This guide is intended for system administrators who use the Actifio Report Manager. It assumes basic familiarity with storage concepts and knowledge on Actifio CDS and Sky appliances.

Report Manager OverviewThe Actifio Report Manager is a web based reporting service that enables you to generate various reports to analyze and understand copy data management in your organization. The Actifio Report Manager can be installed on a VMware ESX server 5.5 or higher in your network as an OVA template, and in a Hyper-V environment using a VHDX disk image. After installing the Report Manager you can login and configure one or more Actifio CDS/Sky Appliances to work with and generate the reports.

You can use the Actifio Report Manager to perform the following tasks:

• Create, View, Search, Run, Schedule, and Save reports.

• Monitor and manage all your Actifio Appliances data from a single Report Manager instance.

• Add and Delete Actifio Appliances for which reports are generated.

• Change the Authentication server to allow access to users belonging to various appliances.

• Schedule and manage email subscriptions to roll out reports to a large recipient list.

• Customize reports with saved filters, formatting and other options.

• Export reports in various formats to analyze the data in your organization.

User Login Types and FunctionsActifio Report Manager supports the following user login types:

• superuser

• Actifio Appliance Users

Superuser

The superuser login allows you to perform all the administrative tasks such as adding and deleting appliances, switching between authentication servers and managing data synchronization, modifying the reports and schedule handling etc. The superuser login is enabled by default. This user has all privileges to administer the Report Manager.

Actifio Appliance Users

All the existing users of Actifio Appliances can log on to the Report Manager using their Actifio appliance credentials. These user accounts are activated only after adding the Actifio Appliance as authentication server.

• Users without Administrator Role: The existing Actifio appliance users can only read and run the reports and cannot have the permissions to save the modified reports in the same repository location, instead they can use “Save As” option to save reports with different name. Any customizations or schedules created are only available to themselves and cannot be shared with other users.

• Users with Administrator Role: The existing Actifio appliance users with Administrator role can also perform all the available administrative tasks in the Report Manager. Users with role Administrator can view data for all the applications in Report Manager for the appliances he belongs to. Actifio users with role Administrator has same privileges as superuser.

Actifio appliance users can view the report data for applications that are part of organizations the users are assigned within the appliance. If the same user name resides on multiple appliances, the user can view the data of all those appliances.

Note: Actifio Report Manager authorize the access based on the user names only, which means even if the passwords are different for same user in multiple appliances, the user access is granted to view the report data.

Logging In and Logging Out of the Report ManagerThis section describes the login and logout procedures.

Logging In

You can access your Report Manager from a web browser:

1. Open your Web browser.

See the Deploying the Actifio Report Manager guide for supported web browsers information.

2. Type the Report Manager URL in the address bar. By default, the URL is https:// < Report Manager IP Address>.

The Report Manager Login page appears.

3. Enter your username and password. Click the LOGIN button.

Logging Out

To log out from your Actifio Report Manager session, click the Log Out link located at the top right corner of the Report Manager.

Note: User session is automatically logged out after 20 minutes of inactivity.

Changing the Report Manager Default Password (superuser)Actifio Report Manager superuser account comes with a default password of “superuser”. It is strongly recommended to change this password at your first login.

Perform the following steps to change superuser’s default password:

1. Log on to the Report Manager with default superuser credentials.

2. Click Manage >> Users. The Users information page displays all the available users.

3. Select superuser and click Edit in the Properties panel.

4. Enter a new password in Password and Confirm Password fields.

5. Click Save.

Checking the Report Manager VersionThe Report Manager version available on login page.

To find out what version of Report Manager you are using:

1. Log on to the Report Manager.

2. Select the About option from the Help menu.

A new pop-up dialog displays the current running Report Manager version.

Use the Close button to close the pop-up dialog.

Report Manager Security ModelReport Manager uses organizations to control which data a user can report on. The built-in superuser account and the special Actifio "admin" user can report on all data in Report Manager. Actifio users who have Actifio Administrator role or who are members of the "ALL" organization can report on all data from the CDS/Sky appliances that they have accounts on.

Other Actifio users can only report on the data that are in the same organizations that they are members of. Any data that is in the Actifio organization called PUBLIC can be reported on by all users.

