GENERAL COMMITTEE’S REPORT

The TrusteesGeneral Committee MembersPast ChairmenHonorary and Life MembersDistinguished fellow Members of Ikoyi Club 1938

On behalf of the General Committee I welcome you all to 2016 February General Meeting of our Club. I sincerely want to use this opportunity to thank you all for giving me and my team the mandate to serve you in the positions of leadership of the club. This General Committee has been at the helm of

8

Page 9: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

affairs of the club for the past Twelve months and as is statutorily required in the Club’s rules I render our stewardship for running the affairs of the club on behalf of the General Committee.

When we took over office in February 2015, we were very eager to get started on our programs for the Club. However on assumption of office we were confronted with the issues of paucity of funds arising from the depletion of the Capital funds of the Club on the Car Park Project and also the fact that most of the repairs and projects we wanted to embark upon were not within the Budget.

At the August Half- Year AGM we took the proactive step of presenting our budget to you for approval without same having gone through the Audit Committee in view of the fact that the CAPEX Committee was yet to commence it’s activities. We were under the impression that the budget as presented was approved by you all for implementation without any reservation save that the CAPEX Committee would take cognizance of the projects so far implemented in fulfillment of its mandate in preparing a 3 – 5 year Development Plan. We were however corrected that the approval given was that our budget was still subject to approval by the Capital Expenditure (CAPEX) Committee. We therefore had to present the budget to the CAPEX Committee which to our dismay sat as body to slash down certain inputs in the budget. We had to again approach the Committee to defend the provisions in the Budget which if you recall had been passed at the various Sectional levels. You will therefore appreciate our frustrations in being taken through this tortuous process which lasted up till about November 2015. Your Committee was therefore unable to embark on any meaningful capital project during the period under review.

Your Committee as stated above would therefore restrict itself to its achievements in the areas of membership, staffing, projects and also activities in the various sections in the Club and matters bordering on discipline. We shall also intimate you, about what we intend to accomplish going forward, all stake-holders now having properly understood the roles, functions and duties of CAPEXCOM Committee

The Financial Report will be treated in the Report of the Honorary Treasurer.

I would like to mention that the club lost some members during the past six months, Dr. Adebisi Olatunji Senbanjo, Dr, Jeremiah Jose Grange, Mrs. Ese Titiloye (Nee Majoroh), Mr. Mike Enahoro, Mrs. Oyeka, Ambassador Michael Amobi, Engr. Victor Adetunji Haffner, Chief Benjamin Ibegbunam Olinmah and Deaconness (Mrs.) Modupe Ademide Ladipo.

I will therefore crave your indulgence and request that we rise for a minute’s silence for the repose of the souls of these departed members.

Man Power Audit.

On assumption of office we met a work force of approximately 400 staff both permanent and casual which we considered too bloated. We therefore felt the need to carry out a comprehensive Man Power Audit of the staff to enable us take an appropriate decision.

The General Committee therefore retained the services of FITC Consulting to carry out this brief, the essence of which will assist the Club to determine the ideal number of staff required, their detailed job descriptions, skill level and competencies. This is aimed at assisting the Club to reduce her operating expenses and to operate with the optimal level of staff.

The Man Power Audit which is presently on-going is expected to be completed in a few days time although the implementation will be done over a 6 – 9 month period. We strongly believe that these

10

Page 11: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

steps will bring about the desired changes in the productivity and effectiveness of the work force which would have a positive impact on the bottom line.

Staff Handbook – (Condition of Service)

We are also pleased to inform you that the New Junior and Senior Staff Handbooks (Condition of Service) have been completed. The Junior Staff Union have signed the Junior Staff Handbook which is presently being implemented whilst we are awaiting the execution of the Senior Staff Handbook by the senior staff.

Staff Training

At the August Half- year Annual General Meeting we had informed you that the Staff underwent various training programmes during the period with the objective of building performance capacity in the Club as more training is being scheduled in the next quarter. The continued training of staff is very key to the improvement of service delivery and overall improvement of work attitude amongst the staff and we have made provision in the budget which is being presented to you for approval. The investment by the Club in continued training and re-training of the staff cannot be over-emphasized.

Salary Review

The review of staff salary is an on-going process and your General Committee has met with the Staff Unions to discuss all financial matters with the staff, salary review being one of the issues to be discussed. For now we are not looking at any salary review until the completion of the implementation of the recommendations of the Consultants on Man Power Audit.

Staff Appraisal

This is to ensure the appraisal process is objective and facilitates the identification of performers who are rewarded appropriately.

Staff Uniform

The club has continued to provide new uniforms to the staff as at when necessary. We are indeed in the process of ordering fresh set of uniforms for the staff to ensure that the staff is properly and neatly dressed at all times as no scruffy and untidy dressing will be permitted.

SUBSCRIPTION & FEES

In the period just concluded a total sum of =N=318,598,000 was realized as subscription & fees as against =N=331,548,000 for July to December 2015.

