You are about to save time and increase

payroll accuracy by automating your

time and attendance.

This guide will show you the basic steps for installing your ADP 4000 Series timeclock, as well as your ADP Timeclock Manager software.

WARNING: Installation of your timeclock will require you to address electrical, telecommunication and other configurations and arrangements. You are advised to consult appropriate professional technicians for the installation of your timeclock. Any deviation from the installation process contained in this guide or from the recommended use of the timeclock may result in damage to the timeclock, your facility or personal injury. A damaged timeclock may incorrectly transmit, alter or lose your data. In no event will ADP be responsible for any such damage, injury, alteration or loss.

This Quick Installation Guide will take you step by step through the installation and setup of your ADP Timeclock Manager time and attendance system:

System Requirements for ADP Timeclock Manager v3.0

Check that your PC meets the system requirements for your ADP Timeclock Manager software:

Operating System

• Windows Vista Ultimate or Enterprise*• Windows XP, SP2

• Windows Server 2003, SP2

• Windows 2000, SP4

• Windows 2000 Terminal Services and Macintosh® are not supported.

Internet Connection

• An existing Internet connection (Dial-up 56k+, DSL, Cable, T1/T3, ISDN, Frame Relay)

• Ports 80 and 443 must be open.

• Microsoft Internet Explorer™ v6.0, SP1 or higher

• Cookies must be enabled.

1. Check the Contents of the Box Check that the following items are in the timeclock box:

One timeclock and wall mount base

One power cord (for 110V AC outlets) and one optional power cord for internal AC outlet

One power transformer

One wall mount paper template

Five screws and five anchors

One security screw

One Allen wrench

Power cord strain relief clip with two screws and two nuts

One supervisor and one maintenance barcode badge

Note: Along with your timeclock shipment, you will also receive a separate box that contains:

2. Decide Where to Mount the TimeclockPick a spot where all of your employees can easily reach the timeclock and see its display. Do not mount the timeclock where it may be exposed to direct sunlight.

Do not mount the timeclock in high traffic areas, such as by exit doors, to avoid bottlenecks. Do not mount the timeclock behind a door, in a corner, or over a table or counter. Provide ample clearance for employees to swipe their badges.

Do not mount the timeclock near large motors, elevators or microwave ovens, or where it may be exposed to physical damage (such as fork-lift traffic).

The timeclock should not be exposed to chemicals or airborne dust or particles.

The timeclock should not be mounted outdoors, or exposed to water, or extreme temperature or humidity.

For Ethernet connect:Make sure that the timeclock is within 5 feet of the surface mount jack for your network connection. The power adapter will reach an electrical outlet up to 5 feet away.

3. Use the Mounting Guide to Mark the WallTape the wall mount paper template to the wall with the top edge exactly 54½ inches above the floor. (This will meet the requirements of the Americans with Disabilities Act.) Check the template with a level to ensure that the timeclock will be positioned squarely on the wall.

Mark the wall behind the five mounting holes indicated on the template, then remove the template from the wall.

4. Sheetrock Wall InstallationDrill five holes where you have marked the wall using the 9/32 inch drill bit.

Insert the anchors into the five drilled holes, carefully using a ham-mer to push the anchors flush with the wall. Wipe away all dust and debris.

5. Power and Communications SetupYou are now ready to begin installation of the electrical components for use with your timeclock:

For Ethernet connection:The timeclock will be mounted within 5 feet of where a certified electrician has installed a 110V AC outlet with surge suppression.Have a qualified network cabling technician install an RJ-45 surface mount jack within 5 feet of the timeclock and attach a 10Base T or 100Base T network port to this jack.

Note: 4500 timeclocks have wireless communications capability. A configuration document will be provided upon request.

6. Fasten the Mount Base to the WallUse the five screws to secure the wall mount base to the wall.

7. Install the Transformer1. Remove the plate covering the middle hole in the bottom of the

wall mount base by removing the two hex nuts and pulling the plate from the two posts.

