• LOI- Letter of intent is issued post selection of employee, which shares details of CTC and
Inhand.
• Appointment Letter – Appointment letter with detailed terms and conditions of your employment
along with salary break up will be sent to you on your email ID post completing joining formalities.
Please accept your offer letter online.
• Your salary slips will be mailed to you by 15th of every month
• Professional Tax: - PT is applicable as per the State Government rules.
• Attendance: - You will receive DAT format on 18th of every month, post filling your attendance
you need to submit the same back to V5 marking a copy to your reporting manager.
• Salary – Your salary account can be opened in Kotak Mahindra Bank and the salary will be
transferred in your account by 1st of every month. If you do not wish to open Kotak salary
account with us, you can share a copy of your bank account cancelled cheque, so that the salary can
be transferred to your existing account.

HR Process
• Nature & Quantum of Leave allowed in a Calendar Year 2019:
ENTITLEMENT OF LEAVE:
• PRIVILEGE /EARNED LEAVE (PL)
• Eligibility: Employee, who has completed one year continuous employment shall only be entitled for privilege leave.
Norms :
• Privileged / Earned Leave shall be credited upon the completion of one year in employment.
• Post completion of one year, 1.25 PL shall be credited on monthly basis subject to the employee being present during the month.
• A maximum of Up to 45 leave Earned Leave shall only be accumulated/carry forward.
• PL’s will go beyond 45 leaves in a calendar year but it will get lapsed to 45 leaves at the end of each calendar year
Leave Policy
Every employee will be entitled for the following leaves.
Privilege Leave (P/L) : 15 days per year
Casual Leave (C/L) : 12 days per year
Maternity Leave (M/L) : As per applicability under
Maternity Act & amendment thereto
Festivals & National Holidays : As declared every
Calendar year.
• Encashment: Privilege Leave shall be en-cashed considering the basic salary / minimum wages of that state
(whichever is higher) at the time of leaving services which shall be paid with Full & Final Settlement. The overall
limit of encashment is 45 days only. The excess leaves shall be lapsed.
• This amount will be forfeited in case of termination of employment / removal from services on account of any
misconduct / unprofessional / Unethical conduct and / or in case proper notice period not being served as per
the employment agreement.
Procedure :
• All the employees are required to submit a leave plan & take prior approval from their respective manager stating
when he/she intends to take privilege leave.
• Employees should apply for privilege leave in writing, at least 15 days in advance for approval.
CASUAL LEAVE (CL)
• Entitlement & Procedure.
• All employees shall be entitled 1 Casual Leave per month, maximum 12 CL in a calendar year.
• All casual leaves should be applied in advance unless circumstances are such that it is not possible to do so. In
such cases it is advised to make a telephonic call or an email or SMS to the concerned reporting authority as
intimation should serve the purpose and on resuming the duties should apply for the same.
Encashment:
• Casual leave will not be accumulated or en-cashed or carry forward to the next calendar year.

INTRODUCTION
THE EMPLOYEE’s PROVIDENT FUND ACT-1952
This act is to provide a kind of Social Security to the employees. The Act mainly provides
retirement or old age benefits, such as Provident Fund, Superannuation Pension, Invalidation
Pension, Family Pension and Deposit Linked Insurance.
Employees who have been appointed on Basic salary of Rs 15000 or less are covered under the
provision of the EPF Act, right from the day of commencement of their work. ( as per the Revised notification from Ministry of Labor)
For more than Rs 15000 (Basic Salary) it’s on the discretion of Employee and Employer to come
under EPF act but not mandatory, when it’s the first job of the employee.
But Its Mandatory for Employees to contribute towards PF , if employee was earlier
contributing towards PF in Last Organizations.
Percentage of contribution to be deducted from employees part is 12% of Gross Salary.
Employer Contribution is 12% of Gross Salary and addition to this 1% of Gross Salary is also
paid as Admin Charges. So in total 13% is Employer Contribution towards EPF.

1. Apart from the Basic salary, PF shall also be deducted on all other allowance if any

Payment of Gratuity Act, 1972
➢Gratuity is a part of salary that is received by an employee from his/her employer in
gratitude for the services offered by the employee in the company. Gratuity is
defined benefit plan and is one of the many retirement benefits offered by the employer
to the employee upon leaving his job.
➢Gratuity payment is covered under the payment of Gratuity act of government of India.
Maximum payment for Gratuity is 10 lakhs. The calculation for Gratuity=15/26 * last
drawn basic salary*no of years of service.
➢ An employee rendering continuous service of 4 year 10months 11days is considered to
have completed 5 years continuous service under sec.4(2) and thereby is eligible for
gratuity.
➢ The gratuity is also payable in case of an unfortunate death of an employee before the
completion of 5 years services and will be paid to the dependent family member or
nominee
Payment of Bonus Act, 1965
Payment of Bonus Act.
The payment of Bonus Act, 1965 aims to regulate the amount of bonus to be paid to
the persons employed in establishments based on its profit and productivity. The act is
applicable to the whole of India for all establishments which had twenty or more persons
employed on any day during the year.
Employees whose Basic Salary is less than 21000, are eligible for Statutory Bonus which is
either included as a part of Salary or part of CTC.
Bonus is calculated as 8.33% of Minimum Wages or 7000 whichever is higher.
THE EMPLOYEES STATE INSURANCE ACT,1948
“An Act to provide for certain benefits to employees in case of sickness, maternity and employment injury and to make provision for certain other matters in relation thereto”.
It is mandatory to deduct ESIC of each individual falling Gross salary below RS. 21000/- under
ESIC Act-1948
The amount is divided into two deductions /contributions. One is of employer and the other is
from employee.
➢Employer Contribution is 3.25% of the Gross Salary.
➢Employee Contribution is 0.75% of Gross Salary.
➢Total ESIC Contribution is 4.00% of Gross Salary.
ESIC Process:
Step 1 e-Pehchan card pertaining ESIC no, shall be issued by V5.
Step 2 e-Pehchan shall be valid for one month, for extension of validity , Employee has to
submit his/her Aadhaar with V5.
Step 3 Employee may also visit nearest ESIC office for enrollment of Bio-Metric card.
Step 4 In case Aadhaar no. is not available/issued, a Govt. issued identity card may be
produced with e-Pehchan for medical treatment.
