Boarding House Statement of Aims

In our Boarding House at Burford School, we aim:

To foster a sense of community, creating an open and trusting environment in which each boarding student feels able to communicate with any member of staff or student, confident in the knowledge that he or she will be treated and respected as an individual.

To develop the whole person – inculcating a desire for truth, integrity and moral fibre and a respect for others and self.

To create an atmosphere of tolerance, openness and trust in which teasing, harassment and bullying are identified and challenged by all members of the Boarding community.

To provide the conditions for students to develop their intellectual talents through well-structured learning conditions, access to staff and other students, participation in activities and in an atmosphere which values and recognises effort.

To safeguard and promote the welfare of each boarding student, by providing an environment that is, as far as possible, free from physical hazards and dangers of any sort.

To provide accommodation that is comfortable and suited to the needs of students, according to age and maturity and which provides adequate levels of privacy, whilst promoting the ideals of community living and increasing independence.

To develop students’ responsibility for self, for others and for the environment, to develop qualities of leadership and the ability to work as part of a team.

To encourage students to contribute to the needs and welfare of others in the house and school, as well as those in the wider community.

To provide suitable conditions for students to feel able to turn to members of staff to share the good things in their lives, as well as seeking advice, counselling and support during times of difficulty.

Daily Boarding routine

7am Wake up

7.30am Breakfast in the Dining Room.

3.30pm - 5.30pm Free time. Alternative Prep time for Students with co-curricular activities.

6.30pm - 7.45pm Prep: Years 7-10 in Prep room. Year 11-13 in Dining room. Both areas are supervised by staff. Students are expected to work in silence.

8.15pm Supper in Refectory.

Students with evening activities will be expected to complete their prep during their free-time and will be supervised in the Prep room.

Weekend Routine

Weekend Trips/Excursions

The Boarding House runs a structured but informal programme at weekends, providing boarders with ample opportunity for on-site rest and recuperation, music practice and study. Excursions and activities take place each weekend, including a regular minibus run to Witney, our nearest town, and a number of boarders are involved with external sports clubs. While the excursions and activities are organised well in advance, the Boarding Council welcomes suggestions and ideas for trips. All Boarders are expected to undertake a rota of chores during the weekend and there is also a House Meeting, every Sunday evening at 8.45pm. There is also Prep session on Sunday at 11.15am. If a student wishes to leave the Boarding House during a weekend period, their Parent or Guardian must, with at least 48 hours’ notice, complete a request for weekend absence via the online Boardingware system. This will allow catering arrangements to be adjusted accordingly. Any boarders who have received Friday Night Detentions may only depart once these sanctions have been completed. Weekend Meals

The School Day

All students must be in registration by 8.30am. Students must leave the Boarding House by 8.10am to ensure they are at school on time.

Year 12 students must be in school from 8.30am to 3pm. Year 13 students may be granted ‘Block release’ if their academic progress is deemed to be on target. All students being granted block release must ensure that they sign in and out of the Boarding House with staff in the usual way. All students in Years 12 and 13 must attend Assembly on a Tuesday and Friday morning.

Bed times

Bed times are set for each year group in order to ensure that all boarders receive appropriate and suitable rest periods. It is imperative therefore that after ‘Lights Out’, all students have the opportunity to enjoy undisturbed periods of sleep. Boarders should be in bed at the times shown below and Duty staff will turn out the lights for years 7-11. Sixth Form students will be checked at the time shown below and turn out their own lights at no later than 11pm. On Friday and Saturday nights, bed times are 15 minutes later than shown below.

Students are not permitted to leave the Boarding House before the end of term. There are no travel

days. On departure days, all boarders must vacate the Boarding House by 6pm unless specified above. On return days, the Boarding House opens at 2pm with exception of the Exeat Weekend, when the

Boarding House will open at 4pm. Boarders should not return before this time.

End of Year Arrangements

Students in Years 11 and 13 will be expected to vacate the Boarding House within 48 hours of the completion of their final examination. All other students must be in school until the end of term on Friday, July 20th. Returning boarders may store one bag of personal belongings in the designated store room. The bag is of regulation size and may be purchased from Mrs Imms. Duke of Edinburgh equipment and musical instruments may be stored separately pending Housemaster/Housemistress approval. All rooms must be fully cleared prior to departure, and any items left behind will be disposed of. Any damage to rooms will be billed accordingly and may be deducted from deposits.