Page 12: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

Your Committee realizes that in view of the present economic realities there is likely to be a drop in subscription income this year hence efforts must be put in place to shore up the clubs revenue income by coming up with alternative means of raising operational revenue in the club. This may involve the sections seeking sponsorship funds for their capital projects as well as sporting events. They may also need to raise funds through levies and increase in subscriptions.

The General Committee will continue to encourage all Members to fulfill their financial obligations as at when due to maintain the high standard of our club.

PROJECTS

Multi-Storey Car Park Complex

We are pleased to inform you that the restaurant in the car park complex has now been let out to Mattar International Ltd (operators of Double 44) for a term of FIVE (5) YEARS at an annual rent of N 10.0 Million for the first THREE (3) YEARS after which the rent will be subject to a review.

Your Committee will like to stress the importance of members compliance with the Rules and Regulations for the use of the Club which will be presented for adoption at this meeting. We have mandated management upon the approval of these Rules to ensure that these Rules are pasted on conspicuous locations in the car park. We have noticed an increase in the incidence of over-night parking beyond one day in the car park in recent times. This should be discouraged in view of the attendant security risks associated therewith.

It is hoped that the proposed Access Control System for all vehicles coming into the Club premises at the Golf and Main entrances of the Club such that only financial members will be able to park within the Club premises and make use of the Car park will be implemented in this period..

In addition a comprehensive digital wireless CCTV System for the Multi-Storey Car Park to enhance security at the Car Park and the entire club premises is being proposed in the current budget for your approval.

The bids for placement of adverts in the Club have now closed and we are currently processing the bids to select the winning bids.

Main House Makeover

At the commencement of this Committee, we went round the Club to assess the state of the premises. We were shocked at the state of disrepairs in which we met the premises. We have now identified and made provisions in the budget for all the works which need to be done on the maintenance and upgrade.

Children’s Playground

Guaranty Trust Bank has indicated interest to renovate the Children’s playground and equip it with modern play equipment. The Contract for this arrangement has been commissioned and we are waiting for the Bank to mobilize her contractor to site. The project is expected to be completed in two (2) months.

Library Renovation

Your Committee was appalled that in this ICT age the library is still running a manual system of keeping its records and data. Books are being lent out using outdated methods of entry of records on cards. A situation where the librarian has no real time information as to the books in the library at any point in time is most undesirable. We recognize that the ultimate objective will be to have an E-Library but as a first step your Committee will like your approval to set up an Electronic Data System for the Library.

INFORMATION, COMMUNICATION AND TECHNOLOGY

CLUB WIDE CAMPUS WIFI INTERNET ACCESS

In order to enhance the membership experience, the General Committee is pleased to inform you that we have executed an Agreement with IpNX for the deployment of a club-wide WIFI internet access for members on the basis of a barter arrangement in exchange for advert opportunities in the Club. The deployment, save for the loss of revenue on the advert boards has been at no cost to the Club. The initial term of the contract is FIVE (5) YEARS in the first instance.

The civil works have commenced and it is expected that the system will go live any moment from now.

FILING OF RESOLUTIONS AT CORPORATE AFFAIRS COMMISSION

Filing of the 2015 Rules is yet to be concluded by the Club’s lawyers but with the proposed holistic amendment of the Rules the need for annual filing of amendments to the Rules will be a thing of the past.

D-TRACK ENTERPRISE SOFTWARE

The re-implementation of the software couldn’t begun because of the reconciliation issues in the accounts which were yet to be sorted out. The Auditors and the Software Provider have now agreed to use the agreed balances as at 31st December 2015 as a starting point for the re-implementation. Proper training of the staff on the use of the software will be carried out by the software developer.

Your Committee has mandated management to ensure that this is completed before the end of March and any staff that is unable to use the system after the training will be flushed out.

PUBLICATIONS

Your Publications Sub-Committee has continued to carry out it’s functions as the second edition of the Ikoyi Club 1938 Newsletter is presently in circulation.

The second edition of Harmony Magazine is scheduled to come out towards the end of March 2016.The sub-committee requires the assistance of members in the area of contribution of articles and sponsorship by way of advert placements in the publications to defray the printing costs. The circulation of the publications is a wide enough platform for many Companies to showcase their products. We really appreciate the support the sub-committee has received so far.

ENTERTAINMENT

The Ileya Dance was held in the month of November 2015, and on the bandstand was Dr. Adewale Ayuba and his Bonsue Fuji Band.

YINKA AYEFELE NITEThe annual Yinka Ayefele Nite could not hold in the course of the year due to the sudden withdrawal of the major Sponsor, RT. Briscoe. However, the event was replaced by the Club with the regular monthly Pub-Nite. Both events in the Club witnessed great turnout by Club Members and invited guests.

2O15 END OF THE YEAR EVENTS

The end of the year celebration is always a fascinating experience as usual at Ikoyi Club 1938 and 2015 was not an exception. The event started with the switching on of the Christmas light by the Club’s Chairman, supported by the General Committee on Monday December 1, 2015 at the Club’s Lawn to usher in the season of celebration. This was followed with a cocktail at the patio Terrace.

