1 Introduction This section outlines the purpose of this manual and lists other technical manuals.

1.1 About this manual

The purpose of this manual is to provide technical details related to the Visma Nova program and the SQL Server, and to guide you through the installation of the software and the database server. A presumption in this manual is that you are familiar with the basics of the use of SQL Server. The manual is intended for persons authorised to install Visma Nova and for system administrators.

The text is primarily related to the Visma Nova program, but some content is solely related to the SQL Server database server.

Updating the software is discussed in a separate Visma Nova update guide.

1.2 Other documents

2 Quick installation guide This section outlines the installation process in brief.

2.1 User groups

Data security is based on user groups. User groups to be created on the server are described in the Database section.

 If your operating system supports user groups, create them during installation, including in the single user version.

In the domain network (MS Windows) users and groups are created in a domain. In work group networks, users and groups are created on the same computer that SQL Server is installed on.

2.2 Installation of Visma Nova

Perform the installation as follows and complete the About installation form at the end of this manual: 1. Ensure that Windows updates are up to date on both the server and the workstations. 2. Install SQL Server on the server. For supported Microsoft SQL Server versions, visit

www.visma.fi/ohjelmistovaatimukset. 3. Create user groups on the server and add users in the user groups. 4. Install Visma Nova Server in a shared directory on the server, such as J:\Nova.

Note! Visma Nova Workstation is also installed on the server for remote service purposes.

5. Install Visma Nova Workstation in a shared directory on the workstations, such as J:\Nova.

6. Start Visma Nova to create empty Visma Nova databases in SQL Server.

7. In the Infoline window | Company | General settings, verify that the Domain setting is correct.

8. Activate Visma Nova programs with the activation key. NOTE! Visma Nova software support for Windows XP ceased in April 2014, at the same time as Microsoft ceased its support for Windows XP. Therefore Visma Nova 9 and versions after 9 has not been tested on Windows XP workstations, and the new workstation version cannot be installed on computers running Windows XP: Hardware recommendations for Visma Nova software are available at http://www.visma.fi/ohjelmistovaatimukset. NOTE! Make sure that you have selected Finland on regionsettings! Windows Control panel | Region and there under Formats-tab Format = Suomi and under Location-tab Home location = Finland. Date formats are recommended to be maintained as shown in the picture below:

NOTE! In the time settings, make sure that the separator is a colon (:). In Windows 10, the default separator is a full stop (.), which has to be changed to a colon. The change must be applied to both the short and long time format under Additional settings – see the screenshots below from the Windows 10 operating system.

2.2.1 To display shared directories in the installation

If shared directories are not automatically displayed in the beginning of the installation,

you can display them in the installation program as follows

1. Run regedit program

2. In regedit, browse to:

HKEY_LOCAL_MACHINE/SOFTWARE/Microsoft/Windows/CurrentVersion/Policies/System

3. Create new DWORD (32-bit), name it EnableLinkedConnections and enter 1 as its

value.

4. Restart the computer

5. Shared directories should now be displayed in the installation program.

2.3 Local Visma Nova installation

Perform local installation as follows and complete the About installation form at the end of this manual: 1. Ensure that Windows updates are up to date. 2. Create user groups. 3. Add users in the created groups. 4. Install SQL Server Express. 5. To download the latest Microsoft SQL Server Express version, visit

http://www.microsoft.com/en-us/download/details.aspx?id=42299. ExpressAndTools 32BIT\SQLEXPRWT_x86_ENU.exe ExpressAndTools 64BIT\SQLEXPRWT_x64_ENU.exe x86 is intended for the 32-bit version of Windows x64 is intended for the 64-bit version of Windows

6. Select Visma Nova Server, Visma Nova Workstation and Crystal Report Runtime in the installer to install them all. Use C:\Nova, for example, as the installation path.

7. Restart the computer. 8. Start Visma Nova 9. 9. Databases are created automatically, so the first start-up takes longer than normal. 10. Activate Visma Nova programs with the activation key.

3 SQL Server Standard/Express Edition This section guides you through the installation of the SQL Server database server. You can also install the SQL Server Express Edition by applying the following instructions.

3.1 Before installing SQL Server

Log in to the server with System administrator rights. Make sure that the server’s operating system meets the requirement, that OS updates have been installed, that sufficient disk space is available and that the server can be restarted after installation.

3.2 Progress of the installation

When SQL Server installer is started, the following window is displayed:

Start of installation.

1. Select Installation from the menu on the left.

2. In the Installation window, select New SQL Server stand-alone installation or add features to an existing installation.

3. Enter the product key. In installation media ordered from Visma, this key has already been entered. Click Next to continue.

