About this release Athena Software is pleased to announce the release of Penelope v4.8.0.2 LTS.

Please review previous release notes if upgrading from a version prior to Version 4.1. Crucial information regarding upgrade details specific to each version are included in the applicable version’s release notes.

This upgrade contains important security measures designed to keep your system safe. We consistently monitor and update the security of Penelope to ensure your data is protected. It is always important to stay up-to-date with the most recent version of Penelope to ensure you are using the most secure version of the software.

About the Technology Refresh We have been working hard on a number of feature-upgrades, system redesign elements and behind the scenes innovations that help deliver significant improvements on a number of important fronts:

• Security • Performance and reliability • Extension of Penelope to support direct / public access by Clients and later, Third Parties • Audit-ability • Browser Compatibility • Cloud Infrastructure Enhancements

Importantly, to support these comprehensive upgrades, we will be migrating all existing clients on the Long Term Release (or earlier versions) of Penelope to the “Edge Prime (Future LTS)” release in the July-October period this year. That Prime version of Penelope will become the new Long Term release. After this point, older versions of Penelope will no longer be supported and agencies will have the choice of staying with this new Long Term Release or the new series of Edge releases.

If you are a self-hosted (non-Cloud) Penelope client, this upgrade process involves a fairly significant set of requirements for your internal IT technical team. You may wish to use this opportunity to make the switch to our secure cloud services as taking care of the technical aspects of your system is just one of the many benefits of Penelope as a Service!

What is a Long Term Release? This is a supported version of Penelope that has security updates during its lifecycle but no other features or functionality enhancements. This is helpful for organizations that want to deliberately plan how they roll out new functionality according to their own timescale as opposed to when Penelope updates are available.

What is an Edge Release? This is a supported version of Penelope that has both security updates as well as other features or functionality enhancements. This is helpful for organizations that want to take advantage of all the latest features added in Penelope or stay up to date with any third-party synchronizations (for example, DSS or NDIS).

SSL Penelope will now only operate using SSL encryption (i.e. Penelope must be accessed using the https:// version of your URL instead of the http:// version). If a user navigates to an http URL an error page will be displayed indicating they have used an unsupported protocol and will provide the appropriate URL.

If you are a SaaS client, we have you covered! Any changes to your URL will be communicated to you by the Technical Support team at the time of upgrade. If you are a self-hosted client, you will need to purchase a SSL certificate from a Certificate Authority (typically obtained through your web hosting provider). Documentation Set up SSL in Resin

Postgresql The most recent version of Postgresql (9.6.2) provides greatly improved security, performance and stability - supporting faster response times under heavier usage loads. This upgrade should not impact any of the reports or import/export routines you may have in place and you can continue to use Postgres 9.2 if you prefer.

Resin Upgrading to the most recent version of the application web server (4.0.51) will help improve the system’s overall performance, stability and security. This upgrade will also ensure readiness for the upcoming Client Connect portal.

Discontinuation of Java 6

The use of Java 6 on servers running Penelope will no longer be supported. Java 7 Update 79 CPU will now be the minimum version supported for use with Penelope.

Browser support Internet Explorer 11 is now supported for use with Penelope! In the new LTS, you cannot access Penelope using Internet Explorer 9 or 10. If you attempt to access Penelope using one of these browsers, you will be presented with an error message stating “Your browser version is no longer supported. Please see the technical requirements for Penelope”. IE 9 and 10 have reached their “end of life” as supported browsers from Microsoft so, in accordance with our security policies and practices, these browsers will no longer be supported by Athena Software. Penelope Online Dashboards powered by Reports

Athena Software now offers a special online subscription service that utilizes the reporting engine Tableau to provide a suite of online reports based on data from your Penelope database. Tableau is an online reporting and Dashboard tool that helps you see and understand your data. By connecting to your Penelope database, Tableau generates visualizations of metrics based on a configured data set. Twelve Tableau Reports have been introduced for all agencies that have purchased a Tableau package. They are now available for use with Tableau when the agency is running this version (or higher) of Penelope and have the applicable Tableau package.

Rapid Scheduling A new Assignment tab has been added to the Agency Events page that provides the ability to find all events currently booked in a time frame with no attending worker or with a specific attending worker. Using Rapid Scheduling, you can quickly assign the events to another available worker.

Personal Demographic Information

The Personal Demographic Information feature in Penelope includes a series of drop-down lists for collecting demographic information for clients. These include Race, Ethnicity, Sex, and Language and the list options are representative of standards in the United States. Use of the Personal Demographic Information feature is optional. When the feature is enabled, the following will occur:

• The standard Gender field will be relabeled to Sex

• The standard Language field will be hidden and replaced with a Demographic Standard Module version

• A new Ethnicity field will appear • A new multi-select Race field will appear.

