The support, energy and dedication of hundreds of volunteers from the local and wider community are pivotal to the success of this wonderful event, and we are very proud to be part of it.
As one of largest employers in Brighton, many of our employees will be there on the day helping marshal the race, manning the water stations and supporting friends, family members and colleagues who are taking part.
Each and every volunteer is critical to the success of the marathon. It’s thanks to all of you that this event can be run safely and successfully each year. I know that last year’s runners really valued your support, your enthusiasm and your encouragement.

Introduction and Welcome

Welcome to the 2012 Brighton Marathon and thank you for volunteering your time to help make this year’s event a success for both our runners and spectators. The race starts at 9am on Sunday 15th April and we are expecting 12,000 runners to cross the start line out of the 18,000 who have registered with 2,000 under 18’s taking part in our Mini Mile races.
The marathon will once again start in Preston Park with runners then making their way through the city and the infamous lanes, before continuing on to Kemp Town, Ovingdean and Rottingdean. The route then returns back to the seafront as runners begin to make their way to Hove, out to Shoreham and then back to the finish, 26.2 miles later on Madeira Drive. For many crossing the finish line will be a life time achievement with a large percentage of runners raising money for charity. Over 335 charities will benefit from the £3million raised on the day of the marathon. The Brighton Marathon Expo, held at the Brighton Centre will this year be a two day event opening on Friday 13th April between 12pm and 8pm and Saturday 14th April between 9am and 6pm. We hope the following pages will provide you with all the information you need for the day. We would like to take this opportunity in thanking you for giving up your time and energy, the event would not be able to take place without your kindness and support.

Your Zone Leader is the most important person in your Zone. These volunteers have worked with the Brighton Marathon team for the last 3 years making sure that their Zone is well planned, well marshalled and all critical points are dealt with.
Zone Managers have been supporting Zone Leaders for the last 12 months with preparation for this one day. A supporting role with specific objectives to make your days as much fun as possible.
Good communicators with good customer service skills, these volunteers will be working in an administrative environment situated on the course in our Race HQ.
Practical hands on helpers from 7am at the Finish Line on Madeira Drive (Zone 7).
A team of competent drivers and buddies on the Saturday and Sunday will be deploying and recovering all the kit around the course driving one of our fleet of branded vans. Each driver and buddy will be allocated a specific zone the week before.
Located at the Start in Preston Park (Zone 1) or on Madeira Drive at The Finish Line (Zone 7). IS are an integral part of the Customer experience for many runners and spectators needing questions answered.
Some strong and energetic helpers responsible for loading and unloading the runner’s bags at the Start and Finish.
Dedicated teams positioned at the major crossing points on the course. A skilled role where training is given and an essential member of the Brighton Marathon support team.

Early birds will be on hand to help with the first event of the day in Zone 4. From 6am preparation for the Mini Mile Races is required organising hundreds of children to take part.
Lots of volunteers responsible for awarding all of these things to the potential 10,000 runners as they come though the Finish Line.
Manning a Drink Station - The Role

Getting the Powerade bottles / Iconiq Water pouches out of their crates or plastic packaging
Taking the small plastic lid off all bottles or tearing the tops off the pouches before handing them to runners
Handing out the bottles / pouches to runners
Replenishing the drinks station to ensure there is enough liquids flowing consistently all day
Please note: All General waste to be placed in beige bags and black bins provided All Plastic recyclables to be placed in clear bin bags and Rabbit Skips

Please note that all drink and energy stations will be “broken down” upon completion of the race.
All unopened stock will be collected and returned to storage.

Overview
At the start, there will be a controlled flow of runners, which will leave Preston Park from 09:00 hours. The start is split into corrals, managed by volunteers. Each corral is walked slowly to the start line and released upon arriving at the start line. Runners will take a maximum of 30 minutes to cross the start line and will run to the south and exit the park at the southern entrance. The runners run up Preston Park Avenue, turn left onto Preston Drove and left again onto Preston Road. They will then filter into the right hand lane at Lovers Walk, and continue south on Preston Road to Preston Circus.
Late runners meeting point: Goldstar Baggage Trucks will leave the park at 09:45hrsPark will re-open at 10.00hrs

Elite Athletes
An important part of the 2012 Brighton Marathon is the elite race for top athletes in contention for the cash prizes. The marathon organisers invite around 20 elite male and female athletes to participate in the race in the hope of producing a fast winning time, since marathon races secure a higher profile based on the quality of race performances. The elite athletes taking part in this year’s race include some of Britain’s top marathon runners who have represented Britain in recent major international championships as well as some good runners from abroad.
Elite athletes compete for cash prizes based on both their finishing places and their finishing time. Nowadays the vast majority of elite athletes are professional in that they run for a living, although some athletes may also combine running with work and still be able to achieve good results. Like ‘ordinary’ marathon runners, generally speaking, elite athletes tend not to race more than three marathons each year.
At Brighton the elite athletes start with the mass runners, so the marathon field is headed by the elite male athletes. The elite female athletes will be running alongside some of the sub-elite male runners, whose finishing time is approximately twenty minutes behind the elite male winning time. Special treatment is given to elite athletes both before, during and after the race. Before the race they are given a special briefing about the race regarding expected pace of the leaders and special support (such as elite athlete drinks) along the course and at the start and finish.
At the start and finish of the race there will be an Elite Athlete Area which does not permit access to ordinary runners.

