Frequently Asked Questions DOES THE HOTEL OFFER SPECIAL ROOM RATES FOR GUESTS? We offer a complimentary suite for the wedding couple, based on a minimum booking and subject to availability. We also offer special room rates for wedding guests, subject to availability. WHAT WILL THE HOTEL PROVIDE AS PART OF THE WEDDING PACKAGE? The hotel will provide the banquet set-up, dance floor, riser or stage for the DJ or band, skirted riser for the head table, head table, gift table, place card table, guest book table and cake table. The Wedding Package also includes round tables, chairs, linens, table numbers and stands, all china, silverware and glassware.

WHEN SHOULD WE DISCUSS OUR MENU SELECTION? Menus and details should be finalized with your Wedding Consultant a minimum of one month prior to your event. A final count of the number of reception guests is required at least seven days prior to the wedding.

WHAT ABOUT DIETARY RESTRICTIONS? Whether you choose from our catering menu or work with our renowned Executive Chef to create a unique menu, the Cambridge Red Deer Hotel is committed to accommodating your guests’ dietary restrictions. Please advise your Wedding Consultant of all dietary restrictions and allergies at least seven days prior, when providing final numbers.

DOES THE HOTEL CHARGE A CAKE CUTTING FEE? Our hotel is pleased to provide complimentary cake cutting. Cake pieces will be cut by one of our banquet associates and placed on a buffet table for guests to enjoy. Plated table service is optional for an additional charge of $5 per guest.

CAN WE BRING IN OUR OWN FOOD OR BEVERAGE FOR THE EVENT? Due to food-safe regulations and AGLC regulations, the hotel is required to provide all food and beverage for the event with the exception of a wedding cake from a licensed baker. You will be provided with a release form that must be completed prior to the cake’s delivery.

WHAT TYPE OF COMPLIMENTARY LINENS DOES THE HOTEL PROVIDE? The hotel will provide and set complimentary white or black tablecloths and cloth napkins. Specialty tablecloths, overlays, napkins and chair covers are available from an outside supplier for an additional rental charge.

ARE THERE ANY DECORATING GUIDELINES I MUST FOLLOW? Due to fire regulations, the use of open flame candles is strictly prohibited. Candles may be used as long as the flame is enclosed in a non-flammable structure that meets our guidelines. All candle centerpieces not supplied by the hotel must be pre-approved by your Wedding Consultant. The use of nails, tacks and double-sided tape is not permitted in any hotel function space. Charges will apply as a result of damages caused by the use of these items. Smoke or bubble machines are not permitted in the hotel without prior approval. Confetti is also prohibited and a cleanup fee of $200 will apply if confetti is used.

All decor, gifts, and personal items must be removed from the event space the evening of your wedding. Should you decide to leave behind items, a cleanup fee of $25 per hour (per staff person, for a minimum of three hours) will be added to your bill. In addition, items left behind must be claimed within 72 hours after the function date or they will be disposed of by the hotel.

WHAT VENDORS DO I NEED TO MAKE ARRANGEMENTS WITH? You will need to arrange for the entertainment, wedding planner, florist, photographer, videographer, decorator, hair dresser and makeup artist. Please provide us with a list of all vendors you have selected; including contact names and telephone numbers. Your hotel Wedding Consultant can provide you with a list of recommended vendors, should you require assistance.

WHAT IF I HAVE AUDIO VISUAL REQUIREMENTS? For all your audio-visual needs, Willson AV is our inclusive on-site audio visual provider. With over 35 years of production experience, Willson AV specializes in lighting, video and display needs for wedding, concerts, and galas. Our Wedding Consultants work directly with Wilson AV to collaboratively meet all your audio-visual needs.

WHAT ITEMS SHOULD THE COUPLE PROVIDE THE HOTEL? The couple may provide the hotel with the following items for storage prior to event setup: guest book and pen, centerpieces, bridal toasting glasses, cake knife and lifter, favours, place cards and/or seating chart, engagement photos, disposable cameras and any other miscellaneous items.

