Getting Started
What is ChamberMaster ChamberMaster saves time, provides convenient access, improves efficiency and streamlines communication for members of the local chamber of commerce by allowing secure access to their chamber member record online over the Internet, which is used to generate the business directory on your local chamber’s website. In addition, this integration facilitates many other features that will directly benefit you, the member.

Overview The ChamberMaster Members Only website is a password protected web-based software that is accessed through an active Internet connection. Once successfully logged in, chamber members have access to features by selecting the proper main menu module. Main menu modules are as follows:

Webpage Info
User Manuals
Home – The Home menu displays current ChamberMaster statistics such as your designated membership package, and how many active hot deals, events and job postings you have. Your home page will also display if you were invited to attend an event sponsored by the chamber. Dependent on the invitation, you will be able to RSVP, register online, or simply view information about the event you have been invited to.
Member Info – The Member Info module allows you to view, edit, and add information that chamber staff uses when working with your account. This includes your business information, business categories, your employees (representatives), and your ChamberMaster login name and password. The information in this module cannot be seen by a consumer.
Webpage Info – The Webpage Info module is where you view, edit and add the business information that you want the consumer to see when they view your business directory listing on the chamber’s website. Information in this section can be different than in the Member Info module. Other selections allow access to view your Member Information page as it will appear on the website, generate a URL link that can be used to forward your own website domain traffic to this listing, and a user-friendly screen to add, change, and remove photos and logos. (Gold members only)
Lodging – The Lodging module, available to lodging members only, allows you to select the site and room amenities available at your facility. Vacancy status is also selectable here. After defining these key items, consumers will then be able to search for their desired facility, desired room type, and available days all within the business directory listing for lodging members. Selections not shown here may be added by your chamber staff representative.

Advertising – The Advertising module contains selections that allow you to increase visibility, move slow merchandise, and build business by advertising specials with Hot Deals, posting employment needs with Job Postings, and posting an event of your choosing through Events. Once submitted, chamber staff only needs to approve the entry and immediately it is added to the chamber’s website where it can be viewed by consumers visiting their website.
Reports – The Reports module contains selections to view and/or print reports displaying your membership profile information, Hot Deals hits, a lead list (Gold members only), and sponsorship ad hits (if purchased).
User Manuals – User Manuals displays documents with instructions to assist in your use of the Members Only website and a few other documents that you may find helpful.
Website Integration The underlying ChamberMaster database that members access is the same powerful database used by the chamber employees but with a different set of menu selections. Saving time and reducing errors, when a member or a chamber employee modifies the data it appears on both the member and chamber employee screens instantly. If also integrated to the chamber’s website, no additional entries are required; the updates are applied immediately on the website as well. Keeping current information on the chamber website is manageable with easy access from both ends.
With a fully integrated chamber website, ChamberMaster gives consumers and members the ability to search and view data in a number of areas.
Possible integrated links A business directory link allowing a consumer the ability to search the member
database and display member information.
A calendar link giving information about designated chamber and/or member events
A job posting link that searches the database for available jobs at member businesses
A link that displays special promotions and deals at member businesses, commonly referred to as a Hot Deal
A link that searches lodging members allowing the consumer to indicate their desired site and room amenities during their designated travel dates and receive a list of possible vacancies.
A link for consumers to request specific information and publications to be sent to them while soliciting pertinent marketing information from them

Getting help
About this manual The ChamberMaster Member Guide is designed to assist in the daily activities of chamber members who use ChamberMaster.
“Section I: Introduction” introduces chamber members to the basic functions of ChamberMaster, provides a foundation for understanding the details of specific modules, and lays out the big picture of what ChamberMaster can do. All of this information can be found in Chapter 1.
“Section II: Members Only Modules” begins with Chapter 2 and describes in detail the Members Info, Webpage Info, Lodging, Advertising, and Reports modules. Topics such as modifying your business information, editing your employee/representative information, viewing business categories, and viewing/changing your ChamberMaster login name and password are included in Chapter 2. Subsequent chapters coincide with the main menu modules displayed on a left-hand navigation bar. For instance, Chapter 3, “Webpage Info” describes all selections in the Webpage Info module. Chapter 4, “Lodging” details the choices in the Lodging module. etc. ending with Chapter 6, “Reports”.

