Setting Up EXi
This guide provides a brief description of the EXi System Administration blocks and pages as well as the EX and EXi configurations needed to ensure information appears in EXi correctly. It gives a quick troubleshooting list explaining why information may not be appearing. Detailed steps for configuring EX and EXi are available in the Online Help for each. Additional Resources: ListServe
Jenzabar hosts and distributes message threads to users from various institutions using an electronic mailing list. Message threads answer common questions and recommend best practices to various set ups.

System Administration Hub
EXi utilizes roles-based access control (RBAC) to control user access to tasks and information. EX users are activated to provide access to EXi and then assigned to their appropriate users roles in EXi. EXi user roles apply granular security attributes to processes and information. The System Administration hub allows you to set up your EXi system roles and role permissions as well as general system settings.
Users
EX users can be added to EXi by activating their EXi login using the EX Users window. Once a user has an active EXi login, they must be assigned to roles in EXi to access information and features. These roles control their permissions to EXi features and information.
The EXiAdmin user is created when EXi is installed and automatically has an active EXi login. This user also belongs to an EXi role with unlimited system access, which allows them to initially set up EXi users, roles, and related permissions. It can also be used for troubleshooting issues.
Add to EXi
EX users can be added to EXi by selecting the Active EXi Login check box on the Users window in EX. Users can access EXi with their EX user name and password.
Where EX passwords are stored varies according to your authentication method. For example, schools using SQL Server based authentication will have passwords stored on the SQL Server.
Active EXi Login users are not required to be active EX login users; however, access to important EX data and EXi functionalities may be impacted.

If an EXi Advising Administrator isn’t an active EX user, they may not be able to review crucial planning information.
EX permissions may impact some EXi capabilities.
In order for an Advisor to view Student Progress information in EXi, they must be a member of an Advisor role in EXi as well as be assigned as an advisor to an advisee in EX.
Remove from EXi
EXi users can be removed from accessing EXi features in two ways: Deselecting the Active EXi Login check box on the EX Users window. If the Active EX Login check
box is selected, the user can still access EX features. This option is recommended for removing a user’s access to EXi or EX without deleting them from either system.
Deleting the user from the EX Users window. Deleting the users means they are permanently removed from EXi and EX and unable to access any EXi or EX features. Deleting a user has implications throughout the system and should only be done after reading the EX Users window online help.
Users whose active directory account (SQL EX login) have been deleted or are missing a matching SQL Server login are automatically deactivated.
System Roles
Jenzabar provides several standard EXi module-specific roles that can be used to determine what users assigned to the role can or cannot do within EXi. When a user is assigned to a role, they automatically have access to the functionalities associated with the role. Users with the appropriate permissions can assign and remove users to and from these roles, determine what capabilities users assigned to the role will be granted, create roles, and delete roles no longer needed. A full list of the roles and available permissions for each is available in the Appendix.
Transitional Security
This is a temporary role to provide all EXi users with general permissions as additional roles and permissions are available in future releases. All EXi users should be assigned to this role until system roles and permissions relevant to each module are implemented. Permissions cannot be updated and it cannot be deleted.

Unrestricted User
Users in this role have unlimited access to information and features in EXi including the ability to set up role permissions, assign users to roles, create roles, and manage role permissions. When EXi is installed, the EXiAdmin user is created and automatically assigned to this EXi role. This allows your System Administrator or someone logged in as EXiAdmin to access EXi after installation and manage roles, permissions, and assigning users to the roles.
This is the only user account that can log in to EXi until other EX users have an active EXi login and are assigned to EXi roles. All active EXi users are automatically assigned to the Facilities User role to allow them to access standard features. To access additional EXi features, users must be assigned to the appropriate roles.
The password for this account is set up during installation. For more information, see the Jenzabar EX Installation Guide.
Other users can be added to and removed from the Unrestricted User role; however, the EXiAdmin user cannot be removed from it. This ensures at least one user at your school can access all features for troubleshooting efforts. This user can also be used by Jenzabar support to log in to EXi to help with issues without requiring your personal account information. Given the full range of access and permissions, it is also recommended that no one use Unrestricted User as their normal user account.
Permissions associated with the Unrestricted User role cannot be edited. This means any user associated with the role can navigate to any hub or page, view any block and all information, and perform any task within EXi making it important to carefully consider who is added to this role.
Even though the EXiAdmin user is a part of the Unrestricted User role, they may not be able to access specific data in the system as some data access is tied back to specific users in EX. For example, the EXiAdmin user must be defined as an Advisor to view specific students.
Several things happen when you are logged in as a member of the Unrestricted User role:
Any other roles and permissions to which you are assigned are superseded. You have total system access to navigate anywhere in the system until you return to normal mode.
Your user icon in the upper left-hand corner appears orange and the orange Total System Access Mode notification banner appears on your home page.
To return to your normal EXi roles and access, click Normal access.