2. Feed the jack end of the power cord up through the square hole.3. Plug the power cord jack into the transformer. Do not yet plug

the power cord into the power outlet to avoid damaging your timeclock.

4. Hold the transformer so that the power cord is plugged in at the top and the non-labeled side of the transformer is facing you, then secure the transformer behind the wire clip in the wall mount base.

5. Secure the power cord by assembling the supplied strain relief clip, nuts and screws.

8. Mount the Timeclock1. Remove the two flat screws that secure the hinge clip in place on

the wall mount base. Set aside in a safe place for reinstallation.

2. Release the hinge clip by squeezing the retainers at each hinge position, one at a time, until you feel the clip release.

3. Rotate the hinge clip to the left.

4. Fit the two hinges on the timeclock cover into the corresponding areas molded in the base.

5. Carefully close the timeclock cover, making sure that the two hinges remain properly seated in place. Continue to hold the cover securely in place as you continue with the next step.

6. Rotate the hinge clip forward until it snaps into place.

7. Open the timeclock cover and reinstall the two flat screws (see step 1) to secure the hinge clip. Ensure that the screws are installed to hold the cover securely in place.

9. Attach the Power and Communications Cables (Ethernet Connect)

You are now ready to attach the communications cables to your timeclock:

Note: Installation of the 4000 series Ethernet connect timeclock requires the separate purchase of an Ethernet UTP cable. Be sure that the length of the cable reaches the distance between the timeclock and the network port jack and allows enough slack for opening the timeclock cover with the cable attached.

1. Take one end of an Ethernet UTP cable (purchased separately) and plug it into the network port jack.

2. Feed the other end of the Ethernet UTP cable through the middle knockout hole in the bottom of the wall mount base and plug it into the port labeled ETHERNET PORT on the main board of the timeclock.

3. Connect the transformer cable to the connection labeled PWR (J21) on the main board of the timeclock:a. Run the cable up the left side of the transformer.b. Secure the cable behind the plastic clips in the top of the

wall mount base.

c. Push the cable connector firmly, but carefully, into the PWR connection to avoid causing damage.

4. Plug the power cord into an electrical outlet (110V AC). The timeclock display and LED power indicator will be illuminated, indicating that the timeclock is receiving power. (Make sure that all other connectors are in place before plugging in the power cord.) The timeclock will boot up. After about one minute, the communication settings screen will display. If this fails to occur, check to see that the power transformer cabling is securely connected.

10. Complete the Mounting of the TimeclockClose the timeclock cover and lock it in place using the Allen wrench to tighten the attached security screw. For added security, install the second supplied security screw in the back of the timeclock.

Warning: Ensure that the cables inside the timeclock are securely tucked in and that the cover is not being closed on them. Do not force the cover when closing it.

11. Set Up the TimeclockWhen your timeclock is connected to the power supply, the timeclock boots up. The communication settings screen displays when the initial-ization is complete. You must program settings for your timeclock prior to use. Follow the steps below to set up your timeclock.

Note: The following instructions apply to a timeclock at which no programming has been performed. If programming was entered previously at the timeclock, refer to the instructions under Appendix B on page 29 for programming the timeclock.

1. Get a valid static IP address from your network administrator, as well as the subnet mask and gateway IP address (if required).

2. At the Device ID prompt, enter a unique 6-digit password for the timeclock, then press ENTER.

3. Press ENTER three more times to reach the IP Address prompt.4. Enter the IP address, then press ENTER. (Press the numbers on

the keypad and the period (.) key in the appropriate order. You do not need to include zeros.)

5. Enter the gateway IP address (if required) at the Gateway prompt, then press ENTER. (Press the numbers on the keypad and the period (.) key in the appropriate order. You do not need to include zeros.)Note: 4500 timeclocks support connection over a wide-area network (WAN).

6. Enter the subnet mask (if required) at the Subnet Mask prompt, then press ENTER. (Press the numbers on the keypad and the period (.) key in the appropriate order. You do not need to include zeros.)

