will allow the user to view a larger

image on their device. The image will open in a new window and only show the image.

The next button is the Delete Image button. When the user clicks on this button, the

image will be deleted.

QC Follow-up Inspection

In PenguinData Portal go to the History Button in the upper left side of the page, click,

and select Failed QA Follow-up Inspection from the dropdown menu.

This menu selection provides the user with the page to search for an individual QC job or

to open a QC job from a job list.

The Title Bar reads: QC Follow-up Entry. This page has three (3) sections. Two (2)

sections will be showing upon entering the page: Search and Open QC Job List.

The third section will appear after the user runs a search. This section is called Search

Results.

The Search section of the page provides the user with a fill-in field to enter a job number,

account number, work order number, street name, address, name, tech number, city, zip

code or any item that is able to be uploaded into a work order field, in for a search. Work

type and Billing codes are not a searchable item in this field.

Once the user has entered the job number they will click the submit button. The results

of the search will be prefilled into the Search Results section of the page. If no data can

be located the Search Results will be blank.

In the Search Results and the Open QC Job List the user can click on the row having the

job they wish to QC. When the job is clicked upon it will bring the user to the QA

Inspection Form. On this page the job can be QC’d.

The next section of the QC Follow-up page is the Open QC Job List. In this section of

the page the user may see a list shown in black and red print. The rows shown in Red

print are the Open QC Jobs that have alerts for being opened two (2) days or more. Jobs

shown in Black print are current QC jobs.

In the Open QC Job List the user can view the following information:

QA Inspector – Name

Account Number

Work Order Number

Job Technician number

Work Date

QC Date

Address – of Job

City

Zip Code

The user can click on any of the rows in the Open QC Job List section to

open the QA Inspection Form to view only.

To exit the Inspection the user will go to the options menu selection and select either:

Return to list or Return to QC History. If the user returns to the QC List they can still

select the Option to go to the QC History from the options menu.

The QC Follow-up Inspection page has an options menu. The menu option that is

available is the Show QC History.

Once the user clicks on the Show QC History in the options menu selection, they will be

brought to the QC History page.

On this page the user has a Calendar located to the left of the header. The calendar is

used for date selection. The date selection is based upon the Completion Date, the date

the QC Inspection was done, not on the work date of the job.

Once the user has selected the date, the Open QC Job List section of the page will fill

with the jobs that had been QC’d on that day. There are seven (7) to eight (8) sortable

columns listed in this section:

QA Inspector

Work Order Number

Job Tech

Work Date – date the job was done

At the bottom of five (5) of the columns:

The user will see a dropdown list field - . If the user clicks

on this field it will provide them with a dropdown list of the column entries. Once the

user selects the category, the list will sort with just that selection showing. An example

for QA Inspector column, it will list all QA Inspectors in that location having completed

TQA’s that day. When selecting an inspector, only that inspectors jobs will be listed. To

clear the selection, the user will use the dropdown list and select the first row, a blank

row and then there is no longer any sorting being done and all inspectors will again be

listed.

Once the user has located the job they are looking for, they can click on the job to open

up the TQA Inspection. The job is ready to be opened once the row turns yellow and the

column the cursor is placed in turns red, then click once and the page will change to the

QA Inspection Form.

In the Portal, the use will NOT have access to Re-Open the QA Inspection form, only to

view it.
