As a member of our Employee Campaign Coordinator team, you are an essential part in making
our community a better place.
You were selected because of your ability to get the job done - and do it well! The role of
campaign coordinator offers you the opportunity to demonstrate your organizational skills while
harnessing the generosity and power of your workplace to create a lasting impact on our
community. Your job is to inspire your co-workers to give, advocate and volunteer!
This training guide will help you through the campaign process and, of course, we are always

THE MESSAGE What TUW is: Trident United Way is an organization that brings people together from all areas of the community – nonprofit, for-profit and faith-based groups – to solve our region’s most pressing issues – the ones no organization can solve alone. KEYS TO A MODEL CAMPAIGN EDUCATE l SOLICIT l APPRECIATE
HELP EVERY EMPLOYEE FEEL PART OF SOMETHING BIGGER. When we ensure that every employee is asked to invest in their community, it creates a sense of engagement that leads to employee satisfaction and retention. Don’t forget to also thank all the employees afterwards for their campaign!
CREATE LEADERSHIP OPPORTUNITIES. You are already cultivating leaders in your organization. Inviting them to join the campaign at the leadership giving level is another way to add leadership, pride and recognition to their position within the organization. You can also assist in employee development by asking employees to lead engagement opportunities such as the campaign or Day of Caring.
BUILD COMMUNITY CHAMPIONS. The more you educate your employees about our local community through company activities, the more connected they feel to you and the place that they live. Caring employees are productive employees! Allow Trident United Way to assist you in creating year-round engagement opportunities to GIVE, ADVOCATE and VOLUNTEER.

UNLOCKING THE SECRETS TO YOUR SUCCESS SELECT A STRONG CAMPAIGN TEAM:
Diversify for success.
Your best team will have broad representation from all departments and levels.
Have team members set goals for their departments and assist in deciding how best to engage
peers.
INVOLVE COMPANY LEADERSHIP:
They can inspire others!
Ask your leadership team to support your efforts visibly.
Request leadership set aside 5-10 minutes for a TUW speaker at a staff meeting.
Invite your leadership team to make their commitment first.
KEEP YOUR STAFF ENGAGED:
We make community change year round!
Try to get everyone involved. Think about fun and creative ways to engage your colleagues.
Hold a food-themed event. When food is involved, people flock.
Highlight TUW’s groups for leadership giving.
Encourage employees to continue their commitment to
the community year-round.
Contact your TUW relationship manager about other
ways you can GIVE, ADVOCATE and VOLUNTEER.
PUBLICITY AND COMMUNICATION:

Advertise events and campaign dates early, often

LEADERSHIP GIVING GIVE YOUR CAMPAIGN A BOOST
A few simple steps to develop
your company’s Leadership Giving
Campaign:
Appoint a leadership chair.
Recruit a leadership team;
colleagues who will invite
other colleagues to invest at
a leadership level to ensure a
higher rate of participation.
Identify past leadership
giver. They will be the best
ambassadors to grow the
leadership campaign.
Pinpoint top leadership
donor prospects. Work with
your leadership chair to
determine who is most
likely to contribute at the leadership level.
STRATEGIES FOR SUCCESS Engage leadership to set the pace prior to the general campaign. Develop and publicize the organization’s leadership investment goal as part of the overall
campaign goal. Talk to potential investors one-on-one. Hand deliver personalized leadership pledge forms. Leadership team members should thank each past leadership donor for previous contributions
and invite them to make a new or increased gift. Supply your relationship manager with proper spelling of names, job titles and correct
investment amounts for each Leadership donor. Ask your CEO to host a reception to acknowledge all leadership investors.