The Grand Hotel Mini Mile
Organisers of the Brighton Marathon are once again staging a series of mile races for children aged between 7 and 17 years. The Grand Hotel, Brighton are title sponsors of the event for the second year.
The first race will start at 8.30am. The participants will be divided into age category groups. There will be 10 races, each race starting 10 minutes after the previous race; 8.30am, 8.40am, 8.50am.....until 9.40am.
Each race will have a maximum of 250 participants, up to a maximum entry of 2000 runners in total. The course is a linear route using only the southern carriageway of the A259, with the Start near the Peace Statue, eastern end of Hove Lawns, and the Finish line near The Colonnades on Madeira Drive. The event will finish at 10.00am.
The Start area and the course (on the Southern side of the carriageway) will be clear by the time the full marathon comes through Zone 4 of the marathon route on the northern side of the carriageway from 10.00am. The Finish must be cleared by 10.30am to make way for thefirst finishers of the marathon who are anticipated from 11.00am.

First Aid
You will not be expected to provide medical treatment when working as a volunteer for the Brighton Marathon.
Your role will be to call for help, make sure the casualty, as well as you and your colleagues and other runners, are kept safe while awaiting medical support.
The Marathon has employed a Medical Director and St John Ambulance to provide medical cover for the event and there are 2 Emergency medical treatment centres situated on the Brighton Marathon course at Grand Avenue and Madeira Drive. In providing medical cover Brighton Marathon aims to make sure that runners or members of the public get the best quality attention as quickly as possible without putting undue pressure on either the local ambulance service or the local hospitals. It is important that the medical control centre is contacted rather than dialling 999.
There will be an emergency call centre number which will be given to you on the day for input into your mobile phones.
Remember there are 2 important things to consider when contacting the emergency teams - your location and the medical status of the injured person
It will greatly help us to dispatch the most appropriate teams if you can ascertain these 2 important statuses and The BM Control Team will also help and guide you with what to do while awaiting arrival of the medical team.
1) Injury - please consider the following:Is the casualty alert and are they able to speak? Are they having problems breathing? Is there any bleeding?
If yes, where from and how much? Are they in pain? If yes, where is the pain, how long have they had it and is it getting worse? Can they walk? Do they need help to walk; are they unsteady on their feet?
2) Location - to help the medical team find you and your casualty quickly , it is essential that you provide detailed information of your exact location, i.e. street names, a landmark, a shop name, a house number or even a number on the nearest lamp post, will all help crews to find you.

Lost and Found Property Policy
The policy has been written to provide information for Brighton Marathon staff and volunteers on the procedures of dealing with lost property. This policy should be adhered to by all parties.
Accepting Lost Property
Lost property can be accepted by staff or volunteers at the Brighton Marathon.
When received the items will be entered into a Lost Property note book, recording details such as: Item description: Where and when the item was found: Handed in by: Collected by:
Staff and volunteers should check for information about the owner and their contact details and familiarise themselves with the item. The focus on race day will be on the safe storage of items. Once received items will be stored in a safe place.
Remember the difference between lost property and a suspect item.
Returning Lost property
Property can be returned to its owner if Brighton Marathon staff and volunteers are happy that they are the rightful owner. A full description should be obtained to support proof of ownership. For record purposes it is important that the rightful owner signs prints and dates when they collected the item.
After the event
After the event all lost property will be taken back to the Brighton Marathon office and any lost property enquiries will be handled from there. Anyone enquiring about a lost item should email [email protected] with a detailed description of the item they have lost.

