B. Data backup and Storage.

B.1) The back up of “G” , “S” & DATA BASE SERVER (Files) to be done daily basis for only modified & added files on the Backup Drive and each file will be named as the Day. B.2) The “G” , “S” & DATA BASE SERVER drive full backup to be done for all files once in every month before 5th of the Month. B.3) Backup Drive will be stored in a separate cabin at another floor/Location.

B.4) The ‘G’, ‘S’ & Data Base server mirror back up will be done through the VPN networking and stored at another location.

C. Control of Access to Folders and EMPUROR system.

C.1) The access to the folders except Miscellaneous and QHSE Manual will be given only after approval from GM and concerned Department Manager. C.2) ITS Department will allocate EMPUROR system User names and Group on approval from Department managers and GM. C.3) Commercial Department will give the access to the Jobs in EMPUROR system after approval from GM.

D. Updating of Antivirus definitions.

E.2 ) The access to the folders will be given only after approval from concerned Site Supervisor/Engineer/Manager. E.3) The back up of Shared/Network “G” (Files) to be done daily basis for only modified & added files on any other CPU Hard drive by Data Entry Operator or any assigned person. Mail Backup/Archive of each user shall be done by the Individual user on Monthly basis. E.4) The Shared/Network “G” drive full backup to be done for all files once in every month before 5th on an External Hard Disk and the same to be stored in a separate location other than the same office. E.5) The Antivirus updating of the all the PC’s to be done by individual custodian on weekly basis and the same will be cross verified by the DEO or any assigned person on monthly basis. Purpose for having this policy

All EMCO's IT facilities and information resources remain the property of EMCO and not of particular individuals, teams or departments (Refer Note: 1). by following this policy we'll help ensure IT facilities are used: - legally; - securely; - without undermining EMCO; - effectively; - in a spirit of co-operation, trust and consideration for others; - so they remain available. The policy relates to all Information Technology facilities and services provided by EMCO. All staff and volunteers are expected to adhere to it.

General Instructions: Don't attempt to gain unauthorized access to information or facilities. If you don't have access to information resources you feel you need, contact your IT Support person. Don't disclose personal system passwords or other security details to other staff, volunteers or external agents and don't use anyone else's login; this compromises the security of EMCO. If someone else gets to know your password, ensure you change it or get IT Support to help you (Refer Note: 2). If you leave your PC unattended without logging off, you are responsible for any misuse of it while you're away. ALWAYS check CD and USB drives for viruses, even if you think they are clean (contact IT Support to find out how). Computer viruses are capable of destroying EMCO's information resources. It is better to be safe than sorry. Obscenities/Pornography: Don't write it, publish it, look for it, bookmark it, access it or download it. Any and all use of IT assets is subject to monitoring by IT Security. All systems must be properly shut-down when leaving the office premises. Access to Company network resources shall be revoked for any user identified as a security risk or who has a demonstrated history of security problems. The Internet shall not be accessed for private, recreational, or any non-company related activity.

Installing Software: Get permission from IT Support before you install any software (including public domain software - see Note 5) on equipment owned and/or operated by EMCO. Data transfer and storage on the network: Keep master copies of important data on EMCO's network and not solely on your PC's local C: drive or External storage devices. Otherwise it will not be backed up and is therefore at risk. You should not store movies, songs or any personnel data into office systems or on network drive’s. Care of equipment: Don't re-arrange how equipment is plugged in (computers, power supplies, network cabling, modems, printers etc.) without first contacting IT Support. Use of facilities for leisure or personal purposes Playing computer games, browsing the Internet and chatting, Playing videos, songs, etc is not permitted in office. Hardware and Software: All purchases should be approved by the IT Department In charge. Company users shall not make or use illegal copies of copyrighted material, store such material on Company equipment, or transmit such material over the Company network. Workstation Security Instructions Workstations include: laptops, desktops, PDAs, computer based equipment containing or accessing information and authorized home workstations accessing the EMCO network. Workforce members include: employees, volunteers, trainees, and other persons under the direct control of EMCO. Restricting physical access to workstations to only authorized personnel. Securing workstations (screen lock or logout) prior to leaving area to prevent unauthorized access. Ensuring workstations are used for authorized business purposes only. Never install unauthorized software on workstations. Store all sensitive information, including protected on network servers. Keeping food and drink away from workstations in order to avoid accidental spills.

