UNITED SQUARE DANCERS OF AMERICA PRESIDENT ANNUAL MEETING REPORT June 22, 2016 It has been our pleasure to serve as your presidents this past year. Time seems to go by so fast, it’s hard to believe we have now finished our first term as your presidents. We look forward to continuing in this position for another year if re-elected in our meeting today. This is a very special annual meeting in that we are celebrating the 35th anniversary of the United Square Dancers of America. We are all the beneficiaries of those who have preceded us in establishing and maintaining USDA as the world’s largest square dance organization for square dancers, run by square dancers. Today, we are especially honored to have two original Charter Members active on the USDA Executive Committee. They are Jim Maczko and Joy Vaccari. Both have served continuously these past 35 years since our founding in 1981, and both have served as past presidents as well as many other positions. We also want to recognize our newest members of the USDA Executive Committee. All are finishing up their first term of office. They are, Lisa Breault, Vice President of the Eastern Region, Floyd and Judy Engelhardt, Vice Presidents of the Plains Region, and Scott and Brenda Deal, USDA Secretaries. We have been blessed with their leadership and that of the other members of the Executive Committee. Summer has finally arrived. It’s always a time of new growth and signs of life. We hope this is true for you and your square dance clubs as well. Over this past year, we have danced with many clubs across the United States. While some of these clubs continue to struggle with dwindling numbers, there are many that continue to experience growth and life. We are convinced that this is a direct reflection of the leadership within these clubs. Where there is enthusiasm among the leaders and callers, classes are being held, numbers are growing, and dancers are responding to the efforts to grow their clubs.

PRESIDENT ANNUAL MEETING REPORT

June 22, 2016

It has been our pleasure to serve as your presidents this past year.

To that end, we want to encourage you and your club leadership to take advantage of the many educational opportunities available here at the National convention this week. There are many panels and seminars being offered as a part of the leadership certification program. These will be filled with helpful information to build enthusiasm among your club leadership. As in the past, the United Square Dancers of America will be hosting a number of these educational sessions. Topics being put forth by USDA include “How to properly insure your club”, “The power of social media today”, “Convention management”, “Club incorporation”, “USDA publications which can help your club”, “Recruiting and retaining dancers”, as well as a roundtable discussion on the “Future of square dancing”.

Thank you all for serving as delegates to this our 35th annual meeting of the United Square Dancers of America. Your participation and efforts to communicate with your clubs back home have become the backbone of our organization. Be sure help yourself to the helpful literature in the showcase of ideas and take it home to share with your friends. Together, we can all help to keep square dancing alive and well. We applaud Iowa in their efforts to provide what promises to be a great 65th National Square Dance Convention. We look forward to squaring up with you this week on the dance floor.Remember…..”Live Lively-Square Dance.”

Eastern Region Vice President Annual Report

June 2016

This ends my first year as Eastern Region Vice President. I have traveled to some of the areas in my region and look forward to returning to those groups next year. Thank you to the many people who've welcomed us with open arms, and to the Convention groups who have supported us when we visited. The plan for the next two years is to try and make it to every state within the Eastern region

CENTRAL REGION VICE PRESIDENT ANNUAL MEETING REPORT

June 24, 2016

We are wrapping up our Second year as Vice Presidents for USDA Central Region. We have attended as many of the state conventions in our region as we could this year, but not met our goal of attending all twelve. We have several conflicts with conventions held on the same weekend so we try to alternate between the conventions so we at least attend every other year. We have also had some personal travel plans cause us to miss some conventions. This is happening again this fall as well as last fall. We did get to attend the South Carolina Convention this year. We did attend the Mississippi convention earlier this year.We were proud to have hosted the winter meeting of USDA this January in conjunction with the South Carolina Convention in Myrtle Beach. USDA had a great meeting with almost 100% attendance. We also got to dance with the South Carolina Convention and attend their federation meeting. The weather was a bit cold and rainy but the rest of the nation was getting hit with heavy snows so we felt lucky. We all had a great time and got a lot of business accomplished. We currently are planning to attend the Ohio State Convention, the Florida State Convention and the West Virginia conventions all before this meeting in June. We do know we will miss the Kentucky, Michigan, Tennessee, Alabama and North Carolina Convention this year, partly due to travel and to conflict of conventions. Please let us know of other dances we can attend in your respective states where we will miss your convention. We are spending a lot of time reaching out and updating our records of Affiliates in the Central Region. These last two years have been a very enjoyable time and big learning experience for us. We really enjoy traveling and attending the Central Region conventions and hate it when we have a conflict. We will be running for one more year as Central Region Vice Presidents. We appreciate your support. We will also be looking for a couple to replace us if we are elected for the last term. If you are interested in running for Central region, please let us know.