7. Press ENTER again to complete the communication settings configuration.

8. The timeclock will reboot and save your configuration settings. This process takes about one minute. When the initialization is complete, the time and date display will appear.

Note: If you make a mistake when entering information at the timeclock, pressing the back button will backspace to erase the last digit entered. Pressing the CLR button will erase the entire entry at the current prompt.

12. Install the ADP Timeclock Manager Software

Installation time is approximately 15 minutes. Be sure to install your software at a time when the process will not be interrupted.

To run the installation of your software, the User logged in on the PC must be an assigned Windows administrator.

Note: If the computer on which you want to install ADP Timeclock Manager does not have a CD drive and is part of a network system, refer to Appendix A on page 28 for special installation instructions.

Pre-Installation Steps for Windows Vista Only

If you wish to install ADP Timeclock Manager on a PC that is run-ning Windows Vista, you must perform the following steps prior to installing your software to ensure proper communications with ezLaborManager.

1. Launch the Internet Explorer browser, then select Tools Internet Options from the main menu.

2. Click the Security tab in the Internet Options window.3. Click the Trusted sites icon in the Security screen.4. Click the Sites button.5. Type in https://*.elabor.com, then click Add. Your entry

will display in the Web sites list box.6. Type in https://*.adp.com, then click Add. Your entry will

display in the Web sites list box.7. Click OK to close the Trusted sites screen, then click OK

to close the Internet Options window.8. Log in to ezLaborManager.9. Close the Internet Explorer window after your successful

login. You may now proceed with the installation of ADP Timeclock Manager.

To install ADP Timeclock Manager on your PC:

1. Insert the ADP Timeclock Manager CD into the CD drive of the computer which will be collecting the timeclock information. The setup process for ADP Timeclock Manager will begin to run automatically.

2. A status window will display, indicating that the InstallShield Wizard is loading.

3. The InstallShield Wizard setup window will display.

4. Click Next to begin installation of ADP Timeclock Manager.

5. The Home Directory window for the ADP Timeclock Manager files will display.

6. Accept the default directory path of “C:\Program Files\ADP\ TimeclockMgr” by clicking Next.Note: If you wish to install to a drive other than “C”, click Browse. The Choose Folder window will open. Type in the new drive letter in place of “C” in the Path text box. Click OK to return to the Home Directory window, then click Next.

7. The Select Program Folder window will display.

8. Accept the default program folder of “ADP Timeclock Manager” by clicking Next.

9. The Check Setup Information window will display.

10. Confirm your chosen settings, then click Next to begin the installation process.

11. A status bar will display as the setup files are being copied onto your computer.

12. Preparation for the installation of the Microsoft® .NET Framework component will begin. This process may take several minutes.

13. The .NET Framework will be installed on your computer. A status bar will display as the installation takes place.

14. Preparation for the installation of the Microsoft SQL Server™ Express component will begin.

15. Microsoft SQL Server Express will be installed on your com-puter. A progress window will display as the installation takes place.

16. When completed, the installation process will finish up by installing the ADP File Upload component and registering with ezLaborManager.

17. When the InstallShield Wizard has finished, a window will dis-play, indicating that you must restart (reboot) your computer in order to complete the installation process.

Note: It is recommended that you reboot your computer at this time to ensure that your ADP Timeclock Manager software runs correctly. If you choose not to reboot at this time, be sure that you reboot your computer before using ADP Timeclock Manager.

18. If you do not wish to reboot your computer now, click to select the No radio button, then click Finish. The Setup program will close and you will be returned to your computer desktop.If you wish to reboot your computer now, remove the ADP Time-clock Manager CD from the CD drive of your computer, then accept the default radio button selection of Yes by clicking Finish. Your computer will reboot. The ADP Timeclock Wizard will auto-matically open. You may configure your timeclocks and your ADP Timeclock Manager software by following the directions in the ADP Timeclock Manager User’s Guide.