AFFINITY GROUPS WOMEN UNITED:
Trident United Way Women United (WU) is an engaged network of philanthropic leaders committed to improving education, financial stability and health in our region through giving, advocacy and volunteerism.
AFRICAN-AMERICAN LEADERSHIP COUNCIL:
Trident United Way African-American Leadership Council (AALC) is a network of black and minority leaders in the community working to create bold community change in education, financial stability and health throughout the Tri-County region.
YOUNG PHILANTHROPISTS SOCIETY:
Trident United Way Young Philanthropists Society (YPS) is a network of leaders ages 40 and under who are committed to improving education, financial stability and health in our
community through giving, volunteerism and advocacy.
GIVING SOCIETIES PALMETTO SOCIETY:
The Palmetto Society recognizes donors who give $1,000-$9,999
annually to Trident United Way. Nearly 1,500 members strong, the
Palmetto Society accounts for 25% of all Trident United Way giving
in Berkeley, Charleston and Dorchester counties. Palmetto Society
members set a standard of charitable giving in our community and
motivate others to contribute at a leadership level to TUW.
ALEXIS DE TOCQUEVILLE SOCIETY:
The Tocqueville Society is a worldwide network of extraordinary
community leaders and philanthropists who invest $10,000 or more
annually through their local United Ways. At TUW, our members
demonstrate a deep commitment to making a tangible difference in
the lives of children, young people and families in the Tri-County area.

on “Give” to find more information. Your relationship manager is also an excellent source of
support. There are a number of campaign resources available, including the campaign envelope and pledge form.

CAMPAIGN PROCESSING: TIPS AND TRIPS
THE PLEDGE FORMS:
Review and finish pledge forms to make sure TUW can process them according to your
employees’ wishes.
Review to ensure the basics are included: the employee name, how they are giving, how they
are helping, and a signature.
Fill in the annual amount and employee I.D. for TUW. The employee I.D. can be used either for
your internal I.D. or for the TUW donor I.D. Ask your relationship manager for a list if you
prefer to use the TUW donor I.D.
If employee selected an agency(ies) to designate to, review to make sure all requested
information is provided, including name, tax ID and address. Omitting some information can
cause delays in providing funds to the agencies.
A list of approved 501(c)(3) organizations can be found through the IRS Select Check tool at:
http://apps.irs.gov/app/eos .
THE PLEDGE ENVELOPE:
Complete the envelope with the following to prevent delays in processing:

A NEW HELPFUL OPTION Make your processing experience easier by using our template spreadsheet
We now have the ability to upload pledge and payment details from a template into our system,
which save you time and reduce data entry errors. It also allows us to apply payments against
specific employees.
Let your relationship manager know if you’d like more information on this option.

CAMPAIGN CHECKLIST PLAN
Meet with your Trident United Way representative and begin planning your campaign
Attend the Employee Campaign Coordinator best practices training
Go to www.tuw.org for ideas and sample materials
Secure CEO or senior management support
Establish campaign goals like dollar amount and participation percentage
GEAR UP
Recruit and train your campaign team; establish a timeline.
Begin campaign promotion
Secure a corporate gift or corporate match commitment
Send a message from management to employees
Order campaign supplies and prepare campaign materials
Prepare a spreadsheet template for your e-pledge campaign
RUN
Conduct a leadership meeting to kick off the campaign
Hand out pledge forms and/or email information about online giving to employees
Send follow-up emails and offer incentives to keep enthusiasm high
Hold meetings and education sessions about TUW’s work, while offering incentives to employees
CLOSE
Send a reminder email that the campaign is concluding and pledge forms are needed
Collect and double-check pledge forms are complete: pink copy to individual, yellow to finance/payroll, white to TUW
Complete envelope with white copy of pledge forms; contact relationship manager to submit to TUW
Submit contribution forms and final reports/data to your payroll department
Announce results to your employees and thank them with a celebration event, letter, email, etc.
Thank your campaign team, leadership contributors and other special groups
Gather feedback and notes for next year

Provide regular updates on TUW’s work and sign up on tuw.org for news in your inbox
Include TUW’s feature success stories in your company newsletter
Host a team meeting offsite: include an agency tour, poverty simulation or guest speaker