Create Roles
You can create roles using create and copy role features. All new roles are based on Jenzabar-provided role templates with standardized permissions that can be enabled or disabled according to your school’s needs. You can create as many roles as needed to provide varying levels of permissions. For example, you can set roles up according to your school’s organizational hierarchy or by department tailoring permissions to provide greater functionality to those users who need it and less functionality to those who don’t. When a new permission is made available in a subsequent EXi release, it is available to be activated for the role and any roles that have been created based on the template.
When a new feature is available for Academic Advising Module Managers in EXi Advising. Any roles the Academic Advisor role and any roles based on its template can be enabled to allow users assigned to the role access to this new feature.
The create role feature allows you to create a new role based on the Jenzabar-provided role templates. The wizard steps you through selecting the template and determining what permissions will be available with the role.
Step 1: Select the role template the new role will be based on. Jenzabar recommends updating the new role name and description to show how the role differs from the template. This can help distinguish which role users should be assigned to.

Step 2: Select the permissions users assigned to the role will be granted. These permissions can be updated at a later time as needed. For example, if you determine you don’t want users to be able to search location calendars, you can disable the permission using the Edit role feature.
Step 3: Access the Edit role page for the role you just created and using the Users in Role feature, add the appropriate users to the role.

The copy role feature allows you to copy any existing role including roles you have created to create a new role. When you copy a role, the new role inherits the original’s permissions allowing you to quickly build a hierarchy of roles with increasing or decreasing permissions.
Like the create role wizard, the copy role wizard allows you to create a new role name and description as well as determine what permissions will be available with the role.
Step 2 mirrors the create role process; however, the role template is automatically the template you are copying. Jenzabar recommends updating the new role name and description to show how the role differs from the template. This can help distinguish which role users should be assigned to.
Step 1: From the role you want to copy, select Copy role.

Step 3: Select the permissions users assigned to the role will be granted. Permissions of the role being copied are automatically enabled; however, these can be disabled and others enabled. Permissions can also be updated at a later time using the Edit role feature as needed.
Step 4: Access the Edit role page for the role you just created and using the Users in Role feature, add the appropriate users to the role.

Maintain Roles
System Roles options allow users with the appropriate permissions to customize the role name and description, copy a role, delete a role, and access role permission features.
Manage Role Permissions
These options allow users with the appropriate permissions to determine a role’s ability to access select features and information in EXi. Your organization may want to create several similar roles with varying levels of access in a future release.
Your campus may have a building maintenance supervisor who needs access to certain facilities information and features, but not all. You can create a “Maintenance Supervisor” role based on the existing Facilities Administrator role. The “Maintenance Supervisor” could have access to most permissions associated with the role, but not those associated with Calendar Administration.
Use this page to review and create roles, update role names and descriptions, and access other role-related features.

The PermissionACL table stores the information needed to control use access to EXi information and features. When permissions are updated, this table is updated. Updates are refreshed by a scheduled SQL Server job that updates the PermissionACL table every 30 seconds, which means changes might not be implemented immediately. To change the frequency of the SQL Server job, you can access SQL Management Studio, locate the job, and edit the properties. Please note a shorter frequency may impact performance.
For select roles, indirect or secondary access is needed to information or users. For these roles additional role access settings are provided. For example, the Department Head can be granted access to your school’s students based on enabled aims (programs, minors, certifications, concentrations). Any student who selects one of those enabled aims will be available to those users assigned to the Department Head role. This ensures the Department Head always has access to relevant students even if a student changes their aim.
Currently, the only Jenzabar-provided secondary role is the Department Head role. Additional secondary roles such as secondary advisor will be available in a future release.
Use this section to grant and revoke access to module-specific features and information. Selecting a check box grants access and deselecting a check box revokes access. Where information is impacted is listed below each check box.

Assign and Remove Users
These options allow users with the appropriate permissions to view users in a role, add users to a role, and remove users from a role. In order for a user to be added to EXi and assigned to a role, they must have an active EXi login.
Use this section to add users to a role and remove them from roles.
Users associated with this role will have access to any of the students who have selected an enabled aim (Access ON). If a student changes their aim, access is automatically granted or revoked.

Why a System Administrator might not be able to select a user: Verify the appropriate users have the Active EXi Login check box selected on the EX Users
window. Why a System Administrator might not see the Position Title: Verify your school is licensed to use the EX Human Resources module. Verify the user is associated with an active HR position on the EX Positions tab of HR Employee
Master via Personnel or HR Employee Master via Payroll windows.
Delete Roles
You can a delete a role when it is no longer used and if it does not have any users assigned to it that are not assigned to other roles.
Why a System Administrator might not be able to delete a role: Verify there are no users without other roles assigned to the role. Before the role can be
deleted, any users assigned to the role that are not assigned to any other roles within EXi must be reassigned to another role first.