All values for the Race, Ethnicity, and Language fields are set per common standards, but the values for the Sex field is configurable. If enabled, these fields will be required on the Intake Wizard and Add Individual screens, and when editing existing individuals. Agencies will be able to set default values in the Individual Setup on the System Administrator side.

To use the Personal Demographic Information fields, you must enable the setting from the System Administration side of Penelope and configure your default settings. Clickatell Platform and Message Media SMS gateway providers

Two new SMS gateway providers have been added to Penelope: Clickatell-Platform and Message Media, Note: Clickatell-Platform is compatible with Clickatell accounts created Nov. 2016 and onwards.

Barclaycard payment option

The Credit Card Integration Module is now compatible with Barclaycard (in addition to our existing options of Worldpay and SecurePay).

While both the DSS and NDIS modules are available in the v4.8.0.2 LTS release, we strongly advise that Australian clients submitting to DSS or NDIS run the most up-to-date Edge release as continual updates are anticipated to meet the changing Australian government systems. In-browser attachment viewing When you download an attachment from Penelope, the file(s) will now open in a new browser tab (depending on the file type and user's browser settings/preferences). This enhancement makes it possible to view attachments on mobile devices that don’t have file attachment directories (for example, iOS devices).

Fix for attachments with the exact same date/timestamp on the same record

When more than one attachment is uploaded to a single record at the exact same date and time (to the millisecond) on a single record, each attachment will now all appear in the download tab of the Attachment sidebar. Note that this issue most commonly occurred during attachment migrations.

Australian Post Codes

Update of AU postal Codes For Agencies that have purchased a copy of the Australia Post's Post Code list, a script can be ran on their database to insert/update the suburb/post code tables to match the most recent list provided by Australia Post. Updated algorithm for verification codes issued by Penelope

As an added security measure, a combination of characters and numbers are now used when generating verification codes.

Updated password length limits for external tools

The password fields for the External Communications (email and SMS), ORS/SRS, Credit Card, and DSS modules have been updated to allow for saving a password of unlimited length.

Ability to add any clinical-based worker as “other” to Service Files

A new Security Class setting called Allow for Adding any Clinical-Based Worker as Other to Service Files in the Case and Service File Security Settings section has been added. When enabled, allows the user to add another clinical-based worker as the Other worker on a Service File regardless of other site or case service-based security settings in place.

Worker accounts added will not automatically lock after 7 days

Newly created worker accounts in Penelope which have not yet had a password set for the account will remain unlocked even after 7 days. When combined with the password reset feature, this enhancement enables the new user to set their own password without the person who created their account having to set and provide them with an initial one.

Independent enable/disable for Authentication e-mail

Authentication email now can be enabled/disabled independently of the External Communication email to allow for 2-step authentication and password reset communications to be sent even if all other external email communications are disabled.

Password expiry time frame The password expiry time frame validation has been updated to ensure that all users passwords are being set to expire at the correct interval set in the Security setup on the System Administrator side.

System Administrator-generated PINs

When a System Administrator account generates a PIN for 2-step authentication for a user, the PIN will now be valid for 24 hours. Note: A System Administrator-generated PIN overrides any PINs generated for the account by the user.

In accordance with EDI standards, the Organizational Rendering Provider details will no longer be pulled into the EDI file as part of the 2310B loop

Removal of Organizational Rendering Provider

The Organizational Rendering Provider configuration for EDI files has been removed from Penelope. The only rendering provider line that will be created within an EDI fill will now pull from the worker rendering provider details. Billing Provider and Service Facility Provider information will pull from the main Agency setup information.

Enhanced CMS Setup label display The labels on the CMS Setup page on the System Administrator side of Penelope now display the full text.

Rendering Provider in box 24J on CMS 1500 form and previews

The rendering provider in the 24J boxes on the CMS 1500 form and previews will now populate with the same information as the EDI 837 file, including where a rendering provider other than the primary worker is being used.

Rendering Provider in loop 2420A and 2310B

The EDI rendering provider (2420A and 2310B) loops will be omitted where the worker's rendering provider field is blank thus ensuring the agency (the billing provider name appearing in 2010AA) is “applied” for that claim.

The Policy Authorization number to no display in the Line loop unless different from the Claim loop value

When the Policy Authorization number (G1) has the same value in the 2300 and 2400 loops, the number will only display in the 2300 loop. The 2400 loop's G1 code will only appear where the Line's Policy Authorization number is different from the Claim's (2300) Policy Authorization number.