On Friday, December 11, 2015, the Club played host to the Juju Maestro, King Sunny Ade and his African beats. It was the 2015 edition of the yearly International Night which saw members and friends of the club from all walks of life in attendance. The event truly lived up to its billing in all ramifications. No doubt, members had an exciting moment. The event was anchored by our own very hilarious and enigmatic Master of Ceremony in the person of Kunle Bamtefa.

The Christmas Children and Youth Party was held on December 19, 2015, on the Club’s Lawn and the Badminton Section respectively. The star Artist for the occasion was the popular “Jagbajantis exponent”, Sound Sultan. There were lots of fun-filled activities and events that kept the children and teenagers engaged all through the day. The children and the Teenagers had a very good share of the spirit of giving as they all went home with one souvenir or the other courtesy of the Club in celebrating the Yuletide.

The Christmas Carol and 9 Lessons was staged on Sunday, December 20, 2015. The guest choir was from the All Souls Anglican Church in Ilupeju, Lagos. Members turned out for the event in an appreciable manner.

On Thursday December 24, 2015, the last edition of the monthly Pub Nite was held in the Main Bar of the Club. The event witnessed a massive turnout by members of the Club and their friends. It was an evening of good music and merry-making with lot to eat and drink courtesy of the Entertainment Sub-Committee. The in-house DJ supplied the music for the Night.

The monthly Film Show for the Children and the last for the year was held on December 26, 2015, on the Club’s lawn.

On Saturday, January 2, 2016, the Club hosted the Elders as part of the Christmas activities for the year. Music was provided by a musical group known as Topline Band. It was well attended by the elders in the Club. It was an evening of great merriment as the elders partied all through the day with lots to drink and eat.

The activities of the Yuletide season in the Club came to a climax on Monday January 4, 2016, with the switching off of Christmas light which was performed by the Vice Chairman of the Club with members of the General Committee in attendance and other Club members.

The Committee is using this medium to thank the General Committee and members of the Club for their support and encouragement during the life of the Committee and wish to reiterate that the ESC will continue to delight members as much as it can in advancing the entertainment platform of Ikoyi Club 1938. We however implore Members not to relent in supporting the Committee in whatever manner by way of constructive advice, donation in cash and kind for the various entertainment activities and above all, participating fully in events of the Club.

BAR

Tour/Visit To Bars & Stores

On assumption of duty the Sub-Committee had tour/visit to all the Bars to assess the service quality level in order to bring sanity to bear on all the bars. We also made sure that sales are remitted daily unlike before now. The issue of cash shortages in the bars which have been endemic has been reduced to the barest minimum.

The Sub-Committee had introduced constant checking of the bars by appointed Checkers before 10am each morning. This is to guide against the fraud that was earlier discovered in the bars.

Improvement in Stock Level

There is an improvement in stock level unlike before now. Different quality drinks at affordable prices have been introduced to the Club from various registered companies.

Elimination Of Fake Drinks

Fake drinks have been eradicated to some extent in all the bars. We have to put some checking in place in conjunction with the stores for us to arrive at this point. This is being made to ensure that the issue of fake drinks is completely eradicated in the bars. There is great improvement in variety of drinks for Members’ choice. Debtor members in all the bars have also been greatly reduced.

CATERING REPORT

The past few months of our tenure, we have focused on restructuring the kitchen with the aim of improving revenue generation and optimized efficiency of the work force.

The contracted kitchens from other sections of the club were closely monitored to ensure proper integration with the passion of the committee. They were trained on basic food safety and hazard crisis management.

As part of our repositioning exercise, the entire kitchen and equipment have been cleaned by one of the competent professional cleaners in Lagos.

Following the continuous increase in the cost of inventories, we reviewed the price of Ala carte with the General committee’s approval to streamline the cost of sales.

We are working at sourcing for other major players in the food industry to substitute the existing vendors with the aim of reducing our cost.

The kitchen contributed 25% of the total margin for the club food and beverage from two cost centers, swimming and the main house kitchen.

The planned kitchen equipment procurement process has just been closed up, we are working round the clock to ensure that they are delivered by the end of this quarter.

KEY STRENGTH.

Improved product quality. Enhanced productivity. (The kitchen manpower is 21 with 25% as casuals).

17

Page 18: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

Marginal growth of N2.5m. Control and alignment of food vendors. Staff party catering.

OPPORTUNITIES.

Procurement of new kitchen equipment. Club events participation with a proposal of 60% for kitchen and 40% for external vendors. Introduction of new coffee machine for early club users.

SECURITY

Your Committee has during the period under review made individual and collective effort/efforts to address the under listed challenges that bordered on the security of Ikoyi Club 1938.

BACKGROUND:

The following issues have been identified as requiring urgent attention: -

1. Non-functional CCTV System2. Shortage of Security Personnel3. Negative disposition of staff to displaying identification cards4. Issuance of uniforms and identification cards for vendors5. Inadequate lighting on the premises6. Staff not restricted to dedicated staff entrances7. Suppliers access the Club premises without proper inspection8. Untrained security personnel9. Insufficient Security and Safety equipment10. Scrapping of checkers at entrances11. Fully functional Access Control system.

