4.4 CONTRACT MANAGEMENT
HOLLIFIELD IND. LIMITED has demonstrated its ability to focus on
improving performance in the area of contract management. In our
contract management scheme, we have developed several means of
ensuring that contracts are properly managed and executed to the
satisfaction of the customer. Products and services are verified, stored and
maintained. All customer-supplied products must be adequately taken care
of. Where we have unsuitable/defective customer-supplied materials, such
materials are identified, tagged and placed in protective custody to avoid
damage while we make arrangements for their replacement. Furthermore,
in our contract management scheme, we have records for process control.
These records help us ensure that all operational activities of the company
are carried out under controlled conditions to achieve desired output.
HOLLIFIELD INDUSTRIES LIMITED ensures that equipment are
inspected and tested under the contract management scheme before
delivery to our client. We monitor the level of conformances of materials,
work activities and completed services to ensure that they meet standard
requirements. This applies to all materials and equipment, as well as our
work processes and activities.

14. CORPORATE POLICY AND STRATEGIC OBJECTIVES
It is the policy of HOLLIFIELD INDUSTRIES LIMITED to carry out its engineering servicing in an ethical and socially responsible manner that guarantees efficient, effective, safe, cost-effective and quality provision of good hygiene, environmental aesthetic and standards that meets the precise prescription of our client and the host community.
Our strategic objectives include but not limited to the following:
1. To ensure zero (0) fatality
2. To provide at all times excellent, quality and acceptable products supply and contract servicing to all stakeholders, investors, clients, communities, staff and the general public.
3. To take pro-active measures that brings creative and innovative services to our clients and host communities.
4. To ensure strict compliance to environmental and safety policies and standards during operation.
5. To recruit, train and deploy highly specialized skilled and professional personnel that can compete favourably with regards to the present State of the Art Technology in supplying, procurement and contract servicing.
6. To ensure permanent partial disability (PPD) free operations.

15. IMPLEMENTATION OF POLICY AND OBJECTIVES
The management of HOLLIFIELD INDUSTRIES LIMITED shall be directly involved in effective implementation of set policies and objectives. These it shall do via;
Communicating Policies and objectives statement to all staff involved at different levels of job operations in a way they will easily understand.
Mandating all staff working in the establishment to know his/her role in the implementation of the policies.
Renewal of these policies and objectives periodically to ensure their continuity and suitability in, supplying, leasing and contract servicing and safe environment upkeep.
Periodic setting of operational goals and targets for the performance/evaluation of the staff.
Application of internal control measures
Strict supervision to ensure compliance with regulatory and legislative standards.
Documentation of processes activities and results for performance as a yard stick for corrective actions.

16. HEALTH SAFETY AND ENVIRONMENTAL POLICY
It is the policy of HOLLIFIELD INDUSTRIES LIMITED to conduct
its operations in such a way that the health and safety of its
employees and clients will be safeguarded, and special attention
is paid to the protection of the environment.
All managers and departmental supervisors must understand
their Specific Responsibilities for Health, Safety and
Environmental Issues within the organization by ensuring that
there are adequate Health and Safety facilities available and that
the relevant safety requirements and codes of ethics are known
and adhered to at all times by their employees.
It is equally the duty of all employees to exercise personal
responsibility and do everything possible to protect work site
environments and prevent injuries to themselves or fellow
employees and all visiting third parties by observing this
company safety rules and regulations. It is also employee’s
duties to wear appropriate safety devices when required.
The Managing Director will give full backing to this policy and will
encourage and support all those who endeavour to execute the
policies.

17. POLICY STATEMENT ON QUALITY
With strong references to environmental contract servicing, It is
the policy of HOLLIFIELD INDUSTRIES LIMITED to provide
services that complied with international acceptable standard of
quality and client prescribed quality requirements. It is recognized
however that, the achievement of a satisfactory standard of
quality, is the responsibility of all personnel involved in the work
execution not solely that of QA/QC personnel. Therefore, it is
mandatory for all HOLLIFIELD INDUSTRIES LIMITED personnel
to adhere strictly to the quality requirements as outlines in this
manual and related quality procedures and plans.

