Dear Soroptimist Members, Friends and Guests, It is with great excitement that the Soroptimist International Northwestern Region Board and Conference Planning Committee invite you to attend our 94
th Conference in Spokane Valley,
Washington, April 27 – 29, 2012! We will be gathering at the Mirabeau Park Hotel for an outstanding weekend of information and inspiration that will provide all attending with greater Soroptimist knowledge, deeper commitment to the mission, and a broad assortment of resources to draw upon as you return to your community.
“Do You Hear the People Sing”……That’s the theme for this year’s Soroptimist International
Northwestern Region Conference, the culmination of the message that has been promoted these past two years encouraging all to speak out and share the message of Soroptimist around the world and “Sing Until the Whole World Hears.” The music for the weekend will be all Broadway and we’ll be weaving the songs of musical theatre into every aspect of the conference. Throughout the weekend we’ll be hearing how Soroptimists are spreading their song throughout the Region, and how they are raising their voices for all to hear the message of love for the women and girls they serve.
Get a better understanding of the scope of our organization and the goals of our Federation Board as we meet our Federation Visitor, Connie Desko from Florida. We’ll also have our Fundraising Council Chair, Sandra Schultz, from California also joining us to share current initiatives to insure ongoing funding of Soroptimist programs and helping us generate a “culture of giving” within our clubs and our communities. And you’ll have lots of opportunities to take part in workshops that will focus on providing you with personal as well as professional development.
We’ll be welcoming our Grant of Friendship visitors and hear how they are making a difference for the women and girls in their communities. Elections will take place to select our 2012-2014 Region and District officers, and a wonderful installation is planned for Saturday evening! And don’t miss the opportunity to include your club in the “Soroptimist Sing Out” that will take place Friday evening! Information is provided on how to insure your spot on the stage
Our service project this year will be Free the Girls, and you can read more about their work on the enclosed flyer! Kimba Langas, Founder and Executive Director, will be with us to share her story of how she is changing the lives of women rescued from slavery in Mozambique through creating job opportunities selling bras. Please review the information included on how you and your club can help with this effort.
I look forward to seeing you in Spokane! Keep singing!

When: Thursday, April 26, 2012 Time: 12:30 p.m. to 4:30 p.m. Cost: $38 per person; includes transportation, guide, tours, pie and beverage and wine tasting.
The tour will leave the hotel at 12:30 and travel to Green Bluff, a unique area nestled at the foothills of Mt. Spokane with 700 acres of orchards.
We’ll visit the SuperSuris Alpaca Ranch, home to the largest collection of purebred Accoyo Suri alpacas outside Peru where we will tour the ranch and have the opportunity to shop for alpaca fashions and accessories.
Next we’ll stop at High Country Orchards for some freshly baked apple pie ala mode and a visit to their gift shop full of Made in Washington collectibles.
Our final stop brings us to the Cliff House, once home of an inventor and now the home of Arbor Crest Winery. The grounds are as unique as the inventor was and after the wine tasting, we'll tour the grounds and hear stories of its history. The home, a national historic landmark, is perched on a rock 450 feet above the river and gives a panoramic view of the countryside, a perfect setting for a winery.