It is worthy to note that some of the issues listed above are currently being addressed by the management of the Club.

Some of recommendations being implemented include:- Staff and Vendors without clearly displayed ID cards are denied entry into the Club premises.- Spontaneous spot-checks are conducted by members of the Sub-Committee with the Club CSO

in attendance.- Repairing lights in some dark spots around the Golf caddy room.

It is evident that the upsurge in criminal activities in Nigeria is such that security has become everybody’s business, especially as terrorism has become a major threat to personal safety. Improvised Electronic Devices (IEDs) has frequently been used to cause mayhem and fear to the populace. Given that terrorists like to be sensational and therefore seek high profile targets to gain the necessary attention, Ikoyi Club 1938 must be viewed as a potential target due to its profile and the quality of its membership.

The following have also been addressed:-

- Lighting- Wearing of identification cards by both staff and vendors- Effective checks

18

Page 19: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

- Effective control at the caddies shade- Staff using dedicated entrance- Checks made on people walking around the Club using mechanism of stop and check.- Periodic raids.

RECOMMENDATIONS:

Against these backgrounds, the following recommendations are hereby presented to the Members for consideration:

1. Immediate provision of Security equipment such as:-a) Metal and explosive detectorsb) Walk through metal detector (long term)

2. Improved access control mechanisma) Members should be discouraged from using Golf bag space as entry and exit point at Golf

sectionb) The Biometric system should be encouraged.c) Security personnel to improve on their checks on suppliers’ cars, bags, vendors, staff and

visitor cars.

3. Increased manpower and adequate training should be provided to better prepare the security team.

4. Deployment of an integrated CCTV system.

5. Management to review the number of vendors operating within the Club as the current number appears over bloated and this is unduly stretching facilities.

6. Security Sub-Committee to organize security forum for Club members and security personnel.

CONCLUSION:

The Security Sub-Committee continues to meet in order to discharge its duties and proffer solutions to the many security challenges faced by the Club.

FINANCE

During the period under review, the Club recorded a deficit from Operations Account of N 11,070,000.00. The Capital Account had a surplus of N 121,845,000.00 resulting in a Net Surplus position of N 110,775,000.00. However when the loss on the shares amounting to N 135, 215,000.00 is provided for, the capital on surplus is reduced to a deficit of N 13,370,000.00 while the consolidated is a deficit of N 24,440,000.00 for the period. Your General Committee feels strongly that a decision needs to be taken as to how the club’s funds are invested as the decision by the Investment Committee to hold on to the shares at a time when it would have been advisable to sell off the shares is what has crystallized in this colossal loss.

CONCLUSION

In conclusion, Trustees, Past Chairmen, Honorary and Life Members, Ladies and Gentlemen we have given to you our report on our service for the past twelve months. The next six months are really going to be tough for the Club as the Club will not be unaffected by the poor economic climate arising from the drastic drop in oil prices. Subscription income is likely to be affected by the anticipated loss of jobs in the country. Consequently your Committee is of the opinion that this is a time when the Club will have to tighten it’s belt and concentrate on means of reducing operational expenses and improving on operational efficiencies and performance. An active effort needs to be made to come up with creative means of driving up operational revenues and placing more reliance on sponsorship for capital expenditure. In spite of all the anticipated challenges your Committee shall endeavour to ensure that the Club is prudently managed. Our commitment to serve you to the very best of our capacity and ability remains unwavering. On behalf of the General Committee I sincerely thank the Trustees, fellow General Committee members and the entire members of the Club for your support.

I also thank the management and staff for their support.

Once again thank you and have a good evening.

Before we commence the business of the day, I wish to formally advise that two more of our esteemed members, Mr. Michael Enahoro and Chief Olawale Samuel Kuyepassed on since our last meeting in August. We crave your indulgence to please rise and observe a minute of silence for our departed brethren.

May their souls rest in peace?

Chief Olawale Kuye, Past Captain, was a beloved active member of the club who contributed immensely to the development of the clubhouse and other facilities we enjoy till this day.

GOALS AND FOCUS

Your Executive Committee commenced the year with the overriding theme of “Uplifting the quality of the Membership experience “ within the framework of our current structural realities, while working on implementation of the section’s dated Medium term plans outlined in the “5- year Development Plan”.

The main thrust of the activities where thus focused on;

Maintaining the quality of the course and training facilities through the period while finetuning and preparing for the commencement of a long overdue upgrade of our course to modern international standards

Immediate facelift of the Club house environment and the upgrade /revamp of our club house facilities up to a standard commensurate with the expectations of our membership and benchmarked to quality establishments patronized by our members.

Ensuring we build up substantial patronage and membership participation in our pre and post golfing socials

A robust approach to the execution and delivery of our Sponsorship and Competitions offering to ensure we are able to attract and retain quality sponsors and partnerships in the face of competition from the new commercial oriented facilities in the country.

