RATE AGREEMENT FOR 01 April 2016 – 31 March 2017
Rate agreement between the trustee Howden Manor Trust on behalf of Villa Howden (hereinafter referred to
as “the HOTEL”) and your company (referred to as “the COMPANY”)
1. HOTEL INFORMATION Villa Howden is located on the tranquil shores of the North West Bay. Nestled on its peaceful banks, the Estate’s landscaped gardens and natural serenity provides a picturesque backdrop for business and leisure travellers alike making it the perfect Hobart hotels choice.
Villa Howden offers luxury boutique accommodation and the ideal locations and venues for intimate celebrations and quiet contemplation. Lovers of boutique hotel experiences, bridal parties and corporate groups will all find themselves blissfully welcome at our peaceful Estate.
Location The HOTEL is located just 15 minutes from Hobart CBD (central business district), on the edge of the Huon Valley tourist route. Villa Howden is an ideal base from which to discover the magnificent views from Mount Wellington and all that Hobart and the Huon Valley have to offer. Guests arriving into Hobart airport will drive into Hobart and then follow the signs to Kingston/Huonville, taking the bypass at Kingston and then follow the ‘Margate’ sign (4th exit) at the roundabout. From Hobart CBD approx. driving time is 15 minutes and from Hobart Airport is approx. 35 minutes.

*At time of contracting the Villa Howden Dining Room is open to guests and the public for dinner Tuesday to Saturday nights (only) and confirmation of dining times each evening are required for catering purposes. Some nights a simple menu such as mezze, cheese and charcuterie board only are available.
Room facilities The property has 10 luxurious suites. All Suites have the same amenities and furnishings, however each are unique with differing styles and colours and are set out differently due to the nature of the building and the shapes of the individual suites. Each room has a mini bar, Nespresso machine, iPod dock, flat screen television with complimentary satellite connection, couch, wardrobe with robes and slippers, bed side tables and lamps, separate bench or table in the bathroom for the guest’s amenities. The suites all contain the Australian Serendipity line of amenities. Each Suite comes with its own unique teddy bear. Teddy is your ‘Do Not Disturb’ – put him outside the villa door and he will guard the Suite so guests are not disturbed. *Villa Howden teddy’s are available for purchase as reception. Villa Suite (x 7) 7 Villa Suites are available throughout the property including an ‘equal access’ room on the ground floor of the main hotel. The equal access room is Room 1, La Bande Noir. There are two suites (villa’s 9 & 10) that are located adjacent to the main hotel building. These two separate suites can be split into twin (king-‐zip) and are ideal for triple share or small families The ‘equal access’ room in the main hotel also has twin-‐share with a total of 3 twin-‐share rooms available. All have walk-‐in ensuite with shower (no bath tubs). These suites have a mixture of Queen or King bedding.
Water View Villa Suite (x 2) 2 Water View Villa Suites have views over the landscaped gardens and outside buildings across to the North West Bay located directly in-‐front of the property border. Both rooms have Juliette-‐style balconies. Views vary from suite-‐to-‐suite. All have open walk-‐in ensuite bathroom with shower (No bathtubs). Maximum occupancy is 2 guests.
Tower Suite (x 1) 1 Tower Suite located on the top level of the hotel (2 flights of stairs/no elevator). The suite is very spacious and is ideal for honeymooners and longer stay guests looking for something special. High vantage point with a Juliette-‐style balcony and two additional bay windows looking over the landscaped gardens and across to the North West Bay. The open-‐plan bathroom has a separate deep claw foot bathtub with view over the water. This room can take up to 3 adults with a rollaway.

Child policy: Whilst children are welcome, Villa Howden is not designed as a family hotel. Please note that there are a number of stairs and unfenced water-‐features throughout the property including open access to the waterfront of the North West Bay. We welcome children but parental supervision at all times must be adhered to. Check-‐in/out times: Check-‐in 2.00pm / Check-‐out 10.30am
Room service: Limited room service is available during reception hours (only) via prior arrangement with the hotel and will incur a surcharge.
Smoking: All indoor areas, including suites and public spaces of Villa Howden are strictly non-‐smoking. Smoking is permitted in designated outdoor areas only. Smoking in rooms or on balconies of rooms will incur a cleaning charge of $250. 2. Rate inclusions: Gourmet breakfast daily, use of chateau grounds including grassed lawns for Croquet, a Petanque Court and indoor salt water heated swimming pool for year round comfort. There are many private guest areas such as the guest library, piano lounge, sunroom, terrace area and a deck overlooking North West Bay. For the cooler months, there are two open log fire places, one in the guest lounge and one in the sunroom. Honeymoon Offer: Honeymooners receive a bottle of Tasmanian sparkling wine on arrival. Must be noted in booking request. Bonus Night Offers: Stay 3 Pay 2 – Valid from 1 May to 31 August, 2016 Stay 4 Pay 3 – Valid from 1 April 2016 to 30 April 2016, 1 September 2016 to 16 December 2016 and 9 January to 31 March 2017.
Minimum stay: Minimum two night stay is required over Christmas and New Year period, referred to as ‘Festive’ from 17th December 2016 to 8th January 2017 inclusive. Package rates or Special offers are not available over this whole period. Blackout dates apply to some dates throughout the year at the discretion of the HOTEL.
Minimum two night stay is recommended for all other times of the year.
4. BOOKING CONDITIONS
1. Rates The accommodation rates provided in this document are based on the following conditions:
i. All rates are quoted in Australian dollars ii. Rates are valid from 01 April 2016 to 31 March 2017 iii. Rates are inclusive of 10% Goods & Services tax iv. Rates may alter due to changes to, or imposition of, government charges or taxes or economic
environment at the discretion of the hotel v. Nett rates are per suite, per night, and non-‐commissionable
vi. Rates are valid for FIT (individual travellers) and non-‐exclusive leisure group business only
Rates for conference, incentive and event business are on request vii. Published rates should be based on the retail rate as provided in this document. Any variation
to this must be authorised by the HOTEL
2. Payment policy i. On confirmation Booking must be guaranteed on confirmation with a credit card. If credit card details are not supplied, full payment is required within 7 days of confirmation ii. Final payment Full payment is required no later than 30 days prior to arrival.
Where credit facilities have been approved, payment is strictly on the 10th of the calendar month following the service provided or as per agreed between Villa Howden and the COMPANY. Please request Credit Application Form by email: [email protected]
Payment Procedure All amounts are payable in AUD based on NETT rates as provided in this document. Bank charges incurred in transferring funds are not undertaken by the HOTEL.

