EXECUTIVE SUMMARY
Christmas in July 5k is a fundraising event for cancer services. The race is held in honor of Jack Travers, the late father of founder Rachael Travers, as well as in celebration of all others affected by cancer. Jack Travers was born and raised in Massachusetts. He was diagnosed with cancer of an unknown primary, meaning that the cancer had spread into too many places when the doctors found it. All proceeds from the race are donated to the Jimmy Fund and Dana-Farber Cancer Research Institute.
Our team has designed a public relations plan that includes a variety of press kit materials, promotional materials and future recommendations for the Christmas in July 5k event. In the press kit, you can find various documents including a fact sheet, press releases, pitch letters, a media alert and a media list. We have also provided extra background information on the founder, the race and the Dana-Farber Cancer Research Institute to allow individuals to learn more about the story behind the Christmas in July 5k. We hope that the press kit materials will be helpful in encouraging loyalty among current participants, volunteers and sponsors, as well as attract new ones in the upcoming years.
Along with our press kit materials, we have provided information on how the materials provided can be used and the next set of steps that can be used throughout the process. Our other material suggests improvements to the Christmas in July 5k website, a list of corporate sponsors and multiple designs for a new logo to be used for the 2013 race. We thought that it would be helpful to provide an updated design for t-shirts, the website and other promotional materials.
We are proud to present our public relations recommendations for the Christmas in July 5k event. We would like to thank Rachael Travers for the opportunity to gain experience in working with a real-world client. We hope that our work over the course of the semester has been helpful and can be utilized for future benefit. Thank you again for taking the time to consider our proposal and future recommendations. RACHAEL TRAVERSCHRISTMAS IN JULY 5K RACE
FOUNDER
Rachael Travers is currently a junior at Ithaca College, majoring in Integrated Marketing Communications in the Park School of Communications with minors in communication management and design and legal studies. Before college, Rachael attended and graduated from Pentucket Regional High School in West Newbury, Massachusetts, in 2010.
Rachael is a strong athlete, participating in track all through high school, and continuing into college. In high school, Rachael was the captain of her indoor and her outdoor track teams. At Ithaca College, Rachael participates in the heptathlon, which consists of hurdles, high jump, long jump, shot-put, javelin, 200m and 800m. Rachael also rides horses at her mother’s farm as a leisurely, yet active, hobby.
Rachael founded the Christmas in July 5k race in 2011. This will be the second year of the race. Rachael decided to start this race in honor of her late father Jack Travers, who passed away from cancer while Rachael was in high school. Running became her way to cope with her father’s passing. She felt a passion for running because it was her father’s favorite activity, and made her feel close to him. Due to both her and her father’s love for running, Rachael decided the race was the perfect way to honor her late father as well as create a charity benefiting the Jimmy Fund and cancer research.
Rachael is an active, goal-oriented, strong woman who has a passion not only for track, but as well as making a difference in the world. Rachael and her family live in West Newbury, Massachusetts, and host the Christmas in July 5k race in her hometown.

