Surveys

Surveys can be created in advance of the session using Agenda Builder software

They can also be created during the session

There are some basic templates you can use (or Edit)

Or you can go ahead and create a new “custom” survey

Clear Yes/No answers

Lower all raised hands

Remove microphone from all participants

Grant microphone to all participants

Grant microphone to next raised hand

Reminder: Granting microphones to participants also allows them to use the markup

Push to talk (hold down left hand mouse button)

Lock to talk (allows you to talk “hands free”)

Reminder - Starting & Ending a Session – Your Responsibilities

Starting & Ending a Session – A few extra points & reminders

When in pre-session, if the Leader or a Presenter clicks on a slide in the Agenda then a box will pop-up asking if they want to start the session (same as clicking on “Begin”)

Remember participants can browse the slides individually whilst in pre-session

−

Leaders/Presenters can do this as well as long as they don’t start the session

Remember to pause the recording if there are any extended breaks in the session

It is good practice for the leader to demote co-presenters and ensure all other parties have left the session before publishing the recording and leaving the session him/herself

You should select the “Terminate Now” option to ensure no-one is left in the session after you

If you right-click on a participant’s name you get the following options:



The Evaluation Function

More than 1 question at a time can be asked

Participant answers can be graded immediately

Reports can be generated on the Centra system after the event

Not available for those who download and playback the recording



Breakout sessions

Split your participants into groups for brainstorming, team exercises etc

Centra can auto-select participants for breakout rooms if desired

Leader can “jump” between breakout rooms to monitor progress, or talk to all rooms simultaneously

Reminder: Breakout room activity is not recorded

Importing Files into the Agenda

Obviously it is best to have your Agenda pre-loaded in advance

But there may be times when you want to bring in some “Ad-hoc”

content

Click on “Import” button and make your choice…



Making files available for download

To do this (or add any other file type): Click on File, Insert File to Download

It will then appear at the foot of the agenda

Reminder: Your audience can also export the Agenda as a PDF file



Additional Session Options / Controls

You are presented with a box that allows you to alter some basic session settings and interactivity tool controls



How to share an application as the Leader or Co-Presenter

Click on the Appshare Icon

Select application(s) to share and click ok

The “floating toolbar” gives you access to vital functions, including:

Lock to talk Select applications to share

Reminder: You should always click the “Participant view”

button

MenuThe yellow box that hovers at the top right of your application gives you a variety of options

ControlBy clicking on the microphone icon next to someone’s name you can allow them to control your application



Application Share Best Practice

Set up application before the session

When you commence Appshare, do not resize the application window−

Participants have the ability to scroll up, down, left & right

−

You can also advise them to press F11 and go “full screen”

Always “use lock to talk”

Stay in contact with the audience−

Can they see what you want them to see?

Use markups when appropriate

Avoid mouse contention

Practice!

Remember you don’t need to rely on PowerPoint & appshare when in Centra. Why not consider:

Integrating the web (file, Insert URL)

Audio

−

Flash files etc

All Within Centra or as separate popup
