Message from Your Chair ince 2016, St. Matthew’s Vision of Connecting People, Growing in Faith and Creating a Caring Community has been our guiding inspiration in what we do as

a Church. This is evident in the number of successful and valued activities that have filled our 2018 Church year. In June our choir performed the special service of a Tribute to African American Spirituals. In December, the Amici Strings enriched our Advent celebration of “Joy” with their beautiful performances and accompaniments. In August, we welcomed the Calgary Girls Choir as our newest tenant to our facilities, and had the delight of meeting them in person at our Harvest Lunch on Remembrance Day. The second annual Vinyl Record sale took place in August, and of course we celebrated our annual Community Outdoor Stampede Breakfast in July, and our traditional Christmas dinner in December. These are the highly visible events that took place in our Church this past year, the ones that were specifically planned out to reward and please us as a congregation.

There is, however, much more going on outside the hours of our Church services and fellowship. I’m referring to activities that genuinely showcase the kind of active, generous and caring Church that we are; activities that put into practice the missions that are important to us. If you visited our Church during the weekday you would have heard the delightful sounds of community children as they attend the Discovery Preschool in Fitzgerald Hall, or the Kidzone Hourly Childcare in our secondary Church. You may encounter a monthly “Mother to Mother Breast Feeding Support Group”. After school hours you would have found yourself immersed in the rich musical sounds of the Amici Strings or the Calgary Girls Choir or the Calgary Community Strings as they diligently practice their music. If you visited on the right Friday evening you may experience youth engaged in a number of activities as St. Matthew’s hosts the city wide Youth Group called Naked Faith. Every evening you would

have seen much-needed community and city services at work through a dozen Step Recovery Programs for whom we provide sanctuary in our facilities for their meetings – a service that a majority of Churches have denied them. On Wednesdays and Saturdays you could visit the St. Matthew’s Thrift Shop that provides essential help to the needy as part of our Outreach program. Also as part of our regular Community Outreach, our Church volunteers make sandwiches for the Calgary Drop in Centre and provide craft and games for the children at Brenda’s House. The Church facilities are the home to other groups also: the Junior Foresters, Toast Masters, and Japanese Iaido. We can honestly claim that with the exception of late night hours, our Church never sleeps!

None of these activities and services would be possible without the essential support of our board members, committee members, volunteers, choir, staff and last but not least, you our congregation and your support. Thanks to you all!

So as you can see, we have many positive things going for us as a Church. We are blessed with a caring community of participants; a tradition of excellence in music; sincere, dedicated, faithful leaders; a rich depth of partner groups providing valuable community services throughout our facilities; and important local community relationships.

However, not all things are as rosy as the above picture presents. We struggle in a number of ways. We are predominantly an elderly congregation with declining membership that is already small in numbers. Our donations have fallen short of our operating costs for a number of years, and are heightened by a large, aging, complex facility that is costly and inefficient by current standards. More critically, the cash reserves that have kept us solvent for the past decade are depleted. In addition, there is a significant societal factor affecting our current situation that we have no control over. We are caught up in a trend of declining religious affiliations that has been facing mainline Christian churches in Canada (including Catholicism) for as far back as 1981 (a fact from Statistics Canada). Even at St. Matthew’s we have a copy of a report from 1978 that expresses concerns about the lack of involvement of young people in the Church with only 30% of their enrolled members coming out on Sundays. 40 years later, we are facing the fallout of this deterioration.

In March of 2018, a Learning Committee was formed to embark on a study of St. Matthew’s current state, both from a mission and ministries perspective, as well a Church asset standpoint. To assist us in this process, we entered into an agreement with the St. Andrew’s Regional Ministries Management Committee in conjunction with Joel Den Haan Consulting Group, a group that has referenced experience in assisting Churches who were critically struggling. The objective of this committee, with guidance from the consulting team, was to thoroughly assess our current situation and to come up with viable options to present to the St. Matthew’s congregation. The Learning Committee has spent countless hours meeting with community organizations; interviewing other Churches (both local and outside of Calgary); attending workshops; meeting with architects,

developers and City officials; and engaging in serious discussions within their numerous regular meetings. The Learning Committee will present their findings and recommendations to the congregation on March 17 for discussion, and on March 24 for a congregational vote on how to proceed. Many thanks to the Learning Committee members, for your personal time sacrificed, your hard work and your dedication and commitment to this cause.

Minister’s Message onnecting People, Growing in Faith, and Creating Caring Community remain as our vision for St. Matthew’s,

and how we live out God’s call in our part of the world. As both 2017 and 2018 have taught us, how that is lived out can shift and change as life circumstances shifts and change around us. 2018 has been a year of adjusting and adapting to much of those changes that came in 2017, and how we still can embody God’s vision for ministry. The Board established a Learning Group to work with the Rev. Joel Den Haan with St. Andrew’s Regional Ministries to help us understand our community, our resources, and how we can use them to have the most positive impact on our community moving forward, especially in light of our current circumstance. This has been an enlightening and eye-opening experience, and we will hear about it in the coming weeks.