KATIE TRAVERSCHRISTMAS IN JULY 5K RACE
Katie Travers is a freshman at Salve Regina University in Newport, Rhode Island, and will be graduating in 2016. She attended Pentucket high school in West Newbury, Massachusetts. In high school, she was on the outdoor track team, participating in the long jump and hurdles. In addition to running track, Katie is an active equestrian, and rides for Salve Regina University. Over the summer, when she is home in West Newbury, she competes at events with her two horses, Willy and Eli.
Katie works with her older sister, Rachael, with the nonprofit organization Rachael founded, Christmas in July 5k Race. The race was created after Katie and Rachael’s father passed away of cancer of unknown primary at the age of 46. The race was created to honor her late father, a man who had a passion for running his entire life. All proceeds from the race benefit the Jimmy Fund and Dana-Farber Cancer Institute.
Katie is an intelligent, active and kind-hearted woman. She has a passion for her family, friends and finding a cure for cancer. She is dedicated to the Christmas in July 5k Race, and doing all she can to positively impact cancer patients and their families. Katie, her older sister Rachael and her mother, live in West Newbury, Massachusetts. JACK TRAVERSCHRISTMAS IN JULY 5K
The Christmas in July 5k Race was made in memory of Jack Travers. Jack was a loving husband, and father to the race founder, Rachael. Jack passed away in 2007, after being diagnosed with cancer of unknown primary. The Christmas in July 5k Race was started by his daughter to celebrate his life and help find a cure for cancer.
Jack was a very active man. He was the star of his high school football team, basketball team, track team, and baseball team. Jack was extremely athletic and enjoyed participating in sports. Jack also loved outdoor activities, including wiffleball, skiing, horseshoeing and mountain biking. What Jack enjoyed even more was sharing these activities with his family. Family gatherings were an important part of Jack’s life, and were what he enjoyed more than athletic activities.
Jack owned his own excavation company called Travers Excavation. Aside from his career, he was also involved in school programs. This included elementary and middle school ski programs that brought participating students to the local ski mountain, Bradford Ski, once a week.
Jack grew up in Georgetown, Massachusetts, but moved to West Newburry, where he lived with his wife and raised his two children. Jack’s children, Katie and Rachael, are dedicated to keeping his memory alive and finding a cure for cancer.

Christmas in July 5k RaceCancer Research Fundraising Event
Christmas in July 5k Race began in July 2011, in West Newburry, Massachusetts, to benefit the Jimmy Fund and the Dana-Farber Cancer Institute. The race was created to raise money for cancer research to help find a cure. The Christmas in July 5k Race was started by Rachael Travers to honor her late father who passed away from cancer of unknown primary.
The BeginningRachael Travers’s late father, Jack Travers, grew up in Massachusetts as a very active man. In high school, he participated in baseball, basketball and track. Any type of active pastime was a favorite of Jack’s. Later in life, Jack was married and had two children. His new favorite pastime became dedicating his life to his family. Unfortunately, Jack was diagnosed with cancer of unknown primary at age 46 and passed away shortly after.
Jack’s daughter, Rachael, took up running as a way to cope with her father’s passing. She became highly involved in track, and currently runs track in college. Rachael wanted to find a way to honor her late father, and help others who have experienced similar situations. She decided to start a charity, and created a 5k race to incorporate her passion for running, as well as her father’s. She decided to name the race Christmas in July because the race is held in July, and her father grew up on a Christmas tree farm. Due to this unfortunate situation, Rachael was able to create a positive cause that helps many. All proceeds from the race benefit the Dana-Farber Cancer Institute, as well as the Jimmy Fund.
Dana-Farber Cancer InstituteDana- Farber Cancer Institute is located in Boston, Massachusetts. Since 1947, Dana- Farber has been dedicated to providing top of the line cancer treatment to patients. The institute treats both adults and children. Dana-Farber consistently ranks high nationally, and was named the number one pediatric cancer program in New England in 2010. Its extensive research has been recognized by organizations including the American Cancer Society and the American Association for the Advancement of Science.

The Jimmy Fund was founded in 1948 when the Boston Braves baseball team visited a 12-year-old cancer patient named “Jimmy.” This encounter was publicized on a national radio broadcast and led to contributions pouring in from people everywhere and the Jimmy Fund was born. Currently, the Jimmy Fund is a subsidiary of Dana-Farber and is well known for its 50-year relationship with the Boston Red Sox. The clinic is devoted to treating adults and children with cancer.