Club Delegate Responsibilities The elected club delegates should have a working knowledge of Soroptimist laws, region bylaws, the objectives and ideals of the organization, and experience as a member of club committees or of the board. An understanding of parliamentary procedure, the ability to work with others, and a spirit of goodwill and understanding will help the delegate, the club and the Conference body. The Club President, who is a delegate and who serves as the leader of the club delegation, should: 1. Allocate time at a business meeting to discuss topics in the agenda so that a majority opinion expressed by the club will serve as a guide to delegates. 2. Arrange with the other delegates for assigning sections of the report on Conference to be given to the club. 3. Schedule time at a post-Conference club meeting, as soon as possible after the Conference, for delegates to present their reports. Responsibilities of Club Delegates: 1. Study the Call, which indicates the tentative agenda listing business to be transacted, forms, workshops, and the social events. 2. Verify with club president or treasurer that completed credentials have been completed to provide to the Credentials & Elections Coordinator in accordance with Region requirements. You will receive the Northwestern Region Credentials/Voting Card upon registration at Conference. 3. Clarify the financial responsibilities. (Some clubs have a specific delegate fund divided among delegates, some pay all expenses, and some pay allowances to each delegate.) 4. Take to Conference: Region Bylaws, this CALL, completed Credentials Form and your Soroptimist pin. During Conference, Each Delegate Should: 1. Register Promptly. Wear your name badge so others may get to know you and the club you represent. 2. Be on time. Time schedules for Conference are most important. Guests invited to address the Conference deserve consideration for operating on time. Attend all sessions: Personal business should be attended to before or after sessions or during a recess. 3. Be prepared to jot down important business proceedings and background information to report to the club. 4. Participate in discussion and debate: Remember that you are the liaison between the Region Conference and the club, so participate with friendliness, moderation, dignity and an open mind. 5. Vote with the club viewpoint in mind. Instead of sending delegates instructed to vote a specific way, clubs would be prudent to provide the delegates with club viewpoint. The delegates could then be instructed to use their best judgment in accordance with Conference discussion, taking into consideration the welfare of all the clubs in the Region. 6. Volunteer or be willing to accept a specific assignment from the Governor during the Conference period. Involvement promotes fellowship and enhances enthusiasm, which you can share with your club members. After Conference, Each Delegate Should: Prepare a Report as instructed by the club President. The following outline for reporting may be helpful. 1. Action by Conference approving proposed changes in laws, the budget, and other matters presented to the voting body, and the reason for each action. 2. Ideas for increasing club interest and support in attaining Soroptimist goals. 3. Suggestions for improving club administration. 4. Summary of the workshops and committee presentations. 5. Summaries of addresses and speeches. 6. A summary of proposals not approved by Conference and the reason for disapproval. 7. Your personal evaluation of the Conference.

shine.” Our four Grant of Friendship visitors will share how their clubs are each working to improve the lives of women and girls in their communities. Join this interesting international experience Q&A session as we learn from each other, gain new ideas and understanding, and we all start to grow and shine!
Featuring our Grant of Friendship visitors Andrea Sachs from Germany, Ursula Hellberg from Sweden, Margaret Syekonyo Kiundi from Kenya, Janet James from Australia, and moderated by Grant of Friendship Chair Gale Smith
“Anything You Can Do, I Can Do Better!” Which clubs have the greater advantage for fundraising
opportunities: a) those located in urban areas, or b) those in rural communities? The answer is – they BOTH do! Even though clubs in rural areas may have fewer people to draw upon as donors, many of our clubs have found it is not only possible to raise money in rural communities, it’s possible to raise large amounts of money! But for clubs both in rural and urban locations, the key elements to raising funds in today’s environment is imagination and a bit of hard work. Join this engaging and interactive workshop where we’ll be discussing some of the different techniques required in rural vs urban fundraising – as well as some of their similarities. You’ll gain new ideas for approaching fundraising in your club for the new club year, and leave the workshop singing “Yes I can, yes I can, yes I can!” Presented by Region Fundraising Chair Tamra Sipes
“There’s No Business Like Soropti-Business” Especially designed for current club presidents and president elects, this participatory workshop will focus on sharing with each other lessons learned in your current roles and discuss ways the experience could be adjusted to help create stronger clubs in the coming year. Offer your insights to Region Leadership on how clubs could best be supported, and gain ideas from each other on how best to support each other within your clubs. We’ll celebrate the successes and identify the knowledge gained from “the headaches, the heartaches, the backaches, the flops”, so that all will be inspired to return to their clubs and say “Let’s go on with the show!” Facilitated by Governor Sue Riney and Governor Elect Kathy King
“We Go Together (like rama lama lama ke ding a de dinga a dong)!” Collaboration means working together to achieve a shared goal. Clubs that work collaboratively can help GREASE the skids to obtaining greater resources, recognition and reward when facing competition for the finite resources within their communities. In this session we’ll be spotlighting successful collaborative efforts by clubs in each District who joined together with other clubs or local businesses on fundraisers, public awareness events, and service projects. “That's the way it should be - Wha oooh yeah!”

