1.1 Roleplaying Activity

SCENARIOYou work as a bookkeeper and registered BAS agent at Accountability Now, the leading chartered accounting firm in Cascade Peak.

Hydroponics Galore is a sole trader business operated by Billy Green. After recent success in growing fancy leaf lettuces, Billy’s business has expanded rapidly. He can no longer rely on his mum to do all the book work, and Billy decides to employ a qualified bookkeeper.

After searching the internet, Billy finds the advertisement for Accountability Now and calls asking you to meet at his garden shed/office. He said he does not really know much about the paperwork side of his business and wants someone to step in and just take care of it. In addition, he also wants you to prepare his tax returns.

As the bookkeeper, you will need to have a separate meeting with your client and your supervisor to clarify the client’s business needs and expectations of work to be done and refer your client to networks, where necessary.

For this task, you will be roleplaying your discussion with your client, Billy Green, in order to clarify his business needs and expectations of work to be done through clear communication.

To complete this roleplaying activity, you will need access to:

A safe environment to conduct the role-playing activity (e.g. living room of your house)

FNSACC408 Task 1.1 Roleplaying Activity

SCENARIO INFO TO ASSESS OBSERVATION AGAINST

You have scheduled a meeting with Billy Green, owner of Hydroponics Galore and new client of the firm. The following are the agenda for this meeting:

• clarify Billy Green’s business needs through clear communication

Clear communication means you and the key stakeholder were able to agree on the terms and context of the conversation to make it productive.

• clarify Billy’s expectations of work to be done through clear communication

• request for his feedback on the range, type, and quality of service to be provided

• clarify your role and at least one (1) responsibility in line with Billy’s business needs

• refer him to other networks for advice and services where applicable

In addition to the above, it is the standard practice of Accountability Now employees to disclose information relating to the specific services each Accountability Now employee can and cannot provide to each new client. They must also disclose the quality of the services that they are able to provide. This is in line with the following requirements from the TPB Code of Professional Conduct:

Honesty and integrity: You must act honestly and with integrity.

Independence: You must act lawfully in the best interests of your client.

Competence: You must ensure that BAS services that you provide, or that is provided on your behalf, is provided competently.

Billy Green has also mentioned in a previous conversation that he appreciates frankness and directness with the people he works with.

• processes that do not require the interpretation or application of a BAS provision

You hold a Certificate IV in bookkeeping and are registered with the TPB, so you have the required qualifications and experience to deliver the services outlined above competently.

1.4 Roleplaying Activity

SCENARIOMiko Sataway is a very popular tattooist, he focuses on mythology, his favourite subject, but will undertake almost any challenging tattoo request. He has won awards for a couple of his designs over the years and is happy to admit he charges high rates because he is a high-quality tattooist, and has some “famous” clients.

He loves his artwork and has a superb team working for him, but he now feels it is time to move into exploring more artwork and characters from mythology. He hates having to “do the books” and has approached you to take care of the business side of things for him, so he can have peace and quiet to concentrate on his new artwork ideas, which he is sure will increase his profitability.

On an initial consultation with Miko, you have discovered that it is a cash-based business. Miko has been reluctant to pay his suppliers because he cannot be bothered and it interferes with his creativity. He has, however, kept all bills in a box and handed it to you. On a quick look, you note that some of the bills are two months old. Miko will not talk to the creditors on the phone when they ring up for money. The bank account seems to have plenty of funds – certainly enough to pay all the bills and the upcoming payroll and BAS. Additionally, as part of the new artwork Miko will be practising, he will need some funds for materials and wants to reduce his hours of work at the tattoo parlour.

Miko bases his monetary knowledge on the fact that he averages around $1200 a day, 6 days a week and pays out about $4500 a week in wages and about $2000 for materials for the tattoo parlour. Miko has a very capable junior tattooist who takes the cash to the bank every day, but Miko hates having to check it, and there really isn’t anything official in place to check the money or security in taking the cash to the bank. As it is cash – is there any money being “stolen” on its journey from the till to the bank? More and more the EFTPOS is being used, and this helps reduce the amount of cash handling.