Two users with the same name on different CDS or Sky appliances are considered to be the same user from the perspective of Report Manager. Similarly, 2 organizations with the same name on different CDS or Sky appliances are considered to be the same organization. For example, if appliance Sky_1 has a user Joe who is a member of organization Databases, and appliance Sky_2 also has a user named "Joe" and an organization called “Databases”, Report Manager will allow Joe to see all members of Databases from both Sky_1 and Sky_2.

Most reports include a filter on organizations to allow users to only show a subset of the data available to them. This filter will include a category called “Unassigned”. This includes all objects that are in neither the built-in PUBLIC organization nor any user-created organizations.

Actifio Appliance (CDS/Sky) provides two predefined organizations: ALL and PUBLIC. You can create other organizations as needed.

These organization's application and host resources are replicated to the Actifio Report Manager from Actifio CDS/Sky.

• ALL: A user added to the organization “ALL” has access to every Actifio appliance resource.

Report Manager displays ALL as Unassigned, when a user is assigned with organization “ALL” in an Actifio Appliance CDS/Sky. Report Manager shows “Unassigned” organization’s data that does not belongs to PUBLIC and any other user created organization.

• PUBLIC: By default, every Actifio Appliance (CDS/Sky) user is belongs to organization “PUBLIC”, these users can access resources added to this organization.

• User Created Organizations: Actifio Appliance (CDS/Sky) allows administrators to create new organizations and assign resources to them. Users who are assigned with any user created organization can view resources belonging only to that organization.

Note: Any changes to Organizations or Organization resources in Actifio appliances (Actifio CDS/Actifio Sky) are reflected in Report Manager only after successful data synchronization.

Note: Organizations created or managed in Actifio Global Manager (AGM) are not currently reflected in Actifio Report Manager. Only organization information from the CDS or Sky appliances is available to Report Manager. However, there is an option to synchronize application and host membership in the appliances from AGM. For more details, please contact Actifio support.

Using the Dashboard

This chapter introduces the Report Manager dashboard. The Appliance Health Dashboard is the default home screen you see when you log on to the Report Manager. It shows you key attributes and resource consumption of your appliances at a glance, with colors to indicate snapshot and dedup pools and VDisks that are approaching their limits. Appliances that are in a critical or warning state will appear at the top.

About the Appliance Health Dashboard The Actifio Appliance Health Dashboard is the first screen you see when you log in. It provides different types of information through various columns. The dashboard presents the data for all the appliances.The following table lists the columns available on the dashboard:

Appliance Name and IP Address/DNS Name of the appliance

Last Sync Time stamp of last successful data sync, along with elapsed time since that sync.

Software Version Appliance’s software version.

Managed Data Managed Data Licenses consumed by the appliance in Tera bytes, along with a trend line.

Used/Capacity: Current usage and capacity. Pools are measured in Tera bytes.

% Used: Percentage of pool volume that are consumed.

30 Day Trend: History of consumption and capacity over the past 30 days.

Dedup Pool Dedup pool consumed by the appliance in Tera bytes, along with a trend line.

Used/Capacity: Current usage and capacity. Pools are measured in Tera bytes.

% Used: Percentage of pool volume that are consumed.

30 Day Trend: History of consumption and capacity over the past 30 days.

Snapshot Pool(s) Snapshot pool consumed by the appliance in Tera bytes, along with a trend line.

Used/Capacity: Current usage and capacity. Pools are measured in Tera bytes.

% Used: Percentage of pool volume that are consumed.

30 Day Trend: History of consumption and capacity over the past 30 days.

VDisks VDisks consumed by the appliance in, along with a trend line.

Used/Capacity: Current usage and capacity.

% Used: Percentage of VDisks volume that are consumed.

30 Day Trend: History of consumption and capacity over the past 30 days.

Using Report Manager Input Controls to Filter the DataUse the available input controls to filter the data in the dashboard. The following are the two different input controls available to filter the data:

• Days for trend line: Select the number of days of history to display, default is 30.

• Appliance: Select one or more configured Actifio appliances to view the data.

Administering the Report Manager

This chapter describes how to configure and manage Actifio Appliances to work with the Report Manager. You can add and manage up to 40 Actifio Appliances with the Report Manager.

Superuser or Actifio appliance users with Administrator role can perform the configuration tasks including adding and deleting appliances and switching between authentication servers. The superuser comes by default with the Report Manager installation and has the highest permissions. There is only one superuser in each Report Manager instance. You must be logged in as superuser or Actifio appliance user with Administrator role to complete any of the procedures in this chapter.