Ensure Anti-Virus in your system is installed and active. Email Instructions Only send Email to those it is meant for; don't broadcast (i.e. send to large groups of people using email aliases) unless absolutely necessary since this runs the risk of being disruptive. Unnecessary (or junk) email reduces computer performance and wastes disc space. Use the standard aliases (Refer Note 3) for work related communication only. If you wish to broadcast other non work related information or requests (e.g. information or opinions on political matters outside the scope of EMCO's campaigning, social matters, personal requests for information etc.) it is better to use a Webmail account (Refer Note4) or a personal email account at home; don't use the standard (work) aliases. You have to: When publishing or transmitting information externally be aware that you are representing EMCO and could be seen as speaking on EMCO's behalf. Make it clear when opinions are personal. If in doubt, consult your department manager. Keep electronic files of electronic correspondence, only keeping what you need to. Don't print it off and keep paper files unless absolutely necessary. Don't forward emails warning about viruses (they are invariably hoaxes and IT Support will probably already be aware of genuine viruses - if in doubt, contact them for advice). DO NOT open report.doc sent from an Unknown mail id. DO NOT explore.zip sent from an address you've never heard of, however tempting. Alert IT Support if you are sent anything like this unsolicited. This is one of the most effective means of protecting EMCO against email virus attacks. Keep email signatures short. Your name, title, phone/fax and web site address may constitute a typical signature. COMPUTER AND INTERNET USAGE - PENALTIES ANY USER VIOLATING THESE POLICIES OR APPLICABLE LOCAL, STATE, OR FEDERAL LAWS WHILE USING THE COMPANY NETWORK SHALL BE SUBJECT TO LOSS OF NETWORK PRIVILEGES AND ANY OTHER DISCIPLINARY ACTIONS DEEMED APPROPRIATE, POSSIBLY INCLUDING TERMINATION AND CRIMINAL AND/OR CIVIL PROSECUTION.

1. In-house software: This is software written by staff or volunteers using EMCO's equipment. It is EMCO's property and must not be used for any external purpose. Software developers employed at EMCO are permitted to take a small "portfolio" of such in-house software source code/executables, which they may have developed, for use in subsequent work, subject to agreement with the IT Department In charge.

2. Personal passwords: Disclosure to other staff, volunteers or external agents:

This may be necessary in some circumstances. Such a practice is allowed only if sanctioned by a member of the Management Team after discussion with the IT Support. If the password is disclosed for a one-off task, the owner must ensure that his / her password is changed (by contacting IT Support) as soon as the task is completed.

3. Email aliases are pre-defined 'shortcuts' for distributing internal email to specific groups of

people. IT Support can tell you what these are and how to use them.

4. Webmail accounts are personal email accounts that are stored on the Internet and can be accessed from anywhere with a standard browser, e.g. home or cyber cafe. IT Support can advise you on setting up such an account.

5. Public domain software or Freeware: This is software that is available free of charge,

usually by downloading from the Internet. USER COMPLIANCE I understand and will abide by the EMCO’s computer, network, and Internet use policies. I further understand that any violation of this policy is considered unethical and may constitute a criminal offense. WORK INSTRUCTION FOR MAINTENANCE OF A GENERATOR SET

For General Precautions:

1. Keep the selector switch "off while attempting to do any maintenance in

the engine.

2. Inform to all concerned about the non availability of power during the

maintenance in advance.

3. Obtain written approval if the power is to be shut down for more than an hour.

4. Close the fuel line, oil line, air line and remove the battery terminal before

attempting any form of maintenance.