4. Arrival and departure details Arrival and departure details and times are to be provided to the HOTEL prior to arrival. Guests self-‐driving need to advise approximate arrival time. Reception hours at Villa Howden vary and failure to provide arrival times may cause inconvenience to guests who arrive after reception is closed. Villa Howden is able, as part of our high service standards, to assist guests in arranging private transfers (additional cost) by contacting the HOTEL directly 7 days prior to arrive (non-‐commissionable). Contact details for the HOTEL reception desk are (03) 6267 1161. Please include this on documentation.
5. Amendment policy within 7 days
Ø One change of date allowed utilising prepaid amount Ø The difference must be paid should the room rate for your new booking be higher than the original room
rate Ø The new booking must be for stay within 6 months of the original arrival date, or amount prepaid is
forfeited. Ø Prepayment amount is forfeited if new booking is cancelled, regardless of when the cancellation is advised
6. Cancellation policy
Ø 7 days or more prior to arrival – no cancellation fee applicable Ø 3-‐6 days prior to arrival – a fee equivalent to 50% of total cost of booking (per room cancelled) applies Ø Within 48 hours of arrival – cancellation fee equivalent to 100% of total cost of booking Ø “No Shows” or early departures are subject to a cancellation fee equivalent to 100% of total cost of
booking
Ø Touring Policy – any payable touring/activity booked as a Villa Howden package by the COMPANY on behalf of the client (in-‐house guest) will be the responsibility of the COMPANY once confirmation has been received and advised to the COMPANY. All tour operator policies, including amendments and cancelation must be adhered to based on the tour/activity operator’s booking conditions. The client (in-‐house guest) is fully responsible for ensuring re-‐confirmation with tour/activity operator as per given instructions, including checking that the tour is operating where weather or minimum numbers can be an influential factor in the tour being able to operate.
7. Extended stays
Where guests extend their stay whilst in-‐house no additional commission will apply on the booking.
8. Travel insurance No refund can be given in the event of non-‐arrival, any unused services, or unused nights due to flight disruption/weather conditions and the HOTEL strongly recommend guests take out travel insurance to cover for all and every such events.
9. Groups Definition: Bookings of 6 rooms or more is considered a group booking. Groups of 6 or more rooms are accepted on an exclusive use basis only, conditions apply. Group FOC Policy: FOC room not offered
10. Group booking conditions i. On confirmation
A deposit representing one night’s accommodation is required within 21 days of the confirmation date to hold the booking.
ii. Final payment The balance is due 60 days prior to arrival. Full payment is required for bookings
made within 60 days of arrival date.
Where credit facilities have been pre-‐approved, a deposit representing one night’s accommodation is required within 21 days of the confirmation date. Balance is payable within 30 days of invoice.
11. Group cancellation policy Group cancellations must be received in writing. Cancellation fee schedule is as follows:
Ø 60 days or more prior to arrival -‐ full refund of deposit Ø 59-‐30 days prior to arrival – cancellation result in forfeiture of deposit (one night’s accommodation per room
booked), based on original booking date. Ø Within 30 days of arrival -‐ cancellation fee equivalent to 100% of total cost of booking (per room booked), based on
original booking date. Ø No refund can be given in the event of a group non-‐arrival, or early departure.
12. Group rooming list requirements Final rooming list and any special catering requirements are due 30 days prior to arrival.
13. Groups -‐ other Due to the intimate nature of Villa Howden the Dining Room has maximum capacity of 50. The Sunroom can accommodate up to an additional 24 guests.

17. The HOTEL reserves the right to terminate this Agreement at any time in the event that the COMPANY fails to comply
with the terms of this Agreement. Failure by the HOTEL to enforce at any time any of the provisions of this Agreement shall not be construed as a waiver of any rights nor affect the validity of the Agreement nor prejudice the HOTEL as regards subsequent action. 18. This Agreement shall be governed and construed in accordance with the laws of the State of Tasmania and the