Understanding this manual This manual provides a precise, step-by-step guide for working in the ChamberMaster Members Only website. Most often tasks to be performed will be numbered in step- by-step fashion.
Graphics highlighting important concepts, key elements, and optional considerations will be included frequently. Pay special attention to these highlighted areas as not all information will be included in the actual steps, but will only display on the graphic. For example, steps 1, 2, and 3 below, are very simple but notice that Figure 3-2 describes certain selections in detail.
To provide clarity, the step-by-step instruction and descriptions will always have boldface type for the following items: tab names, menu selections, titles of windows, titles of areas on the screen, list box names, check box titles, option button titles, row and column titles, and command buttons.
Tips, tricks, related concepts, and special considerations will be offset in the left-hand margin as shown above.

Commonly used terms Throughout the Member Guide the following terms will be used as defined below.
Database: A collection of information organized so that you can quickly select desired pieces of data. You can think of a database as an electronic filing system. ChamberMaster is a database organized into records that contain fields.
Database Terminology
Field: A field is a single piece of information such as a phone number or an address.
Record: A record is one complete set of fields. In ChamberMaster, each member has a record.
Business Directory: The searchable list of designated chamber members that can be displayed through a link on the chamber’s own website and searched by anyone who can access the chamber’s website.
ChamberMaster Terminology
Chamber Administrator: The person at the chamber responsible for the administration of the ChamberMaster program.
Chamber employee: The person(s) at the chamber that uses ChamberMaster.
Consumer: The person who uses the chamber as a resource; sometimes called a client or customer.
Gold membership or Gold package. A designation in ChamberMaster allowing additional features and selections within ChamberMaster. The other designation is a Basic membership. Basic and Gold membership may be referenced by another name within the membership fees and dues structure defined by your local chamber of commerce.
Member: The business or person who has a membership with the chamber.
Member Info page: A web page that is generated from the member’s record, containing the member’s contact information and other designated information. This page may be available to anyone who can access the chamber’s website if the Business Directory integration has taken place.
Members Only website: A special members-only version of ChamberMaster that is accessible to members through www.chamberlogin.com with a proper login name and password.

ChamberMaster Basics
Starting ChamberMaster To access ChamberMaster you will need an active connection to the Internet and a current login name and password, assigned by your Chamber. Your membership level will determine some of the available features.
1. Open a web browser (i.e. Internet Explorer).
2. Type the address for the ChamberMaster login screen as shown below.

3. In the Chamber Login window, type your login name and password, and then click Continue.

Member Info
Member Info overview The Member Info module allows you to view, edit, and add information that chamber employees use when working with your account. This includes your business information, business categories, your employees (representatives), and your ChamberMaster login name and password. The information in this module cannot be seen by a consumer.

Business Info To edit business information
1. Click Business Info in the left-hand navigation bar.
2. Edit the Contact Information fields.
3. Click Save.

The information on this screen is used by the chamber employees when working with your account. It is not seen by consumers.
If changing company information that also affects the individual representative’s information, you need to update that information separately on the Employees/Reps area.

Business Categories To view business categories
1. Click Bus. Categories in the left-hand navigation bar.

The information on this screen cannot be changed by a chamber member. Contact your local chamber representative for assistance in assignments to new categories.

Employees/Reps To edit employee/reps personal information
1. Click Employees/Reps in the left-hand navigation bar.
2. Click the desired rep’s name in the List of Representatives area. The selected row will show in yellow.
3. Edit the fields in the Personal Information area.

4. Click Save.
To add a new rep 1. After clicking Employees/Reps in the left-hand navigation bar, click
Add a New Rep.
2. Complete the fields on the Add a New Representative screen.
Inactive Reps will not display in this list. And if changed to inactive, they will no longer be displayed. Contact your local chamber representative to reinstate an inactive member.

3. Click Save & Exit.
To inactivate a employee Inactive status is reserved for a rep who is no longer acting as a representative for the chamber member. The rep’s information and history will be retained but there is a separate distinction given to them in reports and lists.
1. After clicking Employees/Reps in the left-hand navigation bar, click the check box in front of the desired rep’s name in the List of Representatives area
2. Click Remove/Inactive Reps.
To reactivate a rep Contact your local chamber representative to reinstate an inactive representative.

To edit web display options Individual representatives may have their personal information displayed on the Member Information page in the Business Directory website. Web Display Options indicate which pieces of this information will display.
1. After clicking Employees/Reps in the left-hand navigation bar, click the desired rep’s name in the List of Representatives area. The selected row will show in yellow.
2. Click to select the check box(es) in front of each desired web display option in the Web Display Options area.

3. Click Save.
Selected fields that are blank are handled in a manner that is pleasing to the eye. No unattractive blank spaces will appear on the Member Information Page.

