• Enter SQL Server Name• Enter the Workflow Database name
• Use your Windows credentials to connect, aka current credentials• Or you can use a database id/password
Power BI – Exercise 1 Data SourceSelect Get Data from the Home Tab & select SQL Server
23
• You will see a list of tables & views to select• Select AssignmentView and click LOAD
Power BI – Exercise 1 Data Source
24
• After you have a datasourcewith data, you can optionally edit it• Recommend removing columns with Form XML
• Example: MiscInfo• Scroll to far left, click on column title, right click and Remove
Power BI – Exercise 1 Data Source - OPTIONAL
25
• When done, click Close and Apply • You’ll now have a list of fields from the table, view or query
Power BI – Exercise 1 Data Source - OPTIONAL
26
Power BI focus is whatever you have clicked on last, so to add something, click in the workspace where you don’t have anything• Select Pie Chart
• Find ProcessDefName in the list of fields • You can filter by typing part of the name
Power BI – Exercise – 2 Pie Chart
27
• Drag ProcessDefName to the Legend property of the Pie chart or use the checkbox
Power BI – Exercise – 2 Pie Chart
28
Add a new column to the Fields under AssignmentView to calculate Actual Duration in Hours• Right click on AssignmentView and choose New column• Enter the formula
• The formula builder will assist you as you type
Power BI – Exercise – 2 Pie Chart
Actuation Duration = DATEDIFF(AssignmentView[AssignedDate],AssignmentView[CompletionDate],HOUR)
29
• Drag or select Actual Duration from the field list into the Values property of the Pie Chart• Click on down arrow next to Actual Duration & choose Average
Power BI – Exercise – 2 Pie Chart
30
• See your Pie Chart• As you mouse over you’ll see the average duration (in hours) for the entire process• The larger the “slice” the longer the average duration
Power BI – Exercise – 2 Pie Chart
31
To setup drilldown• Click on the pie chart to set focus• Add additional fields to the Legend, like: ActivityName and AssignmentActor
• You now have drilldown capabilities• Note that when drilldown is on, clicking on a visualization, like a pie chart slice will not filter other visualizations
Power BI – Exercise – 2 Pie Chart - Optional
32
Toggle drilldown on and off via the top right down arrow• If its transparent – it’s off (default)• If it’s dark – it’s on
Power BI – Exercise – 2 Pie Chart - Optional
33
See drilldown in action• Click on a process (pie wedge) – see tasks• Click on a task (pie wedge) – see actors
Power BI – Exercise – 2 Pie Chart - Optional
34
To go back up a level, click on the up arrow on the top leftPower BI – Exercise – 2 Pie Chart - Optional
35
• Click away from the Pie chart we just added to change focus• Select Clustered Column chart from Visualizations
• Find AssignmentActor in the fields and add it as the Axis
Power BI – Exercise – 3 Bar Chart
36
• Find Estimated Duration and add it as a Value• Find Actual Duration (the column we added) and add it as a Value
Power BI – Exercise – 3 Bar Chart
37
• View your Bar Chart comparing estimated duration to actual duration (in hours)Power BI – Exercise – 3 Bar Chart
38
Note now that you have two visualizations• If you click on a slice of the pie chart, it will highlight the relevant data in the bar chart, and vice versa• Try it for yourself – below I clicked on a Process (the Yellow slice) in the pie chart and it bolds the bar chart that is relevant to the selected Process
Power BI – Exercise – 3 Bar Chart
39
The AssignmentView view has a lot of different types of “assignments” in it, so we need to filter which we want to see displayed in the report.Find AssignmentTypeDescription in your list of fields
Power BI – Exercise – 4 Report Filter
40
• Under Visualizations, scroll down to Report Filters• Find report filters and add AssignmentTypeDescription
• Mouse over that field and click the down arrow to select values • Unselect All and choose
• Approval• Task
Power BI – Exercise – 4 Report Filter
41
• All of your visualizations and data will now be limited to “active” tasks, such as Tasks and Approvals• All pages of your report, if you have multiple pages, will be filtered automatically
Power BI – Exercise – 4 Report Filter
42
• Slicers allow consumers of the reports to filter the data dynamically• They are page specific, so filters in page 1 do not affect page 2, and vice versa• Slicer workflow examples
• Slice by forms site, i.e. forms/hr vs forms/fico vs forms/masterdata• Slice by date range• Slice by process• Slice by person and/or role• Process or Assignment Status• etc
Power BI – Exercise – 5 Slicers
43
• Click outside of any of the visualizations you’ve added so far• Add a slicer
• Find ContextPath in your list of fields and add it as the Field for this visualization
Power BI – Exercise – 5 Slicers
44
• It will default to a List like this:• You can change it to a dropdown by clicking on the down arrow highlighted above and choose dropdown
• Then you will see a dropdown list
Power BI – Exercise – 5 Slicers
45
• Slicer have properties• Go to visualizations and click on properties (looks like a paint roller)
Power BI – Exercise – 5 Slicers
46
• Expand Selection controls• Click on Select all on right to turn ON• Click on Single Select to turn OFF
• Selection Controls should now look like this:
• This enables you to select all forms sites, or select one or several
• All of the visualizations on that page will now be filtered
Power BI – Exercise – 5 Slicers
47
• Click outside of any of the visualizations you’ve added so far• Add another slicer
• Find AssignmentDate (or CompletionDate) in your list of fields and add it as the Field for this visualization
Power BI – Exercise – 5 Slicers
48
• Slicers with Date fields have different displays and options• Default display is a date range (aka Between)
• You can change the range by picking dates, typing dates or dragging where the start and end date are on the continuum
• Date slicers can be • Between, Before, After, List, Dropdown
Power BI – Exercise – 5 Slicers
49
• If you want to include the “raw data” in a table, you can either add it to the page or create another page. • To create another page, click + on the bottom next to Page 1• Add a table control to the page
• Expand it to the size you desire
Power BI – Exercise – 6 Add Page with Table
50
• Click on the table and go to visualization options• Drag or select fields you wish to add• Some suggestions include:
• ProcessDefName – workflow name• ProcessName - workflow instance name• ActivityName – task name• AssignmentActor – who is doing the task• Dates – AssignedDate, DueDate, CompletionDate• EstimatedDuration and if you added the column, Actual Duration
Power BI – Exercise – 6 Add Page with Table
51
• When adding dates, you will see a number of extra columns – called the Date Hierarchy• Year, Quarter, Month, Day show underneath the date to enable roll-ups
• If you just want the date, click on the down arrow next to AssignedDate and choose AssignedDate
Power BI – Exercise – 6 Add Page with Table
52
• Example:
Note – Actual duration is often 0 above because this was run against a demo system where we complete tasks in less than an hour
