The cheque subsequently bounced. Fortunately CH Africa did not release the ordered stock.

Prevent employee theftOne of the most common threats to the livelihood of a small business is internal theft and fraud. Research shows that the biggest pre-emptor of theft is opportunity, so minimise them in your business:

Implement internal controls. Put strict policies in place to safeguard assets and financial reporting. For example:

Don’t allow only one person to record and process transactions

Restrict access to financial assets and information to authorised employees only

Develop internal controls for initiating, authorising and reviewing transactions

Do regular stock-taking to ensure all supplies and equipment are accounted for

Have a strict recruitment procedure. Don’t be lax about who you bring into your company. Include pre-employment checks in your hiring policy:

Check to see if the person

has a criminal record involving theft or fraud

Verify that educational qualifications are from recognised institutions

Call at least two previous employers to confirm his position, length of employment and why he left

As much as you would like to trust the people working for you, it’s important to enforce these policies and take temptation out of the equation. If you do find that an employee has been stealing from you, seek legal advice about how to deal with it.

PILOT PEN NAMES NEW SA MD

Pilot Corporation of Japan confirmed at the shareholders meeting at the end of March 2013 that Steven Groenewold has been promoted to Managing Director of Pilot Pen South Africa with effect from 1st April 2013.

He replaces Shu Itoh who remains on the Pilot Pen SA board. Groenewold’s promotion is in recognition of his contribution to the Pilot group. Pilot Corporation wishes Groenewold continued success.

BDS APPOINTS NATIONAL SALES OPERATIONS MANAGER

The “Weak Signal Theory” was first postulated by Igor Ansoff in 1975 and proposed that there are many kinds of signals changing the external environment. Weak signals are often the most uncertain and difficult to observe and understand. These signals tend to appear early, and have a great influence on results, within a landscape of uncertainty.

An example of a weak signal would be seeing a desire to have music more portable than a CD player. The world’s first mass-produced MP3 player entered the market in 1997. Only Apple took it seriously by detecting the weak signal that this was going to be of interest to their customers. There were five different players released between then and the launch of the iPod in 2001. So Apple was not the first. They just read the weak signal.

To paraphrase Ansoff, he was saying that signals for change are all around us and we are often unable to see them, interpret them or action any results from the signals.

What does this mean for your business? If you can see the weak signals around your enterprise then you will be able to detect subtle changes in your environment that may relate to staff issues, customers relations and loyalty, new product developments, market disruptors, economic factors that may hamper your business growth and oncoming shifts that you may be able to take advantage of as opposed to being steamrollered by.

What hampers our ability to recognise or be in tune with weak signals?• If you or your organisation believe that you are ‘doing just fine as

you are’ and believe no change is required.• If you are arrogant enough to believe that you will be in the

same winning position in five years’ time and you’ll be able to roll with the waves of business impedance.

What can you do to create a culture of readiness for the recognition of the weak signals?

• Create a culture where taking assessed risks is rewarded. A culture of innovation encourages sensitivity to weak signals.

• Begin the slow and tedious task of moving everyone to a space where change is an accepted business practice and is even anticipated as a business objective. Remember the adage (often attributed to Rita Mae Brown) that “Insanity is doing the same thing over and over again but expecting different results.”

• Do not discard ideas because they do not fit within your current dogma. Approach new ideas with an open mind.

• Future scenarios are generally to be seen in the here and now. By taking note of trends or patterns in your everyday world you will get an insight into what is coming.

• Most organisations have large quantities of data pouring into databases on a daily basis. Find a way to sift through the zeros and ones to find patterns that could be weak signals to future growth opportunities. Business intelligence software is no longer the domain of large budget organisations alone.

Weak signals very often turn to strong signals at a future date and it would be better to be ahead of the curve (while not at the bleeding edge) than behind the curve. Ahead often means greater margin because commoditisation of a product or service results in decreased margins. This is in line with the concept of never taking your current revenue streams (and profits) for granted but always looking out for an opportunity to grow. m

The single most-cited source of frustration for customers is delays and long queues. your company needs to take this seriously because a waiting customer’s patience turns to frustration and they very quickly start

looking for other things that have gone wrong. At best, the credibility of the business takes a dive, at worst we lose customers by the dozen.

So what can a business do to deal with delays?

