Volume - I May - June 2019 BARODA MANAGEMENT ASSOCIATION The Bulletin of BMA Dear Members, It was certainly a busy year, which is probably why it passed in blink of an eye. I am writing this article in SAMANVAYA as I prepare transition to immediate past president. As an Office Bearer for past 4 years, I have good reason to express my heartfelt thanks to Past Presidents, Office Bearers, Managing Committee, Members and Friends of Association. We have accomplished much together in these years that passed too quickly. To recount, we have had numerous successful AMC’s, RTC’s, MDP’s, FET’s, ITC’s, LDP’s, Book Launches and joint programs with AIMA. We have had an opportunity to host 2nd and 3rd Sayaji Ratna Award. All these events helped increase visibility and strengthened brand BMA. Amongst significant changes are refurbishing Training Centers, Library, revitalization of secretariat, website upgradation, higher industry interface and increase in Patron and Institutional Memberships. It takes a collective effort to make an association like ours viable, and I think it is only fair that special thanks also go out to all the members of Managing Committee of respective years. Thank you for all your hard work. BMA plays a vital role in management movement, and I hope that this year each member will find a way to serve the organization that serves you. If you have stepped up in the past, we thank you. If you have not yet, now is the time. While there is still much to do, the new team is motivated and anxious to work with the ongoing leadership of the members who remain on the board. Going forward, BMA will be in great hands under the leadership of President Ashish Parasharya. I thank you all for allowing me to serve you as president over the last year. It has been an honor, a joy, and an experience that I will always cherish. I have met many new, interesting colleagues, made many new friends, and enjoyed it to the fullest. Dear Members,

It was certainly a busy year, which is probablywhy it passed in blink of an eye. I am writingthis article in SAMANVAYA as I preparetransition to immediate past president. 61st Annual General MeetingDate: June 16, 2019 | Venue: The Gateway

It was the Annual General Meeting and the hall was full of enthusiasticmembers who cared to come out on a Sunday morning. The AGM startedwith forthe year 2018-19 giving a brief aboutthe year gone by, before he asked theHonorary Treasurer

to table the accounts and thefinancial report for the year. After thatthe Accounts were passed and newAuditors- Naresh & co. wereappointed for the next financial year.

Next the IPPannounced the names of the newlyelected Managing Committeemembers in all categories and thenhe announced the names of theOffice Bearers for the year 2019-20.

With this the Annual General Meeting

was over. However, some questions and the observations were raised bysome members from the audience which were suitably addressed by theoutgoing President and assurance given that the complaints and issuesraised will be looked into and not repeated.

A power packed training session was conducted on “Negotiation Skills” on25th June, 2019 with 60 nominations. The trainer emphasized that the art ofnegotiating skill is generally a trait that has to be developed rather than aninherited trait.

The trainer effectively conducted the session explaining superior deals inboth workplace and personal life. Various negotiating skills were discussedsuch as communicating, persuading, strategizing, employing tactics,techniques, tool-sets, systems and procedures.

Hard skills,they say are often useless withoutsoft skills. Yes, friends softs kills areindeed harder to learn. The modernworkplace is now going interpersonaland the future workplace will nowtotally rely on soft skills. Soft skills areintangible and difficult to quantify.They are a key to gaining visibility andcreating more opportunity for all.Luckily these softs kills can bei d e n t i f i e d , h a r n e s s e d a n dstrengthened. You need not beconfused with the soft skills; theycertainly take a huge effort. Just asyou go to the gym to get strongerthrough repeatedly straining yourmuscles the same way you have toactively exercise your soft skills. Thekey is consistency. And trust mefriends the results are worth it, lessstress, easier conversations and ahappier at workplace.

Soft skills are ability of a person to deal with various scenarios in randomconditions. The reason these skills are so important is because an individualwho has a learning attitude is easier to train as compared to someone whohas a negative attitude. The way you talk, dress up, walk your approachtowards working are all the things that speak a lot about . There has beena huge rise in the number of industries from different sectors and there hasbeen a significant increase in the number of job opportunities and thecompanies are finding it hard to find a suitable candidate. There is a wide gapbetween the number of people who aspire to be employed compared tothose who could be employed. In today’s highly competitive environment,organisations require employees with adaptability, problem solving abilityand communication skills. An employee with ample soft skills is consideredas an asset as he/she creates conducive work atmosphere. These days allthe corporate sectors are seeking and opting for candidates who not onlyhave the requisite academic qualifications but also with sufficientinterpersonal and intrapersonal skills.