Upgrading the quality of our Golf development, membership handicaps and the caddies cadre by seamless integration of all the activities and initiatives in these areas in a manner that; addresses our merchandizing proposition as a members club of repute and our relationship with the vastly modernized world of international golf business, involving a symbiotic relationship with Golf equipment, apparel and Course equipment manufacturers; and the increasingly sophisticated Amateur and professional golf associations.

We thus asked to be held accountable for the following deliverables during the review period Improved playing turf, from tees, through the bunkers and greens Enhanced membership experience through the clubhouse to the Hole 1 Tee box Revamp of our clubhouse lounges and patrons areas Robust and engaging club house socials Improvements to our Golf Learning and Development framework and the Range offerings More Competitions and Golfing engagements Commencement of our New Course Development initiative

I will address the status of your committee’s work on these 7 deliverables in the latter part of this report.

LONG TERM PLANNING

Your committee kept faith with the section’s medium term planning mantra by essentially focusing on the mostly rolled over initiatives to sustain the quality of our facilities in anticipation of a major revamp initiative that had commenced during the tenor of the 2014/2015 leadership team. In this regard our annual rolling budgets during the period focused on revamp of our Clubhouse lounges and patrons areas, while emphasis on the course was in ensuring we maintained the capacity to sustain the quality of our playing surface through the greens.

FINANCE

The Treasurer will brief members on the detailed statement of the various accounts of the section attached herewith after this presentation. In advance of the Treasury report, I will again crave your indulgence to highlight some key elements of note as we did in our last report to you. As you might be aware, our accounts are prepared by a central resource at main house whose activities were considerably challenged during the review period. Your committee’s concern about the authenticity of the figures were strong enough for us to commission an accounting firm to review our last 3 years set of books with a view to reconciling our figures with the reports from the main house. Appropriations and reporting of our Capital account balances is the main contention in this regard.

Your committee’s experience during the period had underscored the need to review our finance model in the section with regards to Sponsorship, Capital projects and the sustenance and upgrade of our membership experience. We clearly need to be ahead of the curve by independently pursing the development of this capacity in our section with the hope that other sections will follow suit for the betterment of the entire club.

Despite our best efforts at robustly engaging our patrons and prospective sponsors with our revised competition and sponsorship model, which we had worked hard to develop with the assistance of our retained Sponsorship and Marketing resource, the challenging macro economic environment posed a serious hindrance too the achievement of our sponsorship goals

The continued limitations on the availment of capital funds posed by a combination of liquidity and funding management and the shear bureaucracy also limited the ability of your committee to implement the capital items in your budget.

THE COURSE

Sustaining the quality of our fairways and greens have been particularly challenging during the period, but the course officers (A. Enahoro, T. Fisher and D. Ehenemba) have inconjunction with the management, strived to enhance our course management and maintenance through the seasonal challenges. The desire for fast consistent greens is currently posing a serious challenge for the team as the quality of the turf on the greens has suffered from the pressure of the low cutting. We are currently taking remedial action to correct this.

Your Project officers (U. Udoh and A. Odumakinde) were able to adequately prepare us for the rains by clearing the drainage paths to facilitate the natural efficient draining of the course. They did

29

Page 30: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

substantial work on our Hole 2 and 7 ponds to manage the back flow from the through drain by hole one green. They are currently in the process of tendering for completion of the works, which would include a more robust structure to manage the backflow, enhanced aeration of the entire pond and additional decorative features.

Julius Berger Plc. contributed immensely to our pre rains preparation by donating the additional concrete bridges over the drain paths on the course during the period. They also renovated the signature bridge over Hole 2 pond by way of donation to the club. We wish to express our sincere gratitude to the firm for this immense timely support.

The future focus of the Course and Greens team will be to address the enhancement of the turf through the year. Additional equipment will be procured while the maintenance team will be beefed up to ensure appropriate maintenance. The ongoing challenges with our irrigation system, currently made worse by our power challenges, will be addressed to ensure the course is in readiness for the dry season.

CLUB HOUSE AND ENTERTAINMENT

In line with our focus on the quality of Membership experience, the House team ( A. Savage, A. Akinola and Y. Johnson) had engaged in a spring-cleaning of the entire clubhouse pending the commencement of the upgrade of the internals of the clubhouse. The repainting of the entire house in fresh colours of White with Grey trimmings marked the commencement to temporarily uplift the Look and Feel while addressing some basic infrastructure and décor challenges in the lounges and patron’s areas.

The team has also focused on a detailed implementation of the recommendation of the Section’s HSE report initiated by our Ebola response committee at the tail end of last year in addition to ongoing upliftment of our shower and men’s locker room experience. We are in the process of resubmitting the Lady’s locker room project to the Tenders committee and hope to get an expedited response to help commence the works. Members were tolerant of the slight inconveniences and disruptions to the offerings in the lounge areas during the pendency of the various works carried out in the past couple of months.