5. Use all the safety gears without fail while maintaining the transformer.

6. Ensure general supervision by the concerned site supervisor.

For Maintenance:

1. Clean the complete generator set.

2. Check the fuel system, lubricating system, pneumatic system.

3. Check the governor and its function.

4. Change the filters, oil and other allied parts as may be found necessary.

5. Do the repainting of the generator set.

6. Check and clean the exhaust line and painting - if necessary.

7. Check the excitor, terminal connection etc.

8. Check all the electrical control, AVR, timer switch etc.

9. Check and accordingly correct the sluggishness of the relays.

10. Check the complete earthing system.

WORK INSTRUCTION FOR MAINTENANCE OF FIRE ALARM SYSTEM

For General Precautions:

1. Avoid unnecessary disturbance to the working area due to the continuous bell.

2. Use all the safety gear/(s).

3. Ensure supervision by the concerned site supervisor.

For Maintenance:

1. Ensure complete cleaning of panels, terminal connections etc.

2. Check the entire system for any abnormal indications and correct the same accordingly.

3. Check the detectors at random for their stipulated operation either by smoke or through heat.

4. Check all the call points at random.

5. Clean all the call points, detector base and apply necessary CRC.

6. Check all the sirens, bell and hooter operation.

7. Check the battery condition along with the battery charger.

WORK INSTRUCTION FOR MAINTENANCE OF A UPS

For General Precautions:

1. Use all the safety gears.

2. Take absolute precautions while handling the acids.

3. Inform the concerned authorities about the commencement of maintenance work of the UPS.

For Maintenance:

1. Check and clean the complete panel of the UPS. 2. Do the proper tightening of all the terminal screws and apply necessary

CRC.

3. Clean the battery. If -required, do the top up of distilled water; Measure the specific gravity and voltage. Apply petroleum gelly at the battery terminal.

4. Check the battery charging.

5. Arrange for and conduct a discharge at least once in a year to find out the effectiveness and worthiness of the battery.

Note: UPS = Uninterrupted Power Supply

WORK INSTRUCTION FOR MAINTENANCE OF STREET LIGHTING SYSTEM

For Isolation Precaution:

1. Switch off the timer / photo cells, remove the power fuses and control fuses for the concerned area.

2. Lock the panel and display "caution board" without fail.

For General Precaution:

1. Remove the fuses from the pole (inspection cover) before attempting any maintenance work.

2. Use all the safety gears like helmet, safety belt, traffic cranes while working at high elevations.

3. Ensure a complete and thorough checking of the lift prior to taking it down to the concerned work site. Preferably fill up a check list before taking up the maintenance work.

4. Take proper care and ensure maximum safety while working on a ladder.

For Maintenance:

1. Clean the pole / luminare.

2. Check the terminals, tightness of the oil base / luminare.

3. Change all the fused bulbs and damage fittings.

4. Check the correctness of the earthing arrangement at all the appropriate locations.

WORK INSTRUCTION FOR MAINTENANCE OF POWER TRANSFORMER

For Isolation Precautions:

1. Switch off the power from the upstream side, rackout the breaker, lock the shutter and display the "caution board".

2. Switch off the power from downstream side, rackout breaker, ,lock the shutter and display the "caution board".

3. Raise a work permit - if necessary.

4. Apply earthing wherever necessary.

For General Precautions:

1. Make sure the use of all the safety gears like helmet, safety shoes,

earthing handles while at work.

2. Make sure the overall maintenance is supervised by the concerned site

supervisor.

For Maintenance:

1. Clean the complete transformer.

2. Check the OLTC (On Load Tap Charger).

3. Do the proper checking and testing of all the protection system.

4. Test all the alarm circuits for correct operation.

5. Check the earthing system.

6. Check and ensure the correctness of the cooling system. (Cooling fan

2. Discharge all the contact points and the spring,

For General Precautions:

2. Make sure the overall maintenance is supervised by the concerned Site Supervisor.

For Maintenance:

1. Clean the complete switch gear.

2. Do the necessary greasing of all the moving parts and truck mechanism either by grease or by petroleum gelly - as applicable and appropriate.

3. Check the control circuit for correct closing and tripping, do the oil checking and charging mechanism.

4. Check all the mechanical interlocks.

5. Check the oil condition - (dielectric strength of the oil) and change oil if necessary.

6. Check all the male and female contact points and bushing and accordingly apply necessary petroleum gelly.

For Isolation Instructions:

particular transformer.

2. Do the necessary earthing for all the outgoing cable to the transformer.

3. Provide local earthing wherever necessary.

For Genera] Precautions:

1. Clean the transformer as well as the entire transformer yard.

5. Do the necessary reconditioning / changing of silica gel and breaker oil.