Highlights from 2018 In addition to the work of the Learning Group, there have been a number of things in the life of the congregation that we highlight. Antonina Cox is now into her second year as our choir director, and the choir continues to be a strength for us both in terms of music leadership, but also in the overall leadership of the congregation.

We are also grateful for all of the community based events that have helped us continue to connect with the community. We cooperated with Woodcliff United Church for a second year, in hosting our Good Friday service. The Stampede Breakfast saw close to 150 members of the community come out for a sunny Sunday morning in July, with Brad Baillod, Lance Thomas, and Shelby Thomas leading us in both music during the breakfast and in worship. We also celebrate that the 2nd

Annual Killarney Record Fair saw well over 500 vinyl enthusiasts come out in August.

Within St. Matthew’s, we welcomed the Calgary Girls Choir as a new tenant, and continue to host the Amici Strings, and the Calgary Community Strings as part of our support for the Arts. Discovery Preschool and Kidzone continue ensure that the building constantly has people moving through it throughout the week.

Our partnership with the Calgary Association of Life-long Learners (CALL) continues with offerings from both myself and Wayne Valleau. Wayne’s Shakespearian explorations in 2018 included Othello, the Winter’s Tale, and Twelfth night. Similarly, I tackled the second half of the Evolution of the Bible series, exploring the New Testament, which then led to Reclaiming Revelation, an in-depth exploration of the last book of the Bible.

I am also grateful for the small cadre of dedicated volunteers that I work with who continue to work monthly with Brenda’s House, as well as those who bring a service of worship to the residence of the Carewest Sarcee extended care facility. The positive feedback and impact of our presence with both of these caring communities is something to be celebrated.

As with last year, our focus is and should be to continue to discern God’s call for us, to live out our mission, and to serve God in our part of Calgary in a way that is honest and genuine. It is a reminder that we should never become complacent, but always be moving forward so that we are ever becoming the community that God is calling us to be.

Music Report 2018

I would first like to thank the members of the Choir who work faithfully to share in the Word at St. Matthew’s through music and song. I would like to acknowledge their dedication during the past year to attend the Thursday practices in preparation for Sunday worship and their participation in special services.

We were pleased to participate in the Good Friday Service with Woodcliff United Church; present the tribute to African American Spirituals in June; and present “For Us a Child is Born” and a tribute to JS Bach in December with guest musicians from the Amici Strings.

Special thanks to Brad Baillod and Lance and Shelby Thomas for their Western music on Stampede Sunday; to Alida Doomberg, our soloist for the Candlelight Christmas Eve Service and to David Holoboff who shared his talents with us for the month of July. Special thanks to Maureen Holmes for her assistance in helping organize handbell activities and arranging special music for the Bell programme.

Music has always been and continues to be a valued contribution to the life and worship of St. Matthew’s

Ministry & Personnel Report for 2018 The M&P Committee consists of: Peggy Jackson, Wayne Valleau, Ben Wegg and Marilyn Simmons.

Marilyn Simmons has been acting chair since Nov. of 2017.

We have had several meetings over the past year as a committee and individually with staff members.

There are regular meetings with John Crowdis and Wendy Knudson.

We are currently conducting annual reviews with the staff.

Each staff member is supported by an M&P representative.

We continue to support the staff’s involvement in our vision and planning for the future.

The M&P Committee encourages feedback from everyone regarding ministry and personnel concerns.

Property Report Notes:

Most noteworthy in this report is that the boiler/heating operation has been considerably more reliable due to the maintenance in 2017 and the continued ongoing maintenance plan through Scandia Plumbing.

Efficiencies in the maintenance and operation of the boiler have realized a 28% savings from 2017.

The 2017 General costs include a sizeable one time re-roofing cost.

Treasurer’s Report for 2018 The financials for 2018 show a deficit of $8,430 for the year. But the reality is far worse! Because the financials are prepared on a cash basis, they do not include the $5,000 due to the Presbytery that we had to defer until this year because there were insufficient funds in the bank. In addition, the deficit was after receiving a $25,000 annual gift from a member, as was mentioned in last year’s annual report. If we had paid the Presbytery what we owed them, and if the special gift had not been received, the deficit for the year would have been close to $39,000. It should be noted that expenses are closely controlled and I see no chance of cutting them to save money.

