For the smooth rollout of the e-procurement system, Mittal setup

help desks at IFFCOs corporate office, plants and major marketingoffices to address the queries of vendors.

But the ASP rollout was just the first part of the e-procurement story,Mittal wanted to move the system to Microsofts.Net.

Microsoft partnered with IFFCO under their Enterprise-GO' program& arranged necessary training on Visual Studio.Net .

E-mail alerts and SMS messages to vendors.

First corporate in India to implement e-procurement system.

With proper planning, Mittal was able to keep costs low.

The entire system cost Rs 50 lakhs , which includes:

Rs 10 lakh for the blade servers Rs 4 lakh for the system

software& encryption component Rs 36 lakh for the applications

development

IFFCOs vendor base has grown.Vendors can see the tender document onInternet, submit their bids online, can checkthe status online & get the purchase orderonline.

No geographical limitation.

Vendors can update their profile online.However, IFFCO saves on cost of printing, dispatch, human resource,and filing.while vendors save on cost of traveling, preparation of bid, anddispatch

The whole process of e-procurement was new to vendors, partners

and even internal users.

Many of them were not computer savvy.

Confidentiality and security of the whole process.

It uses class 3b digital certificates ,integrating the vendors identity

with his digital signature for the highest level of security, recognizedby courts in India.

The vendor can submit his bids in parts and can revise it till theallowed submission date and time. The last valid bid submitted istaken into consideration while opening the bid . They can be openedonly when all the committee members enter their digital keys jointly.

In order to get vendors on his side, IFFCO organized vendor meets in

major Indian cities.

For the smooth rollout of the e-procurement system, IFFCO setup help

The lengthy time consuming manual procurement system made itdifficult for the vendors to collect bid and submit quotes.

ASP and PKI technologies were used. Mittal wanted to shift to Microsofts.Net, microsoft partenered with

IFFCO to arrange required training on it. The entire system cost Rs 50 lakh. It: improved efficiency

increased transparencythere were no geographical limitations now .

The problem lied: security and confidentialitynew to vendors.

For smooth rollout of the system help desks were set up for any

queries of the vendorsvendor meets were organized in major parts of the country. For betterment next in line was updating of vendors database in e-

procurement system
