Using email at OUHK

OUHK provides email accounts to all enrolled students and tutors. According to OUHK’s email policy, email is the primary means of communication between university staff, Course Coordinators, tutors, and students. All academic and administrative information will be sent to your university email account as far as it is applicable. This includes information about your programme and courses, changes to tutorial and study schedules, University news, and student announcements (see Appendix 1). Hard copies of these documents are no longer sent to you by post. For this reason, it is absolutely essential that you check your email account frequently and manage it well.

Email account provision

All students will receive an email account from the University. Your email address will be in the form:

‘s’[email protected]

Example: [email protected]

Someofyoumayalreadyhaveanemailaccountintheform‘s’+firstsevendigitsofyourstudentnumber@ouhk.edu.hk.Youshouldcontinueto use this account.

If you want to change your password, select ‘Single PasswordManagementOUHKstudents’andthenclickChange Password.

Duration of your email account

Students taking distance learning courses and elearning courses: from the start of the term until one month after the completion of your courses (which may be subject to change).

Full-time degree students: from the start of your programme until the completion of your programmes.

Sending an email

For distance learning courses, you need to select your course code and term.

Click to send your message(a copy will be placed in the Sent Messages folder)

Type in the recipient's email address or select a saved address from the Contacts List

Type in your message. You can format the text using the formatting tools (as in word processing).

To attach a flle:1 Click Browse to locate the file you want to attach. Click on the file.

Then click Open.2 The filename and the path will appear in the Attachment box.

Useful email addresses (for distance learning and full time courses)

Email addresses for your tutors and Course Coordinators follow apattern:[email protected], if you are currently enrolled in the course BUS B200 offered in the 2016 Autumn Term and you are assigned to Class T01, you can use the following email addresses:

Yourtutor:[email protected]

YourCourseCoordinator:[email protected]

If you are enrolled in courses offered in the 2017 Spring Term, just change ‘16aut’ to ‘17spr’ in these email addresses. For example, the email address of the Course Coordinator for BUS B100 offered in the [email protected].

You can also select these email addresses by clicking Contacts List.

You can reach the administrator of the OLE at [email protected].

Managing the trash folder

Formoreinformationontheemailsystem,pleaseaccesstheGuideonthe Webmail login page (http://webmail.ouhk.edu.hk).IntheGuideyoucan click on ‘Demo’ to view an animated demonstration on the use of Email.

ReadabouttheEmailAlertandContactsListfeaturesintheGuideasthese are very useful features to use.

If you want to delete a single message permanently,click on the empty box beside the message. Then clickDelete.

To retrieve a message from the Trash folder,click the empty box beside the message. Thenin the Move to drop-down list select the folderwhere you want to put the message.

Keeping your mailbox within the size limit

Yourmailboxcancontainamaximumof1GB.Eachemail,includingattachments, must not exceed 15MB. You must monitor your mailbox carefullytomakesureitdoesnotexceed1GB.Youshouldregularlydelete your emails and save important emails onto your hard disk or downloadthemtoaPCemailsoftware,e.g.MicrosoftOutlookorOutlookExpress.(Formoreinformation,checktheEmailUserGuideat http://www.ouhk.edu.hk→CurrentStudents→Communication&Support→Email→Guide.)Whenyourmailboxisfull,thesystemwill send you a warning email. If your mailbox remains full for a long period of time, emails that you received earlier (30 days ago or more, depending on system demands) may be deleted from the system.

Stopping viruses and spam

OUHK’s email service checks for viruses and stops most unsolicited commercial emails (spam) before they reach your mailbox. The service can be accessed at https://emailfilter.ouhk.edu.hk. For more information on anti-spam features, go to http://www.ouhk.edu.hk→CurrentStudents→Communication&Support→InternetServices→Anti-spam.

Special requests for printed copies

If for some good reason you need printed copies of the communications that the university will send you through email, you may apply for special permission from the university to receive printed copies. An example of a good reason is if you are not able to access the Internet temporarily or for a longer period of time. To apply for special permission, write to the Registrar of the University, providing your name, student number, HKID number, the date up to which you will need printed copies, and your reason(s) for requesting printed copies. You should send your request by post to the Registry, Open University of Hong Kong or fax it to 2761 3935.

