Chamber Traveler Frequently Asked Questions

Costa del Sol Spain

1. What do I need to know about Passports?

You need a passport to travel to Spain. Passport processing can be slow, so if you do not have a passport, you need to apply for one immediately. Complete instructions can be found at http://travel.state.gov/passport.

2. Why do I need to send you a copy of my Passport?

Effective November 1, 2010, the Travel Safety Administration (TSA) now requires that we enter all of your passport information into your flight record at the time of ticketing. If it is not entered correctly or in a timely manner you may be denied boarding or experience additional travel delays. To avoid these consequences, simply send a legible copy of your passport to Chamber Discoveries as soon as possible; it will be kept in confidential files and only shared as needed with the airlines.

3. What health precautions do I need to take?

To learn what the Center for Disease Control (CDC) says regarding traveling to Spain, please visit the following website: http://wwwnc.cdc.gov/travel/destinations/spain.htm.

While no vaccinations are specifically required to visit Spain, the CDC recommends that you consult a travel health physician before traveling abroad. Please visit the “Travel Health” link located on the main page for additional information and for a list of Chamber member international travel health service providers.

You need to be in good physical condition as there is a lot of walking and use of stairs.

4. When is the last day that I can sign up for travel insurance?

We have a special policy with Travel Guard insurance that allows our guests to purchase their travel insurance up until the time of their trip. However, in order to have pre-existing conditions covered, insurance MUST be purchased within 21 days of the initial deposit being deposited into our account. Therefore, we mail out the brochure upon receipt of each deposit and confirm the deposit date so that guests know when the 21 days begin.

If pre-existing conditions are not an issue, you can purchase the insurance up until the day before you travel. However, we recommend you make your purchases sooner than later as you never know what may come up that may require you to cancel the trip; you’d hate to cancel without insurance, wouldn’t you?

If you have specific questions about what is or is not covered, please contact Travel Guard insurance at (800) 826-1300 and refer to reference #05933955.

Guests may purchase the insurance by calling the 800 # for Travel Guard, or going online to www.chamberdiscoveries.com, click on Travel Protection and Purchase Now to begin the process.

5. When is the balance due? Will you send a statement or invoice to remind me of my balance before the due date?

Due dates vary by supplier needs. However, typically, final payments are due approximately 100 days prior to your departure date. Refer to your brochure for specific details. Statements will be mailed to all guests approximately 100-120 days prior to departure.

6. What are fuel surcharges? How much are they and when are they paid?

Fuel surcharges are relatively new to the industry. Unfortunately, with the current economy and fluctuating gas prices at the pump, there is no way to accurately predict the scope of what the airlines/cruise/bus companies will charge until the time of ticketing. Every effort is made to estimate these costs and outline them on your brochure (whether included in the price or not) so that you can plan for these expenses. Depending on the surcharges at the time of travel, you may receive a credit or a supplemental charge. As these are due at the time of ticketing, we will update you with the final invoice in order to ensure that the prices do not increase after your final payment is received.

7. What is a typical flight schedule? What airlines do we use? How long are the flights? Will everyone in my group be on the same flights?

Flight schedules vary from city to city. We use all of the major carriers (i.e. Air France, American, British Airways, Continental, Delta, Lufthansa, Northwest, United, etc.) Flights from the East Coast are roughly 7 hours, while flights from the West Coast are approximately 9 hours. Schedules vary by airline and by home city. If you are traveling from San Francisco or Los Angeles you can expect a minimum of 1 stop for international flights.

Every effort is made to keep our groups together. However, depending on the size of your group, there are times when we need to split the group in order to get everyone to the destination. With this in mind, we ask for your assistance in determining who should

travel with whom. First priority is given to people from cities closest to the local airport and then to their preferred travel companions.

8. Can members of my group extend their trip or travel from a different home city? If so, how does that work and what is the cost?

Absolutely. We are happy to work with you and your guests in making special travel arrangements. These are handled on a case-by-case basis approximately 75-100 days prior to the trip. Guests wishing to extend their trip or travel from a different home city should put their detailed requests in writing as soon as possible so that we can begin working on the research for their trips.

Approximately 75-100 days prior to their travel dates, Chamber Discoveries will send these guests information detailing their travel options. At that time, the guests may elect to use our services, cancel their request and simply travel with the group, or make their own arrangements. Either way, they must return the materials with their final selection noted so that we can finalize ticketing arrangements on their behalf.

9. What if people want to travel together, what steps are needed to keep them together as much as possible?

Guests wishing to travel together need to put their requests in writing and submit to Chamber Discoveries via email ([email protected]) or fax (866) 668-2126, or regular mail to Chamber Discoveries at 1300 E Shaw Ave, Suite 127, Fresno, CA 93710, as soon as possible and identify exactly who they wish to travel with (i.e. Marta Jones and Betty Harris wish to travel with Susie & Tom Klein – they are traveling to Spain with the xxx Chamber in Month YEAR).

