Hamann WebApps User Manual
Hamann distinguishes itself from other companies by its personal service
towards clients. One of these distinctions are the Hamann WebApps. Using
these WebApps, you can send us your orders in a fast and more efficient way,
you can follow your shipments, consult transport documents, turn to a real-
time overview of your goods stored in our warehouse and report incoming
trucks to assure a fast process in our cross dock warehouse.
1. General
You can find the WebApps through our website www.hamann.be. There you
select the tab above “E-services” and you will be forwarded to the homepage
of the WebApps. For a direct access you can use the link
webapps.hamann.be.
To make use of the Hamann WebApps the Silverlight 5 plugin is required. If
necessary the plugin can be downloaded for free at the Microsoft website. Old
versions need to be upgraded to version 5. If not the system hangs at
"loading 100%".

The Hamann WebApps contain the following applications:
- Order Entry
- Track & Trace
- Stock Overview
- Unloading Slots
By clicking on one of these tabs, a pop-up will appear where you can fill out
your login details. If required you can save your password on your computer
for later.

2. Order Entry
Order
By clicking Order Entry the following page appears.
When you start this application for the first time, and you have not yet
entered orders, the lists are empty. When you have already entered orders,
but not yet sent them to us, you will see them in the upper list. When orders
are selected in the upper list, the goods details appear in the list below.
To enter an order, just click the green plus with the yellow glow in the upper
right corner. To remove a selected order you just click the red minus.
Thus you are able to enter your own orders and send them to us whenever
you want, 24 hours a day and 7 days a week.

When you add an order the following window appears.
In this window, you can fill out all your sending details:
- Reference: here you can enter an order reference as required.
- Invoice ref: you can freely fill in a second reference, which one will figure
on the invoice.
- Incoterm: here you can enter the right incoterm, this is FRC or EXW. The
default is FRC.
- Invoice to: when your company has multiple departments, you have the
possibility to select the invoice department. With an EXW incoterm this
choice expires. Only departments, already known as customer at Hamann,
can be indicated here.
- Loading: here you can enter the address details of the loading place. When
you enter the address for the first time, all the details have to be entered
step by step. When you use this address the next time, you can pick up the
details by clicking on the selection button next to it. You will get a list of
early used addresses. Automatically, the last time window (opening hours)
and remarks will be used.
- Remarks: here you have the possibility to enter additional information (e.g.
a telephone number or extra points of interest such as closing hours at
noon).

- Rembours: when an order must be delivered “cash on delivery”, you can
define the amount and method of payment (cash, cheque). For this
additional service, a little surcharge will be invoiced.
- Unloading: same principle as for the loading
After entering your details, you just click the OK button. Certain fields will be
considered as necessary. When you forgot to fill in one of these fields, or they
do not fit logically, an automatic error window will appear.
When everything is filled in correctly, a new order line will appear in the order
list above and the application will navigate automatically to the goods details
part where you can add goods lines.

You can always adjust orders that have not been sent yet, by clicking on the
edit pencil or by double clicking an order line in the list above.

Goods
Just like adding new orders, you can click the green plus button to add goods
lines.

The next window will appear:
The following details need to be defined:
- #pallets: number of pallets
- #colli/pallet: number of colli per pallet

- Type: here you have the possibility to indicate the pallet type. The standard
sizes are automatically filled in (euro or block pallet). The height can always
be overruled.
There is also the opportunity to insert measures of non-standard pallets. In
that case, length, as well as width and height are adjustable.
- Stackable: here you can indicate whether the pallets are mutual stackable
or stackable with other goods. We assume by default these are not
stackable.
- Exchange: this is only relevant for euro pallets, when empty euro pallets
need to be exchanged. Attention: this is not possible for each country.
- #colli: number of goods (not stored on a pallet)
- Dimensions: here you can insert the weight, volume and/or number of
loading meters. Weight and volume are anyhow obligatory fields. We
calculate ourselves the volume that can be adjusted as required.
- Description: here you have the possibility to give a description of your
goods.
- Dangerous Goods: in case the goods are dangerous, you need to select
the right information here.
Additional goods lines can be entered. Existing goods lines can always be
adjusted by double clicking the line. Obviously you can also remove a good
line as required.
Automotive clients have the possibility to select a predefined type of
material via the “Masterlist”. You need to select one of the material types
from the list. If necessary you can filter on the ID-number.