The foundation for a successful career may be laid by hard skills but are onlystrengthened by soft skills. Interpersonal skills are about how a person couldmanage his or her feelings or behaviour in a social context and how they arereflected in others. Intrapersonal skills on the other hand are about dealingwith the thoughts and emotions that persists within an individual.

Soft skills are required in a globalized setting where they have to deal withpeople of different culture. Inter personal skills are essential for people to besuccessful in their personal and professional lives like assertiveness, teamwork, stress management, leadership qualities, problem solving,perseverance, decision making, anger management and listening skills.While your technical skills may get your foot in the door, your people skills arewhat opens most of the doors to come. For good ideas and true innovations- you need human interaction, conflict,argument and debate. Conflict resolution ideally is a process by which two ormore parties engage in a disagreement, dispute or debate to reach anagreement. A number of skills are needed for you to resolve conflicts in theworkplace effectively.

Every company will have disagreements and difference of opinion which ifnot managed can escalate into inter personal conflict. Therefore, it is veryimportant as a company to intervene immediately. It is not a good idea or anoption not to get involved and hope that your employees sort it outthemselves. If you value your company and your positive culture its time nowto take steps to resolve the situation. Any situation which causes conflictbetween two employees does not just affect them but also everyone aroundthem. In such a case the other employees may feel like they are walking onegg shells in the presence of both parties.

Mediator is a person who can work the best for conflict resolution. Ideally, amediator should be an internal person and has a neutral attitude. Mediationshould involve finding a third party trusted by the people involved in theconflict and then trusting that person to help find a solution. The mediator

can be a manager, HR employee, abusiness coach, a co-worker, etc.

Conflict resolution is often achallenging area but as a manager orsupervisor it comes in the jobpackage. Ones wil l ingness toappropriately intervene sets the stagefor one’s own success. Althoughchallenging, it can be extremelyrewarding also.

In Conflict Resolution one often getsinto cognitive and emotional trapswhich are not based on reality.Conflict can be of many types;Interpersonal conflict, intrapersonalconflict, intragroup conflict andintergroup conflict.

But friends, conflict can be positivealso, Creativity often comes fromconflict of ideas. Conflict whenhandled correctly Strengthens.

There are three principles in man’sbeing and life, the principal ofthoughts, the principle of speech andthe principle of action. The origin of allconflict between me and my is that Ido not say what I mean and I don’t dowhat I say.

With a lot of fanfare, recently Vadodara Smart Cityreleased a book in Gujarati called “Vadodara -Jaanyu Chhata Ajanyu” about Vadodara city. Itcovers more than 55 special aspects of our city.Vadodara has ancient history and is full of placesof cultural importance; this book will surely be acollector’s item. However, these days talk of thetown is the Smart City Projects. When we seepotholes on the city roads, or water logging atplaces and we get hassled by the traffic chaoswhere the over bridge is being made we wonderwhat this SMART CITY is all about. To get answers to our questions, (this wasbefore the deluge or we could have asked questions related to that too). BMACEO Divya Jaggi and I met with the CEO of Smart City Mission Shri Sudhir K.Patel (Deputy Commissioner of Vadodara Municipal Corporation) (G.A.S.).We were also joined by Shri Manish Bhatt (Director IT) who looks after the ITCell of VMC and gave us useful inputs, during the discussion.

My father was a primary school teacher. I was also good in studies. But Ipassed my HSC board with great difficulty. Obviously my father was keen onmy education and even I felt that I need to be educated well. So I did mygraduation in Arts in 1998, but then I was in two minds – whether to go intothe field of management or prepare for competitive exams for administrativeservices. Luckily I had passed the entrance in both fields. However, my elderbrother suggested that I should go for Public Service. So, I worked hard and Iappeared for GPSC and cleared Mamlatdar cadre in 2004, where I topped inwhole of Gujarat.... and then I have reached this position after a lot of hardwork and dedication. I was promoted as an Additional Collector at Vadodarain May 2018.

Yes of course, with the higher position, responsibility also comes sideby side. For me it is an additional charge. First, I have to perform my duties asa Deputy Municipal Commissioner of VMC. People have so manyexpectations and need quick results. They think that everything shouldhappen in a jiffy! But it takes a lot of planning, brainstorming, appropriatemanpower, adequate funds and time to execute any project.

MG: Good morning. Let us start right away. Tell us something about

yourself.

SKP:

MG: It must be a proud feeling to be appointed as a CEO of Vadodara Smart

City.