Understanding Menu Items in Report ManagerThis section describes menus and menu item functions:

Name Description

Repository Use this option to browse the complete folder structure on how the reports are organized.

View The View menu contains the following menu items:

• Repository: Use this option to browse the complete folder structure on how the reports are organized.

• Schedules: Lists all the configured email schedules.

• Library: This shows an alphabetized list of reports available with the Actifio Report Manager. It is recommended that you instead use the Repository to browse available reports, organized by folders.

• Search Results: Use this to search for a specific report within the Report Manager repository. You can also use the available filters to fine tune the search criteria.

• Messages: Error or failure messages for Actifio Report Manager jobs.

Manage

Note: Available only with superuser and users with Administrator role.

The Manage menu contains the following menu items:

• Users: Use this option to create new user account from the Report Manager. Currently this option is not supported. It displays the existing appliance users.

• Roles: Use this option to manage the user roles.

• Appliances: Use this option to add and delete appliances with Report Manager, switch between appliances and configuring authentication server, re-establishes trust with Actifio appliances when certificates expire.

• Configuration: This menu item allows you to provide email and database configuration:

o Email Configuration: Use this option to view and change the current email configuration and test option.

o Database Configuration: Use this option to enable/disable the remote database access for custom_user.

o Timezone Configuration: This option allows you to change the Report Manager timezone.

o Download Logs: Use this option to obtain Actifio Report Manager logs to your computer.

• Data Sync / Cleanup: Use this option to update the appliance data with the Report Manager. You can also configure data synchronization schedule and define data retention period.

• Upgrade: Use this option to upgrade the Report Manager to a most recent version.

Note: Actifio Report Manager will be showing a notification on the menu bar when the database disk partition exceeds 65% of the disk space. Contact Actifio support to add additional disk space.

HelpThe Help menu contains the following menu items:

• About: Use this option to find out the current Report Manager version.

• User Manual: Use this option to view the Report Manager user guide.

Adding and Deleting Actifio Appliances to the Report ManagerDuring the Report Manager installation process, the default Actifio Appliance is configured as the Authentication Server for user authentication and authorization. In order to add more Actifio appliances, use the Appliance Configuration option available within the Manage menu.

This section contains the following topics:

Adding an Actifio Appliance to the Report Manager

To add an Actifio Appliance:

1. Log on to the Report Manager with superuser or Actifio appliance user with Administrator role.

2. Click Manage and then select Appliances option.

The Appliances page displays detailed information about all the existing appliances in a table.

3. Click the Add Appliance button. The Add Appliance pop-up appears:

4. Enter the Actifio appliance IP address or DNS name.

5. Enter the Actifio Appliance administrator password.

6. Check the Authentication Server check-box if you want to use this appliance as the Authentication Server.

7. Click the Add button.

The newly added appliance is listed in the Appliances page.

Deleting an Actifio Appliance from the Report Manager

In order to keep the Report Manager up to date, you can remove appliances that are no longer in use. Deleting an appliance automatically deletes the corresponding certificates and appliance related data from the Actifio Report Manager.

To delete an appliance:

1. Click Manage and select Appliances option.

The Appliances page displays detailed information about all the existing Actifio Appliances in a table.

2. Select the appliance using the check box.

3. Click the Delete Appliance button.

4. Click OK in the confirmation dialog, it make take several minutes before the appliance is fully removed from Report Manager.

Note: You cannot delete an appliance while data synchronization is in-progress. Also you cannot delete an appliance if it is currently used as an authentication server. See Changing the Report Manager’s Authentication Server on page 15.

Changing the Report Manager’s Authentication ServerActifio Report Manager allows you to change the Authentication Server at any time using the Authentication Server option available within Appliance Configuration page. An authentication server provides a service that allows appliance users to access the Report Manager. When logged in as appliance user, except for enterprise level reports, the user can only see the reports corresponding to the applications assigned to organization to which the user belongs.

To change the authentication server:

1. Click Manage and select Appliances option.

Exchanging Certificates with the Report ManagerActifio Report Manager and Actifio appliance must exchange their security certificates to establish communication and transfer the data. When you add an appliance with the Report Manager, the certificate exchange process takes place automatically. You need to exchange the certificates only when they get expired.

When the Exchange button is green in color, the certificate is valid and certificate exchange is not permitted. If any certificate is expired, the Exchange button is enabled and turns red. In this state, certificate exchange is required.