• Identify hold-ups and slow downs. This may sound obvious, but it never ceases to amaze me how out-of-touch many managers are with what is happening in their businesses. Make sure that you have some way of identifying and measuring the time it takes to process customer orders and for ‘red-flagging’ long delays and

queues.• Ask why the delays exist in the first

place, and do whatever you can to eliminate the root causes as soon as you can. In the majority of cases, customer complaints are justified. Delays are usually caused by poor systems, overworked, demotivated or apathetic staff, overloaded processes which cannot get products and services out, work not done right the first time, etc.

• Be proactive when it comes to communicating with customers. Much can be avoided by talking to your customers before they notice there is a problem. Apologise for the wait, and where possible, explain the reasons for the delay. Most people are naturally curious - just telling them that you are sorry is not enough.

• It is not going to help if you tell them to be patient. You have to be genuine and sincere in your apology. Demanding their patience is not on.

• Tell customers how long the delay will be, and what you and the company are currently doing to sort out the problem. If you are unable to give a fixed time, explain what is going to happen next, and reassure them that they will be taken care of before

others are processed.• In a business where customers have

to wait their turn, they know who was before and after them. Never compromise yourself by allowing late-comers to jump the queue without an extremely good explanation and keep informing those still in the queue how far they are from the top of the list.

• While customers are waiting, keep them busy. Some stores install a television monitor visible at every single till point in the store so customers watch funny videos (and a few ads) while they wait their turn. I’m willing to bet that customers are far less aggressive about the queues.

• Help customers with preliminary work which may save time later, for example, giving them the contract to work through, training them to use their new appliance, or arranging for payment processing. This is also symbolically useful because it shows them that you understand their need for speed.

Delays and queues can occur beyond your control, it is how you react to them that is so critically important. Make sure the people in your organisation are sensitive enough to understand the impact on your customers. m

In a time-poor world companies need to learn to deal with delays and kill the queues.

Nelson Mandela in the process of writing Long Walk to Freedom.

Courage is not the absence of fear – it’s inspiring others to move beyond it. There were times that Mandela was scared during the struggle, but he believed that as a leader, you cannot let people know. “You must put up a front.”

Lead from the front – but don’t leave your base behind. Mandela has great foresight; he was able to see possibilities that other people could not see and convince his comrades to change strongly held points of view and to follow his lead – sometimes in the midst of scepticism and criticism.

Lead from the back – and let others believe they are in front. Mandela learned a leadership lesson as a boy herding cattle. The lesson was that “you can only lead them from behind.” He also learned that you must not enter the debate too early; let other people express their views first – then you can help them reach consensus. You can influence the decision without imposing.

Know your enemy – and learn about his favourite sport. Mandela studied the culture and spoke to his enemies in their language. In 1995 he united a nation by being a black man and black president who openly supported the Springboks.

Keep your friends close – and your rivals even closer. Mandela is a man of invincible charm – and he often used that charm to even greater effect on his rivals than on his allies. He formed the government of national unity and worked closely with his former oppressors. He believed that the way to deal with those he didn’t trust was to neutralise them with charm.

Appearances matter – and remember to smile. Mandela has a distinct sense of style that sets him apart from other people and his friendly smile and genuine interest in people make everyone feel welcome in his presence.

Nothing is black or white. He believes that life is never either/or. Decisions are complex, and there are always competing factors. To look for simple explanations is the bias of the human brain, but it doesn’t correspond to reality. Nothing is ever as straightforward as it appears. He is comfortable with contradiction.

Quitting is leading too. As a leader he knows how to abandon a failed idea and to accept defeat with great humility. He doesn’t sulk. m

RICOh SA According to Davy Khozani, marketing product manager at Ricoh SA, the Ricoh ultra short-throw projector, originally from Japan, can project a clear, crisp, sharp, 24” to 80” image onto any type of flat surface a mere 11,7cm away, even in bright office light, and can be controlled from and share its output across the network to any connected tablets. This makes it the ideal companion for meetings.

These ultra short throw projectors can throw their image onto a screen up to 24,9cm away, and they can accept input direct from USB flash drive, from a tablet including iPad, laptop, PC, or netbook.

The projectors are able to display video files, even direct from a flash drive, and they cool efficiently which means they can be packed away after use immediately.

With the Ricoh Smart Presenter app users can control the Ricoh projectors from their iPads.

The devices are lightweight and small, weighing just 3kg. They are small enough to fit in a lunchbox-size bag with shoulder strap, and the 2 500 lumen lamps are designed to last 3 000 hours in standard mode and 4 000 hours in eco mode.

