General Information
PAYMENTS & DEPOSITS | We welcome new accounts, but require that credit be established with our Accounting Office ( 30 ) days prior to arrival date if you require
direct billing privileges. Credit can only be established for functions over a minimum of $2,000. Direct billing privileges require payment within ( 30 ) days of invoice. A late payment charge equal to the lesser of 1½% per month, or the highest rate permitted by law, on the remaining balance until paid in full, plus reasonable cost of
collection including attorney’s fees. A credit card is required for back up. For all social groups, a $5.00 per person non-refundable deposit is required. Full payment is
due ( 10 ) business days in advance with a credit card, certified check or cash. Additional charges are due at the end of your event. All deposits are non-refundable.
FOOD & BEVERAGES | The Hotel must supply all food items. Menu selections, room requirements and all other arrangements must be received thirty days prior to the function. These menus are only a general suggestion as to the wide selection of entrees and complements available. We take great pride in developing specific ideas
and themes or simply expressing your taste in a personally tailored menu. No food may be taken off Hotel premises. All prices are subject to change and will be confirmed 90 days in advance. The Doubletree by Hilton Syracuse as a licensee is responsible for the administration of the sale and service of alcoholic beverages in
accordance with the New York L.C.B. regulations. It is a house policy, therefore, that the Hotel must supply all alcoholic beverages.
GUARANTEES & CANCELLATIONS | It is a requirement that the Hotel is notified of the exact number of attendees by noon, ( 3 ) working days prior to a business event (72 hours) and ( 10 ) working days prior a social event (240 hours). This minimum number of guests will be considered a guarantee for which you will be
charged, even if less than the minimum attend. An increase in the guaranteed attendance will be accepted up to 48 hours before the function (72 hours on weekends).
The Hotel will set up 5% over the final guarantee figure; however, food is prepared for the guarantee only. If the guaranteed attendance is not received in the Catering Office, the expected number of people will serve as the guarantee. Full charges will be assessed for any function cancelled within five working days of the scheduled
date. Cancellation must be made with our Catering Office between the hours of 8:00am and 5:00pm Monday through Friday. All cancellations must be confirmed in
writing.
ROOM & SET-UP FEES | Function rooms are assigned according to the anticipated guaranteed number of guests. If there are fluctuations in the number of attendees,
the Hotel reserves the right to assign accordingly the banquet function room. The Hotel reserves the right to charge an administrative fee for set-up for meeting rooms
with extraordinary requirements. A room set-up fee will be charged where applicable. The Hotel has the right to charge a fee for excessive clean-up after your event.
MULTIPLE ENTREES | If there is a price discrepancy between the entrees, the higher price will prevail for all entrees. Normal Guarantee procedure is required with
indication for each entrée, such as colored tickets coded name tags, etc. There is a minimum of 20 guests for plated entrees.
MATERIALS | We do not permit the affixing of items to walls, floors or ceilings with nails, staples, carpet tape or other substances. Note that ALL candle centerpieces
must be in an enclosed encasement. The Catering Department is happy to provide complimentary set-up of any pre-assembled items. A fee will apply for the assembling of any centerpieces and/or decor. All articles supplied by the guest and/or vendor must be removed at the conclusion of the event. The Hotel cannot
assume responsibility for any personal property brought onto the premises. The Hotel cannot be responsible for damage or loss of any materials left in the Hotel prior to
or following your event. The Hotel reserves the right to inspect and control all private functions. Liability for property damage will be charged accordingly.
SHIPPING & RECEIVING | The Hotel cannot be responsible for packages received more than ( 3 ) business days prior to the event date. A $3.00 per box / per day
charge will apply if boxes are shipped to arrive at the Hotel more than ( 3 ) days prior to the scheduled event or left for more than 24 hours after the conclusion of an
event. For any oversized boxes a $5.00 per box / per day charge will apply. Please be advised: large items such as pallets of meeting materials delivered to or picked up from the Hotel is the client’s responsibility to load or unload from delivery truck. The Hotel’s loading dock height is not compatible with most trucks and a truck
with a lift gate may be required. The Hotel does not have a pallet jack. All packages must indicate date of meeting, name of group and be sent to the attention of
Catering Service. A disposal fee for discarding boxes or left over materials may apply. Client is responsible for moving boxes more than 50 pounds.
PHOTOCOPIES | The Catering Department will be happy to make photocopies for your group. A charge of $0.15 each will be applied to your bill.
ENGINEERING & AUDIO/VISUAL | Special engineering requirements must be specified to our Catering Department at least ( 3 ) weeks prior to the function. Charges will be based on labor involved and power drain. We will be pleased to arrange for any audio/visual requirement for your function. JSAV is our contracted in-house provider. Outside audio equipment will not be allowed to run through our in-house system. A 22% administrative charge is assessed on all audiovisual equipment.
ADMINISTRATIVE CHARGE & TAX | The DoubleTree by Hilton Syracuse assesses an administrative charge of 22% on the following banquet and catering categories: food, beverage, audio visual, room rental and miscellaneous revenues. An applicable New York State tax will be charged on all items. New York State law
states that the administrative charge is subject to state sales tax. Federal, state and local employees are tax-exempt if they are on government business. Any other
individual is not tax exempt unless payment is made by a tax-exempt organization. A completed tax-exempt form must be presented prior to your arrival.
SECURITY | If, in the sole judgment of The Hotel, security is required in order to maintain order at your event, The Hotel may require you to provide, at your expense,
security personnel. Any and all provisions for security must be arranged through The Hotel's Director of Security.
LABOR CHARGES | All meal functions under 25 guests are subject to a $30.00 labor charge. For menus where the services of a carver or cook are required, there will be $100.00 per carver or cook charge per hour (1.5 hour maximum). The Hotel should be advised of any displayed items over 100 pounds.
PARKING | We offer ample, complimentary parking.

At the helm of DoubleTree Syracuse's Catering is Chef Ron Stone,
who’s been sharpening his cooking skills in the Syracuse area for more than 30 years.
A former restaurateur, Chef Stone has been with us for over ten years, earning the award of
"Manager of the Year” soon after his arrival. Though he subscribes to an “old school” work ethic,