Appendix AInstalling ADP Timeclock Manager from a Network Location

You may install ADP Timeclock Manager onto a computer that does not have a CD drive, but is part of a network system, by copying the ADP Timeclock Manager CD files onto another computer within the net-work. ADP Timeclock Manager may then be installed from the copied files.1. Insert the ADP Timeclock Manager CD into the CD drive of a

computer within the network system. The setup program will begin to run automatically. Click Cancel to close the program.

2. Open My Computer by double-clicking on the icon on your computer desktop. Then right-click on the CD drive icon and select Open from the pop-up menu that displays. This will open the main directory of the ADP Timeclock Manager CD.

3. Hold down the Ctrl key and press A on your keyboard to select all of the items in the ADP Timeclock Manager CD main directory. Then hold down the Ctrl key and press C to temporarily copy the files to your computer’s internal clipboard.

4. Through “My Computer,” go to a folder of your choice on your network drive in which you want to store the contents of the ADP Timeclock Manager CD. (You may create a special folder for this purpose.) Double-click on the folder to open it.

5. Hold down the Ctrl key and press V to copy the contents of the ADP Timeclock Manager CD from your computer’s clipboard into the selected folder.

6. Go to the computer from which ADP Timeclock Manager will be run and open the folder into which the contents of the ADP Timeclock Manager CD were copied.(For Windows Vista only: Follow the instructions under “Pre-Installation Steps for Windows Vista Only” on page 22 before proceeding.)

7. Double-click on the Install folder to display the files, then double-click on setup.exe to begin running the installation of ADP Timeclock Manager.

8. Follow the instructions under “Install the ADP Timeclock Manager Software,” beginning with step 2 on page 23.

Appendix BProgramming Device ID/IP Address

You may enter, view or modify the device ID (password) or IP address for your timeclock through Command Mode functions. (For the initial programming of your timeclock, see “Set up the Timeclock” on page 20.)

1. Swipe the maintenance badge at the timeclock. The Maintenance Mode menu will display.

2. Press the soft key next to the “Comm Setting” menu option. The communication settings screen will display.

3. At the Device ID prompt, press CLR, then enter a unique 6-digit password for the timeclock. Press ENTER.

4. Press ENTER three more times to reach the IP Address prompt.5. Press CLR, then enter the static IP address. (Press the numbers

on the keypad and the period (.) key in the appropriate order. You do not need to include zeros.) Press ENTER.

6. At the Gateway prompt, press CLR, then enter the gateway IP address (if required). (Press the numbers on the keypad and the period (.) key in the appropriate order. You do not need to include zeros.) Press ENTER.

7. At the Subnet Mask prompt, press CLR, then enter the subnet mask (if required). (Press the numbers on the keypad and the period (.) key in the appropriate order. You do not need to include zeros.) Press ENTER.

8. Press ENTER again to complete the communication settings configuration.

9. The timeclock will reboot and save your configuration settings. This process may take 30 seconds or longer. When the reinitialization is complete, the time and date display will appear.

A number of optional devices are available for use in conjunction with your 4000 series timeclock. These devices may be purchased separately by contacting your ADP Time and Labor Management representative. Setup instructions are included in the device kit.

Appendix DResetting the Timeclock Memory

Warning: Do not reset the timeclock without assistance from your ADP Time and Labor Management representative. Improper procedure may cause the loss of your company data.

Note: All punch records in the timeclock’s memory are lost when the timeclock memory is reset.

1. Swipe the maintenance badge at the timeclock. The Maintenance Mode menu will display.

2. Press the soft key next to the “More” menu option six times to move through the menu screens.

3. Press the soft key next to the “FACTORY DEFAULTS” menu option.

4. Press the soft key next to the “Yes” menu option, then press ENTER.

5. The timeclock will reboot and clear your configuration settings. This process may take 30 seconds or longer. When the reinitial-ization is complete, the time and date display will appear.

All timeclock operating parameters will be restored to their default values. The next programming that is entered at the timeclock will be considered the initial programming.

Your timeclock must now be reconfigured and initialized for use. (Refer to “Set Up the Timeclock” on page 20, as well as the ADP Timeclock Manager User’s Guide for instructions.)
