Faxing The faxing feature allows faxes to be sent to MPTC’s Fax Over IP server.

1. Place the object to fax with a cover sheet on the ADF (automatic document feeder).

1. Press the FAX button on the control panel.

2. Press the INPUT @ button on the control panel.

3. Enter the fax number to send your fax to. Use the format <fax number>@fax.morainepark.edu.

Press OK when done.

NOTE: @fax.morainepark.edu must be added to the number. The fax will fail to send if it is not

added.

4. Press SEND.

5. The fax will be sent out to the intended receipt. If the fax fails to transmit, a failure notice will

print out on the MFP.

6. IMPORTANT: When finished, press the Function Clear button on the keypad twice to logout.

Color Printing

The Toshiba MFP’s default to black and white but are capable of printing in color.

1. From within the printing application (i.e. Microsoft Word), click on Printer Properties.

2. Change the Color settings on the Basic tab to Color and press OK. Changing this to color will

only affect the current document you are working on.

3. Continue printing from within your application (i.e. Microsoft Word).

Duplexing Duplex is enabled by default on the Toshiba MFP’s. You can disable duplexing on a per job basis by

following these steps:

1. From within the printing application (i.e. Microsoft Word), click on Printer Properties. Changing

the settings within the application will not affect the duplex settings…you must change it in

Printer Properties.

2. Click on the Finishing tab. Uncheck 2-Sided Printing or change the duplex type and press the

OK button. Changing the duplex settings will only affect the current document.

4. Continue printing from within your application (i.e. Microsoft Word).

Hold (Secure) Printing Hold printing is a feature where you can send the print job to the MFP and it will be held until you

authenticate against the device. This feature can be set per print job or as the default.

TO SET HOLD PRINT PER PRINT JOB 1. From within the printing application (i.e. Microsoft Word), click on Printer Properties.

2. On the Basic tab, click on Hold Print

3. Press OK.

4. Continue printing from within your application (i.e. Microsoft Word).

TO SET “HOLD PRINT” AS THE DEFAULT PRINT JOB TYPE 1. Right-click on your printer icon and choose Printing Preferences

2. On the Basic tab, change the Print Job to Hold Print and press the OK button.

3. By default, your MFP printer will send all jobs to hold print.

TO RELEASE A PRINT JOB 1. Authenticate yourself on the Toshiba MFP.

2. On the Toshiba MFP, press the PRINT button followed by the HOLD button. Highlight your job,

and press the PRINT button on the touch screen. Your job will print and disappear from the list.

3. IMPORTANT: When finished, press the Function Clear button on the keypad twice to logout.

Changing Number of Pages Per Sheet

A great way to reduce your printing footprint is to print multiple pages per sheet.

1. From within the printing application (i.e. Microsoft Word), click on Printer Properties. It is

required to change the number of pages per sheet in the printer driver and not the application.

2. Click on the FINISHING tab and change the Number of pages per Sheet settings. Press the OK

button. Changing the number of pages per sheet will only affect the current document.

Scan-To-Email The scan-to-email feature lets you send scans to specified e-mail addresses. The scanned image is

converted to a PDF, XPS, TIFF, or JPEG file and sent as an email attachment to one or more recipients.

Lookup of email addresses will only scan for staff email addresses.

Please note that the “from” email address defaults to the printer name. For example, the MFP in C113

would have a from email address of C113PR2@morainepark.edu. You can change the from address in

step 6.

4. You can select the e-mail addresses in various ways. You can select an e-mail contact from the

address book. Contact the IT department if you want the address book pre-filled. You can also

search by pressing the SEARCH key.

5. Press Okay when you have your email addresses ready.

6. The next step is to specify the optional settings on the screen:

a. Enter in the subject and body information.

b. Specify the file name and format.

c. Press the down arrow and change any additional information if needed like the from

address or the from name and press the OK button

7. Next, you can optionally change the document settings by pressing the common settings button.

8. To start the scan, press the SCAN button.

9. You can check the status of the scan by clicking on the JOB STATUS button at the bottom of the

touchscreen.

10. IMPORTANT: When finished, press the Function Clear button on the keypad twice to logout.

Scan-To-File The scan-to-file feature lets you send scans to network folder under Y:\ALL STAFF\MFP SCANNING

and/or O:\Scanning (on select MFP’s). The scanned image is converted to a PDF, XPS, TIFF, or JPEG file.

4. REMOTE 1 is selected by default AND SHOULD NOT BE CHANGED.

Other options we suggest changing:

1. Change the file format to PDF (under FILE FORMAT COLUMN)

2. Modify the file name (lower left).

Press OK when done.

5. OPTIONAL: To preview the scan before savings, press PREVIEW.

6. Next, you can optionally change the document settings by pressing the common settings button.

This is where you modify the scanning engine to handle two side documents, set it to scan in

color, and increase the scanning resolution.

7. To start the scan, press the SCAN button.

8. You can check the status of the scan by clicking on the JOB STATUS button at the bottom of the

touchscreen.

9. IMPORTANT: When finished, press the Function Clear button on the keypad twice to logout.

Stapling Stapling is set in two locations – within most applications (like Microsoft Word) or within the Printer

Properties.

1. To change it on the printer properties, click on Printer Properties from within the printing

application (i.e. Microsoft Word)

2. Click on the Finishing tab and make any changes you need for stapling. Press Ok when finished

and continue printing.

3. Some applications (like Microsoft Word) allow you to set the stapling within the application.

Either choice can be used (within the application or as part of the printer properties).

User Authentication and FOB Registration

The following procedure outlines how to gain access to the Toshiba Multi Function Printer (MFP).

1. User authentication to your PaperCut account on the Toshiba MFP is done using one of two

methods – key fob or network login ID:

METHOD 1 – KEY FOB

a. If you have a key fob, tap the key fob on the key fob reader once and you will hear a

beep when it is successfully read. Proceed to METHOD 2 if you do not have a key fob.

i. If your key fob is already registered, proceed to step 2.

ii. If this is the first time the key fob is used, you will see the Associate New Card

screen as show in in Figure 1.

1. Tap the blank Username field on the console touchscreen and enter in

your network user ID using the touchscreen keypad

2. Tap the Password field on the console touchscreen and enter in your

network password using the touchscreen keypad.

3. Tap the Associate Card button on the console touchscreen to finish the

association process.

iii. Figure 2 shows the screen that will appear when your card is successfully

registered into PaperCut.

1. Press the Function Clear button twice on the keypad to logout.

2. Tap the key fob on the key fob reader once and you will hear a beep

when it is successfully read. Proceed to Step 2.

3. Please call the Help Desk if you are having problems.

METHOD 2 – NETWORK LOGIN ID

b. If you forgot your key fob or you do not have a key fob, you can login with your network

login ID:

i. Tap the Username button on the console touchscreen and type in your network

login ID using the touchscreen keypad

ii. Tap the Password button on the console touchscreen and enter in your network

login password using the touchscreen keypad.

iii. Tap the OK button on the console touchscreen on the USER AUTHENTICATION

SCREEN.

2. The Toshiba MFP console will display the information shown in Figure 4 upon successful

authentication either with a FOB or network authentication. Contact the Help Desk if you are

having issues.

3. The next step is to either change the charged-to account by pressing the Change Account

button on the console touchscreen or continue with your desired task by pressing the Copy,

Scan, or Fax button on the console keypad.

4. IMPORTANT: When finished, press the Function Clear button on the console keypad twice to

logout and register your charge-back in PaperCut.

5. You can review your print and copy log anytime by visiting http://myprint.morainepark.edu and

clicking on Recent Print Jobs.
