Welcome to Vico Office! These notes include detailed insight for users upgrading to Vico Office R5.2 MR1.You will find details about new functions, fixed functions, known issues and best practices for using theprogram. This document should be read and understood by all users of Vico
TheGolden Rule of Upgrades - Back up all existing projects
It is fundamentally important that all existing projects get backed up before upgrading to a new install-ation of Vico Office. Deployment environments can vary greatly and the safest way to mitigate any dataloss occurring during an upgrade is to back up all of your projects before any new installation of VicoOffice.
Previous version files
All models that are part of projects that were created prior to Vico Office R4.0 have been deactivated toapply a quantity calculation improvement. This applies to all projects located on the Vico Project Server.Models created in these earlier versions of Vico Office need to be reactivated after opening the projectfor the first time.
Disk cleanup precautions
When running standard Windows Disk Cleanup, or other similar applications to free up disk space, it isalmost certain that all .log files will be deleted from your system. While most Windows .log files areexpendable, the Versant database logs are not!
Permanently deleting them from your systemwill destroy your Vico Office projects.
Anti-virus software
Some Anti-Virus software blocks or slows down the communication between Vico Office and the Vico Pro-ject Server. Exceptions should be added to the Anti-Virus software settings to prevent this – see page 18of the Vico Office Installation Guide for these settings.

Installation
Networking
IMPORTANT: When you use Vico Office in a configuration with separate server and client, make surethat both server and client(s) systems are updated to the latest version of Vico Office.
Administrative rights
Installation of Vico Office requires administrator rights and elevated access rights in cases where UserAccount Controls (UAC) are enabled; UACs may need to be modified, or turned off, via the Control Panel.
When installing Vico Office while connected to a network domain, the UAC settings may be different froman offline profile, which can result in changed hardware identification characteristics. The changed hard-ware characteristics may result in a “no valid license found” message. Reinstalling your license will solvethis issue.
The versant database
Versant is the backend database used to store and interact with information inside of the Vico ProjectServer (VPS). Most local installations of Vico Office will see a folder for the c:\Versant directory storedonto their machine for project storage. The project server can also be installed across a LAN for com-munal project access. See the installation guide for more details.
BIM connections
In some cases, the installer is unable to detect the folder in which ArchiCad, AutoCAD, Revit and Teklawas installed on your computer. If this happens, the Office installer allows for selecting the folder manu-ally. All required files will be copied to the specified folder.

l The "Eye" button (Display Reference Planes) on the Reference Planes dialog box now behaves sim-ilarly to the individual location "Eye" button. When enabled (shows all the reference planes), theeye is open. When disabled (hides all the reference planes), the eye is closed. (B-04518/TSR-825801)

l In this release, you now have the option to reset the 4D Task Group color to its original CAD color.A 'Reset to CAD color' button has been added to the Color Selector dialog box. (B-04517/TSR-829789)

Cost Planner
l A ‘Gross Unit Cost’ column has been added before the ‘Gross Total’ columns to show add-on andmarkup changes to unit costs. (B-4467)
l The 'Margin' layout preset has been modified to ensure they are relevant to your work. Forexample, the 'Source Qty' column has been changed to 'Qty'. The 'Comp Price' column has beenchanged to 'Price'. (B-04038 / TSR-792031)
Constructability Manager
l To ensure that clouding is sharp and straight, the polar constraints dialog box has been modifiedto allow you to enable polar constraints. Clouds can now be drawn at straight line increments of90, 45, and 15 degree angles. (B-02997)
Document Controller
l The Align and Scale setting is now defined only once per drawing. New versions of that drawingwill inherit the same settings. This will simplify and speed up the work required in Document Con-troller. (B-04357)
l The Open window used to find and add files to a project has been improved to allow ease of loc-ating your files. For example, your Favorite folders are now automatically displayed. (B-04554 / TSR-864543)

l In this release, you can now associate multiple cloud markups to a single issue. Additionally, youcan now set the overall look of cloud markups, including its color, line width, and opacity. Thecloud properties window is available on the Issue Card View. (D-12211 / B-04622 / TSR-920995)

