INTRODUCTIONBusiness Letters

When you write business letters, knowing your purpose and audience will help

determine what information to include. Writers need to consider both audience and

purpose in writing because the two elements affect writing significantly, and decisions

about one affect the other. For instance, the main purpose in advertising is to sell a

product. Advertisers seek the audience who is most likely to purchase a product. Once

they have identified this group [called the "target audience"], they can write their ads to

capture the attention of this audience. Hence, their purpose, which is to sell a product or

service, shapes what they write. Consider WHY you are writing.

As a business letter is a communication from one person to another, a letter must

convey a formal but courteous and positive tone. As you generally send business letters

to other professionals, always include a formal salutation and closing.

Generally, business letters follow a particular format, although your instructor or

company may require you to use alternative formats.

This manual has been compiled for intermediate students of English who wish to

maintain their skills in writing business letters. Students who want to use this manual

should have some basic knowledge of grammar and business vocabulary (e.g.

“Company to Company”).

The book has been designed to give practice of the main functional patterns used in

writing the most common forms of business letters, such as making enquiries and

replying to enquiries, placing orders, dealing with orders, making complaints, dealing

with complaints and writing letters of apology, and writing job applications.

- find out if it is necessary to pay a deposit on the trip;

- tell them that you would also like to hire a car for two days during your stay,

and ask them to send you details;

- thank them, mentioning that you need a prompt reply.

Your company (Morford Vehicle Co. Ltd.) has seen Electrovans’ advertisement in

“The Motor Mechanic” and become very interested in their goods (electronic

components for the industrial vehicle sector). Write a letter of enquiry for detailed

specifications of the BX3 (the advertised product), asking for their prices C.I.F.

Lagos, terms of payment, discounts for regular purchases and delivery dates. Ask

for their catalogues as you have considerable requirements in this field. Your

advertisers who are promoting a new line of products.

As Mr Taylor, write a letter to the Conference Centre.

Middlesex TW1 1EP.

Conference Centre: The Royal Hotel, Owls Road, Boscombe BH5 1AD.

The hotel was recommended by associates and you want a conference room for

forty reps for a two-day presentation.

Dates of conference: 8 and 9 December 200_. You will need a conference room and

facilities from 09.00 to 18.00 on both days.

Requirements: full seating, presentation platform, public address system, screen for

slides, full video equipment and facilities for recording. You will supply your own

display materials.

Refreshments: coffee/biscuits at 1 1.00, four-course meal in restaurant with table

wine, tea/snacks at 16.00.

Finish by asking for confirmation that the centre will be available.

APPENDIX 1

BUSINESS LETTER FORMAT AND CONVENTIONSThe sample letter is in block style which is the preferred modern style. Everything except (and sometimes including) the date is lined up against the left-hand margin and a space is left between paragraphs. It is also modern style to use little or no punctuation in the heading and ending of a letter.

(1) The letterhead: the writer’s company and address printed at the top (the writer’s name does not go here). If the address is typed, not printed, it goes into the top right-hand corner.

(4) The references (often the initials of the writer and the person who typed the letter).

(7) The closing salutation. Yours sincerely if the reader’s name is known, Yours faithfully if it is not known.

(2) The reader’s name (if known), position, company and address.

(5) The opening salutation, the reader’s name, if known, otherwise Dear Sir to a man, Dear Madam to a woman, Dear Sir or Madam if you don’t know the sex of the reader.