To perform certificate exchange:

1. Click Manage and select Appliances option.

The Appliances page displays information about all the existing Actifio Appliances in a table.

2. Select corresponding Appliance, and click the Exchange button.

Configuring the Report Manager Email ServerUsing the email configuration feature, you can send auto-generated reports to specified email recipients.The Actifio Report Manager collects email server settings from the default Actifio Appliance configured during the Report Manager installation.

If the authentication server is changed, it imports new configurations settings from the changed authentication server. The same email configuration is used to send emails to the desired recipients.

Using the email configuration feature, you can also specify the email configuration manually and verify the same.

Registering the Email Server

Perform the following steps to manually register an email server:

1. Log on to the Report Manager with superuser or Actifio appliance user with Administrator role.

2. Click Manage and then select Configuration option.

Data retention functionality is used to define the retention period for the data in the Report Manager. The Data Sync/Cleanup page allows you to perform the following tasks:

• Performing on-demand data synchronization.

• Reviewing the data synchronization status for all the configured appliances.

• Configuring the data retention period.

Note: Data synchronization and data retention applies to all the configured appliances. Actifio recommends not to change the Start time and Recurrence options frequently.

Creating a Data Synchronization Schedule

The Data Sync Status table provides the last successful data sync time and last data sync status for all configured appliances.

The following are the data sync status types:

• Running indicates that the data synchronization is in-progress.

• Success indicates that the latest data synchronization is successful.

• Failed status indicates that the latest data synchronization has failed.

• Pending indicates that the appliance is in queue for data synchronization.

• Aborted status indicates that the latest data synchronization is aborted or stopped due to a network failure, service interruption while the data sync is in-progress.

• Initial indicates that no data synchronization initiated for the appliance until now. In this case, Last Successful Data Sync Time is blank.

Running One of the Built-In ReportsTo generate one of the built-in reports:

1. Login to the Actifio Report Manager.

2. Enter your user id and password.

3. Click Login.

The report viewer allows you to customize the report output, view reports, save reports, and export content to desired format, and apply filters to control how the data should be displayed.

4. To open a report in the report viewer, click on View >> Repository.

5. Locate the desired report in the repository under root >> Actifio >>Reports. Select the Report Category and expand. The available Report Categories are:

o Audit

o Jobs

o Protection

o SLA Compliance

o Summary

o Utilization

6. Click the report name, or right-click the report name and select Run. In the repository, you can also click the report row and select Run from the tool bar.

The report opens in the Report Viewer. In the display pane, there should be a set of Input Controls in the left panel, select the Input Control and then click the Apply button.

When the filters are modified subsequently, the Report Manager will generate the report with the new parameter once you click Apply.

Understanding Relative Dates in the Report ManagerThe relative date range feature allows you to run or schedule reports periodically without having it altered every time. To do this, use the following format:

<Keyword> <+/-> <N> where:

• <Keyword> indicates the time span you want to use: DAY, WEEK, MONTH, QUARTER, SEMI, and YEAR.

• <+/-> indicates whether the time span occurs before or after the chosen date.

• <N> indicates the number you want to include in the filter.

Note: Relative dates are sensitive to time zones, calculated in the time zone of the logged-in user.

Following are the use cases of when and how to use relative dates:

Run the report for last “24 Hours” from the current time. DAY-1 DAY

Run the report for last “Two Days” from the current time. DAY-2 DAY

Run the report for last “N Days” from the current time. DAY-N DAY

Customizing Built-in ReportsIn order to modify the built-in reports to meet your specific requirements, use the built-in report customization feature. To customize any flat tabled built-in report:

1. Open any of the built-in report.

2. Click on any of the column header in a tabular report, you can see the below options:

3. Use the Up and Down arrows to sort the column data.

4. Use the upside down funnel to filter rows, which can be included or excluded in the report output. The filter works for string, numeric and date fields accordingly.

5. Use the table icon either to hide a column that contains information you do not require or change the column formatting. The formatting allows you to change the font, color, background color and alignment of both the header and the values. You can also change the header text.

6. Use the conditional formatting options to highlight the issues with different colors or fonts.

7. Once you make all the changes save the report with a new name as shown below. It is important that you do not save your customized report with the same name as one of Report Manager's built-in reports. If you use the same name, your customizations will be overwritten when you next upgrade Actifio Report Manager.

Customizing Report ParametersOnce the report customization is done, you can create a named set of parameters for that particular report. The saved parameters will override the previous or default behavior.