You should note that printed copies take a longer time to reach you thanemail,anditwilltakeatleastfiveworkingdaystoprocessyourapplication and begin the printed copy delivery service.

The special request for printed copies is only applicable for distance learning students.

Regulations for using email

• Youshoulduseananti-virussoftwaretoprotectyourhomecomputerbeforesendinganexecutablefileinanemailorbeforerunninganexecutablefilereceivedbyemail.

• YoumustmaintainexclusivecontroloveryourOUHKemailaccount and protect it from disclosure to others.

• YouruseofemailandtheInternetmustnotconflictwiththeUniversity’s interests or violate the University’s policies. Email should be appropriate in type, tone and content.

• Youshouldnotexecuteprogramsorcreate,transmitorstoreprograms, messages, images, or materials that are malicious, threatening, harassing, obscene, or abusive.

• Youshouldnotsendemailsorprogramswhichwillreplicatethemselves or damage another user’s account.

• Youshouldnotsendhoaxmessagesorforgedmessages,includingmessages sent under someone else’s name.

香港公開大學的電郵服務

香港公開大學為每位在學學生和導師提供電郵賬戶。根據本校的政

策,電子郵件是本校教職員、學科主任、導師與學生的主要溝通工

具。在可能的情況下,本校所有學科和行政資料,都會以電子郵件方

式傳送到你在本校的電郵賬戶;這些資料包括所修讀學科和課程的資

料、最新修訂的導修及學習時間表,本校的最新消息,以及學生通告

等(詳見附錄一)。本校不會再以郵遞的方式把這些文件寄發給你。

因此,你必須經常查閱並好好整理電郵賬戶內的郵件。

提供電郵賬戶

大學會為每位學生設立電郵賬戶,電郵地址是:

“s”+七位數字的學生編號@ouhk.edu.hk 例如:[email protected]

部分學生已取得本校的電郵賬戶(電郵地址是“s”+ 七位數字的學生編號@ouhk.edu.hk),這些學生應該繼續使用這個賬戶。

如何登入本校的電郵賬戶

要使用本校的電郵賬戶,方法如下:

‧ 登入http://webmail.ouhk.edu.hk,或

‧ 進入本校網站http://www.ouhk.edu.hk→“在學學生”→“聯絡及支援”→“電子郵件”。

‧ 你也可以循網上學習系統登入本校的電郵系統。

‧ 此外,你可以利用其他電郵軟件如Microsoft Outlook或Outlook Express來閱讀電郵及儲存備份。方法如下:登入ht tp://www. ouhk.edu.hk→在學學生→聯絡及支援→電子郵件→簡介→功能說明。

你必須輸入使用者名稱和密碼,詳情如下:

使用者名稱:“s”+ 七位數字的學生編號

密碼: 你自行設定的私人統一密碼(注意:你輸入這個密碼,便可以使用本校所有的網上服務)

假如你仍未設定一個私人統一密碼,請按以下步驟設定密

碼:

進入本校網站http://www.ouhk.edu.hk→“在學學生”→“聯絡及支援”→“統一密碼管理”。選按“統一密碼管理 香

港公開大學學生”,再按“設定密碼”。

如要更改密碼,選按“統一密碼管理 香港公開大學學

生”,再按“更改密碼”便可。

電郵賬戶的使用期限

修讀遙距科目及網上科目的學生:由開課日起計至完成所修讀學科後

一個月(可能隨時更新)。

全日制學士課程學生:由開課日起計至完成所修讀課程為止。

李嘉誠專業進修學院學生:由確認錄取的日期起至完成所修讀學科後

一個月。

常用電郵賬戶(適用於遙距學習及全日制課程科目)

你的導師和學科主任的電郵地址都有特定的格式,即“學期編號+科目編號+收件人@ouhk.edu.hk”。舉例說,你正修讀2016年秋季學期開設的BUS B200這個學科,導修組別為T01組,你可以使用下列的電郵地址:

導師:[email protected]

學科主任:[email protected]

若你即將修讀2017年春季學期開辦的科目,你只要將電郵地址中的“16aut”改為“17spr”。比如是2017年春季學期開辦的BUS B100,學科主任的電郵地址便是[email protected]

你也可以在“通訊錄”一欄內點選這些電郵地址。

要聯絡網上學習系統管理員,可電郵至[email protected].