Login/Password The login name and password are used to access the Members Only website. The login name may contain up to 60 characters and can include alpha-numeric characters and common keyboard symbols. The password may contain up to 20 characters and can include alpha-numeric characters and common keyboard symbols.
To edit your login/password 1. Click Login/Password in the left-hand navigation bar.
Click use member name to automatically enter the Company Name from the Business Info area.
2. Edit the Login name and Login Password fields.
3. Click Save.
Click create a random password to automatically enter a five-digit random password.

Webpage Info
Webpage Info overview The Webpage Info module is where you view, edit and add the business information that you want the consumer to see when they view your business directory listing on the chamber’s website. Information in this section can be different than in the Member Info module. Other selections allow access to view your Member Information page as it will appear on the website, generate a URL link that can be used to forward your own website domain traffic to this listing, and a user-friendly screen to add, change, and remove photos and logos. (Gold members only)

Webpage Info Information displayed in the Web Contact area will be displayed in the Business Directory on the local chamber’s website. This information may be different than what is displayed in the Business Info area.
Information displayed in the Web Description / Text Context area will be displayed on the Member Information page for Basic and Gold Package participants. More information fields are available for Gold Package participants than for Basic Package.
Description Up to 200 characters of description may be typed; will be displayed on
the Member Info page (1600 characters with Gold Package)
Results Summary Up to 200 characters of description may be typed; will be displayed in
the Business Directory search results (available only for Gold Package
participants)
Hours of Operation Up to 100 characters describing hours of operation may be typed; will
be displayed on the Member Info page
Driving Directions Up to 200 characters giving driving directions may be typed; will be
displayed on the Member Info page
Additional Bulleted Description Up to 5 descriptive words or phrases may be typed with a maximum
of 120 characters each; will be displayed on the Member Information
page (available only for Gold Package participants)
Keywords Up to 8 keywords may be typed with a maximum of 30 characters each;
keywords are additional words that a consumer may use when
searching the website business directory (20 keywords with Gold
Package)
The Search Results Map Information area gives ability to include and edit your listing in the Google map that will display within the search results of your Business Directory.
Talk to your local chamber representative for details on how to become a Gold package participant.

To edit Web Contact, Web Descriptions and Text Context
1. After clicking Webpage Info in the left-hand navigation bar, edit the fields in the Web Contact or Web Description/Text Context area.
2. Click Save.

To edit the Google map settings 1. After clicking Webpage Info in the left-hand navigation bar, edit the fields
in the Search Results Map Information area.

Photos & Logos Gold Package participants are able to add an image in the Business Directory search results, a company logo, Member Information page photos, and a user-selectable map image. Images are automatically resized to accommodate the space allowed. Images must be .jpg or .gif.

To add a logo or Member Information page image 1. After clicking Photos & Logos in the left-hand navigation bar, click Add
Image in the Action column of the Image Type that you wish to add.
2. Type the path and filename of the desired graphic file or click Browse to locate and click Open when desired graphic is located.
3. Click Upload Image.
4. Click Close Window.
To add an icon to the search results 1. After clicking Photos & Logos in the left-hand navigation bar, click
Enable in the Action column of the Search Results.
2. Click Add Image.
3. Type the path and filename of the desired graphic file or click Browse to locate and click Open when desired graphic is located.
4. Click Upload Image.
5. Click Close Window.
Gold Members may add photos and images. Basic package participants do not have this feature.
Logo Image Type will on the left-hand side of the Member Information page next to the business address. Member Page Photos will appear on the far right-hand side of the Member Information page.

To add a map image 1. After clicking Photos & Logos in the left-hand navigation bar, click the
desired option button in the Image Type.

2. If selecting Uploaded Image, then click Add Image in the Action column. Type the path and filename of the desired graphic file or click Browse to locate and click Open when desired graphic is located. Click Upload Image. Click Close Window.
3. If selecting Google Maps or MapQuest, complete the desired address. Click Save.
To remove a logo, photo, search results icon, or an uploaded map image 1. After clicking Photos & Logos in the left-hand navigation bar, click
Remove Image in the Action column of the Image Type that you wish to remove in the Web Photos & Images area.
To change an existing logo, photo, search results icon, or an uploaded map image 1. After clicking Photos & Logos in the left-hand navigation bar, click
Change Image in the Action column of the Image Type that you wish to change in the Web Photos & Images area.
2. Type the path and filename of the desired graphic file or click Browse to locate and click Open when desired graphic is located.
3. Click Upload Image.
4. Click Close Window.
To disable the search results icon 1. After clicking Photos & Logos in the left-hand navigation bar, click
Disable in the Action column of the Search Results Icon image type. Note: if an image was already uploaded for this Search Results Icon Image Type, it will not be removed, only disabled.

