MAY 2016 – RIM STRATEGIC BUSINESS PLAN OUTLINE - SUMMARY

At the October 2015 meeting I introduced a RIM STRATEGIC BUSINESS PLAN outline. This outline can be used as presented or modified to meet your specific needs. The purpose is to encourage you to have a written document that can function as a blueprint for the RIM Program; and, a comprehensive view for measuring and reporting the RIM Program compliance and effectiveness. (The outline(s) is posted on the ARMA Chattanooga website.)

Segment 1 of the RIM Strategic Plan includes definitions, and establishes the RIM Vision, Mis-sion, Values, Goals, Objectives and Strategies that are aligned with those of the parent organization. This alignment ensures that the RIM activities literally support the organization and provide a document-ed view of the tangible benefits for the RIM Program.

Segment 2 describes RIM Performance Indicators and the importance of establishing metrics for key elements of the RIM Program and Services. A good set of metrics will support the RIM value to the organization and can provide justification for additional resources and/or expanded services needed to support the organization’s Goals.

Segment 3 discusses the importance of being able to describe your current working environ-ment and how you envision the future RIM environment to support the organization. By describing the RIM environment you will learn to understand how all the pieces of RIM fit together including your key partners; and, how to improve and expand RIM to benefit all functional areas across the enterprise. De-scribing current RIM Trends and Issues will demonstrate your knowledge of the RIM industry and how your RIM Program is keeping up with these trends and solving issues and problems.

Segment 4 includes RIM Action Plans and Reports. Without Action Plans the current programs may continue to service your existing customers; but when you take the time to consider new or revised plans and decide what can work for your organization based on your understanding of where the organi-zation is going – well now you are thinking STRATEGICALLY.

And, now you are ready to prepare your reports for management so they will also know and understand that your RIM Program is really about serving the Records and Information Management needs of the organization and supporting those key organizational goals and objectives.

Your RIM Strategic Plan does not need to be long and wordy, but rather specific and descriptive. I rec-ommend that you review your Strategic Plan at least annually and make the appropriate changes includ-ing an annual report for your management. During the second and third year you can begin to use the RIM STRATEGIC PLAN to measure how your RIM Program compliance and effectiveness is aligned with the organization and provides key support for organizational initiatives. Your RIM STRATEGIC PLAN demonstrates that

RIM is not a product, it’s a business process… It's not a concept, it's a business practice… It’s not a project, it’s a business function.

What makes the Chattanooga, Tennessee Chapter a 10 Year Coty Award Winner?

Our members and Board of Directors are so honored to receive the Coty Award for 10 straight years! Wonder how we got here? We believe there are several reasons, take a look at some that might assist your chapter to be-coming a Winning Chapter!

Our members told us in a recent survey why they keep coming back, month after month, year after year.

 Meeting topics are good (92.3%)

Chapter is willing to try new things (76.92%)

Chapter members are involved in ARMA at a regional/national level (61.54%)

 New members each year

Board members are a good mix of long-term and new

Steady improvements to benefit the membership

 Great people with good experience

 Leadership and members are active

 Learning opportunities

 Career development

 Community focused projects

And two ideas that pull it all together:

Set specific goals based on our members’ needs

Overcome obstacles to meet these goals

It is through survey results like this we listen to what our members say they want and need from our chapter. This helps our Board of Directors provide fresh, updated, interesting and necessary ideas like:

Provide the members with an on-line/real time webinar as the meetings are occurring to those members that cannot be at the meetings – at a reduced price.

Introduce visitors at the beginning of the meeting and follow up with them to encourage future membership

Provide an “Education Minute” topic for each meeting

Secure private meeting room for lunch and presentations

Page 8: Choo Choo Chatter - chattanooga-arma.org May... · Choo Choo Chatter is the official publication of the Greater Chatta-nooga Chapter of ARMA Internation-al and is published monthly

Provide options for electronic payment and receipt (Pay Pal on website and an electronic payment dongle for credit cards at meetings) to assist our members in easier reimbursement of the meeting cost from their em-ployers

Provide experienced and knowledgeable speakers with current and interesting topics - with time to ask questions and share challenges with each other.

Partner with our member organizations to provide a SHRED DAY that is open to the public

Community involvement is a key chapter focus which has included partnerships with:

o Candlelighter’s Organization

o Ronald McDonald House

o Keep America Beautiful in Bradley County with the ERG group

o Newcomers of Cleveland

o United Way annual giver

o Ronald McDonald House

o St. Jude Children’s Hospital

o Charity Drive for Vanderbilt Children’s Hospital

A primary benefit of ARMA membership is to offer an opportunity to learn about records and infor-mation management. Our member comments confirm this:

“It can take a person who knew nothing about records to someone who can manage the records for my employer.”

“I joined to learn; now I want to support the chapter”

“To keep up to date with the industry”

 “Cutting edge topics”

“Speakers are very informative/share interesting information”

Maintaining our focus on member needs, technology, education and community to simplify work and extend our outreach, the Greater Chattanooga Area Chapter continues to excel at both the lo-cal, regional and international level.

WE ARE THE GREATER CHATTANOOGA AREA ARMA CHAPTER and WE ARE WINNERS!
