History of the Energy Matters Summit
The first Energy Matters Summit was held in 2005 as an out-reach program to educate and promote awareness of sustainable energy management practices in public sector agencies. Over the past decade, the conference has gained a tremendous reputation and has become one of the leading forums within the energy industry, attracting delegates from around the world. Hundreds of public and private sector organizations such as municipalities, provinces, educational institutions, healthcare organizations, manufacturers, property management, retailers and consulting organizations, respectively come together to promote strategies that manage energy costs, control consumption, and explore the leading tools and technologies available to shape policies on these matters.

Exhibitor Services Manual
The Exhibitor Services Manual will be available to exhibitors who have paid in full by January 1st, 2014. The manual will include a complete set of forms for ordering additional furnishings and services.
General Services
Order forms for electricity, utilities, telephone, audio/visual, internet access will also be provided within the Exhibitor Services Manual.
Conference Programme Company Listing
Submit a 50-word description of your organization when you register to be used for the 2014 Conference Programme. The listing will consist of the following: • Company Name;• Website Address; and• Company Description (50 words).

Indemnity and Insurance
Exhibitors assume entire responsibility and hereby agree to protect, indemnify, defend and save the Energy Matters Summit, the Toronto Congress Centre and their employees and agents, and other respective supportive parties harmless against all claims, losses, and damages to persons or property, governmental charges, or fines and attorney fees arising out of or caused by exhibitor’s installation, removal, maintenance, occupancy or use of the exhibiting premises or a part thereof, excluding any such liability caused by the sole negligence of the Toronto Congress Centre.
In addition, exhibitors acknowledge that EMS, Toronto Congress Centre, and other respective supporting parties do not maintain insurance covering exhibitor’s property and it is the sole responsibility of the exhibitor to obtain business interruption, and property damage insurance covering such losses by the exhibitor, and send to Region of Peel. A certificate of insurance for general liability is required.
Security
Security will be provided for perimeter access control beginning on Monday May 12th, 2014. Booth security and the protection of valuable items is the responsibility of the exhibitor. Deliveries and removal of equipment must be made before or after exhibit hours. Once the exhibition hall opens, a pass must be obtained from the Energy Matters Summit Registration Booth to access the exhibit hall. Proof of Identity will be required.
Exhibit Package:
Two (2) booth worker passes (includes all meals); One (1) 6 ft table (with linen and skirt) and 2
chairs; One 1500 W electrical outlet. (Additional 1500 W
outlets are available at an added cost); One (1) electronic scanner; Company name listed on Conference Website; Company Listing in the 2014 Conference
Programme; and Increased foot traffic to each booth by:
Dedicated exhibition time, and Scheduled break refreshments and
Networking Cocktail Reception in theTradeshow Exhibition Hall.
Exhibitor Registration
Two (2) booth worker passes will be issued to the exhibition company. The name and title for these badges must be received no later than April 1st, 2014.
Each booth may have as many booth workers as needed to manage the booth space, however; passes in addition to the two included must be purchased separately at a discounted rate.
Exhibitor Booth Space
Booth assignments will be made on a first-come, first-
served basis. Full payments will receive preference.
EMS reserves the right to accept or reject, in its sole
discretion, any application to exhibit and to determine
the eligibility of any proposed exhibit. Wherever
possible, competing or like organizations will not be
placed in the same area.
Payment
Payments can be made online by credit card at
www.energymatterssummit.ca or by phone at 905-
791-7800 ext 7645. No booth space will be held or
assigned without full payment. Full payment is due
upon submission of the Application to Exhibit.
Assignments, Successors, and Assigns
The Application to Exhibit, once approved, shall be a
binding contract between the Energy Matters Summit
and the exhibitor and their successors and assigns. No
exhibitor may assign or transfer any rights or
obligations under this agreement without the written
consent of EMS. No such assignment shall release the
exhibitor from its obligations and liabilities under this
contract.
Cancelling or Reducing Booth Space
Exhibitors must notify EMS in writing if they wish to
cancel or reduce exhibit space. Cancellation notice
must be received before April 1st, 2014 and a
cancellation fee of $1,500 will be applied. No
cancellation will be accepted after April 1st, 2014.
Exhibitor Organized Events
Events or meetings (ancillary events) may not be
scheduled in conflict with the official EMS Conference
program. EMS will provide quiet areas at the Toronto
Congress Centre. Please contact EMS organizers for
details on availability and how we can best help you
meet your needs.
Booth Occupancy
Booths must have a representative present at all times
of exhibiting hours.
Giveaways and Samples
Distribution of giveaways and samples is permitted
under the following guideline as provided by the
Toronto Congress Centre (TCC): the TCC has the
exclusive food and beverage rights within the facility.
As the exclusive provider, the TCC strictly prohibits
any and all food, beverage, logo water and other
similar items from being brought into the facility
without prior authorization.
