Agenda• What is an iForm and how does it differ from

required documents?• Purpose of uploading documents• Documents to be uploaded

• How to upload documents• How to complete the employer section of the I-9• Closing a new hire profile

iForms• Prior to manager upload, an employee is REQUIRED to

complete all iFORMS by following the link from their offer letter:

• https://welcome-nesi.icims.com

– iFORMS include:• W-4• I-9• Direct Deposit form (to complete even if waiving it)• Local/National Background Check Authorization form• Company employment documents

EMPLOYEE CANNOT BE ENTERED INTO PAYROLL UNTIL THESE FORMS ARE COMPLETE

Uploading Required Documentation• What required documentation needs to be uploaded?

– Signed offer letter– Background check receipt and/or results– License/certification (if required for position)

• Why must this documentation be uploaded? These forms are required by law and/or contract These documents create an employee profile in iCIMS Allows HR the ability to access these documents in case

an issue or question were to arise Data reporting purposes

Completing the I-9• Employee is to complete the first section of the I-9.• Employer (supervisor) is to complete section 2 of the I-9

verifying a new hire’s identification.

Completing a new hire profile

• When is a new hire profile complete?– Once everything is uploaded/completed from both the

employee AND supervisor, contact your HR admin to verify and HR will move the new hire to complete status.

– HR enters background check results and certification into ADP (payroll system) for reporting purposes.

– ONLY HR moves applicant into: Hired: Background Check/Reference Check Completed Status

• This status lets both supervisors and HR know the new hire’s profile is complete and no documentation is missing.

• Keeps iCIMS clean on your side as well as HR’s.