The units include a remote control, support resolutions up to 1280x800, draw between 228W and 300W of power, support a range of input options from USB 2.0 to HDMI, standard VGA, have a 3,5mm stereo mini pin jack, and the network equipped model supports both wired RJ45 and wireless 802.11 connectivity. They come with a CD-ROM containing the user manual, network utility, JPEG conversion tool, and projector management utility which can also be downloaded from the Web.

The projector sought entirely depends on the client’s projector needs. Small and micro businesses are largely interested in capital expenditure and want inexpensive products without the advanced features that integrate them more tightly with corporate infrastructure.

“investing in Africa” is a common phrase these days, yet, the question begs, how does one approach a continent of 54 countries with a diverse array of economic, sociocultural, political, and environmental landscapes for investments. The investment opportunities offered by each country also differ substantially, a fact often not recognised.

The recent rise of regional hubs across the continent has been garnering attention as countries acknowledge that

full integration within these regional hubs is key to improving the often-reported difficulties of conducting cross-border business on the continent. In addition, full integration brings with it the potential for increased investment flows into the continent through economies of scale, enabling Africa to participate in the

world economy as a truly global competitor.

There is a rise in cross-border purchases within the continent, whether formal or informal, which are essential features

of market economies. Cross-border consumers

visit other countries for short periods, with

shopping as their main purpose.

The goods they buy range from

clothes to car engines and are

generally on-sold in their home countries or taken back to their families. Cross-border trade has the ability to have positive macro-economic and social ramifications. These include food security and income creation, particularly for rural populations on the continent that would otherwise suffer from social exclusion.

The Central African region abounds with oil, gas, mineral and mining resources such as diamonds, copper, gold, and uranium. The region has the continent’s largest hydro-electric potential with the immense water network density which accounts

for 60% of Africa’s hydro-power potential (African Development Bank, 2011).

Central Africa’s pivotal and strategic position makes it a potentially preferred transit zone between regions of the continent, however, it is considered the least integrated in terms of road density and intra-regional trade.

Angola, after Nigeria, is Africa’s second largest oil producer accounting for about 47% of its total gross domestic product (GDP). Should global oil prices fall, this would have significant negative consequences for the Angolan economy. To curb some of these possible negative consequences, Angola is promoting investment to diversify revenue in the country and in the Central African region. In 2011-2012, Angola introduced a new investment regime applicable to national and foreign investors that invest in developing areas, special economic zones or free trade zones. This offers investors several incentives in a wide range of industries, including agriculture, manufacturing, rail, road, port and airport infrastructure, telecommunications, energy, health, education and tourism.

East Africa is a region overflowing with potential and it is considered one of the most integrated hubs in the continent. The East Africa Community (EAC), formed in 1967, has a history of co-operation and integration amongst East African countries. EAC comprises of Kenya, Uganda, Tanzania, Rwanda and Burundi. EAC is at an advanced stage of development and integration and is often touted as the best example of a well-functioning regional bloc in Africa.

From agriculture to minerals to tourism to energy, investment opportunities abound. Kenya is a major source of manufactured goods sold informally into the region.

East Africa is also home to Ethiopia, which has been ranked one of the fastest growing economies in the world – and still among the fastest growing non-oil producing economies in the continent. With a population of 90 million, Ethiopia is sub-Saharan Africa’s second most populous country, after Nigeria. Infrastructure investment remains a key focus to promote trade within the country and the regional hub.

Like Central African countries, North African countries are also considered to be less integrated in terms of road density and intra-regional trade. While the road network and the quality of transport infrastructure in North Africa surpass the African average, it is the limited intra-regional trade that is a major problem. North African countries trade more internationally, mostly with the European Union (EU) and other Organisation for Economic Co-operation and Development (OECD) countries, than intra-regionally.

What is West Africa doing to ensure that regional integration is the driving force of economic growth? Can West Africa grow new economies through effective regional integration while minimising the negative effects of informal cross-border trade? Economic Community for West African States (ECOWAS) is making provision, with assistance from the EU, for the construction of five Joint Border Posts (Nigeria–Benin, Togo–Ghana, Benin–Niger, Togo–Burkina Faso, and Burkina Faso–Ghana). This initiative aims to reduce the formalities and required time for goods and persons to cross borders as well as to help check irregular practices, e.g. the smuggling of goods or informal trade (African Development Bank).