Plains Region Vice President Annual Meeting

May 5, 2016

We were elected to the Plains Region Vice President position at the annual meeting in Massachusetts, June 2015. Since then we danced with the Wisconsin dancers twice, at the preconvention dance in August, and the Oktoberfest. And of course we always dance in our home state of Minnesota.

In October, we set up our display at both the Arkansas and Missouri conventions and attended their meetings also. At both, we got on the agenda and talked a little about USDA and enjoyed meeting a lot of the people.

In November, we set up the display at a festival of Square Dance Minnesota where several people again looked at and took materials.

In January, we attended the winter meeting in Myrtle Beach and took special notice since we knew that setting up the next winter meeting would be our job. We enjoyed dancing with the S. Carolina convention people. We contacted Joy Vaccari, asking her for some sort of summary of traveler badge accomplishments. She sent this to us, some by Email and some by regular mail. We have been taking this with us since people are interested.

While wintering in Texas (and dancing a lot), we spent time working on possible meeting places in San Antonio for next year. We did this by phone and Email and also talked to people at the city offices. In March, on the way home to Minnesota, we spent a few days in San Antonio following up on meeting possibilities. While there we danced with a local club.

In April, we attended another Square Dance Minnesota event, displayed the materials and talked to the group about USDA. We set up at our own local group's annual spring fling event, with 19 squares attending. We also went to the North Dakota convention, set up the display and talked about USDA at their meeting. We set it up again on the way home on Sunday at the Paul Bunyan Jamboree in Baxter MN.

In May, we are attending the South Dakota Festival and setting up display. We will also take the materials to a spring fling weekend event at Lake Okoboji in northern Iowa which we attend every year.

In June, we are registered for the Minnesota state convention and the Kansas state convention, both before the national convention in Des Moines.

Although not yet registered, we hope to go to the Illinois convention in July, Wisconsin convention in August, and the Nebraska convention in September. We will set up our materials at one of our local NSDCA camping weekends this season. In the meantime, we are still working on the winter meeting to be held in San Antonio, and square dancing and round dancing regularly.

We have enjoyed our first year as the Plains Region Vice Presidents and would like to continue so that we can accomplish our goals of getting to all the 13 states in our region and helping make USDA more visible. We always enjoy meeting the people.

WESTERN REGION VICE PRESIDENT ANNUAL MEETING REPORT

June 22, 2016

We have appreciated the opportunity to serve a second term as Western Region Vice President. We traveled through several of the western states over the past year during trips in our Fifth Wheel RV, and danced whenever we found an opportunity in the area. Last August, we attended the USA West Square Dance Convention in Helena, Montana, and in April 2016 we went to the California State Square Dance Convention in Fresno, CA. We also had the opportunity to participate in the South Carolina State Square Dance Convention in conjunction with the USDA Winter Meeting in Myrtle Beach. All of these were wonderful events where we had the opportunity to meet and dance with many new folks, and enjoy great callers and cuers. We are looking ahead to attending the 50th Alaska State Convention in Fairbanks over the 4th of July weekend, followed by the Oregon Summer Festival in Seaside in late July and the USA West Square Dance Convention in Pocatello, Idaho in August.

We proudly display our USDA “window shade” banner at all events, along with some of the wonderful USDA-developed educational materials. We also enjoy talking to dancers about USDA programs and materials.

In April, Frank Habersberger, a Western Region resident and a past president of USDA, was presented with the USDA Centennial Award at the Colorado Council Hall of Fame Dance. We would like to thank our USDA Treasurers, Jim & Judy Taylor, for presenting the award in person. It’s wonderful to see such a dedicated supporter of square dancing receive this recognition.