Example:

If you want to run the report to display “File System” applications alone, follow these steps:

1. De-select “--ALL--” from the Select Application Type(s) drop down list and select File System.

2. Click Save and provide a name in the Save Values pop-up window.

3. The saved list is available in a drop-down at the top of the input control panel.

4. When you return to the repository, you can see an arrow control to the left hand side of the report, clicking the arrow shows you the named parameter set that you have created. You can click on the name to get the customizations.

Handling Long Running ReportsIn order to handle the long running reports, you may ignore the default parameter settings. This option is useful when the default settings cause the report to take long time to render.

• Job History Summary by Application: Every application is protected by executing a set of jobs depending on the protection policy set for the application.

• Recovery Job Details: Detailed information on recovery jobs such as mounts, clones, and restores..

• Recovery Job Summary: Summarizes the backed up data for each protected application, the total no. of recovered jobs, and% of successful recover jobs and the time taken to accomplish the restoration of the backed up data.

• Unresolved Failures: This report displays applications which have had job failures in the selected time period without any subsequent successful jobs. Failures are grouped by the combination of application, job type, and error code, and a failure count and time range is shown.

Protection Reports

• Ignored Applications:This report lists all the ignored applications across the appliances.

• Protected Applications: This report shows the protected applications details, including any excluded or included files or databases.

• Policy Summary:This report shows the policy summary for each policy template in each appliances.

• Unprotected Applications:Displays the list of unprotected applications across the list of appliances added to the Report Manager, with the list of appliances the application is discovered on

• Multiply Protected Applications: This report will show the details of the applications that are protected by more than one appliance.

SLA Compliance Reports

• Daily Protection Status:Shows a graphical view of snapshot, dedup/direct-dedup, or remote dedup jobs success corresponding to the dates shown in the report. It only looks at policies with a daily schedule. A policy is considered to be successful if there were any successful jobs with a consistency point in the 24-hour period from the start of the snapshot window.

• Daily Protection Table: Shows a tabular view of job success for the selected period of period of time. It only looks at policies with a daily schedule. A policy is considered to be successful if there were any successful jobs with a consistency point in the 24-hour period from the start of the snapshot window.

• Restorable Images: This report lists all the images that can be restored in an appliance. Among other image types, this includes any backup images, active mounts, and live clones.

• SLA Violation Details: This report shows all SLA violations reported by the Actifio Sky or CDS appliances. All appliances which have the parameter sla.enable set to the default value of true will analyze their data protection policies at the end of every policy window and report on violations. • SLA Violation Summary: Summarizes SLA violations by violation reason, job type and appliance over time.

• SLA Violation Summary for Last 24 Hours: Provides SLA violation summary for the configured appliances for last 24 hours. The violations types Failed, Scheduler Off and Not Run are summarized for job types Snapshot, Dedup and Remote Dedup for each appliance individually.

• Database Backup Status: Provides the database and log backup status for database applications such as Oracle and MS-SQL Server or Consistency Groups with SQL/Oracle applications.

Summary Reports

• Appliance Health Dashboard:Shows the key resource constraints for each appliance, with colors to indicate resources (disk pools, VDisks) that are approaching their limits.

• Appliance Users: The report shows the list of users in each appliance, which is accessible only for users with administrative role.

• Organization Membership: This report shows the organization and application memberships, this report has three sections.

Backup Job DetailsThis report provides the details of backup job (snapshot, dedup, remote-dedup, direct dedup, dedup async, ReadyVM, OnVault, LogReplicate, StreamSnap, Direct-to-OnVault). The report also shows the Log backup jobs and includes an option to show only Log backup jobs. The chart in the report shows the count of jobs based on the status (succeeded, failed, canceled, not run) for the selected dates.

• Appliance: Name of the appliance.

• Host Name: Name of the host where the application resides.

• Application Name: Name of the application suffixed with the host name.

• Application Type: Type of the application.

• Policy Template: Policy Template used for application protection.

• Job Name: Name of the job.

• Job Type: Type of the job.

• Log Backup: Sub job type Log Backup for Snapshot and StreamSnap jobs only.

Backup Job SummaryThis report gives backup job summary for the appliances configured with the Report Manager. The summary has a tabular data that shows the count of jobs based on all the job types, Snapshot, Dedup (includes Direct dedup and dedup jobs), remote (includes DAR, remote dedup), StreamSnap, OnVault® and LogReplicate jobs and job status as Succeeded, Failed, Running, Canceled and Not Run for each appliance as well as Summary row displays the enterprise job count.

