Festival PlanningA session about structures and

systems not content or vision


• A three week festival may take 49 weeks to prepare. • Because you are presenting a year’s

worth of work in three weeks• You are often planning two or three

festivals ahead of the one you are about to do


Planning, Planning and more Planning• Once the Festival has started there is only time to

implement your plan• You must do you best to avoid surprises!• If you know its going to rain – you must prepare for

rain – stage roof?• Because you will need to deal with unexpected

problems – people and..• You will be tired!


Production Planning The Basics• What type of performance?• How long is it, intervals?• How may people are on stage? • How many people are off-stage?• How many people in total?• Negotiation, reassurance ?• Who pays for what?


The Basics• What will you be bringing with you?• What do we need to provide?• Logistics - People, equipment, transport,

accommodation, food, money• Marketing – how/what will we tell the

audience about your performance?• Sponsorship – any issues for either party?


The People• Who will you be bringing with you?– Performers– Manager/tour manager– Creator– Production Manager– Lighting and Sound designers/operators– Stage managers– Wardrobe/make up/wigs– Other technical staff


The People• Who do we need to provide– Liaison person – single contact point

(knowledgeable volunteer with authority)– Technical staff for lighting and sound and stage?

Who will operate?– Stage crew to unload and set up and ...?– Translator?

Transport Department, manager, schedule, drivers• Accommodation – who, when, where, extras• Food – what are you paying for or providing? • Ambience – make sure they have a good time!

Edinburgh International Festival and the Royal Opera House London

• Thirty seven people involved in the production• Main party in the city for a week for preparation,

rehearsals and three performances

technical spec and budget will flush out most of the questions/ issues you have to cover in advance