We have been working to update our information on all of the Western Region affiliates, including current officers, dates for the affiliate festival or convention, and dates for affiliate meetings. We hope to see all of our Affiliates represented at the Annual Meeting, and look forward to meeting delegates in person. We are also planning to travel more throughout the Western Region in the coming months.

SECRETARY ANNUAL MEETING REPORT

June 22, 2016

During the past twelve months we have received correspondence in the form of Letters of recommendation for the Executive Officers and Delegate Information Forms.

We attended our first Winter Meeting in Myrtle Beach, South Carolina and were very happy to meet all of the Executive Board. It was our pleasure to attend the South Carolina State Square Dance Convention. The friendship they extended to us was wonderful.

We want to thank all of the Executive Officers and committee members for their support and guidance through our first year of secretary.

ANNUAL MEETING REPORT

June 22, 2016

Des Moines, Iowa

USDA will be celebrating their 35th Anniversary at the Annual USDA Board of Directors Meeting in Des Moines, Iowa. We are looking forward to this special event and encourage you to attend this meeting. This is an excellent opportunity to celebrate together with other USDA Affiliate Delegates and the members of the USDA Executive Committee.

At this meeting arrangements are to have visual historical facts and information on the organization and the many accomplishments that were provided for dancers during the past 35 years.

The Annual Board of Directors Meeting is open to all dancers, so we ask that you bring your dancer friends along to experience and enjoy this celebration.

And don’t overlook the leadership education sessions that will be offered during the convention. Besides the list of USDA presentations, there are numerous other educational leadership sessions on topics addressing new approaches to marketing, recruiting and teaching of new dancers. We believe you will learn ways to enhance your club’s future by utilizing some of these new ideas and techniques.

INFORMATION OFFICER ANNUAL MEETING REPORT

June 22, 2016

During the past year, we have conducted the following activities in our role as Information Officer:

Submitted news releases for the USDA website to (1) provide highlights from the 2015 Annual Meeting held in conjunction with the 64th National Square Dance Convention in Springfield, MA; and (2) announce passage of USDA Resolution#34 in support of the Live Lively-Square Dance logo and slogan.

Submitted news releases promoting (1) the USDA Annual Meeting, (2) USDA- sponsored after parties, and (3) USDA-sponsored educational programs at the 65th National Square Dance Convention in Des Moines, IA.

Submitted ads for the April – June, 2016, edition of the USDA News on USDA- sponsored after parties and USDA-sponsored educational panels and seminars at the 65th NSDC in Des Moines.

Prepared and submitted ads for the inside back cover of the three daily program books for the 65th National Square Dance Convention, promoting USDA- sponsored activities as well as the USDA Showcase of Ideas and website.

Continued work on a communications kit to provide to USDA and Affiliate officers to support communicating about and promoting square dancing. The communications kit would include guidelines for writing news releases; information on using social media to promote square dancing; draft “blurbs” on the United Square Dancers of America that could be included in state, regional, and local communications; draft “blurbs” on the benefits of square dancing (e.g., health, friendship, community service) to include in news releases as well as promotional or recruitment materials; and other material to support clubs as well as regional and statewide organizations.

Responded to several telephone and e-mail inquiries requesting general information about USDA, and information about the USDA insurance program.

ANNUAL MEETING REPORT June 22, 2016

Des Moines, Iowa

One of the responsibilities of the Parliamentarian is to review all of the United Square Dancers of America's Governing Documents - Bylaws and Standing Rules - each year to assess the need for updating these documents. While we have only identified one issue worthy of revising at this time, we would welcome the input of any of the USDA Board of Directors regarding other issues that may also need to be addressed.

This year, in an effort to accommodate the creation of the new position of Social Media Committee, it is being recommended that this Committee, and its makeup, be included within the USDA Standing Rules along with the other Standing Committees. Accordingly we have prepared a proposed amendment to add the USDA Social Media Committee to the USDA Standing Rules. This proposed Standing Rules change is presented herein:

For those wishing to see this Standing Rules amendment in context, a copy of that portion of USDA Standing Rules incorporating these amendments is attached for review and comment.

Currently , we are also evaluating the need to draft new Resolutions for presentation to the USDA Board of Directors during the Annual USDA Board of Directors meeting in Des Moines, Iowa in June 2016 .