The deficit for 2019 is forecasted to be $8,500. That budget includes payment of the arrears to the Presbytery, and the receipt of the $25,000 annual gift which is expected to continue for one more year after that. Two important facts become clear when reviewing the budget. Firstly, if nothing changes, we could have insufficient funds to pay our liabilities as soon as March of this year. By October we could be $20,000 in debt before recovering somewhat by the end of the year to an estimated shortage of about $10,000. Secondly, in 2021, there will be no special gift and the deficit will be much larger.

The Board is well aware of all this, and has been working hard to overcome the shortfalls. Rents are reviewed regularly and we have welcomed new tenants in 2018, and are prepared to consider more. Other ideas are under consideration.

We hope you appreciate the gravity of the situation. There are limits to how much rents can finance St. Matthew’s. It’s up to us to ensure the future viability of this church which means so much to us.

As I said last year, this is a major challenge for us all. We have two years to come up with a plan of survival. In my opinion, if we fail, within two years St. Matthew’s will have to be closed.

On a personal note, I have decided to take a break from the role of treasurer. I have served for several years and it’s time for fresh talent with new ideas. It has been an honour to serve you. Thank you all.

Finally, I want to thank Wendy for the hard work and tireless care she gives to all the members, tenants and paperwork.

Meeting was called to order at 12:20 pm

Rev John Crowdis honoured our members who passed this last year: Lyman Jones, Ida Nicholas, Edna Arnall, Dorothy Jones, Robert Merrick, Mary Hulbert, Frederick Whitley, Virginia Warner and Doreen Sangster.

Minutes from 2017 were reviewed.

A correction was made regarding the area of Signing A. It will now read “someone” asked about office administrators having signing authority instead of Anne Orr. Brian Burrows moved that we accept the minutes with this amendment. Elizabeth Wegg seconded. MOTION PASSED

Committee Reports for 2016 were discussed. Brian Burrows moved that we accept the committee reports as presented. Leslie Burrows seconded the motion. Wendy Knudson moved that the Board be given the authority to fill any vacancies as needed and as they arise. Nancy Gant seconded the motion. MOTION PASSED.

Leslie Burrows moved that we accept the Board members as nominated by the Board. Peggy Jackson seconded the motion. MOTION PASSED.

Treasurers Report

John Finch presented our Financials with slides at the meeting.

John reported that we have very few memorial contributions this year. We came in on budget although our roof repair caused us to have a $32,000 deficit. We are close to running out of money.

John Finch moved that we accept the financial statement as presented. Ken Reeson seconded the motion. MOTION PASSED.

Auditors Report

The Auditors this year were Elizabeth Wegg and Beth Walmsley. Elizabeth reported that the new software system made the task of auditing much easier that last year.

Appointing Auditors for 2018

Wendy Knudson moved that Elizabeth Wegg and Beth Walmsley be approved as Auditors for the upcoming 2018 year. Carl Smith seconded the motion.

Budget 2018

John discussed the Budget as presented in the Annual Report. He said that envelope givings have decreased but otherwise everything else was much the same. There will not be a special fundraiser this year. One member of the congregation has donated $25,000 for three years . This kind donation will give us time to rethink revenue. We simply need to raise revenue.

Expenses have remained much the same as last year. Maintenance for the building has been cut back. Carl Smith asked if we have cut back too much. Hopefully we won’t have a large sum like the roof repair to deal with. Emily mentioned the lack of money in the budget for the Youth program. John answered that nothing was spent last year.

Suggestions were made such as asking for a special gift from each member of a certain smaller amount.(ie. 60.00) We have not considered this yet. John talked about moving some pews out of the sanctuary which would make it a better performing venue. We could raise funds by renting out concert space. John encouraged everyone with any ideas to come talk to any Board Member. Also, Board Meetings are open to anyone who would like to come.

Ken Reeson moved that we accept the 2018 budget as presented. Tom Whittingham seconded the motion. MOTION PASSED..

Signing Authorities

We require three individuals to have signing authority for our church. Any two of the three would be needed for a cheque.

Bill Jackson moved that Beth Elliott, John Finch and Wendy Knudson be given this signing authority. Emily Wegg seconded the motion.

Ann Orr asked if it is standard procedure for Presbytery to allow an Office Manager to have signing authority? Rev John stated that there appears to be no standard procedure regarding this and different churches handle this differently. If the person is receiving any money, they cannot sign the cheque.

Thank You’s

Marilyn thanked all the Board Members who have served over the past year. She also made special mention of David and Barb Ferguson for their years of service. Also included in our thanks are our terrific staff members: Wendy , Marco, Antonina, Amanda, Catelyn, Nicki, and Claire. We also need to thank all the volunteers that basically make St. Matthews what it is. These include all the volunteers at the Thrift Shop, those who do ushering, coffee helpers, Brenda’s House volunteers. There are so many of you, we cannot list every person here. Thank you so much!