4. Accept the licence terms and click Next.

5. The installer runs automatically. If errors occur, write them down and follow the

instructions. (If necessary, select Re-run, or select Show details >> to see additional information on the errors. The screenshot below shows the installer requiring restarting.

6. In Setup Role, select SQL Server Feature Installation (default).

7. Select components to be installed in the Feature Selection window. Select at least the

following components (as in the screenshot). Database Engine Services

8. In the Instance Configuration window, select Named instance and enter ‘Nova’ in the

text field.

9. In the Server Configuration window, select the starting of SQL Server services and set

the ID to be used to start them. We recommend default settings (as shown in the screenshot below). Select Automatic as Startup Type for the following services: - SQL Server Agent (not available in the Express Edition) - SQL Server Database Engine - SQL Server Integration Services - SQL Server Browser (define to start-up LOCAL SERVICE). - The Startup Type for the SQL Full-text Filter Daemon Launcher can be left as

When definitions are complete, move to the Collation tab.

Installation phase 9.

10. Click Customize... and set Database Engine on the Collation tab to

Finnish_Swedish_CI_AS. After configuring the Collation settings, click Next to continue.

Installation phase 10b, Database Engine Collation.

11. In the Database Engine Configuration window, select Mixed Mode (SQL Server

authentication and Windows authentication) on the Server Configuration tab. Enter your SA password NovaPro123 (default) in the Enter password field and confirm it in Confirm password. Click Add Current User to add System administrator in Specify SQL Server administrator. If required, you can add a System administrator group.

Note! If the company’s data security regulations/guidelines require a more complex password, comply with the requirements.

Installation phase 11.

12. Go to the Data Directories tab. To save databases on another physical hard disk,

determine the paths in the fields, for example D:\Novatietokannat\Data for databases and D:\Novatietokannat\Backup for backup copies. After determining paths, click Next to continue installation.

13. In the Ready to Install window, check that all settings are correct and click Install to

start the installation.

14. In the Complete window, click Close to exit the installer.

15. In the SQL Server Configuration Manager, check that the following protocols are

enabled in SQL Server Network Configuration Protocols for Nova: - Shared Memory - Named Pipes - TCP/IP

16. Restart the computer and make sure that all SQL services have started from SQL

Server Configuration Manager and that their start mode is Automatic.

4 Installation of Visma Nova programs This section guides you through the server and workstation installation processes for Visma Nova programs.

4.1 Before server installation (also applies to single-computer environments)

Note! Network sharing is not done in single-computer environments because Visma Nova is installed in a directory such as C:\Nova.

When installing from the server, define [J:] file sharing even though the file sharing refers to the server’s physical disk. An example of J file sharing: Directory D:\Novajako\Nova exists on the server. The Nova directory is shared in the network between the desired users or user groups with modification rights. Connect network drive [J:] \\servername\novajako\. This manual presumes that the user has logged in to the domain and/or server with system administrator rights an operating system supported by Visma is installed on the server, with the latest

Windows updates there is enough free space on the server Take Microsoft.NET Framework 3.5 features into use (Windows Control Panel ->

Programs and Features -> Turn Windows features on or off). Microsoft.NET Framework 4.5 or later has been installed on the server. Only

Microsoft .NET Framework 4.5 Client is not enough! the installer enables the Microsoft Message Queue (MSMQ) service.

o If for some reason the MSMQ service is not activated automatically, it must be enabled manually: Control Panel -> Programs -> Programs and Features -> Turn Windows features on or off -> select Microsoft Message Queue (MSQQ) and click OK to activate.

o OS-specific instructions can be found at http://msdn.microsoft.com/fi-

fi/library/aa967729.aspx. Note! We recommend that you disable User Account Control whilst the Visma Nova installation is taking place.

4.2 Installation on server (also applies to single-computer environments)

1. Download the installation package from Visma Community: Visma Nova Ohjelmistopäivitykset: https://community.visma.fi/ (you need to register and log in to Visma Community before downloading installation packages). Copy the installation package, for example, at the root of the [J:] drive for workstation installation.

2. Unzip the downloaded installation package to the C:\TEMP directory, for example. 3. Run Setup.exe as a system administrator (right-click setup.exe Run as

Administrator).

4. Select the installation language and click Next >.

For new installations, we recommend that you select all applications: Visma Nova Server

o Includes the components to be installed on the server (.exe, .rpt, .sql and .pdf files)

o In multi-computer environments this is only installed in a shared directory on the server, such as J:\Nova

o In single-computer environments, this is installed in the directory C:\Nova, for example.