LBSManager
l In certain circumstances, depending on a number of possible reasons such as how an element hasbeen modeled or how locations have been created, it is sometimes possible that the split elementsare unable to be quantified accurately. Previously, Vico simply provided a warning to indicate therewas an error. Now the systemwill add up on the quantities in the successfully calculated locations,deduct from the parent quantity and evenly distribute over the failed split locations. This allowsyou to have the choice whether to correct the original issue or carry on their work with approx-imately split numbers.
Example A
Quantity splitting failed in location ‘Right3’. The quantities from ‘Right1’ and ‘Right2’ are summedup and deducted from their parent.
600 - (100 + 200) = 300, which is then used as the quantity for the failed location ‘Right3’.
Example B
Quantity splitting failed in 2 locations ‘Right2’ and ‘Right3’. The quantity from ‘Right1’ is deductedfrom its parent.
600 – 100 = 500, which is then evenly distributed over the failed locations ‘Right2’ and ‘Right3’.

l The options available on the Revit publisher have been clarified. The 'Publish Project Base Point asCoordinate Original' check box has been renamed to 'Use Project Base Point as Coordinate Ori-gin". When this check box is cleared, the shared coordinate settings in Revit will be used. (B-04451)

l The [Info] field has been added for elements in Report Designer. This enables you to add thiscolumn to your report. (B-4462/TSR-820464)
l A Subtotal value for each page of the report is now available when printing a report. To generatethese types of reports, please contact Trimble Support to obtain a report template for your pro-ject. (B-04390/B-04494/TSR-841300)
l A new field, 'RealtimeScreenshotImage', has been added for Viewports to provide users with thechoice of using real-time generated screenshots. To use 'RealtimeScreenshotImage', locate it inthe Field List under Viewports. Click and drag it over to your report. Note that reports may taketime to generate when using real-time images.

This is in addition to the existing field, 'ScreenshotImage', which uses static images that are cap-tured and saved to the database. 'ScreenshotImage' is used by default in pre-defined and customreports. (D-13004)
Tag Editor
l A confirmation message now appears when deleting a tag in the Tag Editor. This will allow you toconfirm deletion and not accidentally deleting a tag. (B-04228/TSR-834050)
Takeoff Manager / Takeoff Pad
l The 'Element Surface Area' quantity has been added as a default quantity for all Takeoff Items withthe element type 'Window' and 'Door'. (B-04504)
VicoOffice Client
l When opening large detailed models , a progress bar is now displayed at the top of the image.This will give you an indication that Vico Office is processing their request. (B-4097)

l Markup Adjustments can now be made to un-awarded packages to allow positive and negativelump sum and percentage-based adjustments to work packages. These can be viewed in a newcolumn set, which can be toggled on or off. (B-03303)
These can also be viewed in the WPM Summarymode so the adjustments to awarded packagesare clear.

Clarified a confusion around model reactivation. If you are activating a modelwith different types of layers, it is recommended to also select the 'Type' option.
Explanation of the issue and behavior:
When activating with only the Layer option, only the layer names of theelements are used to create TOIs. Since the layer of the walls and windows isthe same, the walls and windows will go to the same TOI. The wall is activatedfirst, so the TOI inherits its type from the first element being assigned to it,which is a wall. When the window is activated, it arrives to the same TOI as thewall because it has the same layer and only the layer option was selected. But aTOI can only contain elements of the same type, which forces the window to beconverted to a wall. From that point onward, the element which came as awindow fromArchiCADwill always exist as a wall, unless the user changes thetype of its TOI or manually assigns it to a TOI of different type. So on the nextactivation even if you check the Type activation option too, both elementsalready exist as walls and will be put into the same TOI.