10. How are seat assignments handled?

Every airline has different rules regarding group seating. As a courtesy, Chamber Discoveries makes every effort to secure appropriate seating for you and your travel companion. However, we cannot guarantee that the individual airlines will honor our requests. Therefore, if your particular seat assignment is essential to your travel, we encourage our guests to contact the airlines approximately 1 week prior to travel to inquire as to your assignment. Please note that many airlines will wait to confirm arrangements for group seating until airport check in. Additionally, due to the nature of travel, airlines may change aircraft up until the time of departure; which may affect any pre-confirmed seating arrangements.

11. What luggage requirements do I need to know about?

Currently, most airlines allow passengers flying to Europe to check one bag at no extra charge. If you choose to check two bags, you will be responsible for the additional charge, which is typically $50 each way. Neither bag can exceed the maximum weight allowance of 50 lbs nor can they exceed the linear inches limit of 62” (total length + width + height). You are also allowed a carry-on small enough to place underneath the seat of the plane or in the overhead bin. You will not be allowed to board the plane without your passport (please be sure to check the expiration date before you leave home).

As airline policies may vary and are subject to change, we recommend that you visit your airlines website for specific luggage policies and limitations 2-3 weeks prior to traveling.

12. What should I pack?

Layers, Layers, and more Layers! The Italian weather works on the “four seasons in a day” principle, which basically means that you can’t predict a thing when it comes to the behavior of the sky. Spain’s climate is relatively mild for its latitude. Please dress comfortably! You will be doing a significant amount of walking and spend much of your time outdoors, so please bring what you will need to be comfortable.

Pack as lightly as possible.

Bring lots of film *or extra memory space and batteries or charger with adapter for your digital camera)

Be sure to pack comfortable walking shoes.

13. How will overseas airport transportation be handled?

If traveling on the group flights, upon arrival into Spain please put your Chamber Discoveries Name Badge on and proceed to the baggage claim area, collect your luggage, and proceed through customs/immigration as appropriate. Once in the public meeting area, your driver/guide will be waiting for you with a Chamber Discoveries sign and direct you to transportation. You will need to take your luggage to the curb and assist the driver in loading it as appropriate.

If you are a deviator (flying on a special itinerary/separate from the group), airport transportation is not included. However, if your flight arrival or departure times coincide with one of our groups’ arrival/departure times and we have a motor coach at the airport (or traveling to the airport on your schedule) with seats available, you are welcome to take advantage of this service on a complimentary basis. We will provide you with a copy of the groups’ flight itinerary with your final Travel Documents for planning purposes.

14. What happens if my flights are delayed or changed by the airline?

In the event that your flights are delayed more than 2 hours and or enough to cause you to misconnect your down-line flights, please contact Chamber Discoveries after hours emergency contact number (listed on your Airline Confirmation Sheet, included in your final travel documents) after you’ve been rebooked by the airlines, so that we can let our transportation team in Spain know when to expect you. Be sure to advise what your new flight details are (your names, Chamber name, airlines, flight #’s, arrival times, etc. – the more detail you provide the better we can help you.)

We will do everything that we can to advise our transportation team in Spain of your new flight details. This year we met, and assisted over 95% of those with flight delays! However, depending on the timing (of your call and or the new flight times) and the available information, it may not be possible to get word to our transportation team on time to arrange for additional transportation to be at the airport to meet your new flight. If you get to the airport in Spain and have contacted Chamber Discoveries (as noted above) and cannot find the driver/guide in the public meeting area, please take a taxi to the hotel and save your receipt.

15. Lost Luggage?

Upon arrival into Spain, if your luggage is missing, you will need to let your driver/guide know immediately (if he/she is outside of the luggage area, please let another guest with your group know and ask them to advise the driver/guide for you), and go to the customer

service/luggage office and file a claim for your luggage before leaving the airport. List the hotel and their address (provided on your Airline Confirmation Sheet) as your address in Spain so that your luggage can be delivered to you by the airlines when found.

16. How are Hotel Rooms assigned?

Hotel rooms are randomly assigned by the hotel based on your selection of single/double/triple occupancy. Based on the number of guests traveling on a particular date, the Hotel may at their own discretion arbitrarily upgrade some members of our group. We have no control over this. If you’d like to have your room on the same floor with other travelers, please let us know so that we can make that request for you. Note that we cannot guaranty that the Hotel will honor the request, but we will advise them of your request.

17. I am looking for a roommate. Can you help me? How are guests billed if they register as a single while they look for a roommate?