As soon as the material type has been selected, the data will be copied to the
detailed window of the goods. Things such as pallet type, dimensions and
description will already be filled in.

When everything is filled in, you return to the main window where you can
add, adjust or remove goods and/or order lines.

Confirm
You don’t need to confirm your order and send it us immediately; you can
also wait a few days until you have collected more orders. When you decide
your order may be executed by Hamann, you need to confirm this by clicking
the CONFIRM-button in the order line.

By confirming your order, it is sent to us. You will receive a confirmation by e-
mail within 10 minutes. The order will disappear from the order overview.
Your e-mail contains the order.

3. Track & Trace
Trough the Track & Trace application, you have the possibility to follow up
your shipments. When you start the application, you see a list of your current
orders.
You can easily filter and sort out your orders so that you can immediately see
the orders you need.
Furthermore, you can visualize extra columns so you can directly see all the
details of the shipment.

In addition, you have the possibility to export to an Excel or Xml file and
import these into your own software environment.
By double clicking a line, you open a detailed overview of your shipment.

In this detailed overview you can download and save cmrs and pods that have
been scanned at Hamann.

You will also see a historical overview of your goods statuses.

- Delivered to customer
For deliveries in the Benelux, you have the possibility to view a satellite
image. On this image the location where the goods were delivered is marked.

4. Stock Overview
The Stock Overview application allows you to follow up your stored goods in
our warehouse. You can see a real-time overview of all your stored goods.
In this list you find all the article codes and descriptions of stored goods,
locations in our warehouse, number per package, weight and etcetera.

By double clicking a line, you open the detailed overview of the article.
You can adjust the list by grouping and filtering, this for each column, just
like you would do in an Excel file.
In the example below, goods were grouped according to the description, so
you can see the grouped totals. General totals are also provided.

The application always calculates and visualizes grouped totals. To see quickly
a complete overview, you can collapse all groups.
You can easily filter your stock details by filtering, sorting and grouping them
so you can see immediately the details you need.
In addition, you have the possibility to export to an Excel or Xml file and
import these into your own software environment.

5. Unloading Slots As an agent you can indicate when your truck will arrive at Hamann by making
an online appointment. This gives us the opportunity to structure the handling
of incoming trucks. A truck that was scheduled and arrives on time will be
unloaded with priority.
When you don’t have any appointments, an information dialogue appears.

This dialogue is also shown by clicking the help button.

Although the principle of adding and removing is more or less the same as in
other Hamann WebApps applications, certain characteristics of the
functionality are briefly explained in the dialogue window. Below, you can find
more detailed information concerning the most important points.
4 fixed time periods per day
There are 4 time periods; each one of them lasts 2 hours. You have to
estimate when your vehicle will arrive at Hamann and so reserve a time period
in which your vehicle can be unloaded with priority. The vehicle needs to be
present at the start of the time period. In case it does not, the appointment
expires and the vehicle is not unloaded with priority to the non scheduled
vehicles.

3 time slots per time period, are equally treated
We are able to unload 3 vehicles per time period with priority to the non
scheduled vehicles. There is no distinction between slot 1, slot 2 or slot 3
according to priority. Actually there are simply 3 different unloading docks.

It is obvious that we can only unload one vehicle at a time per unloading dock,
so you can only make one appointment per time period.

To see which time slots are still available, your own appointments as well as
other appointments are shown. Own appointments take the color of the time
slot, other appointments are grey.
It is possible to adjust or to remove your own appointments, as long as the
time period has not been started yet. Non adjustable appointments are also
shown in grey.

It is possible to add an appointment by double clicking an empty time slot or
by selecting an empty time slot and clicking the standard add button. Be
aware of the fact that appointments only can be added in a future time period,
maximum 3 days in advance.

You can remove an appointment by opening it or by clicking the standard
remove button. Appointments that have started already or appointments in
the past cannot be removed anymore.