UNITED SQUR RE DNCERS OF AMERICACONPENDIUM OF RESOLUTIONS

ANNUAL MEETING REPORTJune 22 , 2016

Des Moines, Iowa

Over the years the United Square Dancers of America has adopted a number of Resolutions during its Annual Meetings. The first three of these Resolutions was approved during the June 26, 1981, organizational meeting of USDA in Seattle, Washington.

As Al and Portia Bruning (Iowa) were leaving the position of USDA Historian in 2008, they researched the Annual Meeting minutes and compiled information on all of the Resolutions adopted through 2007.

This information has now been assembled into a true Compendium of Resolutions with a complete listing of all thirty-four (34) of these Resolutions where they have been re-formatted into a true Resolution layout consistent with the first Resolutions adopted back in 1981.

While Resolution No. 17 adopted in June of 1987, entitled Creation of USDA Compendium of Resolutions, directed the USDA Secretary "to prepare a 'Compendium of Resolutions adopted by USDA " to be regu larly updated and dis tributed to all Member Organizations for the further education of all Square Dancers; " in retrospect , it would seem more appropriate that the USDA Par liamentarian be responsible for maintaining the USDA Compendium of Resolutions .

These Resolutions provide insight into the history of the United Square Dancers of America and to the positions that the USDA Board of Directors have taken during their first thirty years of existence.

A copy of the complete Compendium is available for your review and use upon request. Now that the USDA Compendium of Resolutions has been compiled, it would seem appropriate for this Compendium to be posted to the USDA website for all dancers to review.

Centennial Award ProgramAnnual Board Meeting

June 22, 2016

We have given another Centennial Award since our Annual Board Meeting in June 2015. Jim and Judy Taylor, USDA Treasurer, made the presentation to Mr. Frank Habersberger at a recent dance in the Denver area. Mr. Habersberger is a former member of the USDA Executive Committee and served as the President at one time. He and his late wife were very active in square dancing and in the promotion of square dancing. His daughter, Marilyn, told us that her father has so many fond memories of the days when he and his wife were so involved in the dance program and that he often speaks of those memories.

The Taylor’s presented the award to Frank in front of a large group of dancers and stated that Frank was very pleased at being recognized and honored with our Centennial Award. The July-Sept. issue of USDA NEWS has a Feature Article on Frank and also a story on the presentation of the award. You can see by the smile on his face that he was having a good time.

It is such a thrill to find dancers that are 100 years of age and still able to dance and participate in a program that they have loved so well. Please help us spread the word that we do have this program available for this special group of dancers. I feel that there are still dancers that are qualified for this award, but don’t know that we have it. We would like very much to be able to thank them and honor them for their contributions to square dancing over the years, so please help us spread the word.

Education/Publications ANNUAL REPORT

May 15, 2016

We have filled 14 order requests, 6 of which were from USDA board members. $259.90 has been spent in postage from May 12, 2015 through May 15, 2016. I calculated approximately 5,239 tri-folds, 523 pamphlets, 515 booklets, and 41 Youth Training DVDs and 4 USDA PowerPoint DVDs were shipped. That is a total of 6,322 pieces of literature that have been distributed since our Annual Meeting in June, 2015. Prior to Springfield the printing order totaled $4,202.26. In December 2015 another printing order was placed which totaled $1,188.50. We have recently placed another printing order with North Hills Printing and will have it back and ready for the National Convention in Des Moines, IA.

Also since our last annual meeting, we assisted in updating the USDA publications to include the new square dance slogo. At the 64th NSDC in Springfield, MA we were co-panelists with Alitia Becker and Larry Dunkel presenting: USDA – The Resource for Square Dance Leadership.

USDA NEWS EDITOR REPORT ANNUAL MEETING

JUNE 22, 2016

As I am beginning my fifth term as editor of USDA NEWS I look back over the past four years and how quickly that time has passed. On the one hand I still feel like the new guy on the block, but on the other hand I feel like one of the veteran players on the Executive Committee of the largest and finest square dance organization in the world. What a joy it is to be a part of this association and to have the privilege of being your editor of our newsletter.