KIMBA LANGAS Co-Founder & Executive Director Free The Girls
Kimba likes to refer to herself as an “accidental abolitionist.” An Emmy-award winning producer and 20-year veteran of the television and video production industry, Kimba has always had a passion for storytelling. Just two short years ago, though, the story of modern day slavery and sex trafficking wasn’t even on her radar. When her friend David approached her as a partner for a new organization he wanted to form to empower survivors of sex trafficking, she was intrigued. Little did she know how the issue would grab her heart and never let go. Kimba heads the Free The Girls U.S. office and is responsible for day-to-day domestic operations of the organization, which include storing and shipping of bras, fundraising, awareness, and igniting fires in new abolitionists. Kimba hopes she serves as an example that global change requires people from all types of backgrounds to step up and offer what they can where they are. A graduate of the School of Journalism and Mass Communication at the University of Colorado, Kimba is happily married with a five year-old son, and lives in the suburbs outside of Denver, Colorado. She enjoys movies, music, singing, cooking, and word games of all sorts (ask her to tell you about being a contestant on Wheel of Fortune!).

Friday Night is “Broadway Baby Night”!
On Friday night the room will be filled with music as we celebrate the Best of Broadway:
Our Northwestern Region clubs!
Each of you is encouraged to bring out your inner diva on Friday evening, as all clubs are encouraged to select a Broadway musical that your
members will represent in costume!
A current list of suggested musicals is posted in the conference link within the member’s section of the Region website indicating the shows that have not yet been selected. Are you ready for some baseball? How about “Damn Yankees”!
Or maybe you’d like to step in time as chimney sweeps in “Mary Poppins”!
There are some wonderful productions still available! Our hope is to not have any shows duplicated – so take a look at the list and let your imaginations get to
work, and send Governor Sue your 1st, 2nd and 3rd choice selections at [email protected] !
Costumes are not mandatory. If you would prefer to hold back your inner diva,
you can dress in “theatre attire” (as if you were attending a show).

PROPOSED ACTION RELATED TO REGION STANDING RULES
INDEX 1 To increase the member registration fee for District Meeting and Region Conference, including the introduction of an “Early Bird” rate for those that register in the first weeks after the Call is posted.
PROPOSED BY: Northwestern Region Board
CURRENTLY READS:
D. Dues and Fees 2. Region Conference and District Meeting Registration
a. The region conference registration fee shall be $40 for each member in attendance. The district meeting registration fee shall be $20 for each member in attendance. These fee amounts will be reviewed every two years. Payment for two registration fees for region conference and district meetings is mandatory for each club, whether or not the club has delegates in attendance. Mandatory registration fees are waived for any club chartered within 30 days prior to conference.
WOULD INSTEAD READ:
D. Dues and Fees 2. Region Conference and District Meeting Registration
a. The region conference registration fee shall be $50 for each member in attendance who registers no less than 30 days in advance, and $60 for those who register 29 days or less in advance. The district meeting registration fee shall be $30 for each member in attendance who has registered no less than 30 days in advance, and $40 for those who register 29 days or less in advance. The date of registration with payment will be determined by the postmark, email or online purchase date. Payment of two registration fees for region conference and district meetings is mandatory for each club, whether or not the club has delegates in attendance. Mandatory registration fees are waived for any club chartered within 30 days prior to conference. These fee amounts will be reviewed every two years.
RATIONALE: The Region’s standing rules indicate that these fee amounts will be reviewed every two years.
The Region has not had an increase in the registration fee amounts since 2002, ten years ago.
With the number of clubs in the Region declining from 123 in 2003 to 104 today – a 15% decrease - our income to support these meetings has not kept pace.
Northwestern Region’s registration fee structure is currently the lowest in the United States, with other Regions ranging from $25 to $75 for District Meeting and $45 to $135 for Region Conference.
We are including an “early bird rate” for those who register in the first weeks after the Call is posted to entice members to register early, thus aiding the meeting committee to better anticipate the number of attendees.
Expenses for holding these meetings – primarily through what is charged by the hotels where the meetings are held - have been increasing at approximately 6% per year.
o Many hotels now have mandatory Audio Visual fees, even in those instances when we supply our own equipment and labor, with some locations requiring us to use their contracted AV providers which come at a much greater expense.
o There are new or higher fees applied to our events for use of meeting rooms, exhibit tables (for Tell and Sell), bars, food and beverage minimums, and staging.
Because of depressed earnings on Region investments, we need to look at generating income through District and Region conferences to fund those Region programs and projects that previously were supported solely through earnings on restricted reserves.
FINANCIAL IMPACT: Additional mandatory cost to clubs of $40 per year who register no less than 30 days in advance of District Meeting and Region Conference.