MEMBERSHIP, HANDICAPS AND CADDIES

To adequately address the basic issues that primarily impact on the quality of member’s experience during engagement in golfing, we collapsed responsibility for membership issues including Handicaps, rules and interface with the Caddies under a team (Membership team-T. Halim and V. Ezinwa) who have focused on ensuring the formal intake of new golfers and issues related to standard of play are addressed on an ongoing basis.

They have cleaned up the membership Database of the section and are working on ensuring they obtain more information to enhance the communication channels for decimating useful information on a timely basis to our membership. Other strategic initiatives they are embarking on include active membership recruitment initiatives to ensure our ageing population does not become an issue in future for the section.

COMPETITIONS AND SPONSORSHIP

The offerings from the Competitions officers ( G. Akinyombo , T. Okwoju, G. Obaseki) has been limited by the twin challenges of the unstable and negative business environment facing the patrons

o IBB Golf Club, Abuja

o Achimota Golf Club

o NUGA,(Nigerian-UK Golf Association)

Our appreciation goes to our members Efe Edwards, Amaechi Ndili, Charles Ngoka, Total Nigeria,

toward these interclub matches.

In addition to several scheduled kitty-Gato Kitty, Bridge Builders Kitty, Gorillas Kitty and the weekly Wednesday kitty; which have become Calendar fixtures in sections banquet of competitions; we also had a couple of member sponsored kitty during the period. These helped fill the gap arising from the drought of formal Sponsored Tournaments.

As one of the steps to implement the governance framework under the Section’s medium term development plan, your committee contracted the services of a Sponsorship and Marketing assist (A. Daniyan) to help professionalize and synchronize the gamut of sponsorship activities and adequately address the gaps from the yearly transitional nature of our current leadership framework. Despite the economic climate, the team was able to organize and successfully host several competitions since the last AGM report year as reflected in our competitions Calendar. Your team received approximately N62 million in sponsorship funds during the period ended January 2016

LADIES AND GOLF DEVELOPMENT

The ladies under the leadership of the Lady Captain (E. Anukwem) continued their weekly schedule of Mugs uninterrupted through the reporting period. The sub section also organized and hosted the Ladies Club Championship over a 2 day period which was keenly contested.

The Ladies leadership team also graciously organized this year’s 2-week intensive Children’s Developmental clinic during the period, on behalf of your club’s Golf Development team (E. Pinnick, N. Ngoka and E. Anukwem). The clinic has since moved to the next stage of weekly Saturday sessions with very robust and encouraging participation from our children.

CONCLUSION

The section’s activities are run by a retinue of 66 Club engaged personnel, 221 registered Cadies and Golf shop /Training personnel under the leadership of the Official club professional. We thank them all for their continued commitment and diligence despite the challenging work environment.

IKOYI CLUB 1938TENNIS SECTIONANNUAL GENERAL MEETING OF FEBRUARY, 2016CHAIRMAN’S REPORT

The Trustees Ikoyi Club 1938, Chairman Ikoyi Club 1938, Office Bearers and members of the General Committee Ikoyi Club 1938; members of the Executive Committee of Tennis Section; past Chairmen and Chairmen of Sections. Distinguishes members of Tennis Section, Ladies and Gentlemen.

On behalf of the Executive Committee and the entire members of Tennis Section, I have the privilege and honour to welcome you all to this Annual General Meeting (AGM) of the Tennis Section Ikoyi Club 1938 and to present to you the report of activities of the Section for the period of July 2015 to February 2016. This will be my last report before I take my exit as Chairman of the Section.

Before we commence the business of the day, I wish to formally inform you that one of our esteemed members Chief Eze lost his wife Mrs Eze, I crave your indulgence to please rise and observe a minute of silence for her. may her soul rest in peace(Amen).

GOAL AND FOCUSThe general goal and main focus of your executive Committee in conjunction with the Admin Manager of the Section was to ensure that vigorous and constant maintenance of our existing facilities are in place to enhance the game of Tennis. Emphasis were placed on court surfaces and lightings which are the major facilities for playing Tennis. The resuscitation of courts(2) lighting and special maintenance of the UPS Gammatronic modules/ batteries has enable us to surmount the problems of intermittent power supply arising from NEPA and Generator . We have taken delivery of giant size Air conditional and a bigger television for our tennis bar to enhance conducive atmosphere for members.

THE DEVELOPMENT PLANYour Committee has put in place a medium term planning document 3-5 year Development plan in line with the club CAPEX Committee. The Capital Budget for the first one year has been prepared and approved by you and CAPEXCOM, the Gym equipment’s has been considered as a non-sporting item for Tennis hence the funding should be done through members levy.

Also CAPEXCOM discovered that Tennis subscription is the lowest in the Club. May I use this opportunity to appeal to members that we task ourselves a special levy we deem desirable to make this Gym project a reality. We have equally made provision for the replacement of furniture and giant

33

Page 34: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

air-conditioner for the upper lounge and this has been approved in our budget for this period. The incoming administration should first track the process for replacement.