SKP:

DJ: Smart City is a very ambitious mission, but most people don’t have

proper knowledge about it. Can you please explain....

and how are they funded?

SKP:

MG: Is there any project to preserve

Vadodara’s heritage?

SKP:

The Central Government hadidentified 100 cities under thismission, to be able to provide basicminimum amenities and otherfacilities to citizens smartly. What isSmart City? A is a thatincorporates information andcommunication technologies (ICT) toenhance the quality and performanceof urban services. SCM (Smart CityMission) has a grant allocation ofRs.1000 crores. From this fund, wehave planned 29 smart projects out ofthe l is t prov ided , p lus VMCadditionally has 31 more projects towork on. So currently we areexecuting 60 projects, under thismision.

The Central Govt. is providing50% of the funds and the StateGovernment and Vadodara MunicipalCorporation put 25% each. This is thestandard practice and we have tofollow as per guidelines given. List ofal l the projects that we areundertaking, is given in the booklet. Aseparate company called

(VSCDL) was formed to carry outthese jobs in a professional manner.The execution is done under threecategories namely…

i) Smart City Mission (SCM)

ii) Public Private Partnership (PPP)

iii) Convergence(other grants).

features, so is for Vadodara. We have taken 3 heritage projects in Smart Cityto preserve our rich heritage. We are already doing the revamping of heritagestructures like the Char Darwaja, namely Mandvi Gate, Pani Gate, ChampanerGate, Gendi Gate and Lehripura Gate. We also have a Heritage Tourist Bus.

Our prestigious project is the Integrated City Command and Control Centre(ICCC). All major systems are integrated on one platform at ICCC, BadamdiBaug. We can also monitor our heritage structure and even map heritage tourthrough GIS map as an initiative of “Vadodara by Foot”. We have alsointroduced Virtual heritage tour, which gives you an experiences of a realvisit. We also have an upcoming project of showcasing our rich heritagethrough Virtual Reality (VR) and Augmented Reality (AR).

This is a very common question that arises in any local administrativebody. But if you look at the positive side of it, it gives you the needs, issues andambitons of common people. Though, Smart City Missions is a separatecompany - . It is designed to workefficiently just like private company. Management, Staff & Board of Directorsis independent. However, it works in consent with Administrative andPolitical team.

Yes, but at present, due to positivity of political members andwillingness towards work, we work in complete coordination, transparencyand integrity. Our target is that whoever coming in person or via social mediaor any other medium has to be satisfied with our solutions. At least we can tryour best. When we work with honestly, transparency and with integrity, mostof the problems get resolved.

Obviously, As I said, when top level is effective and transparent, then theteam below also works in the same manner. We have frequently educatedour staff on new technologies, work schedule, analysis as well as on workpattern etc.

Apart from all these activities, I am giving guidance to the candidates who arepreparing for UPSC and GPSC, to tell how to use your capability with hardwork. No political or monetary influence will help you to get anywhere. Ialways like to share, “Mehnat aapko karna hai, apne aap ko kabil banana hai!”That is my message for all youngsters.

Thanks a lot, we will be happy if your members visit the Control andCommand Centre and see how effectively city is being monitored andmanaged.

MG: Wonderful insights about Smart City Mission and the work you are

doing. Now I am going to ask you a difficult question. In your position, I am

sure there must be a lot of political pressure from the elected wing and since

we are from management, we would like to know how you handle it.

SKP:

MG: Ok – that’s about Smart City Mission, but apart from this also you must

be facing same resistance, so how do you manage that?

SKP:

MG: One last question. Do you think an effective, passionate and dynamic

leader/administrator at the top helps to maintain certain decorum all the

way down?

SKP:

workshop/training on Conflict

Management on July 23. Currently,

conflicts are one of the key reason for

loss of productivity. This training was

an opportunity for organizations in

Vadodara to build capability to

manage conflicts effectively. The

response to the training reflected in

the post training feedback from the

Participants. The training was

a t t e n d e d b y m o r e t h a n 1 5 *

organizations based in the city and

around. The training covered building

blocks related to the definition,

causes, effects, types, typical

scenarios and resolution of conflicts.

The delivery methodology was highly

interactive with a blend of case-

studies, group activities, videos and

group presentations. The program

was conducted by Mr. Snehal Bhatt,

who has been the Global Learning

Lead for Accenture and has been in

the learning domain for more than 20

years. All in all, it was an experience

which left the Participants wanting

Hope the rains and following conditions have not drastically affected you and your families.
