Adair County Youth Council February 7 th , 2016 Meeting Minutes ……...page 1 YOUTH COUNCIL MEETING MINUTES February 7, 2016 The regular monthly meeting of the ADAIR COUNTY 4-H YOUTH COUNCIL Members was held on Sunday, February 7th at the Warren Cultural Center, Green Room in Greenfield. . The meeting began at 1:39pm. Members tried something different this month and sat on floor to create a more intimate environment. Hailey Gross brought the new YC t-shirts from Plaza Printers and recorded payments and handled shirt distribution. ROLL CALL: Caroline Doud took Roll Call as members arrived. Members present were Tim Beane, Alyssa Christensen, Noah Cooper, Caroline Doud, Heath Downing, Hailey Gross, Haylee Hunt, Riley Lonsdale, Sadie Marnin, Sam Marnin, Skyler Rawlings, Cole Sackett, Brooklyn Sammons, Alexis Shelley, Shelby Soper, Halee Wallace, Jill Wallace, Beau Weinheimer and Deena Wells. Absent: Jodi Baudler (no contact), Hank Bohling (Elaine emailed, out of town), Hannah Jorgensen (sick), Ashlyn Kralik (no contact), Morgan Smith (family in Cedar Rapids), Cade Suhr (no contact), and Madison Suhr (no contact). CALL TO ORDER: Shelby called the meeting to order. APPROVE MINUTES: Copies of the December 6 th and January 3 rd meeting minutes were provided. Halee made a motion to approve the minutes and Brooklyn seconded. All were in favor. Motion passed. COMMITTEES: Due to the focus of the YC’s main activity being the conceptualizing and production of video messages regarding YC’s missions; regular committee reports were not given and conversation was reserved for later. Members then could discuss in detail their ideas for getting their message across regard- ing each committee’s objective. The first committee message YC will be addressing is anti-bullying. Clover Kids Workshop Report — Alexis helped with snacks, Jill assisted with activities and Tim helped with craft projects. Approximately 26 Clover Kids attended. Junior Fair Board Members Report - Riley and Shelby said the fair board is searching for entertainment. Youth Action Committee Report - Skyler stated that YAC is transitioning from trophies to new banners for county fair. They are also in the process of creating a new scholarship offering. Speak Out For Agriculture (SOFA) Report - Hailey reported that the planning committee has decided to travel to Ames and then north to Wisconsin for their career exploration trip this summer. Details are still being worked out. State 4-H Council Report - Shelby said they were finalizing details for the state conference. The theme this year is ’Dive to New Depths’. National 4-H Congress Report - Heath talked about how exciting it was to experience congress. It was his first plane ride. They did several community service projects; had several dance events; and there were numerous workshops. Overall, it was a really fun time. OLD BUSINESS: Shelby reminded everyone that the new YC t-shirts were here and thanks in part of the Tobacco Grant, the cost was reduced to $11. Deena explained that since we added the copy line on the backside of the shirts saying, “We stand united against bullying, tobacco use and drug use!”, we were able to utilize some grant funds to help pay for part of the shirts. Plaza Printers (after providing their own discounts) price per shirt was $14.75 minus $3.75 from the tobacco grant equaled $11.00 per shirt for each member to purchase. Shelby asked members to refer to the backside of their Agendas for details on Middle School Dance duties for each member. Deena explained she wrote a DECAT grant application and just received word that we were accepted. These grant funds will pay for George Warrior, Professional DJ, fee of $150 and the Warren Cultural Center’s building rental fees of $350. Deena also explained that the word ’formal’ was taken out of the advertising and promotional material. After a conversation with Angie Engles, it was thought that since

YOUTH COUNCIL MEETING MINUTES

February 7, 2016

The regular monthly meeting of the ADAIR COUNTY 4-H YOUTH COUNCIL Members was held on Sunday, February 7th at the Warren Cultural Center, Green Room in Greenfield. .

The meeting began at 1:39pm. Members tried something different this month and sat on floor to create a more intimate environment. Hailey Gross brought the new YC t-shirts from Plaza Printers and recorded payments and handled shirt distribution.

ROLL CALL: Caroline Doud took Roll Call as members arrived. Members present were Tim Beane,

APPROVE MINUTES: Copies of the December 6th and January 3rd meeting minutes were provided.

YC was charging an admission fee we shouldn’t pressure youth to dress in a formal manner.