To clarify the intended behavior, Quantities are only summedupwards from the leaf location towards the top of the location system. Model-based quantities are present in all location systems because the quantities aresplit downwards from the root of the LBS tree where they go through all thelocation systems into which the elements fall geometrically. When thesummation is performed towards the root of the location system, it is done ineach location system. Manual quantities, on the other hand, are entered in onlyone location; hence, they are summed only in that location system.

l Derived elements are not always displaying perfectly when interacting with Running Modes andwithin LBS manager (e.g., elements may not appear in the expected location, or elements withstrange face displays may not be selectable). Derived elements exist when project locations areadded and a new representation of a partial element is needed to display the location-based por-tion of an element. Please contact Technical Support if you experience this problem.
Document controller
l Some PDF font types may appear incorrectly (e.g., incorrect character spacing, missing characters,or replaced characters) when imported into Document Controller. We have tested most commonfont types; however, some outliers may still exist. Please contact Technical Support team if youencounter such occurrences so that we can add support for your font type.
Publishers
ArchiCAD
l Composite ArchiCADwall elements may show a different area selection to what might be auto-matically expected at the corner of walls. This is due to a change in how ArchiCAD now classifiesends and sides of walls. Quantities should be reviewed and the painting tool should be used ifdeemed necessary by the user to facilitate required quantities.
ArchiCAD and Revit
l Composite element wall or slab layers cannot currently be quantified fromRevit or ArchiCAD. Pro-visions have been made to deploy the best possible results via the current API availability. If quant-ities and/or TOI composition are not desirable when coming in from these systems, users areadvised to work out custom formulas (via TOM/TOP/CP) to come up with their own calculationsthat reflect their preferred takeoff of such composite elements.

Revit
l Modifying Sub Elements of Revit slabs to create sloping areas where the slab has inconsistentthicknesses (e.g., top surface modified with slopes and the bottom left flat) can occasionally causeincorrect volume calculations.
l Revit models that are linked together and published into Vico Office do not always behavepredictably. In some cases, linked models do not respect the filtering constraints that were put onthe publishing view and can result in undesired outputs and/or duplicate quantities. Users areadvised to remove the link between files and publish them separately.
SketchUp
l SketchUp does not store reference information in the same way as some other BIM authoringapplications, thus making it harder for Vico Office to provide some quantity types coming fromSketchUp. Also, some element type classification are not currently being read well. The newOnscreen Takeoff tools should help to supplement any occurrences of missing quantities, and ele-ment types can be manually reassigned in TOM to address this. We are working with the SketchUpteamon a regular basis to resolve this.
Tekla
l Tekla content created and managed in the latest release using the ‘organizer’ tool may not beread correctly by Vico Office. When this happens, users may find that the element type recog-nition in TOM does not behave as expected. To resolve this, users can go into TOM and changethe elements to the desired type inside of Vico Office, or they can manage the classifications manu-ally in Tekla.

Please contact our technical support team if you wish to classify the elements manually inside ofTekla. When doing so, they will provide you with the ‘object.inp’ file that can be dropped into yourTekla dataset. Doing so will automate the creation of ‘Vico 01, 02, 03 and Vico object type’ inside ofthe Tekla classification tool.
Takeoff manager
l Each release of Vico Office brings with it improved quantity calculations, as well as support for newCAD applications. As such, the calculated values for takeoff quantities (TOQs) can change fromrelease to release. The changes can be a result of how elements are quantified by Vico, how loc-ations are derived by Vico, or how bodies are generated by the authoring application. Vico Officedoes not force the reactivation of models with each new release, however it is strongly advised theusers reactivate in each new release to take full advantage of the latest and greatest calculationmethods.
Vico Project Server (vps)
Projects that are restored using only the VPSA backup command, rather than the packing functionality,cannot be properly updated into newer (R5.0) versions of Vico Office. To avoid this problem, usersshould rely on the packing functionality to preserve their historical projects, rather than simply replyingon the VPSA backups.
Winest integration
The WinEst Integration utility must be reinstalled after Vico Office. This is because VOmay overwrite thedefault layout.xml information and the integration becomes unusable. A simple reinstallation of the con-nector will rectify the problem.