清理垃圾桶

如果你只打算刪除其中一些郵件,單按郵件

旁邊的方格,再按“刪除”。

要使“垃圾桶”資料匣的郵件

復原,單按郵件旁邊的方格,

然後在 “移到資料匣”的下拉選單中,選取要移放郵件的

資料匣。

要進一步了解電郵系統操作的細節,請參閱載於“登入網頁” (http://webmail.ouhk.edu.hk) 內的“簡介”。在“簡介”部分,你可以選按“動畫示範”,觀看電郵系統操作的動畫示範短片。

“新郵件提示服務”和“通訊錄”都是很有用的功能,請進入“簡

確保郵件儲存量不超過郵箱容量

電郵賬戶的儲存量為1GB。每個電郵信息連附件不得超過15MB。 你應該經常查看自己的電子郵箱,確保信箱的電郵儲存量不會超過

這個上限。你應該定期刪除電郵,或把重要的郵件儲存到你的個人

電腦之上。你也可以利用電郵軟件(例如Microsoft Outlook或Outook Express)把電郵信息下載到電腦之上(有關詳情,請登入h t tp://www.ouhk.edu.hk →在學學生→聯絡及支援→電子郵件→簡介→功能說明)。假如你的郵箱已滿,電郵系統會向你發出提示信息。若果你

的郵箱長期儲滿郵件,系統會自動把早期(30日或之前,視乎系統的使用量而定)的電郵刪除。

防止病毒入侵與過濾廣告郵件

大學電郵服務系統能自動偵測病毒,並阻止大部分商業推廣郵

件進入你的郵箱。登入https://emailf i l ter.ouhk.edu.hk,便可查閱有關網頁。要了解過濾廣告郵件的資料,可循以下途徑進入相

關網頁瀏覽:ht tp://www.ouhk.edu.hk→在學學生→聯絡及支援→ 互聯網服務→過濾廣告郵件。

本系統設有“常見問題”一欄,你只需登入http://www.ouhk.edu.hk →在學學生→聯絡及支援→常見技術支援問題,即可瀏覽相關內容。

索取印刷本

如果你有充分理由,例如暫時或未來一段長時間未能連接互聯

網,你可以申請要求大學以郵寄印刷本的方式,而非以電郵方 式與你通訊。要求郵寄印刷本,請致函教務處,清楚寫上姓名、學生

編號、身份證號碼、收取印刷本的最後日期,以及要求印刷本的原

因。申請信函請郵寄至香港公開大學教務處,或傳真到2761 3935。

寄發印刷本比起發送電郵需時較長,而本校亦需要至少五個工作天來

處理你的申請,然後才能提供郵寄服務。

印刷本只供遙距課程學生索閱。

電郵使用守則

‧ 通過電郵傳送或開啟任何執行檔案前,必須確保已經使用防毒軟件保護你的電腦。

‧ 必須確保只有你自己才可以使用有關的電郵賬戶,不得讓第三者使用。

‧ 使用電郵或互聯網時,不得損害大學的利益,也不得抵觸大學的政策。此外,電郵的類別、措辭和內容都必須恰當。

‧ 不得傳送、製作任何含有惡意、威嚇、滋擾、猥褻或侮辱成分的程式,也不得執行或儲存這類程式、信息、圖像或材料。

‧ 不得傳送任何會自我複製或損害其他使用者賬戶的電郵或程式。

‧ 不得傳送任何含有欺詐或偽造成分的信息,包括轉引自第三者的信息。