All proceeds collected from the dance will go to the Kelly Laughery Memorial 4-H Community Service Scholarship Fund. No food donations will be accepted this year. Shelby asked members if they would like to dress up for the event like they have done in the past or wear their new YC t-shirts? The response was 50/50. Deena asked the three officers present what their thoughts were. It was decided that YC would dress up. Guys could wear nice jeans but no holes would be allowed. Deena will have nametags for everyone. Members were asked to distribute and hang up promotional flyers in Adair, Stuart, Orient and Greenfield areas. Hailey will do Stuart. Shelby will do Adair; Brooklyn is doing Orient; Sadie took flyers for Greenfield: and Halee will hang some around the Creston area. They were also asked to visit with their guid-ance counselors, give them a flyer and invite them to attend the event in hopes that dance participants would be better behaved with a member of their school system present. Each YC member is asked to donate one dozen cookies or bars for the event. Deena contacted ‘The Grand Theater’ owner, Wendy Sheeder and ‘The Corner Café’ owner Tom Walk to work out a deal for parents of middle schoolers to enjoy and allow them to stay in town during the dance. When parents register their kids for the dance, they can pick up a certificate that will get them into the movie, ”The Choice” (Nicholas Sparks movie) for a special rate of $5 (normal rate is $7). Once the movie is over, parents are invited to go the ‘The Corner Café’ to enjoy specialty coffee drinks and live entertainment (possibly a guitar player or piano music) until the dance is over at 10pm.

Deena said she ordered supplies to create a new YC Photo Booth Kit. This will stay at the Extension Office and can be used at the annual Middle School Dance event and also county fair, 4-H workshops and other activities. This will prevent the need to contact people and borrow items each time YC wants to do a photo booth activity.

Shelby announced that State Award applications were completed on Feb 1st. Deena said there were five who applied from Adair County. Deena is putting together an ‘Interview Workshop’ that will be on March 20, from 5:00-7:00pm at the Warren Cultural Center. Topics will be—how to formulate good answers with big impact; appearance and posture suggestions; and how to give a great interview. Adair, Union and Cass County Extension staff and state award applicants will be invited to come. If anyone else would like to attend, please let Deena know. There will be speakers and scheduled mock interviews with judges. Light refreshments will be provided.

NEW BUSINESS: Deena asked for volunteers to help with the Boys & Girls Club Fundraising Event on

March 18, from 6:30-8:30pm at the Adair Community Center in Adair. YC was asked to help with kitchen responsibilities such as serving food, carrying food trays, cleaning off tables, putting leftovers into frig and cleaning kitchen. It’s a wonderful community service project. Shelby explained how the organization helps kids and it would be good to give back. Haylee, Caroline, Hailey, Shelby and Heath volunteered. Deena needed 6-8 volunteers—she will check with YC who were not at the meeting.

The next YC Meeting will be March 6th. Members decided to keep the location at the Warren Cultural Center since it was a more central site during winter months. Several members said the 1:30pm time slot worked much better for their schedules. It was decided to leave the meeting time at 1:30pm for next month.

Shelby told members about the upcoming Peterson Farm Brothers Performance happening on Sunday, February 28th from 6:00-7:00pm in Afton at the East Union School gym. Donna Wallace has been contacting 4-H’ers to help out with the event. This performance is being hosted by Adair, Union, Clarke and Ringhold County Extension Offices.

Riley moved to adjourn the meeting. Noah seconded. The meeting was adjourned at 2:15pm.

To put members in the right frame of mind and to provide some ideas, Deena presented a video about the seriousness of bullying. The video showed the damage that can be done to a person who is bullied and it also demonstrated how one person, taking a stand, can make a huge difference. Members enjoyed some Super Bowl Sunday snacks and drinks while they conceptualized there anti-bullying video production. Hailey used large poster paper to write everyone’s thoughts and ideas. Members started by deciding on their theme: ‘Be Helpful, Not Hurtful’. They would like for their video to be done with several still shots of members holding up hand written papers telling the fictional story of a girl who was bullied. The storyline develops with people coming to her aid and helping her to realize she matters. Caroline will be playing the part of the bullied girl. Video will be shot of her walking and people putting hurtful sticky notes on her back. Eventually,

others begin taking the notes off her back and help her to realize she matters and she’s not alone. All copy lines were created and the conception of the storyline was completed with various ques on how to shoot the video scenes. Members would like to have “How to Save a Life” be the background music. Due to time constraints, it was determined that the actual shooting of the video would be done after the next meeting on 3/6. Everyone should wear regular clothes and also have their new YC t-shirts to put on for the final group shot of the video—where everyone will say in unison, “Be Helpful, Not Hurtful. We stand united against bullying.” Since the video won’t be done in time for the Middle School Dance, other public service announcement videos could be used for the 8pm and 9pm dance breaks.