PROCEDURE FOR LOST CHILDREN
The Hilton Hotel, Café / Bar will become the Lost Child point where 2 x CRB checked staff will be in place throughout the event should a lost child be reported. (After 4pm Sussex Police will be asked to handle)
A Lost Child is reported by a parent / guardian to a steward on the course. This information is immediately reported to the Zone Leader who informs Race Control. Race Control notifies all staff via radio comms with basic details and instigates a search. Lost Children paperwork / description completed. The Parent / Guardian is told to remain where they last saw their child. Contact details taken. Child is found and reported to Race Control and the child is taken to the Hilton Hotel. Lost Children Area cross reference with Race Control that they have the missing child and match description details. Race Control notify the parent / guardian and advise on relevant Collection Point. Paperwork completed, adult signatures obtained and ID checked as necessary
PROCEDURE FOR FOUND CHILDREN
Found child approaches a member of the event team or a volunteer on course it is recommended that they remain in the same location for 10 minutes in case parents / guardians are close by. After 10 minutes, transport to be arranged to take lost child to be taken to the 2 x CRB checked staff at the Hilton Hotel, Café / Bar. Event team / volunteer with found child to inform Zone Leader who then is to radio Race Control to inform them of the lost child. Zone Manager to accompany lost child. Basic information about the child is reported discreetly to Race Control the full details can be completed after the search has been instigated. Event team / volunteer to radio Race Control once lost child has been taken to Hilton Hotel, Café / Bar. Lost child paper work to be completed at Hilton Hotel. 2 x CRB checked staff based at the Hilton to remain in contact with Race Control and update once child has been reunited with Parent/Guardian. Paperwork completed, adult signatures obtained and ID checked as necessary

Health and Safety - Your Safety whilst Volunteering
Please remember that your safety and the safety of our staff is paramount. If it is a hot day please make sure you drink plenty of water, wear a hat and sunscreen and take breaks as instructed by your Zone Leader.
Be aware at all times in regards to your own safety, particularly in regards to traffic and moving vehicles.
If you have any concerns please raise them with your Zone Manager.
Things you should know for Health & Safety:
The difference between security, stewards & volunteers, and what your role is.
Do not deal with anything outside your remit. That includes using fire extinguishers, and giving First Aid. Do not put yourself in compromising situations and if something feels wrong tell someone official.
Do not attend an incident, unless Race Control or your supervisor specifically requests it.
Make sure you are aware of your surroundings.
Make sure you have told someone where you are for the day.
Never give you personal details out to strangers.
Make sure you have the tools you need to do the job safely.
Only lift or carry things that you can easily manage, and with training.
If you are asked to operate a piece of equipment make sure you have been properly shown how it works and you are licensed to do so.
If you are given safety equipment and or clothing please use it – this is your responsibility.
Most importantly, smile and be approachable and enjoy your day.

This Volunteer Agreement This Volunteer Agreement describes the arrangementbetween The Grounded Events Company Limited, organisersof the Brighton Marathon, and the Volunteer.
The Grounded Events Company Limited wishes to assureyou of our appreciation of your volunteering with us andwill do the best we can to make your volunteer experiencewith us enjoyable and rewarding. Your role as a volunteer isto ensure the safe and smooth running of our event onSunday April 15th 2012.
Volunteers are an important and valued part of the BrightonMarathon event and we hope that you enjoy volunteeringwith us and feel a full part of our team.
This agreement tells you what you can expect from us, andwhat we hope from you. We aim to be flexible, so please letus know if you would like to make any changes and we willdo our best to accommodate them.
SECTION 1 - IT IS AGREED THAT THE GROUNDED EVENTSCOMPANY LIMITED WILL:
1. INDUCTION AND TRAINING
1.1 Provide an induction on the work of The GroundedEvents Company Ltd and any necessary training youneed to assist you in the performance andresponsibilities of your volunteer role.
1.2 Provide you with access to The Grounded EventsCompany Ltd Training Manual.
1.3 Inform you of your role and the Zone in which you willbe working.
2. SUPERVISION, SUPPORT AND FLEXIBILITY
2.1 Explain the standards we expect for our eventand encourage and support you to achieve andmaintain those standards.
2.2 Assign a person who will meet with you and will helpyou on the day. You should report any problems youexperience to your Zone Leader, Zone Manager andcritical management teams.
2.3 Provide you with light refreshments on the day of theBrighton Marathon.
3. HEALTH AND SAFETYProvide adequate awareness training on Healthand Safety.
4. INSURANCEProvide adequate insurance cover for volunteers in theperformance of the role authorised and allocated byThe Grounded Events Company Ltd via UK Athletics.
5. EQUAL OPPORTUNITIESEndeavour to ensure that all volunteers are dealt with inaccordance with its equal opportunities policy, a copyof which is in the Events Manual and is available fromThe Grounded Events Company Limited.
6. COMPLAINTS
6.1 If you wish to raise a complaint please raise it with yourZone Leader in the first instance. The Grounded EventsCompany Ltd will try to resolve fairly any problems,complaints and difficulties you may have whilstyou volunteer.
6.2 In the event of an unresolved problem, The GroundedEvents Company Ltd will offer an opportunity to discussthe issues you have experienced.