Site Security and Fire Safety

The Boarding House sits on the northern edge of Burford, which is a small and relatively safe rural town on the edge of the Cotswolds. Nonetheless, site security is crucially important in ensuring the wellbeing and safety of our community. All Boarding House external doors are coded and can only be accessed using a combination code, which is issued to all boarders and which changes on a termly basis. These codes should not be divulged to any persons outside of the Boarding community. External doors should not be wedged open and discretion should be exercised when opening ground floor windows, especially those facing public highways. All external doors are access alarmed at 9pm every night, after which time, no students should be outside of their Boarding House except in exceptional circumstances which should be cleared with duty staff in advance. The Boarding House is fully fitted with smoke detectors and fire drills are held regularly in compliance with the law. It is essential that all Boarders adhere to fire alarm procedures and respond accordingly as quickly and safely as possible. Each student has a lockable space within their room and should bring their own padlock with them to secure this at the start of term. With regard to site security and integrity, students may not use the Boarding House address as any form of business or trading address.

Boardingware

Boardingware is the online system used to manage Boarding House logistics. Parents will be given instructions at the beginning of the academic year of how to connect and use the system to request weekend absences and complete start and end of term travel arrangements. Please note that End of term travel arrangements must be submitted at least two weeks prior to the end of term as a legal requirement.

Food and Catering

The Boarding House has its own Catering Manager who oversees all aspects of food provision within the house.

All hot food, hot drink, or prepared food is to remain in the Refectory. All students must attend all designated meals in the Refectory unless given special permission by the Housemaster or Housemistress. All crockery or cutlery must remain in the Refectory or Boarding House kitchen. Students studying Food Technology will need to fill in a request form for items they need and hand it to the kitchens two days before they are required. Students have access to a fully equipped kitchen area if they wish to prepare snacks. The kitchen must be cleaned after use - failure to do this will mean a loss of the privilege.

We encourage all students to consume a healthy and balanced diet and avoid excessive unhealthy food and may, where necessary, take action to ensure this is maintained. Students wishing to suggest ideas for meals should speak to their respective Household Prefect who will meet with the Catering Manager.

Medical

The Medical Duty team provides 24 hour medical care for students during term time. If students are unwell at any point, they should go to the Medical Room and speak to one of the medical team. Students needing immediate medical assistance should find any member of staff or call the medical duty team mobile. All students should have this number in their own mobile phone contact list, and the number can be found at numerous points around the Boarding House.

For students taking medication, the surgery is open at the following times. 7.45am-8am 4.45am-5pm 8.45am-9pm All medication must be kept in the medical room. Instructions must be printed in English, and students may not keep any medicines in their rooms, with the exception of inhalers. Any medicines not permitted by the medical team will be confiscated and disposed of.

Reporting sick during the school day

If students are unwell during the school day, they should report to the medical room in Day School. If students have been given permission to return to the Boarding House on medical grounds, they will be collected by one of the medical duty team and taken to sick bay. If students need any medication for injury or illness, the medical team has a comprehensive stock of over-the-counter medications which they can administer.

Dentist/Opticians

Emergency dental or opticians appointments can be made by the medical team. Routine check-ups should be dealt with during school holidays so as to minimise disruption to academic work.

Independent Listener

The school has a system whereby any boarding student who wishes to talk to an independent adult can do so. The school currently has two Independent Listeners:

1. Mrs Sally Andrew. Mrs Andrew is Matron at Day School and her office can be found on the main corridor opposite the main hall.

Students can also talk to Mrs Andrew in her office. No appointment is required. She is available from 8.30am until 4.30pm Monday to Friday.

The school also has a Home School Link Worker called Mrs Shirley Sanderson. Each student also has a Form Tutor and Head of Year who they can talk to if they want to discuss any concerns.

Body Piercing and Tattooing

Under no circumstances are students allowed to undergo body piercing or tattooing whilst staying in the Boarding House. There are health issues associated with these practices and tattooing is a largely irreversible process. It is illegal to ink a tattoo on anyone under the age of 18.

Hair Colouring, Dying and Styling

Students may only re-colour or dye their hair with the express permission of parents and with the agreement of the Housemaster/Mistress. Any such date, time and location must be made in consultation with Housemaster/Mistress. Please bear in mind before making this decision that colours that are not ‘natural’ are not allowed. For reasons of hygiene, neatness and ease of management, the basic rule is that hair should be clean and well groomed. In extreme cases students will be instructed to have their hair re-styled. Students may not cut their own hair or the hair of other students.

Laundry Routine

Monday – Friday Clothes should be placed into the laundry bins before breakfast. House and personal bedding is laundered on a weekly rota system.

Please bring all bedding to the bins outside the Laundry before 8am All laundry should be collected from individual lockers on returning to the Boarding House from

school on a daily basis. All students are responsible for their own laundry; if students have lost anything, please inform

Housekeeping.