Keywords Keywords are additional words or phrases that will help identify your business when consumers search using keywords. Keywords specified in this selection may also be edited in the Webpage Info selection. Editing either location will produce the same results.
To edit keywords 1. Click Keywords in the left-hand navigation bar.
2. Edit or add new keywords
3. Click Save.

Links Generate Link will display the programming code that you need for creating a link to direct others to your Member Information page from another website or within a document. After clicking Generate Link, simply copy the displayed code and paste it into the desired location.
1. Click Generate Link.

3. Right-click the highlighted selection and select Copy.
4. Click in the desired location, right-click and select Paste.
5. Click Close Window.

View Homepage At any time, you may view your Member Information page as it will look to consumers when they access your chamber’s website.
To view your home page 1. Click View Homepage in the left-hand navigation bar.
2. Your Member Information page will display. Click Close when finished viewing it.

Lodging
Lodging Module Overview The Lodging module, available to lodging members only, allows you to select the site and room amenities available at your facility. Vacancy status is also selectable here. After defining these key items, consumers will then be able to search for their desired facility, desired room type, and available days all within the business directory listing for lodging members.

Vacancies The Vacancies area is used to update the availability status on a room by room basis. Rooms displayed on this screen are based on selections made when working with your local chamber. To modify the listed Room Types, contact your local chamber representative.
To edit vacancies 1. Click on Vacancies in the left-hand navigation bar.
2. Click to select the check box for the dates and room type that is booked. Click to clear the check box for any date and room type that is available. Note: The default setting is that all room types and dates are available.
3. Click Save Vacancy Changes.

If the desired Room Types do not display, talk to your local chamber representative about modifying this list to match your lodging accommodations.

Facility Info The Facility Info area is used to update the site amenity selections. Site Amenities selections displayed on this screen are based on selections made when working with your local chamber. To modify the listed Site Amenities, contact your local chamber representative.
To edit site amenities 1. Click Facility Info in the left-hand navigation bar.
2. Click to select the desired Site Amenities check box(es).
3. Type desired Lodging Notes.
4. Click Save.

If the desired Site Amenities do not display, talk to your local chamber representative about modifying this list to match your specific site amenities.

Room Info The Room Info area is used to update the individual accommodation amenities. Accommodation Amenities selections displayed on this screen are based on selections made when working with your local chamber. To modify the listed Accommodation Amenities, contact your local chamber representative.
To edit site amenities 1. Click Room Info in the left-hand navigation bar.
2. Click the Accommodation Type arrow to view room types.
3. Edit the desired Accommodation fields.
4. Click to select the desired Accommodation Amenities check box(es).
5. Click Save.
If the desired Accommodation Amenities or Accommodation types do not display, talk to your local chamber representative about modifying this list to match your specific room types and amenities.

Advertising
Advertising Module Overview The Advertising module contains selections that allow you to increase visibility, move slow merchandise, and build business by advertising specials with Hot Deals, posting employment needs with Job Postings, and posting an event of your choosing through Events. Once submitted, chamber staff only needs to approve the entry and immediately it is added to the chamber’s website where it can be viewed by consumers visiting their website.

Hot Deals Hot Deals are specials that a member desires to post for consumer viewing on the Hot Deals area of your chamber’s website. These specials are also referred to as Advertising.
To view Hot Deals 1. Click on Hot Deals in the left-hand navigation bar.
2. The existing Hot Deals will display. See Figure 5-1.

To add a Hot Deal 1. Click on Hot Deals in the left-hand navigation bar.
2. Click Add a Hot Deal.
3. Complete the fields in the Add a New Hot Deal screen.

4. If this Hot Deal is setup for no charge, click Submit for
Approval ; your Hot Deal has been submitted to your local chamber for approval. If this Hot Deal is setup with an associated
charge, click Continue and complete the Hot Deals Checkout window and then click Purchase Now. See Figure 5-4.

To delete a Hot Deal 1. After clicking Advertising in the left-hand navigation bar, click to select
the check box at the end of the row of the desired Hot Deal.
2. Click Delete.
3. Click OK.
To edit a Hot Deal 1. After clicking Advertising in the left-hand navigation bar, click the title of
Hot Deal that you wish to edit.
2. Make the desired edits and click Save.
3. Click Hot Deals List to return to the list of Hot Deals.
Deleting a Hot Deal removes it from the local chamber website. It does not remove any associated billing charges. Talk to your local chamber representative for details related to billing.

Job Postings Job Postings are job openings that a member desires to post for consumer viewing on the Job Postings area of your chamber’s website.
To view Job Postings 1. Click on Job Postings in the left-hand navigation bar.
2. The existing Job Postings will display. See Figure 5-5.