During the past year we have made a couple of changes in our newsletter. We added some color pages. We now have the center four pages in color and these are offered to you for advertising your upcoming conventions and special events. These pages are offered on a first come basis, so be sure to reserve your space early.

The second change made was to adjust our advertising rate. USDA NEWS has always offered the best advertising rates available and that has not changed, but we did feel the need to update our rate structure. While there have been several increases in the cost of producing our publication over the years we have continued to bite the bullet and left our rates intact. Eventually this did catch up with us and the decision was made to adjust our rates, however, I think you will find that we are still your best advertising bargain. You will find the advertising rates on the inside back cover of each issue of USDA NEWS.

June 22, 2016

It’s been a very busy year since the National Convention in Springfield due to the tours from Minnesota and following the Springfield Convention. Phone calls and Emails continue to be frequently received. Requests for forms are less frequent and many dancers are making use of the web site to print forms.Since the National 48 individuals have submitted forms requesting various badges and bars. The Engelhardts from Minnesota have completed 48 States for the Second Time Around, and the Robeys from Illinois have completed both 48 and 50 States for the Second Time Around. The Robeys and the Kuesters are actually working on the Third Time Around even though there is no reward for doing so.This program continues to be well received by dancers and callers. Callers have been very helpful by arranging dances so participants can complete a State they need.Comments are very positive and sometimes written on the forms when they are submitted ie. “Thank you for dancing with us”.To date, all States have been visited at least once.Expense vouchers have been submitted as needed. The Englehardts received $120.00 for their Iowa Registrations upon completion of 48 States. David and Linda Isom received $120.00 reimbursement for their Iowa Registrations (48 States), and $100.00 for their Ohio Registrations (50 States). Ollie and Andrea Kuester received $80.00 for their New England Registration. They prefer to receive it in person because the fees in Germany are very high to cash a check written on American Banks and they were very grateful that we arranged to do it that way. The Robeys received $180.00 for Iowa and Cincinnati Conventions. Jan Smith received $60.00 for the Iowa Convention having completed 48 States and $50.00 for the Ohio Convention (50 States).Postage increased this year as well due to the fact that when I send badges and bars they are no longer considered regular mail but now are considered to be packages because they will not go through the regular machines and require special handling. Actually a few weeks the price to mail badges or bars went down slightly from $2.54 to$2.45.I no longer have a FAX machine.Supplies are ordered and kept on hand as needed. FACILITIES ANNUAL MEETING

JUNE 2016

Des Moines, IA: The Annual Board of Directors Meeting will be held in the Iowa Events Center – Ballroom B on Wednesday June 22, 2016 at 1:00 PM. This will be the 35th Annual meeting.

Cincinnati – 2017: I have been working with the GC of the convention, and they are planning to assign the meeting rooms for 2017, after the 2016 convention. We will post this information as soon as we have it on the USDA website. I also met with the GC at Pre=Convention and at the Ohio State Convention.

Kansas City – 2018: All meeting rooms specs have been sent to the GC, and I met with the Facilities team in March 2016 at the Pre-Convention for 2017. They have a good understanding of our needs and are working on this.

Marietta – 2019: Specs have been sent, a little to far out to plan at this time, but they have the information on the USDA meeting rooms.

It has been a pleasure handling the Facilities needs of United Square Dancers of America and to the Affiliates these past 6 years.

UNITED SQUARE DANCERS OF AMERICADRESS AND JACKET

Annual Delegate Meeting June, 2016

We have made arrangements with Sew Em Up Fashions to make the Ladies Skirt, if you need assistance.

OFFICIAL APPAREL DESCRIPTION

COLORS: Royal Blue, White and Red (logos red, white and blue). Embroidery is done by the Queensboro Shirt Company. You must supply four (4) white dress panels to have embroidered. Use any eight (8) gore skirt pattern, twenty-one (21) inch gore lengths

BODICE: White bodice insert, white sleeves with white eyelet trim on sleeves. Red bodice with blue cording on bottom of bodice and between white and red around neck. Blue cording around neck and between white and red on bodice.

