This document contains information on the enhancements and corrections to the NZ Xcede Sheets and

Templates.

Reference Numbers

Introduction

This release offers some enhancements, standardisations and corrections. The main development

focus for the NZ Xcede Sheets 2020 Release was the compliance changes.

There are Appendices to these Release Notes that explain the coding and functionality in more detail

where necessary.

IMPORTANT!

• Please install Xcede version 10.9.1. The following sheets rely on new Xcede

formulas: 2n-Leases and 2n-FixedAssets

• Please read the Release notes for Xcede Professional Accounting 11 for

instructions on setting up Leased Assets.

Main Features of this release

This NZ Xcede Sheets release package includes:

• Sheets released in April 2019 with subsequent:

o Amendments for enhancement and corrections

o New sheets.

• Master template and entity templates:

Retiring Software versions

The following versions of XPA and Xcede Reporting Engine are retired as at 31 March 2020.

• XPA 10.2 or prior

• Xcede Reporting Engine 10.7

Financial Reporting Field Codes

In this document, new and existing Financial Reporting Fields (FRFs) will be referred to using the field

code label e.g. <FirstYear>.

To view the field code, code, open the FRF window in XPA and click the Show Maintenance Columns

icon.

✓ In the 2019 there was a correction made to improve

the consistency in row heights on the Directory

(XCED-2064 / KB 19126). This resulted in

Shareholders/Directors names not being printed in

full when the names were really long.

A new style (Directory Heading, font size 10) has

been created and applied to all the heading cells

such as: Directors, Shareholders and so on.

Note: To revert to the original font size for these

heading cells; the style “Directory Heading” can be

modified accordingly. BUT keep in mind that if the

font size is increased, they could revert back to the

original issue of inconsistent row heights.

items. This user defined note allows a

maximum of 10 rows for reconciliation items.

(NZ IFRS 16 leases requirement).

2n-Imputation_Credits XCED-3308 • The Imputation Credit note can be forced to

print <N-ImpPrint>. This can be used where

the ledger isn’t a company or a company

ledger has a nil balance in the 984 account.

Where a company showed a summarised note, the

format has changed from a table note to text

paragraph, e.g. “The imputation credits account

has available for use $xxx/nil balance as at 31 March

2020 (2019: $xxx/Nil).”

• A financial reporting field can change

reference to “Imputation” so that the account

can be used for other credit accounts, e.g.

Maori Authority Credits.

• This could be set up on the Master Template to

be set on all ledgers, e.g. If a rental income

policy is required when a value exists in code

121; enter the code and user defined policy

into the FRFs on the master template <PC-

RevCod3> and <PC-RevUs3>.

Where a ledger has a value in the code, the rental

revenue recognition policy will print. To stop the

policy from printing, remove either the code or the

user defined text.

Note: The FRFs used to define the code can contain

a range of accounts, e.g. 121,123:124.

2n-Policy XCED-2166 • Transitional statement has been removed

from Goodwill straight line policy for NZICA

ledgers.

Appendix 2: Leased Assets

As a result of NZ IFRS 16, effective 1 January 2019, the following sheets were impacted:

The new Leases note relies on assets being integrated with the ledger. Where assets are non-integrated,

FRFs can be used to enter descriptions and values.

Impairment of Right-of-Use-Assets (NZ IFRS)

Currently XPA does not allow for the impairment of individual assets. To impair a group of assets, the

coding structure is 879/Asset group code.

With this level of coding, there is no distinction between impairment for Right-of-Use Assets and Owned

Assets.

Impact: 2n-Leases, 2n-FixedAssets:

Adding Right-of-Use Assets to the Integrated Asset Ledger

Note: Right-of-Use Assets being added to the Asset Ledger for 1/1/2019 NZ IFRS 16 standard change,

must be added as Opening Balances via Asset Opening Balances . Do NOT enter values into the tax /

book tab until the Opening Balance has been entered with the following procedure. Future new ROU

assets can be entered following the normal add process.

1. Open the Asset Ledger.

2. Create the new Right-of-Use Asset

a. Complete the fields in the Description tab

b. Select the Leased Asset check box

c. Press Enter or select Save .

d. Close out of the Asset Ledger


3. Open the Asset Opening Balances.

4. Enter the Asset Value into the Opening Value field and select Save and Yes to any message prompts.

5. Open the Asset Ledger and complete asset tabs

6. An Opening Balance adjustment (Chart| Opening Balance Journal), will need to be completed for

the contra entry which will be sitting against the Asset Suspense account.

7. Review depreciation schedules in XPA to ensure values have been recorded correctly. To see

individual assets set to “Leased Asset”:

a. Run the Balance Sheet with notes. The new Leases note can print individual leased assets

(< N-LeaRUT> = Yes).

b. Add 2DepnNZLeased-P to the jobstream.