We do not match roommates. If you are looking for a roommate, we suggest that you contact your Chamber to see if anyone else has requested a roommate. Chambers traveling on the same dates may wish to contact each other to find roommates.

Guests registering as a single wishing to find a roommate will be billed as a single. Once a roommate is confirmed and you advise Chamber Discoveries in writing of this change, we will adjust your invoice and refund the single supplement as appropriate.

18. Refrigerators in Hotel Rooms

Typically, there are no refrigerators in the Hotel Rooms. If you need to refrigerate medication, please let Chamber Discoveries know so that we can advise the hotel and make a special request on your behalf.

19. When can I sign up for optional tours? How expensive are they? What is the schedule?

Detailed optional tour information will be available approximately 30-45 days prior to your departure date. You will have an opportunity to sign up for as many excursions as you wish during the final Orientation meeting which is normally scheduled approximately 30 days prior to your departure date for groups of 20 or more.

A complete itinerary will accompany your information. For estimating purposes, tour costs range from $49 per person per tour to $150 per person per tour depending on the length of the tour & the destination.

If you chose not to sign up for a tour, you can still enjoy the area on your own on free days.

Optional tours can be paid by check or credit card (Visa or MasterCard). It is strongly encouraged that you purchase these tours in advance to secure the advance purchase price and guarantee you a space on the tour. Credit card payments are subject to a 3.35% service fee. Your cancelled check or credit card charge is confirmation of your tour. A written confirmation will be emailed to all travelers approximately 10 days prior to the trip.

20. What can I expect regarding transportation while I am in Spain?

Deluxe motor coaches and experienced driver/guides will escort you for all transfers, tours, and guided excursions. These arrangements will be taken care of for you and will not require any additional

paperwork on your part. Restrooms are not typically provided on motor coaches in Spain.

21. How are buses assigned?

Every effort is made to keep your group in one bus, if at all possible. However, in larger groups with more than 45 people, groups may be split. In these cases, we use the travel request information received from guests to sort people into different travel groups. Therefore, if guests really want to travel with specific friends, they need to let us know in writing as soon as possible.

22. Is there a lot of walking on this tour?

Yes, like most of Europe, you will be visiting historic sites that may be hundreds of years old, and there can be walking on uneven surfaces. While you do not need to do every tour that is offered, most tours do include a lot of walking to reach the monuments. Some tours are more strenuous than others. We recommend that you bring comfortable walking shoes and advise your guide if you have difficulty walking.

23. What type of currency do they use in Spain? What is the exchange rate?

In Spain the currency used is the Euro. The exchange rate varies daily. For the most current information, go to http://www.xe.com/ucc/. You can enter the US Dollar and compare against the Euro. For the best exchange rate while traveling, we recommend that you use your Visa or MasterCard as you’ll get the most current rate at the time of purchase. (Be sure to let your Credit Card Company know that you are traveling internationally, so that they do not put a “hold” on your account.)

24. Is there a charge to use the toilets in Europe?

It is very common practice in Europe to charge a fee for the use of the public restrooms throughout the city. While the restrooms in your hotel will not typically charge a fee, you should consider carrying a few euros (in coin) with you at all times while out on tours for these unexpected expenses, just in case.

25. What tips are required?

Tips are optional, though customary throughout. We suggest a total of 5 € (Euros) per person to your Chamber Discoveries Program Guide and 2 € (Euros) per day to your driver. For a local sightseeing guide, we suggest 2 € (Euros) per day as well. Note that on smaller groups in Spain, the driver may be your guide as well and should be compensated for both responsibilities if he/she has done a good job.

26. When will I get my travel documents?

Travel materials will be available approximately 30 days prior to your departure date. There is generally a final orientation meeting where these are distributed and guests are given an opportunity to review the materials and ask any questions they may have. If a meeting is not scheduled, Chamber Discoveries will email your documents directly to the address we have on file for you approximately 20-25 days prior to your trip.

27. I live out of the area or will be out of town during the Final Orientation Meeting. How can I get my travel documents?

If there is a Final Orientation Meeting for your Chamber, we will send all of the materials directly to the Chamber for the meeting. For

anyone who cannot attend the meeting, the materials will be mailed to you within a few days following the meeting.

28. What is the dress code during the trip? Do we have to dress formally for one night? Is a dinner jacket required?

The dress code is casual throughout the trip. There is no formal night on the Spain trip. No dinner jacket or cocktail attire is required. You are certainly welcome to dress up if you wish, but it is not mandatory.

29. What is the role of the Chamber Representative (if applicable)?

The Chamber Representative traveling with your group (if applicable) is a guest traveling as a representative from the Chamber with no official travel/tour related responsibilities. Please direct all travel relative related questions to your Chamber Discoveries Program Guide; he or she is available to assist you as needed throughout your trip.