SKIRT: Eight (8) white gores. Alternate panels w/four (4) logos. Do not place logo in center of back or front. Alternate red and blue cording between gores, placing the blue cording on the left side of the logo panel (as panel faces you). Ruffle: Blue, leaving white material underneath ruffle. Adjust skirt length at waist. (Pre-cut panels are 25inches.) Drop ruffle in necessary to lengthen. Zipper: Red – using white top thread on skirt part.

ACCESSORIES: Complete dress with white petticoat, white petti pants and red shoes.

MEN: White shirt with one logo embroidered in center back. You can furnish shirt at the same time the four (4) dress panels are embroidered. Royal blue pants topped off with red tie. Due to lack of vendors for the Royal blue pants, men can wear black, grey or dark navy blue to coordinate with the ladies attire. A picture of the outfit is available on the USDA website, www.usda.org. USDA will pay for the cost of embroidery of one set of panels and one shirt for new members of the USDA Executive Committee who do not have a USDA outfit.

HOW TO HAVE DRESS AND SHIRT LOGOS EMBROIDERED

1. The logo can be embroidered in the center of the back yoke as well as on the two front yokes if desired. If you are making the shirt or making just the yoke for the shirt you can send just that piece, or send the whole shirt if using a purchased shirt.

2. Ladies will send four pre-cut panels for their skirts. VERY IMPORTANT: Mark on the panels with pencil where you want the center of the Design. We recommend that you use white TEE Shot material. It has a nice weight and it stays white better than some material. The logo usually appears approximately 2” above the ruffle line.

3. The cost is $5.00 per logo for both the large and small Logo. The normal outfit would have 4 logos on four panels of the skirt. Men’s shirts would have one logo on the back yoke (nothing on the front) Total cost of the embroidery would be $25.00. On the men’s shirt you could have three logos (1 on the back Yoke and 2 on the front yokes),if you choose. Total cost for the embroidery would be $35.00

4. Furnish Ed & Lynda Willis your name(s), complete mailing address, telephone number, and email address provided with the panels and /or shirt. Give Specific instructions on the size and number of logos for the men’s shirts and/or panels. Let them know an approximate date when you need the shirt and/or panels back.

5. If Possible, turn-around time will be no longer than two weeks. If there is a problem Ed & Lynda Will contact you to let you know.

6. Queensboro Shirt Company will not be responsible for issues with customer supplied material if there is a problem with the embroidery machine or material.

7. Queensboro can supply white nonwestern shirts. We have also found that Drysdale’s carries Western two pocket snap shirts by Ely.

8. We do have a couple pair of blue pants that have been donated from previous members available.

The articles to embroidery should be sent to:

Ed & Lynda WillisPO BOX 7524Wilmington, NC 28406

The United Square Dancers of America want you to be recognized as an affiliate of USDA by wearing the official outfit of USDA. The outfit is not singularly worn by the Executive Committee, but can be made and worn by any dancer wishing to display their pride and support of USDA

CALLERLAB CONVENTION

ANNUAL MEETING REPORT

June 22, 2016

We attended the 43rd CALLERLAB Convention held in Norfolk, Virginia, March 21- 23, 2016. The theme for this convention was “AGENTS OF CHANGE.” Approximately 225 callers and VIPs were in attendance.

During the convention, 30 educational sessions were held for callers and dancers interests; 20 committee meetings; two banquets; two sessions where attendees may meet the members of the Board of Governors to express ideas and ask questions of the CALLERLAB Board. In addition, opportunities to meet visiting VIPs of other dance organizations including, ROUNDALAB, UNITED SQUARE DANCERS of AMERICA, The ARTS, USA West, National Executive Committee, officers of upcoming NSDC, and International representatives.

We attended 9 sessions that included the Welcome, Talent Show, Orientation, Opening, Board of Governors Informal, Organizational Welcome, Sustainable Square Dancing and Jump Start Your Club.

A MP3 disc recording of selected sessions was made. This enabled attendees the opportunity to purchase the disc so that they would have the information on sessions they were unable to attend. We acquired a copy of this recording. This disc recording can be ordered by contacting CALLERLAB. TEL: 785-783-3665; Email [email protected].

We set up a display of the USDA Educational and Program pamphlets. There was very little of these publications taken.

The 44th CALLERLAB Convention will be held at the Mesa Hilton in Mesa, Arizona April 10-12, 2017.