The “new” economies such as Angola, DRC, Ethiopia, Ghana, Libya, Mozambique, and Zambia demonstrate that Africa is endowed with natural resources (minerals, land, and people), most of which are still untapped. However, the continued growth of African giants, South Africa and Nigeria is critical to have a stable platform for growth in the rest of the continent.

We believe that infrastructure development and heightened regional integration will enable increased investment flows into the continent and will allow Africa to participate in the world economy as a truly global competitor. m

Tip of AfricaAfrica offers the highest return on direct foreign investment in the world, according to the UN trade agency, UNCTAD, while Sub-Saharan Africa is now competing with Asia to become the world’s fastest growing region a recent Dubai Chamber commissioned Economist Intelligence Unit (EIU) report claims. The Dubai Chamber which organised the recent Africa Global Business Forum 2013, in partnership with COMESA Regional Investment Agency said findings of the EIU report confirm both the growth opportunities and associated challenges in key sectors. With the emergence of the middle class, formal retail is finally starting to develop. South African retailers are expanding rapidly across the content, often with newly-designed “value” products, aimed at lower-income customers. Certain countries, notably Ghana, have made consistent improvements to infrastructure to assist in this.

in the modern workplace, the emphasis is on teamwork, flexibility and communication. For most companies this means open plan work areas that allow for the exchange of ideas and an efficient working environment. While open doors send an excellent message about collaboration and transparency, they are tough on the ears and concentration.

While the build-up of noise resulting in overwhelming noise levels in working environments can be a problem, speech and lack of privacy has been found to be the most annoying sound source. Overall noise levels may be quite low, but interruptions resulting from distracting conversations, telephone calls, printing and fax machines etc. all

contribute to a less-than-ideal working environment. According to the National Institute for Occupational Safety

and Health, ambient noise affects people’s health by increasing the release of cortisol. Excess cortisol impairs function in the prefrontal cortex - an emotional learning center that helps to regulate “executive” functions such as planning, reasoning and impulse control, resulting in

aggravating stress-related conditions such as high blood pressure, coronary disease, peptic ulcers and

migraine headaches. Continued exposure does not lead to habituation; in fact, the

effects worsen.Workers in noisy offices are also less likely to adjust their chairs, foot rests, whiteboards and document holders than workers

in quiet offices, due to the intensive focus

required, leading to less flexibility and increased physical

pain and ailments.

Why is it so distracting?When sound is created in a room, sound waves travel outwards until they encounter a surface, for example a wall or ceiling, part of it is absorbed and part is reflected. The reflected sound wave continues to travel until it reaches another surface from which it can be reflected once again. Energy from these multiple sound reflections accumulates and builds up within the room. This is called reverberation. The greater the reverberation in a room, the longer the sound takes to disappear. Rooms that comprise predominantly hard, shiny surfaces are likely to have a high level of reverberation time. This has a merging effect on speech which becomes unintelligible and ‘muddy’ as the energy created from one sound overlaps with the next.

Ways to minimise noiseAcoustic absorption is vital in an office environment to absorb sound and prevent the space from becoming excessively reverberant. Acoustic absorption is provided by acoustic ceilings, wall absorbers, absorbing acoustic screens, partitions of a suitable height, breakout areas, floor coverings and chairs and other furniture.

• Ensure office equipment such as printers and photocopiers are separated from the immediate work area and buy quiet equipment.

• To avoid endlessly ringing extensions, identify and remove faulty telephone lines and headsets and adjust your PABX to handle voice mails better.

• Hold team meetings and briefings outside the immediate work area.

• Encourage workers to not speak loudly or to hold conversations near other colleagues.

Make use of professional noise masking systems or use a small radio to create a sound buffer. App developers offer a choice of white noise generators for the Android, Blackberry, iPhone, and other mobile devices. A free, Web-based application called SimplyNoise offers three different “colours” of sound that help obscure distracting sounds and cover up office noise. m

Q&AMy Office recently sat down with Clive Heydenrych, Managing Director of Rubber Stamp & Engraving Co (RS&E), to see what makes this man, at the helm of a long-standing company, tick.