There are two sets of summary charts based on aggregated for all job types, Snapshot, Dedup, Remote StreamSnap, OnVault® and LogReplicate.

• Two dual Level Pie graphs, one representing Appliance wise job counts for the mentioned job types (For top 5 appliances we show for each appliance and for rest they are aggregated into a single group called Other Appliances), and the other representing job counts for job types with the corresponding statuses.

• Line chart shows the trend over time for job count by status. (Optional controlled by show time series graphs Input Control).

The report also provides and option to drill to detail to the Backup Job details report. The capability is provided on the appliance name, job count in the table as well as the data points in the column chart as well as the line chart.

Actifio appliances prior to 6.2.4 did not send running job information to the Report Manager, in this case the running jobs fields of Total, Snapshot, Dedup and Remote, for those appliances are shown as NA.

Job History Summary by ApplicationEvery application is protected by executing a set of jobs depending on the protection policy set for the application. Based on the execution frequency set in the protection policy, each type of job is run periodically as specified. This report provides a success, failure, canceled and running summary for each job types for each application. Log backups are treated as a separate job type from snapshots, that we show totals on the last page, and these totals will double-count jobs that are Db+Log backups if both log backup and snapshot jobs are selected.

Recovery Job SummaryThis report shows the effectiveness of recovered backed-up application data. All job types are included in the summary. This report summarizes, for each protected application, the total number of Restore jobs of all types, the number and % of successful restore jobs, and the total time taken to accomplish the recovery.

Policy SummaryThe report shows the policy summary for all policy templates in each appliance.

• Appliance Name: Appliance Name.

• Policy Template: SLT Name

• Operation: Snapshot, Dedup, StreamSnap, etc.

• Retention: string, such as 2 weeks. Note that StreamSnap retention should be smart enough to know when to use the snapshot retention, a custom retention, or just keep the last image.

• Retention Days: Number, with two (2) digits of precision.

• Schedule Type: String with values like "Daily", "Continuous", "Weekly on Saturday", or "Monthly on day 1". This also needs to show any exceptions

Daily Protection StatusThis reports shows whether any snapshot, dedup/direct-dedup, remote dedup, StreamSnap and OnVault jobs succeeded with consistency dates corresponding to the dates shown in the report. The number of color slots shown will depend on the policy types used on each appliance, representing snapshot, dedup, remote dedup, StreamSnap and OnVault status. Direct-to-dedup jobs are treated as dedup similarly Direct to OnVault jobs are considered as OnVault. It only looks at policies with a daily schedule.

• Host Name: Name of the host.

This report does not show any colored values; it shows the same information as Daily Protection Status, plus some additional detail, in a tabular format suitable for export to a spreadsheet.

Storage Resource TrendingThis report shows the resource consumption for snapshot pools, dedup pool and VDisks. It also forecasts the future consumption of the resources.

Sending Reports through Email

You can configure the Actifio Report Manager to automatically send published reports to the desired email recipients. For each of the report, you need to create a separate schedule.There are few major tasks to be performed in configuring schedule execution of published reports and sending them to a set of recipients. The tasks must be performed in the sequence described here. The sequential tasks are:

1. Registering the Mail Server

2. Verifying the Email Configuration Settings

3. Scheduling Reports

Registering the Mail ServerUsing the email configuration feature, you can send auto-generated reports to specified email recipients.

The Actifio Report Manager collects email server settings from the default Actifio appliance configured during the Report Manager installation. If the authentication server is changed it imports new configurations settings from the changed authentication server. The same email configuration is used to send emails to the desired recipients. If an existing authentication server is replaced with another, then the new authentication server settings are used to send the emails to the single or multiple recipients.

In order to use different email configuration settings, perform the following steps:

1. Log on to the Report Manager with Administrator role.

2. Click Manage and then select Configuration option. The Configuration page provides Email Configuration option.

3. In the Email Configuration section, provide the email server details:

o Host name or IP address in the Server Name/IP field.

o Email server’s port number in Port field.

o Email Id in the User Name field.

o Email password in Password field.

o Check the SSL check-box if the if the mail server requires secure socket connection.

4. Click the Save button.

Note: Change in email server configurations requires Report Manager services restart. Use the Reload Configuration option to restart the services. You must restart the Report Manager services to apply the configuration changes.

