Bringing people together in astounding ways, the festival will platform the full spectrum of our creative imaginations by combining Science, Technology, Engineering, Arts and Mathematics. Designed to bring people together and showcase UK creativity, the Festival programme will include live events, digital activity, and participation and learning opportunities aimed at reaching millions of people globally. The 10 Festival commission teams feature exciting new collaborations between creatives drawn from across science, technology, engineering, arts and maths (STEAM) and from throughout the UK. Following a unique, funded R&D programme, they are now turning their extraordinary ideas into reality. Led by Chief Creative Officer, Martin Green CBE, Festival 2022 Ltd, was established in Birmingham to curate, manage and promote the Festival, working with strategic delivery bodies for each of the Four Nations to devise and deliver the programme. As well as unforgettable experiences, the Festival places creativity at the centre of our lives and shared futures. It comes as sectors have been impacted by the global pandemic and is already creating new opportunities for freelancers, emerging talent and under-represented voices, with more to come as each commission is developed. Role Overview The role of Creative Assistant will support the planning and delivery of a major public programme in 2022. Based within the creative team at Festival UK* 2022, you will provide administrative support to the Senior International Producer and the Head of Learning and Participation to realise a range of engagement and partnership projects in the UK and overseas. Delivery of the Festival is in partnership with our Strategic Delivery Bodies in the devolved nations: EventScotland, Creative Wales and Belfast City Council. As a UK-wide project, you will be required to work with organisations across the four nations and partner organisations to realise a bold and ambitious programme. This role requires an organised and proactive administrator, capable of: Managing communication between internal and external partners Scheduling meetings and managing diaries Using complex administrative systems and processes quickly and efficiently Pro-actively disseminating key project information to internal and external partners Tracking financial information, raising purchase orders and monitoring invoice payments Preparing high-quality written materials including minutes and project updates The Festival is a £120million programme delivered through a partnership model and the Artistic Planning Coordinator will have the opportunity to support a diverse programme of creative work and will be confident in engaging with senior creatives from across the Festival sectors. The postholder will demonstrate an enthusiasm for the role that planning and administration can play in supporting the creation of a world-class, international artistic programme. Deliver the priorities of the Creative Programming Team, working closely with the Senior International Producer and Head of Learning and Participation to effectively use established systems, processes and administration across the department.

Coordinate relevant aspects of planning & administration for the Festival Programme, from scheduling / cross-partner coordination to supporting partnership agreements, contracting and financial management processes.

Prepare documentation for the Festival’s programme of partnerships and engagement.

Build strong relationships with internal and external stakeholders.

Prepare high-quality written materials including meeting minutes, and project updates.

Support the diary management of the team; including coordinating multi-stakeholder meetings, scheduling calls, logistics planning for group meetings, preparing relevant briefing materials and agendas, and taking minutes and following up actions where required.

Coordinate project review sessions and cross-partner planning workshops, as well as site visits, research trips and project activity across the UK.

Pro-actively respond external partner queries to resolve issues and make real time decisions in line with procedures, policy and established guidelines. Make basic decisions on behalf of the Head of Learning and Participation and the Senior International Producer, referring more complex decisions as necessary.

Be an effective team member, contributing and assisting in the maintenance of planning and artistic administration tools that support creative programme delivery.

Carry out basic research and compile and present findings in a suitable format.

Build capacity in partners by providing practical support and access to relevant project information.

Positively represent the Festival’s externally-commissioned delivery and strategic partners.

Champion the overall vision and creation of the Festival to successful deliver a major programme.

RESPONSIBILITIES OF THIS ROLE WILL EVOLVE THROUGHOUT THE LIFETIME OF DELIVERY.

Qualifications

Essential Desirable

Relevant professional experience in an administration role. Prior experience in a cultural

organisation or creative sector role.

Knowledge, experience, and skills

Essential Desirable

Excellent written and verbal communications skills. Strong organisational and time-management skills. Experience of diary management and minuting meetings. Good knowledge and experience of MS Office Suite products

including Outlook, Word, Excel and PowerPoint. Experience of working in a fast-paced environment. Strong attention to detail. Ability to build relationships, with speed and credibility, at all levels. A willingness to “pitch in”, working cooperatively and proactively as

part of a busy team. Ability to take ownership of day-to-day workload and projects while

prioritising demands from others. Ability to work independently and deal responsibly with sensitive

and confidential information. Excellent interpersonal and relationship management skills.

Experience of working with external partnerships.

Some experience of large-scale events, large cultural organisations or a Festival delivery environment.

This position will be employed by Festival 2022 Ltd.