Visma Nova Workstation (always compulsory) o Installs and registers program libraries used by Nova (.ocx, .dll) o Installed on all computers that are used to run Nova o In multi-computer environments this is installed in a shared directory,

such as [J:\Nova] o In single-computer environments, this is installed in the directory

C:\Nova, for example. Crystal reports runtime

o Needed for printing reports o Installed on all computers that are used to run Nova

6. Click Install to confirm the applications to be installed. If necessary, you can click < Back to change your selections.

7. Click Next to start Visma Nova Server installation.

8. Enter the installation path or click the ... button to select it. After selecting the

installation path, click Next. The program is installed in a shared directory, such as J:\Nova. In single-computer environments, it is installed in a directory such as

C:\Nova.

14. In the summary window, click Finish to complete the installation.

15. Click the desktop shortcut (J:\Nova\my\Infoline.exe or C:\Nova\my\Infoline.exe) to start Visma Nova.

16. Select the language to be used in Visma Nova and click OK.

17. Click OK to log in to Visma Nova and create Nova and YR0 (demo company) databases.

Installation phase 17. Server: the name of the computer in a single-computer environment.

18. Create shortcuts.

19. Activate Visma Nova. Click the button in the top right corner of the start-up screen

to determine the settings. Select Activation in Management. Activate Visma Nova with the activation key provided by Visma.

20. Click the button to log out.

21. Restart Visma Nova and click the button in the top right corner of the start-up screen to determine settings. Select New company under Company.

Use default options and click OK to configure a new company.

22. The Visma Nova installation is complete.

4.3 Before workstation installation (multi-computer environments)

In a network environment, the workstation must be connected to a network drive, such as [J:] \\servername\novajako\. Make sure that you have logged into the workstation as system administrator an operating system supported by Visma is installed on the workstation, with the

latest Windows updates there is enough free space on the workstation Take Microsoft.NET Framework 3.5 features into use (Windows Control Panel ->

Programs and Features -> Turn Windows features on or off). Microsoft .NET Framework 4.5 or later has been installed on the workstation. Only

Microsoft .NET Framework 4.5 Client is not enough! the installer enables the Microsoft Message Queue (MSMQ) service.

If for some reason the MSMQ service is not activated automatically, it must be enabled manually: Control Panel -> Programs -> Programs and Features -> Turn Windows features on or off -> select Microsoft Message Queue (MSQQ) and click OK to activate. OS-specific instructions can be found at http://msdn.microsoft.com/fi-fi/library/aa967729.aspx.

Note!. We recommend that you disable User Account Control whilst the Visma Nova installation is taking place.

4.4 Installation on workstation

1. Copy the installation package from the root of the [J:] drive to the C:\TEMP directory, for example.

2. Unzip the installation package in the destination folder.

3. Run Setup.exe as a system administrator (right-click setup.exe Run as Administrator).

4. Select the installation language and click Next >.

5. Select the applications to be installed and click Next >. You will need the following applications on the workstation:

o Visma Nova Workstation (always compulsory) o Installs and registers program libraries used by Nova (.ocx, .dll) o Installed on all computers that are used to run Nova The program is installed in a shared directory, such as J:\Nova

o Crystal reports runtime Needed for printing reports Installed on all computers that are used to run Nova

4.5 Installation of Nova in the Program Files directory

Installation of Visma Nova in the Windows Program Files directory is possible and an alternative method if you detect problems when using Nova online. This installation method also enables, for example, a sensible administration of YR directories and configuration files, such as user-level protection and backup copying. In practice, this installation method means installing the Visma Nova Server and the Visma Nova Workstation on the workstation computer, and specifying a shared directory for the program that Nova uses as the location of shared configuration files. Note! This installation method is intended for advanced users. This installation method is subject to the same requirements as a server installation. For more information about this installation method, please contact Visma. Installation progress:

5 After installation This section guides you through the actions to be taken after installation.

5.1 After SQL Server and Visma Nova installations

After installation, configure SQL Server and agree with your Visma Nova administrator on details related to maintenance and settings, such as backup copying of SQL Server databases and Visma Nova files. Document the tasks to enable practical maintenance (see About installation).

You cannot copy the SQL Server database without stopping the services when it is running. Take this into consideration when taking backup copies of the server, to make sure that the backup copying device does not attempt to copy databases that are currently in use but only copies the backup copies made by SQL Server. For this you need SQL Server’s backup copying tools.

6 Database Visma Nova’s database is Microsoft SQL Server. This section discusses the structure, data security and capacity of the database.

6.1 Objects

6.1.1 Databases Visma Nova uses one shared Visma Nova database and company-specific YRx databases where x is the number of the company. Visma Nova and YR0 databases are automatically created during the first start-up. The program also creates a dedicated database for each company. Creation of a database takes 1–6 minutes, depending on the capacity of the device.

