EXECUTIVE SUMMARY
Sequel to our research on the problems faced by school managers and administrators
in efficiently managing their students’ records and quickly obtaining reports like
Terminal Results Sheet, Broad Sheet, Academic Transcripts, Transfer Certificates,
Debtors List, and other Accounting Information. We have developed a solution to
handle school administration electronically which is the only approach with which one
can effectively eliminate the drudgery involved in record keeping.
The solution is available as a desktop application that takes care of student
registration, processing of results, boarding management, transport management,
library management, bulk SMS dissemination, school fees receipts, purchases and
sales of materials like books and uniforms. There is also an optional web module that
provides anywhere access to results by parents.
NEED/BENEFITS OF THE SYSTEM
1. To create and maintain a comprehensive electronic database of staff,
students and students’ academic performances.
2. Proper documentation and standardization of educational processes to
ensure strict adherence to policies.
3. Decreased paper work which would reduce your cost of running.
4. Ease and reduce cost of communication to parents through the Message
Centre.
5. Have parents access their ward’s performance online from anywhere.
6. Automate processes like admission, fees, result computation, payroll, stock
management and library management etc to save man hours daily.
7. Generating and printing of grade reports, transcripts and other relevant
reports can be done within minutes.
8. Only authorized personal will have access to student records/reports and
the level of access will be controlled based on your own defined policy.
9. Student’s records will be stored in one place, but can be accessed by
multiple staff from different offices at the same time. Hence, you can have
division of labour instead of cluttering the school work on one person.
10. Errors associated with manually computed results will be eliminated.
11. Easy backup and restore facility to prevent loss of students’ records.
12. Generation of statistical and demographic reports to aid long term planning.

OUTSTANDING FEATURES OF OUR PRODUCT AS COMPARED TO OTHERS
1. Our fee is one time. You don't pay per head of wards and you don't need to
renew licenses every session/term. And you have the liberty to choose the set
of features you want to have and pay according to the features chosen.
2. If the terminal report options we have do not suit you, we will customize to
produce what you have or at least very close to what you have.
3. We don't charge for support, and simple maintenance requests are free within
the first year. After the 1st year, maintenance requests are charged based on
the request. If there is no maintenance request, there is no extra charge after
paying for the software.
4. When we update or add new features, we make the updates available on an
online share for existing clients to download without charge. New features are
accessible based on the license. However, when we have a major update
(called upgrade), existing clients would pay less than new clients to get the
upgrade if they wish to have it. But they can keep using their existing version.
5. Reports generated are standard, neat and very lovely. Reports can be exported
to Microsoft Word, Excel and PDF.

7. There is provision for each teacher to login and enter their own scores
independently and each teacher’s score is protected from other teachers.
8. Multiple users can access the database simultaneously from computers on the
network.
9. The software is very efficient and flexible. There is provision for easy searching,
sorting and filtering of data.

APPLICATION DEPLOYMENT
Software Installation
Depending on the license option you choose, the application deployment will involve
installing the desktop application one or more computers designated for school
management or results computation.
On acceptance, the desktop clients can be deployed immediately for training and data
entry to begin.
Training
We provide free training on the software. Training will involve three parts;
1. Results Management; for subject teachers and class teachers.
2. School Fees/Accounting Management; for the school account officers.
3. Administration. The software administrator should be a staff of the school with
considerable computing ability. He/she would be trained to handle basic
maintenance of the software and should be able to assist other staff where they
have challenges and would communicate issues he can’t handle to us.
Data Entry and Fine Tuning
After the training, your staff will handle data capture, entry, testing and verification.
Where necessary, the software would be fine-tuned to ensure that if conforms to your
expectations. Afterwards the database will continuously be extended by the school by
populating it with new student data and results.

SOFTWARE SUPPORT/MAINTENANCE
By support we mean request for assistance on performing tasks or report of
unexpected outcomes. We provide free support for the software. Non urgent support
requests should be made through e-mail while urgent requests can be made by phone
calls.
We consider requests for customization and modification of the software as
maintenance. Example could be request to customize the terminal report sheet to
reflect the school format or addition of reports that are not available at the moment.
For maintenance, simple requests made within the first year are free. More demanding
requests may be charged. But after the first year, we charge based on the request.

Note: 1. The software is designed for Public & Private Schools (both Secondary and
Nursery/Primary).
2. For flexibility we have various license options for you to choose from. The
license options are well documented in Appendix 1.
3. The sum to be paid is a onetime fee for the full licence of the software.
4. Modifications/customizations (software maintenance) that are in line with the listed
software features that do not require extensive modification to the application’s
database and are requested within the first year of the software purchase are free,
but at least 50% payment must be made before modification is done. Other requests
will be charged according to the extent of the modification required.
5. After the 1st year, Maintenance (that is request for modifications) would be charged
based on the request made. Off course, this is optional, and most schools have not
needed further support after their first year.
PAYMENT AND DEPLOYMENT PLAN
We accept payment in instalments and we can deploy the software for you with a one
term trial license to allow you test and be satisfied with its performance before you part
with your money. On satisfaction on the software, we will provide the full license for
the application at your chosen license level after receipt of the balance payment.