System Settings
Calendar
These settings set up and enable third-party calendar synchronization. Users will have the option to add their selected Google calendars to their EXi Home page calendar and universal toolbar calendar. To enable this option, you must provide your school's Google account credentials and activate the sync.
If your school does not have a Google account or credentials, use the Set up account at Google option. Detailed steps for setting up your Google account are available in the Jenzabar EXi Set Up & Sync Google Account resource.
Once sync is enabled, users can enter their personal Google calendar credentials and sync their selected Google calendars on the Account and Preferences page.
This feature is a one-way synchronization. Users must access their Google calendars to update, add, or remove Google managed events.
Communications
These settings determine the email address available to users in order to contact your support team and the email domains allowed for forwarding their messages and tasks.
Task and Message Forwarding Domains
Users have the option to select an email address where EXi task and message notifications can be forwarded under Account and preferences. Two factors determine what email addresses are available for EXi users to select in order to forward email notifications for EXi messages and tasks:
1. Domains added in the system settings 2. Email addresses entered for the user on the EX Name Entity window
Use the Communications section of the system settings to add and remove the email domains you want to be available for users.

The email addresses available for the user to must fall within domains in the Communications setting. Email addresses are entered on the EX Name Entity window.
Contact Information for Your Support Team
These settings determine what email address and phone number appears for users to contact your support team when technical issues arise. Consider the email address to be used carefully as this address is also designated to receive automated notifications when users have login issues. These emails provide a brief description of the issue and include a log number that references the issue in your school's EXi log file.
Domains in the Communications settings and email addresses in EX determine what forwarding email addresses users can select.
Set up the email address and phone number users can use to contact your school’s support team. This email address also receives automated notifications.

Product Installs
EXi interacts with other Jenzabar tools and these settings point to the URLs where you have these tools installed. EXi URL points the system to the web server where EXi is installed. It is used to include links to
the page where messages and tasks are created.
JICS URL points to the web server where JICS is installed. It is used to call JICS functionality as needed from EXi.
Jenzabar Retention URL points the system to where Jenzabar Retention (RMS) is installed. It accesses important information that allow advisors to be notified about students identified as “at risk” in EXi Advising. It is also used to include a link to RMS allowing users to access additional information. The Advising Administrator can determine how early alerts and follow-up tasks are handled between Retention and EXi.
Izenda URL points the system to where Izenda is installed. It utilizes Izenda reporting capabilities.
EXi Events Management utilizes Izenda to populate invitee lists and display event registration and attendance statistics.
Why a System Administrator might not be able to set up a product URL:
Verify the products are installed on a web server.
Product Logins
EXi utilizes the same user authentication method your school implemented with EX. If a school uses SQL Server to authenticate EX users, EXi will use SQL Server as well. Depending upon the EX method, EXi settings add and remove network domains, and determine the order in which network credentials are verified.

SQL Server (standard) User names and passwords are authenticated using SQL server. This mode of authentication is the default method that the EX application uses to authenticate users.

Troubleshooting
EXi Log File
Overview
EXi automatically creates a log file that can be used to help your support team and Jenzabar Support identify problems and troubleshoot issues. The log file is created using NLog, an open source logging tool (https://github.com/nlog/nlog/wiki) that your school may already be using for JICS, and EX web and client services logging.
Configuring
The log file is automatically added to the folder specified when EXi is installed (for example, C:\ProgramData\Jenzabar\EXi\Logs); however, NLog configuration options allow you to change this

location, and to set up different log file formats and severity levels. Detailed information on how to configure the NL.config file is available online:

Using the Log File to Resolve User Login Issues
Depending upon the configurations at your school, when a user encounters an issue logging into EXi, an email is automatically sent to the designated support address with a brief description of the issue and an associated log number. The log number can located in the EXi log file and provide more details about when and why the issue occurred.
Log In Issues
The following troubleshooting options can be used when the user has an issue attempting to log into EXi.
This issue can occur with users that have pre-existing EXi logins and users created after upgrading to EX 6.0.
Potential resolutions:
Verify the user entered both a username and password. Verify the user entered a valid username and password. User names are maintained using the
EX Users window.
Verify the user’s password hasn’t expired in SQL. Verify the user has an EX ID Number and is identified as an Active EXi User on the EX Users
window.

If the database is a copy of another, verify the UserAuthentication rows in the Provider table point to the 'Copied from' database row and not the 'Copied to' database row.
Verify the user has either an Individual ID Number or Organization ID Number and not both using the EX Name Entity window.
If the Business/Organization option is selected, the ID number is stored in the org_master table. A user in both org_master and name_master cannot log in to EXi.

Verify the user has a first name on the EX Name Entity window.
If the Individual option is selected, the ID number is stored in the name_master table. A user in both org_master and name_master cannot log in to EXi.
The user’s name is stored in the name_master table. A user without a first name in name_master cannot log into EXi.

If the database has been migrated to another server, verify the SQL Server logins have been synched.
Verify the EX database name in the second and third database entries of the web.config file is valid.
Verify the Enforce password expiration and User must change password at next login check boxes are not selected on the SQL Server, Login Properties, General screen.
If you are using network domain authentication on its own or combined with SQL Server, verify the user belongs to one of the domains being verified by EXi on the EXi System Settings page.

The following table describes the Jenzabar-provided role templates and related permissions and impact for each.
The Transitional Role is a temporary role used for providing needed permissions still under role development for a future release. Assign all EXi users to it to ensure there is no loss of functionality and note its permissions cannot be updated and it cannot be deleted.