2. Click Add a Job Posting.

Events Events allow a member to submit an event for consideration by chamber staff to be included on the chamber’s website and/or in the members’ portal calendar. Upon approval by chamber staff, the event listing would display within the public event calendar and/or on the members’ login area (members’ portal) calendar.
To add a new event 1. Click on Events in the left-hand navigation bar.
2. Click Add an Event.
3. Complete the fields in the Request to Add a New Event screen.

4. Click Submit for Approval.
5. Click OK on the request notification message.

6. The complete event information screen will display.
7. Optional: Edit the event information if desired or add photos and images that will be displayed on the event information page.
To add photos and images to an event 1. Click on Events in the left-hand navigation bar.
2. Click the title of the event for which you desired to add photos or images.
3. At the bottom of the Edit Event page, click Add Image in the Action column of the Image Type that you wish to add – either a Main Event Photo or a Gallery Photo.
4. Type the path and filename of the desired graphic file or click Browse to locate and click Open when desired graphic is located.
5. If adding a Main Event Photo, type a caption if desired.
6. Click Upload Image.
7. Click Close Window.
To add a map to an event 1. Click on Events in the left-hand navigation bar.
2. Click the title of the event for which you desired to add a map.
3. Click the desired option button in the Map Image column.

A Main Event Photo will display within the Event Description area on the event information page. Only one (1) Main Event Photo may be uploaded.
Gallery Photos display in thumb-nail size at the bottom of the event information page. An unlimited number of Gallery photos may be added.

4. If selecting Uploaded Image, then click Add Image in the Action column. Type the path and filename of the desired graphic file or click Browse to locate and click Open when desired graphic is located. Click Upload Image. Click Close Window.
5. If selecting Google Maps or MapQuest, complete the desired address. Click Save.
To remove a photo or an uploaded map image 1. After selecting the desired event from Events in the left-hand navigation
bar, click Remove Image in the Action column of the Image Type that you wish to remove in the Photos & Images area.
To change an existing photo or an uploaded map image 1. After selecting the desired event from Events in the left-hand navigation
bar, click Change Image in the Action column of the Image Type that you wish to change in the Photos & Images area.
2. Type the path and filename of the desired graphic file or click Browse to locate and click Open when desired graphic is located.
3. Click Upload Image.
4. Click Close Window.
To check event status An event submitted by a member must be approved by chamber staff. Once approved, your event will indicate a status of “Approved” and will immediately display on the selected calendars.
1. Click Events in the left-hand navigation bar.
2. Your submitted event will display with an Approved or Pending status.

Optional: Event status may be viewed by clicking Home in the left-hand navigation bar. Click Events currently active or pending on the Home page.

Reports
Reports Module Overview The Reports module contains selections to view and/or print reports displaying your membership profile information, Home Page hits, Hot Deals hits, a lead list (Gold members only), and sponsorship ad hits (if purchased).

Lead Lists The Lead List report will display consumer information of those that have requested information tied to an area of interest. Interest categories and the members that receive the leads are determined by your local chamber. The Gold Membership Package is required to view any leads received. Consumer information displayed may have been entered by the local chamber or by the consumer themselves through the local chamber’s website.
Using the filter options, you will be able to view the consumer information entered on a date, a range of dates, interest category specified, or all leads entered by a specific consumer. This listed may be viewed or printed with full detail or in summary format.
To view or print a lead list 1. Click Lead Lists in the left-hand navigation bar.
2. Enter the desired Filter Options.

4. You may view the report on screen or click Print Summary Listing or Print Detailed Listing where you may view the report or also print the report by clicking Print from the File menu. Make desired selections and click OK.

Sponsor Ad Hits Your local chamber in partnership with ChamberMaster may conduct a Member Benefit Campaign. As part of this service, chamber members may elect to sponsor a banner advertisement placed on the chamber’s website. These member sponsorship ads may be located in multiple places on the website dependent on the ad package purchased.
The default Sponsor Ad Hits report will show cumulative ad hits for the current week. Using filter options you may also view reports for a different date range, or for certain ad locations.
To view or print a sponsorship ad hits report 1. Click Sponsor Ad Hits in the left-hand navigation bar.
2. Enter the desired Filter Options.

Profile The Profile report will display membership information including your business information and webpage information fields that may be viewed by consumers. By selecting filter options the report may also display a category pick list, location pick list, a list of representatives and their business information, and lodging specific information (if applicable).
To view or print a Profile report 1. Click Profile in the left-hand navigation bar.
2. Click to select the desired Filter Options.