18. CASHES POLICY
In conformity to set standards in, our company work procedures with relation to the environment and the host community, our management team is committed to:
1. Protect and promote the health of its workforce and to conduct it activities in such a manner not to adversely affect any third parties.
2. Provide a conducive-working environment between its worker and the host community.
3. Ensure the personnel security, the workforce, and that of the third party.
4. Avoid injury to workers, community volunteers, third parties
that are either involved in or are affected by HOLLIFIELD INDUSTRIES LIMITED work activities.
5. Bringing to barest minimum further impact on the environment in
which HOLLIFIELD INDUSTRIES LIMITED operates.
However, every personnel of HOLLIFIELD INDUSTRIES LIMITED shall perform his/her work in accordance with these policies and work must be suspended when it is believed that essential safety systems are not in place.

19. RESOURCES
HOLLIFIELD INDUSTRIES LIMITED has required Human and
Material Resources, which exist in form of; Skilled and Non-
skilled Personnel, Infrastructure, Good Working Environment,
Finance, Equipments and Technological Know-how, Information
Flow Adequate Working Capital, Appropriate policies and
objectives, and tendency to review quality management system.
20. BACK-UP SERVICES In addition to the vast resources of HOLLIFIELD INDUSTRIES LIMITED, this company also has an immense amount of resource-materials in reserve to manage any emergency in the business development.
These reserved resources or material are in form of equipments, hand tools, data, information, among others.
21. OUR WORK PROCEDURE 1. HOLLIFIELD INDUSTRIES LIMITED shall endeavour to
establish the scope of work in reference to financial, material and human resources requirements
2. WORK PROGRAMME /TIME SCHEDULE
HOLLIFIELD INDUSTRIES LIMITED shall set out an appropriate working programme, time schedule to guide its activity on site.

3. ACQUISITION OF RESOURCES HOLLIFIELD INDUSTRIES LIMITED shall proceed to acquire the necessary resource that will enable it execute the contract or fulfill its contractual obligations to the satisfaction of its clients.
4. MOBILIZATION TO SITE
HOLLIFIELD INDUSTRIES LIMITED shall, on receiving the necessary instructions from our client, mobilize to site, preparatory for commencement towards execution of work in accordance with the project time schedule.
5. JOB EXECUTION HOLLIFIELD INDUSTRIES LIMITED shall embark on all necessary activities that will lead to the Completed discharge of the contract in strict compliance with the contract terms as spelt out in the contract agreement.
6. COMMUNICATION WITH CLIENT
HOLLIFIELD INDUSTRIES LIMITED shall endeavour to establish an efficient and effective communication channel with its client to enable the free flow of information to and from its client as may be required for the Completed execution of the job.
EXCEPTIONS/CLARIFICATION CLAUSES
In the course of discharging its contractual obligations, HOLLIFIELD INDUSTRIES LIMITED Wishes to state the following Exception/Clarifications Clause:

22. MEDICAL CERTIFICATION AND RETAINERSHIP
It has been the practice of HOLLIFIELD INDUSTRIES LIMITED
to conform the health state of every employee before engaging
him or her into work.
Therefore, all staff of this company shall be certified fit medically,
and documentation, shall be made for medical certificate and
necessary review when due.
There shall be a First Aid box provided on working site, fully
stock with necessary First Aid Items, as meeting the specific
needs of the client’s operation.
It shall be handle by a safety officer with good knowledge in First
Aid Nursing Practices.
This company also observes a periodic health monitoring
program for all staff to ensure their continuing medical fitness.
Thus, all company medical needs are being attended to by our retained medical clinic.

23. MANAGEMENT REVIEW
HOLLIFIELD INDUSTRIES LIMITED Top management team shall be responsible for the periodic review of the continuous suitability and effectiveness of the system in meeting the standards, quality policies and objectives. These, management shall do via:
- Proper consideration of audit results - Client’s feedback, inspections and testing reports. - Corrective and preventive action reports. - Opportunities for improvement. - Evidence of clients satisfaction - Evidence of suitability of resources and structure. - Evidence of compliance with statutory and regulatory
requirement of minutes, meetings and records - Responsibility for ensuring compliance with management