Students should bring with them a good quality laundry net bag that is clearly labelled with the student’s name.

Weekends

Laundry is closed on Saturdays and Sundays. In an emergency, boarders should speak to Duty Staff.

6th Form students are allowed to use the laundry themselves but must have received instruction beforehand. Washing powder will be supplied

All laundry is done at students own risk. All items of clothing must be clearly named.

Naming of Clothing

Please ensure that all clothes, including those bought during term-time, are clearly labelled with a woven name label. This includes bedding, towels, socks and underwear. Please be mindful of how many clothes are brought to the Boarding House as students have limited storage.

Lost Property

Once a week, lost property is available for students to reclaim. Un-named clothes, if not claimed from lost property, will be donated to local charity shops or disposed of at the end of each term.

Luggage Store

During the summer holidays, Boarding Students may leave one bag in the Boarding House store. Students who require more storage space than this will be directed to local storage companies Luggage is stored at their own risk. Burford School cannot be held responsible for loss or damage. It is not possible for the Boarding House to store belongings of Year 11/13 students who have left. We have contact details of companies who will collect belongings and deliver nationwide to the appropriate University.

Leave

Weekend Leave Parents must fill out a Notification of Absence via Boardingware with at least 48 hours notice. Students may not miss any lessons. Return from Leave Students must inform and sign-in with the duty member of staff. Signing in and out Students may sign in and out of the Boarding House for short periods of time if they are free. The times that students are able to do so during the school week are:

Years 7 - 8 3.15pm - 7pm

Years 9, 10 & 11 3.15pm - 8pm

Years 12 - 13 3.15pm - 9pm

Students must only leave the Boarding House with the permission of the staff. . Students may not sign out during meal times or prep. Failure to follow the signing in and out protocols will result in a sanction and subsequent loss of privilege.

Travel

Boarding Students may not travel in other students’ cars at any time, unless in exceptional circumstances where permission in writing has been given by both the driver’s parents and the passenger’s parents, and the Housemaster/Mistress has given permission. Due to the physical constraints of the Boarding House environment and for insurance purposes, boarders may not keep cars on the Boarding House site. Years 10-13 may travel by public transport (bus, taxi or train). In the event of being delayed when returning to school, students must telephone the Boarding House.

End/Start of term travel arrangements

The safe departure and arrival of our students is crucially important and forms part of the legal responsibility of guardianship. Two weeks prior to the end of term, parents will be asked to complete a Travel Arrangements Form via Boardingware. Students in Year 9 or above can use the free minibus service to Oxford Train Station. However, the responsibility for all onward travel is the responsibility of the Parent or Guardian from thereon. Parents can also make their own private arrangements and inform the Boarding House via Boardingware. The Boarding House operates a collection service from Oxford Station at the beginning of every term. Places are allocated on the receipt of a completed End of Term Arrangement form via Boardingware. Space on the minibus is limited so an early application is advised as seats are allocated in the order of the receipt of the completed form. In the event of a delay returning to the Boarding House, please inform us as soon as is realistically possible.

Student Council

The Student Council exists in order to provide all boarders with a means of presenting their views, opinions, suggestions and requests to the Boarding House staff. This does not, of course, mean that boarders cannot speak to staff at any time they wish! The Council, comprising of Sixth Form Prefects who have applied for positions of responsibility, plus the democratically elected Head Boy and Head Girl, meets on a fortnightly basis with the Housemaster and Housemistress. The specific positions of responsibility are Academic, Co-Curricular, Household, Welfare and Junior Prefects. All Sixth Form students are expected to uphold and maintain School and House rules and lead by example. They have the privilege of variation of some House Rules. They are asked to lead by their example and to behave in a way which students in younger years will respect. Prefects are staff representatives and are asked to carry out tasks, so students should respect them and do as they ask.

Visits to Friends’ Houses

Students may visit the homes of day pupils with the permission of the Housemaster/Housemistress. Permission may be granted if:

Permission has been granted by the student’s parents. The member of staff on duty has had contact with the friend’s parents for permission. The friends’ name, address and home telephone number has been left with the duty-staff. There are no mitigating circumstances (e.g. academic issues, sanction or discipline issues, Health

and Safety issues) that would lead to permission being refused. Permission is always at the discretion of the member of staff on duty.

Friends for Dinner

Each Wednesday students are able to invite a friend from Day School for dinner at the Boarding House. This is an important way of widening students’ peer group and we encourage students to use it.

Exeat Weekend

The school has one Exeat Weekend per year in November. Students will depart after school on the Thursday and will return on the Sunday evening after 4pm. Parents/Guardian should complete the Weekend Leave form via Boardingware. Students not returning home must stay with Guardians.

