Introduction

To declare your shipments and edit your packing list for the purchases orders of Zadig &

Voltaire, you must use the SC-2 Supplier Web Portal for all your shipments (Europe &

International Orders)

1- Connection to the WEB portal

Before connections:

You must prepare the information allowing you to create correctly the packing list :

Purchase Orders scheduled

Quantity (per style / color / size)

Unit price

Number of cartons (single-SKU) and no. of cartons (different-SKU)

Dimensions & Weight (gross and net) of cartons

You must use one of the following web browsers:

Mozilla Firefox: http://www.mozilla.org/

To provide your login and password



To connect via the address : http://extranet.sc-2.com

(or http://vds14.sivit.org/www/sc2/home/ exclusively for suppliers’ access in China) and indicate

your login and password then select « OK »

Following screen appears, click on « Packing list » to start inputting data



2- Create a new shipment / packing list:

A. Add a new shipment / packing list

Each packing list created represents one single delivery of multiple Pos which are scheduled

for a same date of departure (ETD).

Important => the packing list must be created per shipment instead of per PO or invoices no.

Click on the icon to create a new shipment / packing list

Following screen appears




Delivery entry ( for new shipment /packing-list)

No of invoices e.g: 01/2012 ; 02/2012 ; 03/2012

No of Pos scheduled to deliver

DD / MM / YYYY


SC-2 France (ZV France) or SC-2 China (ZV Trading)

or SC-2 USA (ZV USA)

)

Once the information are correctly updated, click on the icon to save the data

A confirmation message for valid entry or error messages for invalid entry may appear in the

upper part of the module screen.

You are required to read and correct the invalid entries if necessary

Click on « Exit » to go to the next step



B. Select the PO

This step allows to select the PO scheduled for this shipment.

Click on the icon into the screen « supplier shipments »



Select the PO for delivery

Some carton dimensions are set as default for selection or you may choose to input the exact

dimensions of cartons if which do not exist

Indicate the Gross & Net Weight

Click on « SAVE »



C. PO details

This step allows to entry the information per style, color, size, cartons, etc….

Click on « Details » to edit the contents



Step 1: Cartons with single SKU (single style-color-size) with same master pack (same quantities per carton )

Select the line by indicating the unit price, the quantities, the numbers of cartons (column « cartons »), the weight for one carton and the dimensions of cartons (click on the icon for indicating the dimensions of cartons)

Then click on« SAVE »



=> A new line will be created for additional entry if needed.

- the cartons with single SKU but master pack(quantities per carton) different from step 1

- the mixed cartons (different sizes of same style-color into the same carton)



Step 2: Cartons with single SKU (single style-color-size) with master pack different from step 1

Same process as step 1

Below example: 18 pcs into the carton instead of 20 pcs / carton from step 1

Then click on « SAVE »



Step 3: Mixed cartons ( different sizes of same style-color into the same carton)

Select the line by indicating:

The unit price, the quantities, the weight

The dimensions of cartons : click on the icon

The numbers of cartons : column Ctn From – Ctn To (if column « Ctn To » is not updated, this one will be equal to the no. of carton indicated into column «Ctn From »)



If you have several mixed cartons ( different sizes of same style-color into the same carton),

you must indicate into the columns« Ctn From – Ctn To » a different cartons no

Then click on « SAVE »



If any invalid entry is detected (eg: nb of cartons wrong, wrong unit price, different style into

the same carton, …), a link appears on the line in error

Click on the icon to read the error message and correct the invalid entry according to the

explanation



You will not be able to print the packing list until all invalid entries are corrected accordingly ,

the icon appears means there are still valid entries pending for correction and Vice

Versa.

Once the data are correctly updated, close on the upper right screen

You may always access directly into this module by clicking on icon in “Supplier shipments”

header



3- Print the packing list

To print the packing list, you must ensure that:

All entries are valid ( icon )

Status of the packing list record is changed to “Printed”

Click on icon



Select “Printed” in “Status” field

Click on icon to validate your option then on « Exit » to go to the next step



An error message will appear on the top of the screen if one data is not correctly updated

Once the error is fixed, click again on the icon to save the modification then on « Exit »



To print the packing list, return to the screen « Supplier shipments » and click on the icon to

generate the packing list in xls format.

One worksheet will appear for each PO



4- Scan the documents

Besides the packing-list created by the SC-2 system, you must upload and attach your

commercial invoice and certificate of origin concerning this shipment.

The following formats of documents will be accepted for uploading :

« .doc », « .xls », « .pdf », « .gif », « .jpg », « .png »

In the screen « supplier shipments », Click on the icon to start the uploading



Below window will open in enabling you to upload each of those required documents

The number of documents uploaded / to upload is indicated (example 0/2)

Once the uploading of each document is done , the list of selection will indicate « uploaded » instead of « to upload »

If more that one invoice or CO per shipment, then these invoices or COs should been combined to uploaded as two single file ( one invoice / one CO)



5- Validation of the shipment / packing list

Return to the screen « Supplier shipments » and click on the icon

Change the status : « Printed » to « Delivery validated »

Click on the icon to save the modification

Once the status « delivery validated » was saved, all the updated & uploaded informations

are not any more modifiable.