WEST NEWBURY, Mass. – Month, Day, Year – The second annual Christmas in July 5k will take place on Saturday, July 27, 2013 at 9 a.m. The fundraising race will be held at the White Gate Christmas Tree Farm in West Newbury, Mass., and all proceeds will benefit the Jimmy Fund and the Dana-‐Farber Cancer Institute. Registration will open on March 1, 2013 via active.com. Started by West Newbury native Rachael Travers, the Christmas in July 5k road race honors her late father, Jack Travers, who passed away from cancer in 2007. After Rachael’s father was diagnosed with cancer, she took up running to cope with her family’s loss and founded the Christmas in July 5k to honor the fifth anniversary of her father’s death and to help raise funds for cancer treatment and research.
The first Christmas in July 5k was held at the same location in July 2012 and was backed by Rachael’s former employer, Greater Boston Running Company, as well as by organizations such as Market Basket and New Balance. Rachael designed a 3.1-‐mile course on the roads of West Newbury. The event attracted 107 runners throughout the Boston area, including many community members, cancer survivors, and local running groups and clubs. The 2012 event raised $6,200.
An integrated marketing communications student at Ithaca College in Ithaca, N.Y., Rachael Travers also runs track for the Bombers team on campus. Rachael said, “Cancer is the second highest cause of death in the U.S. At the age of 20, I had already lost my father, two grandparents and an uncle from cancer. I have also seen a brave aunt and grandmother fight back. This race is in honor of those we have lost and those who have survived, and, in hopes that a cure can be found. My family has operated a Christmas tree farm, which is part of the reason why I had chosen the name Christmas in July 5K This is your chance to give back in true holiday giving fashion for a worthy cause.”

What do you run for?
In 2007, West Newbury native Rachael Travers ran to cope with the loss of her father. As a 15 year old, she was devastated to lose a parent to cancer; however, she was determined to become more than just another statistic. At age 20, Rachael created the first annual Christmas in July 5k run. The event, named for the Travers’ family Christmas tree farm (White Gate Christmas Tree Farm in West Newbury), is in honor of those who have lost, continue to battle or have won the fight against this debilitating disease. Christmas in July 5k is an event that brings together community members, especially those whose lives have been touched by cancer, to help raise money for the Jimmy Fund, a Boston-based affiliate of The Dana-Farber Cancer Institute.
According to the American Cancer Society, it is estimated that over 1.6 million new cases of cancer will be diagnosed in 2012 in the U.S. alone, with more than 38,000 diagnoses occurring in Massachusetts. This epidemic does not just hit close to home; it is at home. With help from community members, including local and corporate sponsors, Rachael raised $______ last year, and 100 percent of the proceeds went to the Jimmy Fund.

Promotional Materials
It is incredibly important for an established, respected brand to have a clear, concise logo. As the one image that represents a brand or company, a logo must be aesthetically pleasing, uncluttered, memorable and must align with the brand’s message. Assigning a creative, customized logo to a brand will give the organization an identity. Additionally, this logo will be placed on any and all merchandise, or promotional material.
Corporate Sponsorship
Corporate sponsorships have played a crucial role in organizing and marketing events, primarily for small businesses and nonprofits. One of the most important benefits of receiving

corporate sponsorships is the increased visibility it provides for the promoted event. By increasing visibility, a higher number of guests and participants will attend the event. About Dana-Farber Cancer InstituteThe Dana-Farber Cancer Institute provides adults and children with cancer the best treatment available. Everyday since its founding in 1947, Dana-Farber has been moving towards the development of a cure for cancer.
Its mission is to provide expert, compassionate care to children and adults with cancer while advancing the understanding, diagnosis, treatment, cure and prevention of cancer and related diseases. As an affiliate of Harvard Medical School and a Comprehensive Cancer Center designated by the National Cancer Institute, the Institute also provides training for new generations of physicians and scientists, designs programs that promote pubic health particularly among high-risk and underserved populations, and disseminates innovative patient therapies and scientific discoveries to its target community across the United States and throughout the world.

Is there race training?Yes, anyone is welcome to meet up at White Gate Christmas Tree Farm at the Times listed on the Event Detail page. This is a great opportunity to motivate yourself to run and meet fellow runners.
I don’t want to run, but is there a way for me to donate?We would love donations, whether they are in the form of money, food for after the race, or donations for giveaways.