Enrichment Activities within Boarding

The Boarding House offers a wide range of weekly clubs and activities for our students. If a student enjoys an activity that is not currently part of our programme, an application have it included should be made to the Activity prefect for consideration by the school council. The Boarding House have their own gym and all students are encouraged to exercise regularly. Students will be given induction in the use of the facility upon their arrival and provided they follow the guidelines, they will have regular access. It is expected that students take part in at least one activity during the week. We encourage students to develop social and communication skills, and believe that enrichment activities help support this growth. All weekend, evening and social trips are publicised on the Activities & Events Board in the Refectory. Students are encouraged to be a part of the decision making for the compilation of the trip calendar at the start of the year. Finance

The Finance Office and our Operations Manager will assist students in all matters relating to money and finance. Parents will have set up an Activities Account. This is used to give students pocket money each Friday, to pay for trips, items of new uniform, or to cover expenses such as travel. Some older students (Years 11-13) may have bank accounts. In Burford, there are branches of Barclays and TSB, and the Housemaster/Housemistress can offer assistance in setting up bank accounts if required. The Activities Account statement will be sent to parents at the end of each term, and parents will be contacted should the account need ‘topping up’. Any funds left in the account at the end of term can be carried over to the next term, unless the student is leaving, in which case they will be refunded providing all conditions have been met. Students who go ‘overdrawn’ on their Activities Account should be aware that this may mean they cannot receive any pocket money or attend trips and activities that incur an additional cost.

Pocket Money

Pocket money is handed to students between 3pm and 4pm on Fridays.

Students will be asked to sign to say that they have received their money. They can only have pocket money if there is enough in their Activities Account. If students need more that has been agreed, parents must email the office to give permission for them to

withdraw it. If students need more than £50.00, please let us know by 5pm on Wednesday. Students should not come to the office for money before school.

Money Safety

We advise that students do not keep more that £10 on their person. Each student has a lockable compartment in their beds, and any valuables should be locked away. To this end, all boarders should bring a padlock at the start of term. Any monies above £10 should be kept in the Boarding House safe. Students are responsible for the security of personal property and valuables within their rooms. Lockable space is provided for all pupils, but if they wish to add further lockable space, they may equip themselves with their own boxes. Possessions should be clearly marked for personal identification.

Students must not lend or borrow money from other students. If students wish to sell one of their possessions, they may only do so with the Housemaster’s or

Housemistress’ permission. Students must report missing cash, and any missing possessions, immediately to the

Housemaster/Housemistress. Where there is reasonable suspicion that a theft has occurred, the police will be informed.

Remember:

‘Borrowing’ something without asking is theft The Director of Boarding may ask anybody guilty of such theft to leave the Boarding House

immediately.

Boarding House Shop

The Boarding House runs a small shop from the Housemaster’s Office at designated times. It is run by the Household Prefects and stocks basic supplies such as toiletries, stationery, drinks. The shop is ‘cash only’ and no credit can be given.

Guardians

Guardians for children whose parents are living outside the United Kingdom The following procedures must be followed:

Any child whose parents do not live in the UK is required to have a guardian resident in the UK who can be contacted in case of emergency (including medical emergency). Or to make travel and holiday arrangements for your child.

The minimum age of a guardian must be 25

All travel arrangements to and from the school are the responsibility of the Parent/Guardian. For all children in Year 7 & 8 or under the age of 14 yrs, the Parent/Guardian or other nominated responsible adult will be responsible for collecting your child(ren)and accompanying him/her/them to and from the school at the commencement and end of each school term.

If your child has a brother or sister, over the

age of 14, who will be leaving the UK on the

same flight, then this older brother or sister can accompany the younger sibling.

The guardian or a responsible adult who

accompanies any child(ren) under the age of 14 to the airport must be prepared to remain at the airport until the flight has left. (This is an airline regulation).

All travel and Guardian arrangements made for your child(ren) at the end of term must be completed through the Boardingware app and should be a minimum of two weeks before the end of term. In the event of a guardian being unable to carry out the above instructions the personal details of a responsible nominated adult must be communicated to the Housemaster/House mistress

Notes: The Boarding House reopens at 2pm at the start

of term. Students arriving on earlier flights remain the responsibility of their Guardian until this time.