6.1.2 Tables Databases consist of tables where data is saved. The tables are created using TB_ scripts.

6.1.3 Views Views are needed to process table data. Each table usually includes several views that are used for different purposes. The views are created using V_ scripts.

6.1.4 Functions and saved procedures A part of the logic of the programs is in functions and in stored procedures. The functions are created using F_ scripts.

6.3 Data protection

The program assigns default protections for different user groups in the database. Each Visma Nova user must have their own Windows username. Note! Visma Nova cannot be used from several workstations simultaneously using the same username.

6.3.1 User groups The Visma Nova installer does not create Windows user groups on the server. If your operating system supports user groups, we recommend creating them during Visma Nova installation, also in single-computer environments.

Operating systems that do not support user groups are generally Windows versions intended for home use.

Create user groups and add username/usernames into the desired groups as per the table below (note the capital letters in group names) before installing Visma Nova.

Note! The same username cannot be added to all Nova user groups. However, a user may belong to several Nova user groups simultaneously.

User group Description

NovaUser All users have to belong to this group, with the exception of NovaWOKAcceptor users.

NovaSuperUser Users in this group have access to all functions. The system admin has to belong to this group. Only NovaSuperUsers are allowed to update the database. NovaSuperUsers also have to belong to the NovaUser group.

NovaLedger Members of this group have access to the accounts payable and receivable, and they have rights to edit the company’s account scheme and program settings. By default, the group members have full access to the following tables: - lasku - laskurivi - maksu - maksusuoritus - johdon raportointi - tilastot. Members of this group should NOT belong to the NovaCashier group.

NovaPayroll Wages clerks have to belong to this group, and they have full access to the following tables: - ptapah - pkausi - plhenkilo - plaji Members of this group have the rights to edit the company’s account scheme and program settings.

NovaBookkeeper Members of this group have access to bookkeeping and the following tables:

6.3.2 Data protection scripts Data protection scripts are assigned during the creation of databases and during updates. Data protection scripts are run in connection with running the SQL scripts, by selecting ‘Run data protection scripts’ in the SQL script screen (selected as default).

The SQL run screen is displayed.

Click the button in the top right corner of the start-up screen to determine the settings. Select Run SQL scripts in Management.

If the data protection scripts do not go through, data protection is inadequate or non-existent or you cannot log in to Visma Nova using Windows authentication. The problem can be fixed by logging in to Visma Nova using SQL login and running the SQL scripts.

7 Files This section describes the directory structure, INI files and user-specific files of Visma Nova programs.

7.1 Directory structure

The Visma Nova installer creates the following directory structure:

Use the default directories to facilitate maintenance, even if you could install in another directory. NOVA, with its subdirectories, can be located under any directory. On workstations you should connect disk drive J to the directory above the NOVA directory. For example, \\server\sharednova\nova: J: = \\server\sharednova.

7.1.1 BACKUP (EXPRESS) Backup copying of databases can be scheduled to take place automatically, or it can be done manually using BackupExpress.cmd files. Run these files on the computer where the Express database engine is installed.

Note! BackupExpress.cmd does not take backup copies of the Visma Nova installation folder.

To schedule backup copying, contact your Visma Nova retailer who is authorised to install the program.

7.1.2 User-specific directory In addition to the directories described above, the program also creates a dedicated directory for each user. By default, this directory is saved under the company directory. The directory for a user named JOHNSON in the first company would be \NOVA\YR1\JOHNSON. This default can be changed through the user-specific settings on the start-up screen. You can direct user-specific files to the workstation. This is useful, especially when using slower line connections. User-specific files are used to save table definitions and the size and location of windows, among other things.

However, please be careful when using this function. If you use Visma Nova on two different workstations and the path is defined, there are also two sets of settings.

7.1.3 Company-specific information Almost all company-specific information is saved in the database YRx. However, some control data is also saved in INI files. These files are by default saved in directory ..\NOVA\YRx.

7.2 INI files

Some information is saved in INI files.

INI file Description

NOVA.INI This file is located in the directory ..\NOVA, and it includes general settings that apply to the entire program.

application.INI Application-specific information. The file is located in the directory ..\NOVA8\TH. The name of the file is in the format ‘applicationid.ini’ (for example, LA.INI, KP.INI).

YR.INI File for company-specific settings, located in the company directory.

companyapplication.INI Company-specific and application-specific information. The file is located in the company directory, and it is named following the same principles as the application.ini files.

FORMS.INI Initial window values and sizes as well as the location of windows are saved in the user-specific directories.

The most usual file is FORMS.INI. In this file, a dedicated section is saved for each opened window. The name of the section consists of an application ID and the internal name of the window.

7.2.1 Manually maintained values Not all parameters are controlled with control files. These values are listed here. YR.INI