New Specific Policy: Leased Assets

A new Leased Assets policy with default text has been designed. Every default paragraph has the option

to be customised or stop printed.

The following leases policies are available:

• Financial Leases – Special Purpose (or not NZ IFRS)

• Operating Leases – Special Purpose (or not NZ IFRS)

• Leased Assets – NZ IFRS. (NEW)

By default, the policy applicable for the ledger’s reporting basis will generate, to select an alternative

reporting base option, enter the associated override code into the FRF <PC-LsAlt>.

• < PC-LsAlt > to ‘SP’ – will print Special Purpose

• < PC-LsAlt > to ‘NZIFRS’ – will print NZ IFRS

• < PC-LsAlt > blank – will print the policy based on the ledger type.

Consistent with all policies, if the policy is not required to be printed it can be stop printed.

The Property, Plant and Equipment Note for NZIFRS has been extended for the disclosure of Right-of-

Use Assets.

Change in Accounting Policy

To allow for transition to IFRS 16, a ‘Change in Accounting Policy’ row has been added after the Opening

Balance. Where the general ledger’s last year closing balance does not equal the current year opening

balance, the ‘Change in Accounting Policy’ row will print. Note: For an integrated ledger, this should

be done via Assets > Opening Balances.


Right-of-Use-Assets Extension

For the NZIFRS asset note only, a table has been added for the disclosure of the ‘Carrying Amount’

of Right-of-Use Assets. Integrated Assets that have been flagged as leased assets in the Asset

Description screen in XPA, will display as an asset group total. Alternatively, there are 2 FRFs to

manually enter 2 rows of detail. Note: user defined ROU assets will need to be re-entered for the disclosure requirements in the ‘Leases’ (2n-Leases) note.

Where it is the first year of trading or the transitional year (Ledger start date between 1/1/2019

31/12/2019), this table won’t display comparatives.


Leases Note (2n-Leases)

This note was developed for NZIFRS 16, Leases which is effective from 1 January 2019.

Sheet name: 2n-Leases

Trigger: The note is triggered from the Balance Sheet where there is a value in any of the following

account codes.

• Lease – Term less than 1 year: accounts 888, 889

• Term greater than 1 year: accounts 882, 955:974

To stop the note from printing, set the financial reporting field <SP-Lease> to ‘Yes’.

Within the financial reporting fields, ‘Notes to the Financial Statements’ section, there is a group called

‘Leases (Right-of-Use Asset) Note’.

detail by entering the desired number of rows into FRFs and manually entering the titles and values

after generation.

The FRFs highlighted below are new in this year’s release.

Appendix 3. Placeholder Notes (Notes - Placeholder1 & Notes -

Placeholder2)

Two blank notes sheets have been created to be used as placeholders after the NOTES in a jobstream.

These placeholder notes reserve page numbers for external notes to be inserted after the jobstream has

generated. The placeholder notes generate blank pages which will need to be discarded and replaced

with the external notes.

Financial reporting fields are used to define the number pages for each placeholder note (Maximum of

10 pages each).

The page numbers will be included on the index (2Index_JobOrder) as part of the Notes to and forming

part of the Financial Statements.

In the example below, the ‘Notes – Placeholder’ will be replaced with the external notes.

The placeholder notes must be positioned directly after the NOTES (External Note Sheet) in the

jobstream.


Appendix 4. Value Add SnapShot Dashboard (VA_SnapShot)

The Snapshot Dashboard has been enhanced to be more aligned with the income statement and allow

a bit more flexibility in some of the calculations. Additional FRFs have been added to accommodate the

enhanced functionality. Some of the calculations have also been amended, refer to the calculations

below.

New tiles have been added for Trade Revenue and Trade Expenses. These tiles can be turned on and off

using FRF < VA_SSTrRE>.

Report Options

The FRF, Show Revenue (Gross Profit) excluding Other Income and Other Revenue? < VA_SSGPOI> has

an impact on a number of the calculations.

Calculations

The SnapShot Dashboard is based on the ‘VA_Reports’ tag set. The following explains how the values on

the tiles are calculated.

Total Revenue: No changes

= TradeRevenue + OtherIncome + OtherRevenue

Total Expenses: Amended to include of COGS and Direct Costs.

= COGs + Direct Costs + Sum of Expense1 - Expense10 + Interest + Depreciation + Shareholder &

Directors Rem + Taxation


Trade Revenue: New tile

Gross Profit:

Previous sheet calculation: Total Revenue - COGS

✓ For the following two formulas there was a discrepancy between the Current Liabilities on the

Balance Sheet and the SnapShot Dashboard. This was caused by the swinging accounts such as

Current Accounts and Related Parties which were not being calculated correctly between current

liabilities and current assets on the SnapShot Dashboard.

Debt to Equity Ratio:

regarding transition have been retained from the For-Profit transition period 1/1/2018. These can be

utilised if the entity is early adopting NFP NZIFRS standards.
