2017 Banquet & Catering Information
Mahalo for considering the Hilton Garden Inn Kauai, Wailua Bay for your upcoming special event. We look forward to assisting you! A separate banquet event order contract (BEO) specifying the details of your event will be sent to you that outlines: meeting space set-up, menus, audio-visual equipment needs, etc. Please sign the bottom of the page and return to the Food & Beverage office along with your deposit to secure the meeting space for your date/time. We would appreciate adherence to the times agreed upon for your special event, as other groups may be scheduled for the same room prior to, or following you. If your anticipated time schedule changes, please contact the Food and Beverage Department and we will make every effort to accommodate you. This Hotel will not be liable for failure to provide any arrangements as covered by this group confirmation, due to fire, acts of God, national or state emergencies, strikes, shortage of labor, natural or any other causes beyond control of this hotel. Hilton Garden Inn Kauai Wailua Bay reserves the right to relocate the group to another meeting space of equivalent, or better state for the group, with or without prior notice.

Please find the following Banquet & Catering Policies applicable to your signed contract or Banquet Event Order (BEO):
Food and Beverage
All Food and Beverage items are to be purchased exclusively from the Hotel, served on premises and must be dispensed only by Hotel’s servers and bartenders during all catering
functions.
Prices are subject to change in the event of any increase of food, beverages or other operational costs. Prices will be confirmed six months prior to the function.
Deposits & Payment Requirements All deposits received will be applied towards the function’s final grand total.
Advance deposits are non-refundable if cancellation occurs less than 30 days prior to the
event. A $500.00 deposit is due upon receipt of signed contract either in cash, credit card, check or
cashier’s check. The deposit reserves the date, time and meeting space you require. Advance payment based on the anticipated number of guests attending, the menu desired
and room rental or set-up fees are due 60 days prior to the function.
Functions booked less than 60 days in advance but more than 30 days in advance, the amount due to reserve the room will be either $500.00 or 50% of the Balance Due,
whichever is greater. For any function booked less than 30 days prior to the event’s date payment in full will be
required. Final payment is due 7 days prior to your event with your minimum guarantee and a credit
card on file.
Guarantee Confirmation
We require a confirmation of guaranteed attendance at least 7 days in advance of all functions. Your final bill will be based on the guaranteed number, plus any charges over and
above.
No refunds will be given should your count fall below your guaranteed count given 7 days prior to the event.
Meals will be prepared for your guaranteed figure; however, if you wish, the room will be set for 5 % over the guaranteed and our Banquet Kitchen will make every effort to duplicate
your menu for the additional guests. In the event it can not be done, a substitute entrée will
be provided.

In the event we do not receive a guarantee, we will consider the number of guests estimated on the catering contact as the guarantee.
The Banquet Supervisor on duty will take a count, confirm the number in attendance and
advise the contact person of any balance due upon the conclusion of the event.
Service Charge & Tax
All food, beverage, room rental and setup fees are subject to Hawaii state sales tax and 20%
service fees Please be advised that when “Service Charges” are called for, the Hotel does not distribute
100% of such charges as tips to its employees; a portion of such “Service Charges” are used to pay for costs or expenses other than wages and tips of employees.
Engineering, Electrical, & Audio-Visual
Any electrical or engineering requirements must be specified to our Catering Department at least 7 days prior to the function. Charges will be based on labor involved and electrical
usage. Audio-Visual equipment and services are available in-house on a rental basis. Orders may be
placed through our Catering Department and should be placed at least 7 days in advance.
Shipping & Receiving Small packages for meetings may be delivered to the Hotel no more than 3 days prior to the
function. Items should be addressed to the Catering Representative. Packages should be marked “Hold
for Arrival” and list the date and name of the event clearly on all labels.
Loss of Merchandise The Hilton Garden Inn Kauai, Wailua Bay does not accept any responsibility for the damage
or loss of any merchandise or article left in the hotel prior to, during or following your
function.

A Cocktail Bar will be set up only upon request from client Last call will be at 2:00pm for lunch functions and at 10:00pm for evening

Host Bar or No Host Bar On Host Bar or No Host Bar there will be a bartender’s fee of $200.00 plus
tax and 20% service charge per each bartender requested.

person using tact and diplomacy.