You will need to arrange for someone in your party to set up these items prior to the start of the event and remove these items the same evening the event concludes. Wedding presents and cards must be removed from the event space and should be stored in a guest room or other secure area once the reception is over.

WHAT TIME MUST THE EVENT END? Your celebration may continue until 2:00am. Due to regulations, all live and recorded music cannot be extended past 2:00am and alcohol service may go no later than 1:00am.

WHAT ARE THE DEPOSIT AMOUNTS AND WHEN ARE PAYMENTS DUE?A $1000 non-refundable deposit is required upon signing your contract. One month prior to the wedding, 50% of the cost is due for function space rental, estimated food and beverage, audio-visual equipment, and miscellaneous expenses. The remaining balance of the event is due one week prior to the event date, based on the total estimate of charges. The hotel requires a credit card on file to settle any variance to the estimate.

WHAT HAPPENS IF I CHOOSE TO CANCEL MY EVENT? All deposits are non-refundable. Additional cancellation charges will be applied as outlined in your contract.

WHAT SERVICE CHARGES AND SALES TAX AMOUNTS DO I HAVE TO PAY? A service charge of 18% and current GST (Goods & Service Tax) will be added. Please note that the service charge is taxable.

WHAT ARE SOCAN AND RE:SOUND FEES AND WHY AM I REQUIRED TO PAY THEM TO PLAY MUSIC? Music is copyrighted material. When music is played in public in a place of business like the Cambridge Red Deer Hotel, licences are required and mandated by copyright law. Canada has two main licensing bodies, SOCAN (Society of Composers, Authors and Music Publishers of Canada) and Re:Sound. These bodies collect licence fees, as set by the Copyright Board of Canada, from anyone playing or broadcasting live or recorded music. They, in turn, pay royalties to the members they represent. Paying these tariffs grants you permission to play (publicly perform) musical works at receptions, conventions, assemblies, and fashion shows. The Cambridge Red Deer Hotel is required to pay SOCAN and Re: Sound tariffs when it rents out its facilities for events that play music. SOCAN and Re:Sound are distinct organizations that represent different groups and as such, both are required to be compensated. These two separate fees are outlined below:

SOCAN - Tariff 8 - Receptions, Conventions, Assemblies and Fashion Shows Please note a performing rights license is required when renting a facility for a private function such as a wedding reception, anniversary, convention, assembly or fashion show if music will be performed during the event. This license fee is remitted to SOCAN.

Food and Beverage Terms and Conditions

• The Cambridge Red Deer Hotel wedding package is intended for groups of 50 or more.

• Because of licensing requirements and quality control issues, all food and beverages served on the Cambridge Red Deer Hotel property must be supplied and prepared by the hotel, with exception to wedding cakes.

• Food and beverage pricing is subject to an 18% service fee and applicable taxes. No service charge on room rental.

• Menu and wine selection must be confirmed 30 days prior to the wedding date to guarantee availability, final numbers are required seven days prior.

• Should your contracted number of reception guests decrease by 20% or more, additional charges may apply. In addition, the hotel reserves the right to change the reception venue to better suit your event capacity.

• Final charges are based on guaranteed numbers of attendees or the total number served, whichever is greater.

• The hotel will gladly provide special meals for guests with dietary restrictions not met by the menu, including but not limited to vegetarians and those with gluten and food allergies. Please provide a list of guests with dietary restrictions no later than seven days prior to the wedding. Note, menu items may contain traces of nuts or nut oils.

• Because of the delicate nature of wedding cakes, it is the responsibility of the baker to deliver and set up any wedding cakes. The hotel will not accept delivery or storage of wedding cakes prior to the event date.

• For those having their ceremony at the Cambridge Red Deer Hotel, a ceremony rental reset cost will apply to change the room setup from theatre seating to tables rounds for the reception. Please allow 2 hours from the time the cer-emony ends for the banquet staff to reset the room:

1-100 guests: $300 101-200 guests: $500 201+ guests: $600

• The hotel requires that all music services must end at 2:00am and the hotel operated bar must close at 1:00am.

• Any items left behind will be disposed of if not claimed within 72 hours after the function date.