Behaviour within the Boarding House

Generally, we expect students who board to assume a degree of responsibility when living in a boarding environment. While it is a ‘home from home’, we expect them to behave as they would if in the company of their own family in terms of their behaviour, language and actions. This is not always an easy or immediate adjustment, but one which is essential in ensuring harmonious communal living. On occasions when students transgress, they will find that the staff will be concerned to find out why they did (or did not) do what they did. Generally we like to get to the root of the problem rather than simply issue a sanction. However, if students break the rules they can expect some form of sanction which could range from being told off to being asked to leave the Boarding House permanently. We try to make the "punishment fit the offence" so if, for example, students break the signing out regulations then they will lose the signing out privilege; if they are untidy then we shall find jobs which will help them to learn to be tidier; if they have far too much energy after Lights Out then we may arrange an activity so they will be tired enough or calm enough to sleep properly. Students can also expect to go up to bed earlier the next night and to be ready for bed and reading quietly. Both Burford School and Boarding House rules say that students must not possess alcohol, tobacco, or any smoking paraphernalia nor should students drink alcohol or smoke, and if they betray the trust we put in them by becoming involved with these then students will find we check up on them far more frequently and the same can be said of any breach of trust. In these cases students will find themselves "On Report". This means students will be given a Report Card and they will have to report frequently to Housemaster or Housemistress to have it signed. This is considered very serious, and being "On Report" usually means being confined to the House or “grounded”. Parents will be informed if students have been put "On Report". Serious breaches regarding possession/use of alcohol can result in a fixed term exclusion. As a general rule, students are not expected to be put "On Report" (particularly for the same thing) more than once. However, should this happen students may find that their parents are asked to take them home for a period of time. Whether or not students rejoin the Boarding House will depend on a meeting between themselves, their parents, the Headteacher and Director of Boarding. Misuse of facilities is treated very seriously and can end in a ban of use and a bill where deemed appropriate. A very serious view is taken of bullying, smoking, drinking alcohol, and any action which breaks the law such as theft or under-age purchase of tobacco or alcohol. The House works closely with the Police and the local community, ensuring excellent communication and harmony. If students are wise they will avoid such trouble - they can always ask if they are in doubt as to what they may or may not do. Illegal substances (Drugs) are absolutely forbidden; possession or use of such within the house will lead to exclusion and police involvement. In cases where there is evidence of supply for personal gain or encouragement/coercion of others in to use, exclusion after discussion with the governing body is most likely to be permanent. All drug abuse is taken very seriously and the wider needs regarding risks to the community will take precedence over the individual. All Sixth Form students are expected to uphold and maintain School and House rules and lead by example. They have the privilege of variation of some House Rules. They are asked to lead by their example and to behave in a way which students in younger years will respect. Prefects are staff representatives and are asked to carry out tasks, so students should respect them and do as they ask. Any seemingly unreasonable behaviour should be reported to house staff.

This document supports the Guidance given in the “Information for Students & Parents” document which all students and their families receive each year in September.

While we hope that a student’s time in boarding will be positive and enriching academically, pastorally, socially and emotionally, there may be an occasion when a student breaks one of the more serious rules. This contract is designed to make it clear to students what to expect should an infringement take place.

On all such occasions, the Director of Boarding will discuss the circumstances with either the Head of Year or the Director of Sixth Form, after obtaining a written statement from the students involved and after holding an initial interview with the students. Recommendations will be made to the Deputy Head and Head Teacher based on the following guidelines.

The school acknowledges that close and personal relationships will develop between students. The following is enforced to protect and safeguard the security and comfort of other students.

I understand that taking any item belonging to another person without first obtaining permission to do so from that person constitutes theft.

I understand equally that being in possession of any item belonging to another student without first obtaining permission from that person also constitutes theft in so much as I am in possession of stolen items.

Dangerous Articles

I understand that I may not use or be in possession of any object that could cause harm to myself or any other person. Examples of such objects would include sharp objects, projection- objects or objects designed for hitting/striking or items that are toxic if inhaled such as aerosols and high pressure canisters, excluding shaving foam. Hair-removing implements (male and female) are permissible.

We are required by law to inform the police when certain dangerous articles, including knives, are found on any person while on school premises.

In both crime and law, hate crimes (also known as bias-motivated crimes, or race hate) occur when a perpetrator targets a victim because of his or her perceived membership in a certain social group. Exceptional permission to consume alcohol may be granted by the Housemaster/Housemistress on extra-ordinary occasions, and when students are deemed responsible and of age to do so.

Behaviour

This contract is not definitive in the range of incidents and sanctions that may occur in Boarding throughout the school year. The majority of behavioural issues are far more minor in nature and will be managed accordingly. This contract legislates against the more serious incidents which we hope will never occur during their stay with us.

Duty staff will follow the school policy on searching students for the purposes of materials whether physical or electronic which are contrary to the school’s policies.