“I was born in Durban and moved around a bit – dad was a travelling man,” says Heydenrych.“I matriculated in Johannesburg from Parktown Boys, and studied at Natal Univesity and at Wits, where I qualified as an accountant.“I would have preferred studying economics or law but I do have an admin inclination. The accounting background certainly gave me a discipline in terms of business.”Heydenrych joined RS&E in 1999 as Financial Director and when the founder, Phillip Kuhn sold to Trodat, he became Managing Director in 2008.“Simultaneously to him selling out to Trodat, I did the same and we organised a back-to-back empowerment deal with our own staff.”What is your life’s motto or personal brand?I certainly strive for excellence. I drive everyone crazy with that.Use three words to describe yourself:Passionate, driven and the staff would probably say, ‘no-nonsense’.What is your business philosophy?Openness, integrity, competitive.Briefly describe the highlights of your working career.Every year a selected few of us get to go on a conference. Don’t you just love cardboard boxes!

A remarkable invention with the same strength properties as a wooden box but with many more benefits, the evolution of the cardboard box has brought about less wastage, benefits for the environment, health advantages and

ultimately, helps keep down prices for the consumer.

Because they are used to pack almost any produce or product, packaging companies are under pressure to design durable lightweight boxes that don’t compromise on strength, especially where packaging needs to have vertical strength when stacked for export to withstand up to 1 500 kilograms on the bottom layer. The corrugated-based packaging also needs to be able to withstand up to six weeks under refrigeration for the export market.

“We have designed and made corrugated boxes for over 80 years and we constantly have to come up with smart ways in which to respond to changing needs and to move with the times,” says Ralph von Veh, MD of Mpact Corrugated, a division of Mpact, a leading southern African paper and plastics packaging group

He notes that in the past 10 years boxes have also become much more than just a transport container. Manufacturers and brand-owners now want their branding incorporated into packaging at production line.

He says that one of the biggest benefits is that corrugated boxes are fully recyclable. The majority of the recovered paper collected by the Group’s recycling division, Mpact Recycling, comes from supermarkets and box cut-offs. These are the most easily recovered source of fibre as there are large amounts in one location.

“Households are always the most difficult to collect recyclables from,” says von Veh. “We appeal to everyone to remember that all cardboard boxes are fully recyclable. Please don’t just throw them away in your normal waste trolleys because we’d love to have them.”

That is of course, if you are not recycling them yourself!

Think on loo paperSouth Africans have a large range of options to reduce their loo-paper footprint, ranging from toilet paper made from sugar-cane fibre (bagasse) to 100-percent-recycled, 2-ply rolls. And surprisingly, often the cheapest rolls are also the greenest, where buying toilet tissue, saving the environ-ment and saving money go hand in hand.

Three-quarters of the toilet rolls sold in South Africa are single-ply rolls and for decades, most South Afri-cans have been using 100 percent recycled toilet paper without even knowing they were making the environmentally friendly choice, though they might have noticed a few speckles in the paper that sug-gested its former existence as office paper.

Bleaching is another issue where recycled paper holds the green edge. Much recycled one-ply paper, especially the cheaper, greyer grades, are unbleached, although

today almost all South African mills have switched to bleaching with chlorine dioxide, which eliminates most dioxin pollution. m

E-learning classes tend to be up to 50% shorter in duration than traditional classes and, according to certifyme.net, retention of information is increased by up to 60%. This contributes to increased productivity, which in turn adds to further cost savings.

Being highly accessible, e-learning means that trainees can use it just about anywhere, at any time, on any device and it is intended to remove the focus from the trainer and transfer it onto the student, who is able to assess his or her own development as they progress with the course. Question types, time limits, pass marks and the type of assessment used, are tailored to each unique situation.

Africa has become the most dynamic e-learning market in

Your credit record is an important document which reflects important information about your credit history. All too often this credit report reflects your adverse credit history and any defaults (black listings) or court judgments which you might have had granted against you.

It is important to monitor your credit history as well as to know what the law states about how long any adverse reflections can be recorded against your name.

In terms of the National Credit Act Regulations – adverse consumer credit information includes: (a) adverse classifications of consumer behavior, include

subjective classifications such as “delinquent”, “default”, “slow paying” “absconded” or “not contactable”

and

(b) adverse classifications of enforcement action which are actions that are taken by credit providers and will be described as “handed over for collection or recovery”, “legal action” or “write-off”.

Once again it is important to emphasis the need to make payment arrangements with your creditors sooner rather than later. Should you neglect to pay your debts on time you run the further risk of tarnishing your credit history which will reflect on your credit report for a period a lot longer in most cases than the period that it would take to make payment arrangements with your creditors and to repay the debt.

Should you have fallen behind on your payment obligations then be pro-active and contact your suppliers and creditors now rather than run the risk of tarnishing your credit history.