EDI Version on the 837 Detail page displays the version the file was generated for

The EDI Version field on the 837 Detail tab will now display the EDI Version the EDI 837 was generated for (i.e. 005010X222A1 vs. 004010X098A1).

$0 Service Units Billing to Funders Service units can now be setup in policies and coverages to bill to funders at a rate of $0. A filter has been added to the criteria section of the Generate invoices in batch mode page to allow for filtering for service units billing at a rate equal to $0 or greater than $0 only when generating batch invoices. Note: When a service unit is billing at a rate of $0 to a funder Co-Pay and SSQ is disabled for the service unit in the policy/coverage.

New “Invoice Preview” option An “Invoice Preview” is available for unposted invoices on the Batch and Invoice pages. An Invoice Preview is a copy of the invoice with a watermark containing the text “Invoice Preview”.

Search by Site Tree on Generate Invoice in Batch mode

When on the Generate Invoices in Batch mode page, the Site filter in the Batch Selection Criteria section now has the Site tree checkbox to allow searching available line items by a site tree or a single site.

Ability to set Credit Card Setup back to “-select-”

When the gateway provider field is reset to “-select-” and the status is set to inactive, the setup configuration will now be able to be saved. This will hide the previous credit card provider setup box so as to prevent further editing of that credit card gateway provider's details.

Department tree structure The following enhancements have been made to Departments:

• Departments (on EAP-based Funder Profiles) can now have a multi-layered hierarchical tree structure.

• Departments have a separate page where additional information will be tracked and the relationship of Departments branches will be displayed. Departments can be added to the existing tree structure on this page as well as make an existing Department inactive.

• A new “Department” sub-tab of the Funder search tab can be enabled. To enable this option, on the System Administrator side, in the Funder Setup page, enable the “Department Search Enabled” setting to allow for searching and displaying a list of departments by funder.

• The Department “Name” field now allows for up to 50 characters while the “Description” field now allows for up to 200 characters.

• On the Department page, all Individuals currently assigned to that Department (as Policy Members) can

now be reassigned to another department on masse (the Policy Member Department field is updated).

• When A Funder is not editable (for example, when set to “inactive”), a user will be unable to add or edit any Department associated with that Funder.

Funder state Funders can now be made inactive. When a Funder is inactive, it will not appear in drop-down menus and suggest lookup lists. If a Funder is made inactive, existing Policies for that Funder will not be made inactive. You will still be able to complete billing for existing Policies.

Funder Type 2 drop-down no longer required unless configured

The Funder Type 2 field on the Funder Profile will now only be required where it has been explicitly set as a required field on the System Administrator side of Penelope.

Modified stamp is not updated when applying amounts on receipts

When applying amounts to payments and credits, the modified stamp on the receipt page will no longer be incorrectly updated with a new date and time. The modified date and time will remain to be based on when the Receipt itself (payment or credit) details are modified as intended.

Update Fully applied date when updating payments, credits, and debit dates

When a Payment, Credit or Debit date is modified, the fully applied date will be updated if the financial document has been fully applied.

Default Funder Class setting on Funder Setup

On the System Administrator side of Penelope, in Funder Setup, a new “Default Funder Class” setting is now available. If desired, you can set whether Insurer, EAP, or neither Funder Class is the default option when creating new Funders.

Funder Class field cannot be modified once set to EAP

Once a Funder has been added with or edited to the Funder Class of “EAP”, it can no longer be changed to the Funder Class “Insurer”.

Funder and Department Suggest Lookup option

A new setting to only use Suggest Lookup lists for all instances where Funders and Departments appear as list values. Note that the results displayed will be limited to active values only.

Honoring tab order on Funder profile

Users will now be able to use the tab key to navigate through the fields on the Funder Profile.

Removing an Invoice from a Batch updates number of invoices

When an invoice is deleted from a batch, the number of invoices calculation on the batch will now be updated to correctly reflect the deleted invoice.

Tab order on Funder Profile honored

The Funder Profile tab order is now honored allowing users to navigate the page using their keyboard and the tab key.

Batch invoice only includes Service Units from within the selected date range

Confirmation when modifying a Case Service name

When the name field on the Case Service setup page has been modified, the user will receive a warning on attempting to save changes to the setup indicating they have modified the name. The user will be able to click “ok” to save the changes or click “cancel” to return to the edit screen to cancel or make further changes.

Client able to indicate consent for communication when email and/or SMS fields are empty

When the “Client Consents to Receive” fields are set to email or SMS and the Contact Type value is then removed (i.e. set to an empty value), the user will now receive a warning indicating that a contact method is required when attempting to continue or finish the Intake Wizard or Add Individual processes.

"Show More/Less" Link on Collateral Contact Box