Verifying the Email Configuration SettingsUse this option to send a test mail to the desired recipient address.

Perform the following steps to send a test mail:

1. Log on to the Report Manager with Administrator role.

2. Click Manage and then select Configuration option. The Configuration page provides Email Configuration option.

3. Click the Test button. The Test Email pop-up appears.

4. Enter the desired recipient address In the Email Recipients field. You can enter more than one email by separating each address by a comma.

5. Click the Submit button.

Scheduling ReportsUsing the scheduler, you can configure the schedules with report parameters, output options, and notifications:

• Schedule: When and how often to run the scheduled report.

• Parameters: If the report is designed with input controls, preferred parameters for the report.

• Output Options: Name of the output file and where the output file is stored.

• Notifications: Email options for sending the report output to recipients, and administrative messages.

Scheduled reports run in the background to reduce the performance impact on the Report Manager.

Creating a Schedule

To create a new schedule:

1. Locate the report you want to schedule in the repository.

2. Right-click the report and select Schedule... from the context menu,

3. Click the Create Schedule button.

4. Set a start date, choosing whether to run immediately or on a specific date. If a specific date is selected, click the calendar icon to select a start date and time.

5. Specify the time zone. The default time zone is the time zone of the Report Manager. If you need a different time zone for the schedule, set this field accordingly, and the change applies only to the selected schedule.

6. Choose a recurrence type. If you select Simple or Calendar Recurrence, additional controls appear on the page.

o None: Run the report once.

o Simple: Schedule the job to run at a regular interval, specified in minutes, hours, days, or weeks.

o Calendar: Schedule the job to run on days of the week, days of the month, specific dates, or date ranges.

Configuring Email Schedules for Day Light Saving (DST).

Jobs scheduled using simple recurrence will run one hour later when Daylight Savings is in effect. In the example below this job is scheduled at 11:18 am, in October when DST begins the job will run at 10:18 am. This is because the simple scheduler simply adds 24 hours to the last run time not an entire day.

Use the Calendar Recurrence if you want jobs to recur at the same time of day and respect DST adjustments.

On the Output Options tab, you can change these settings:

• File name: The base name for the output file in the repository. This name must be unique; if you attempt to create a schedule with the same file name as an existing schedule, the file cannot be saved.

• Description: The optional description of the file that appears to users who view the repository.

• Time Zone: The customer preferred output time zone for generating the report.

• Formats: The available output formats. Select one or more formats; the default format is PDF. When you select more than one, each format is stored as a separate file in the selected output destination.

• File Handling: Select one or more check boxes to specify handling for multiple output files with the same name:

o Overwrite Files: Overwrites old output files with newer one of the same name.

o Sequential File Names by Timestamp: Appends a time stamp to the names of files created by the job. Useful for the output of recurring jobs or for time-sensitive reports where the output must be dated. When the Timestamp is used, the output filename is <base-name>-<timestamp>.<extension>. Note that, depending on the frequency of the schedule and the format of the Timestamp, it may be possible to have two output files with the same name; in this case, modify the Timestamp or use the Overwrite Files check-box to specify the behavior you want.

o Timestamp Pattern: When Sequential File Names by Timestamp is selected, a required pattern for the Timestamp, based on the java.text.SimpleDateFormat is required. Valid patterns for report output files can only contain letters, numbers, dashes, underscores, and periods. The default pattern is yyyyMMddHHmm, for example 200906150601.

Output Options for Scheduling a Report

• Output Destination: To save the output file, select one or more check-boxes to specify the output location. If you do not want to save the report output (for example, if you only want to email the report) leave all check-boxes blank.

o Output To Repository: If checked, saves the report output to the specified location in the repository. You must have write permission to the output folder to save the reports.

Actifio users without role administrator will not have write permission to default repository folders.

Actifio users can save scheduled reports under 'Scheduled Reports' folder.

Recommend that users save the reports to a different location than the default repository folder. A folder called ‘Scheduled Reports’ has been created for this purpose.

o Output To Host File System: If checked, saves the report output to the specified folder on the Reports Manager host machine; check with your administrator for the correct location to enter. Output To Host File System must be configured by an administrator; if the check box is grayed out, saving to the host file system has not been enabled for your system.

o Output To FTP Server: If checked, saves the report output to the specified FTP server. You must have write permission to the selected directory on the FTP server. Enter the following properties of your FTP server:

Server Address: The host, IP address or URL of the FTP server.