In our development plan earlier presented to you, we have made provisions for the total expansion of the men’s cloak room so as to accommodate more locker for members.

FINANCEThe Treasurer will brief you on the detailed statement of the various accounts of the Section. Before the presentation of the Treasurer’s report, I wish to crave your indulgences to highlight some areas of note. These includes the near zero availment from our Capital budget during the period. The reason is primarily due to the funding limitation placed on the entire club due to the completion of the car park project. Though this project has been completed, the required liquidity to fund some of our budgeted items were limited. I am quite optimistic that the funding for needs of our section’s capital budgets will now be 100% going forward.

Our sponsorship account has been quite robust and I am quite sure that huge amount will be left in this account for the incoming administration.

COACHES/ BALL BOYSI wish to thank the coaches and ballboys for their services to members and children during their Tennis Clinics. Our Committee is committed to exposing the coaches and ballboys through regular training programmes to update and enhance their skill in modern techniques within the ITF standard.

IKOYI CLUB 1938SWIMMING SECTION2016 ANNUAL GENERAL MEETINGTUESDAY FEBRUARY 16TH 2016

CHAIRMAN’S REPORT

The Chairman, Ikoyi Club 1938,Maj. Gen. M. A. Balogun (rtd),All other office bearers here presentMembers of the General CommitteeAll past officers of Ikoyi Club 1938 here presentPresent and past officers of the Swimming SectionDistinguished members of the Swimming SectionGeneral Manager, Ladies and Gentlemen,

It gives me a great pleasure on behalf of the Swimming Section Committee to welcome you all to the 2016 Annual General Meeting. It is indeed an honour to present to you the report of the activities of the Swimming Section for the period ending 31st December, 2015.This committee took over in February with a lot of positive momentum from the previous committee. We have continued along this path striving to drive improvement to the facilities and services available to our section members.

1. FACILITIES

a. SWIMMING POOL MAINTENANCE

In the last six months we have worked very hard to ensure that the pools are operational at all times. Our concern is to maintain sanitary and clean pools with no downtime for the membership of the section. Certain steps have been put in place to ensure that we maintain the standard. We will continue with regular maintenance of the pools and ensure that they are in good condition particularly during peak usage periods. As part of this commitment we installed additional backup pumping machines in the two engine rooms.

b. SECTIONUPGRADES& MAINTENANCE

The upgrade of the poolside furniture continued with the replacement of an additional 24 units. We aim to provide a facelift to the entire section and remove the old plastic sun loungers that often caused injury to our members and their children.

36

Page 37: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

To enhance the safety and ambiance of the poolside we plan to install an inverter to ensure constant lighting of the pools and surrounding areas during power outages.

Members across the swimming section now have access to an Internet Hotspot that can be used for accessing the internet 24 hours a day.

The air conditioner in the cool room was affected by a power surge. All necessary repairs and full servicing have been carried out to bring it back online.

c. FUTURE UPGRADES

Several projects and upgrades are being considered. We expect to award the contracts and begin work within the next six months.

Tiling of Staircase (Mens Cloakroom):There were complaints from members that the tiles were slippery and hence a safety challenge. This has been properly presented to the appropriate authorities and the contract for the retiling of the staircase leading to the new gent cloakroom with non-slip tiles will soon be awarded to finally address this matter.

The Bar, Kitchen and Entrance: The Committee is considering modernizing these areas of the section as they are now looking incongruous given the development in other parts of the section. Drawings and Bill of Quantity have been forwarded to the Main House for Tenders/CAPEXCOM considerations and approval for implementations. The modernization of the entrance will include a major improvement in the ambience and arrangement of the area for more efficient access management.

Water Treatment Plant: The contract for the total rehabilitation of the water treatment plant has been approved by the General Committee. This upgrade will resolve many of the issues currently being observed with availability of water in the section.

The Old Gents and Ladies Changing Room: The Committee is working hard to find a permanent solution to the perennial back flow of waste water in the conveniences. Professionals have been consulted to proffer solutions for consideration. Regular updates will be provided on this matter.

Sewage Treatment Plant : The General Committee considered the sewage problem a serious health hazard and accepted to implement the project under contingency account with the Main House bearing the whole cost.

2. COMPETITION/TOURNAMENT

The Section sponsored the 1st Interschool Swimming Competition in November 2015. The event was a huge success drawing entries from primary and secondary schools across Lagos. We received support from the section’s partners, Ecobank, Heritage Bank, Diamond Bank and GT Bank.

The event was covered and featured by the Guardian Newspaper on November 28 th 2016 and The Sun Online for a period of one week.

We wish to make this an annual event that will lead to continuous high quality improvements in swimming across Nigeria. We envision the competition growing to include international schools and clubs participation

37

Page 38: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

The children of members who belong to our swimming squad are already working hard to qualify for the 45th International Swimming Gala in Arnsberg Germany set for May 13 th-15th, 2016. We have already begun our sponsorship drive for the event. Please kindly recall that our team last year came 6th out of 50 Clubs with 24 gold, 14 silver, 15 bronze medals as well as numerous certificates for 4 th – 6th positions. We are also considering additional international competitions that the team can participate in later this year.