Directory: The directory on the FTP server where the report output is saved.

User name: The user name for access to the FTP server.

Password: The password for the user name.

Enable FTPS: If checked, specifies that server uses the FTPS file transfer protocol.

Port: Specifies the FTP port. For FTP, the default port is 21; for FTPS, the default port is 990.

Setting Up Notifications

On the Notifications tab, you can make these settings:

Send report when scheduler runs:

Enter one or more email addresses to send the report to desired recipients after the job runs. You can configure the following:

• To: One or more email addresses separated by commas for sending email notification. By default, the mail server is not configured by the Report Manager installer.

• CC: One or more email addresses separated by commas for sending email notification on the CC line.

• BCC: One or more email addresses separated by commas for sending blind carbon-copy email notification; the addresses in this field are not revealed to the other recipients.

• Subject: The subject line of the notification email.

• Message: Content of the notification email.

Choose one of the radio buttons to specify how email recipients access the report:

• Include reports as repository links in email body: Sends a link to the report output in the repository. Not available unless Output to Repository is selected on the Output Options tab.

• Include report files as attachments: Sends the report output as attachments to the notification email. If you have selected multiple output formats, each output is attached as a separate file to the email notification.

• Include report files as ZIP attachment: Zips all report outputs into a single file before attaching to the email.

• Include HTML report in email body: Displays the report directly in the email body. This option is only available when Include report files as attachments or Include report files as ZIP attachment is checked and HTML is selected as one of the options on the Output File Options page. When this option is selected, you cannot include a message in the email body.

• Do not send emails for empty reports: A check box option that, if checked, prevents the server from attaching empty report output files to email notifications. This applies to reports where there is no data that matches the parameters.

How to do exception only reporting: The user MUST select the Hide Headers and Footers parameter, and all filtering must be done by report parameters instead of column headers.

Email Notification Confirmation Response

To receive a confirmation response when an email is successfully sent by scheduler, provide notification recipient details under the section ‘Send job status notifications’:

Enter one or more email addresses to send notification of job success or failure to administrators:

• To: One or more email addresses separated by commas for sending email notification.

• Subject: The subject line of the notification email.

• Send success notification: Check box option that, when checked, sends a notification when the scheduled report runs.

• Success Message: The message in the body of the notification email sent on success.

• Send failure notification: Check box option that, when checked, sends a notification when the scheduled report fails to run.

• Failure Message: The message in the body of the notification email sent on failure.

• Include report job information: A check box option that, if selected, includes the report label, ID, description, and report job status in the notification email.

• Include stack trace: A check box option that, if selected, includes the stack trace for failed jobs in the body of the email.

8. Click Save. The Save As dialog appears. Enter the schedule job name and description click the Save button to complete the process.

Viewing the List of Scheduled Report Manager Jobs

The Scheduled Jobs page shows the internal ID of the job, the user (owner) who created the job, and the state of the job. The job states are:

• NORMAL: The job is scheduled.

• EXECUTING: The server is generating the report output.

• COMPLETE: The server has finished running the job and placed output to the repository.

• PAUSED: The job has been disabled. Click Enabled to resume the schedule.

• ERROR: The scheduler encountered an error while scheduling the job. This does not include cases where the job is successfully triggered, but an error occurs while it runs.

• UNKNOWN: The scheduler encountered an error with the job trigger.

The Scheduled Jobs page includes these controls:

Enabled check-box: When checked, the job will run at the scheduled times. When unchecked, the job is paused.

• Edit the schedule by using the edit icon

• Delete the scheduled job using the delete icon. When the server receives a request to delete a job that is running, the server completes running the job before deleting it.

Changing Schedules

To edit a schedule:

1. Open the Scheduled Jobs page for the report

2. Click the edit icon in the row of the job you want to change.

3. Make the changes on the Schedule, Parameters, Output, and Notifications pages.

4. Click Save. The update occurs immediately.

Pausing a Job

To pause a job from running without deleting it, disable the job.

To pause a scheduled job:

1. Open the Scheduled Jobs page for the report.

2. In the row of the job you want to pause, make sure Enabled is unchecked.

To resume a paused job:

1. Open the Scheduled Jobs page for the report.

2. In the row of the job you want to resume, make sure Enabled is checked. When a stopped job is re-enabled, it waits until the next scheduled time to run.