3. ENTERTAINMENT/SOCIALSA TGIF Event was hosted by the Section on January 15 th 2016 to usher in the New Year. The theme of the event was a Throwback “Oldies” night. All attendees enjoyed themselves.

We would like to begin a regular monthly TGIF to mark members birthdays. Sponsors for these monthly events are being sought at this time.

We would like to seize this opportunity to say Thank you to all who attended

4. CONCLUSION

In conclusion, I want to thank the Members of the General Committee and the Office Bearers for their unflinching supports at addressing the problems of the section.

My appreciation also goes to the members of the Swimming Committee for their prompt attendance at meetings and their contributions.

As we wrap up a full year as a Committee, as Chairman of the Section I wish to say a special Thank You to the members of the section. Your constant constructive and positive contributions on the issues that affect our section tell me we have very involved members who feel as passionate as I do about improving the facilities and services of the section. Not in a long time have we had this level of constructive interaction. Thank you very much.

If given another opportunity to be Chairman for second year I will only increase my commitment to the Section and all our members.

I pray that God will continue to bless us all.

OTHER SPORTS

IKOYI CLUB 1938OTHER SPORTS SECTIONSECTION REPORTS FOR THE PERIOD OF JULY 2015 TO FEBRUARY 2016

The Section Committee Meeting is schedule for every 2nd Wednesday of the month.

SPORTING ACTIVITIES

All sporting Activities are anchored by the Games Captain.

1) PHYSICAL GAMES

AEROBICS

This activity is the mainstay of the Section and has in recent times been experiencing a larger turnout of members both male and female. The largest class by way of attendance is the Monday class with over 30 attendants, where we have a pot-pourri of sporting activities represented by cardio, physical and weight training. Skipping (jump rope) is the latest addition to the Monday class activities and is enjoyed by all, young, old, male and female. The class starts with 15-30mins of stretches and then gets more vigorous with either step-board training or Tae-bo.

All classes start at 7.00pm and end with 15min floors exercises at 8.30.

We are looking to introduce other activities like yoga in the following period.

48

Page 49: web.ikoyiclub1938.org  · Web viewgeneral committee. chairman. maj gen m. a. balogun (rtd.) - chairman. office bearers. mr. olusola adeosun - vice-chairman. mr. olatokunbo ogundipe

The age range of attending members is 5yrs to 65yrs.

BRIDGE

This game is mostly played by the Indian Community and is scheduled for Thursday at the upper Deck by 7:00pm with average attendance of 7 - 12members. More members are welcome.

INDOOR 5 – ASIDE SOCCER

The class takes place every Thursday from 7:00 – 9:30pm. This class has been experiencing difficulties of late as the existing members are unable to make the numbers required to form both sides of the game due to poor attendance. This can be boosted by sensitizing members of the availability of this sporting activity on the Club premises and recruiting younger members who have more time on their hands to the teams.

TAEKWONDO, JUDO & KARATEThese three related games hold on Saturdays from 11am – 1pm with only members Children participating for now. We hope to once again attract the older members and black belt holders. 2. TABLE/BOARD GAMES

TRIMESTERLY BIRTHDAY BASH

The Trimester Birthday Bash is one the social awareness programs of the Section. The first one for the year took place on the 1st Friday in February comprising of birthday celebrants of the Section for the months of May to December last year combined. The next one is expected to take place in the month of May for the January to April birthday celebrants.

GENERAL

The Section is undergoing repair, maintenance and reconstruction works. This will span a period of six months and beyond to address the total state of disrepair that most of our facilities have been reduced to. Also to try to make up for the long period in the Club where not many Capital projects, much needed though they were, were embarked on. In the last quarter of 2015, we had a drainage system constructed for the Section to outflow water and other waste from the area to the main Club grid. This is a problem the Section had been experiencing since its construction, since this was omitted is the building plan. This project was carried out by the main house once identified. It will address also the issue of rising damp which has bedevilled us killing within a short space of time, whatever paint job is embarked on in a short time.

We have also addressed a leakage problem in the Control room which had in the past resulted in a fire incidence in the Section due to electrical wires and water from the leakage cohabiting.

Some of the other maintenance issues that have been and will be addressed before the next AGM include:

1. The repair of walkway to Table Tennis Section - Work in progress2. Resurfacing of the area around the Section3. The polishing of the Wooden floor of the aerobics hall and polishing of the mosaic tiles has

been done and was sponsored.4. Renovation of our Kitchen5. Furnishing of lounge, Upper Deck and Sit out6. Painting

In order to fund some of the outlined activities of the Section, a levy is to be introduced to all members of the Section and an increase in the cost of tickets for all sporting activities. This will go a long way to increase the funds available for Capital projects in the Section as we are currently lagging in income generation among all the Sections of the Club even though we have a large membership.

Thank you.
