About uLearnThe uLearn conference is created, owned and managed solely by CORE Education, and is the largest professional development educational conference in New Zealand, attracting an audience of over 1,500 people every year. At CORE, we liken our partnerships with the weaving of a korowai. Each element in the weaving of a korowai plays a vital role in its overall creation. One part of this, without the other, would make it an incomplete piece. Therefore, we have taken our partner/kaitaunaki names from the steps involved in the weaving of a korowai:

• Kaitaunaki ā-Rawa

– Te kohikohi rawa refers to the gathering of resources from known sources. This requires a knowledge of where to look, when to look, what to look for, and the associated practices that go with this in its preparation.

• Kaitaunaki ā-Auaha

– Te Auahatanga is the phase where skills and knowledge of weaving and creating is brought into play. This is a collaborative time where different jobs may be allocated to specific people in terms of knowledge of its whakapapa, the designs to be used, or the quality of the materials to be used.

• Kaitaunaki ā-Hua – Te Hua is the stage where the korowai can be displayed or used, where the fruits of people’s labour can be shared for all to see. The innovation in the design or technique used would be a talking point for those people involved and the stories behind the process and purpose. This inevitably will be embedded in the mind of the viewer or user.

Presentation OpportunitiesCome and share your ideas and experiences with delegates at uLearn17 (11-13 October).

uLearn17 is focused on three conference strands and submitted abstracts must fit one or more of these:

• Learning digitally / Te ako ā-matihiko

• Learning in communities / Te ako ā-hapori

• Learning for success / Te ako kia angitu

There are eight breakout types:

1. Makerspace Playground pop-up (one breakout timeslot, plus the lunch break)

2. BYOD hands-on workshop (60, 75 and 90 minute options - BYOD essential)

3. Presentation (60 and 75 minute options - interactive, BYOD preferred or BYOD not essential options)

4. Spotlight session (75 minutes - Wednesday only)

5. Taster session (25 minutes)

6. Tech tools taster (25 minutes)

7. Research and Inquiry Symposium (RIS) paper presentation (20 minutes)

8. Half-day workshop (BYOD only - Friday only)

Tech tools tasters are ideal for exhibitors who wish to highlight or demonstrate a specific product in a short 25 minute ‘show and tell’ format.

Social EventsExhibitors and sponsors are welcome to attend several of the social events offered to delegates. These are great opportunities to connect with delegates away from your exhibition stand.

Exhibitors are invited to participate in the Welcome Reception; a chance to start your conference experience by mixing and mingling with fellow exhibitors and conference delegates, whilst enjoying fine wines and canapes!

Gala Dinner Date: Thursday 12 October

Time: 7.00pm - 11.30pm

Location: Claudelands Events Centre, Hamilton

Cost: $110.00 +GST

Exhibitors are invited to purchase tickets for the uLearn17 Gala Dinner. This legendary event is a popular social occasion for delegates with sell-out attendance in previous years. This year’s theme is ‘Op Shop Ball’.

Please note a maximum of two gala dinner tickets per exhibitor is permitted.

Hobbiton Movie Set TourDate: Friday 13 October

Time: 3.20pm

Duration: 2 hours

Exhibitors are invited to purchase tickets to the post-uLearn17 Hobbiton Movie Set Tour. This is an optional add-on for delegates to purchase and we have opened bookings to exhibitors as well. Finish your conference experience on a high with one of the following tour options:

Option 1 - Hobbiton Movie Set Tour (including coach and lunch): $113.04 +GST

Lunch will be provided at Claudelands Events Centre from 1.00pm before the bus departs for Hobbiton at 2.00pm. Following the tour, a bus will depart the set at 5.30pm to return attendees to Claudelands.

Option 2 - Hobbiton Movie Set Tour (including lunch only): $82.61 +GST

Lunch will be provided at Claudelands Events Centre from 1.00pm. All attendees selecting this option are responsible for their own transport to/from Hobbiton.

Terms and Conditions

Booking and Payment1. All prices are quoted (unless specified) in New Zealand dollars and exclude GST. GST is calculated at the date of payment and is currently set at 15%. CORE Education reserves the right to vary the quoted prices in line with any changes to the rate of the GST.

2. Registration forms for an exhibitor stand must be completed online prior to 31 July 2017. (Please note the exhibitor stands may sell out prior).

3. Upon confirmation of the booking, an invoice will be generated and emailed to the exhibitor. This must be paid in New Zealand dollars by credit card or bank transfer in full within 30 days of registering, or prior to the event date (if this is sooner). We reserve the right to refuse admission to the conference if payment has not been received.

Allocation of Exhibition Space4. Exhibition space will be allocated by CORE Education after the exhibitor registration closing date only after receipt of the online registration form and payment of the invoice in full.

5. CORE Education reserves the right to make changes to the floorplan and position of any exhibitor stand. However, changes will not be undertaken without prior discussion with the affected exhibitors.

Event Content6. While speakers, strands and topics for uLearn17 were confirmed in February 2017, and subsequently published online, circumstances beyond the control of CORE Education may necessitate substitutions, alterations or cancellations of the speakers and/or topics, and the programme and format of the event may be changed accordingly. As such, CORE Education reserves the right to alter or modify the advertised speakers, topics, formats or programme as deemed necessary without any liability to exhibitors or delegates whatsoever. Any substitutions, alterations or amendments will be notified via updates as soon as possible.

Exhibitor Stands7. Exhibitors may not assign or sublet any part of their stand.

8. The exhibitor is responsible for supplying all equipment and furniture for the stand, except that noted as being provided in the exhibition package.

9. Exhibitors must keep their stands in a clean and tidy state, and must keep passageways in front of their stand clear from any obstruction.

10. Exhibitors must ensure their stand is staffed during all delegate break times.

11. Exhibitors are required to only conduct business from their stand and are not permitted to display or distribute advertising material outside of their stand.

12. Exhibitors are prohibited from operating any equipment at a sound level that, in the sole opinion of CORE Education, is likely to cause disturbance to neighbouring exhibitors or delegates.

13. A conference wireless network is available for exhibitors to use during the event. Details to access this will be provided prior to the event. Exhibitors agree not to enable any other wireless network on their stand. Exhibitors agree that use of the wireless network will be used for purposes of promoting their products and being able to work (ie check emails).

14. Exhibitors are not permitted to sell food or beverages from their stands. Complimentary food or beverages (sample size items, confectionary, etc) are permitted.

15. Exhibitors are not permitted to undertake fundraising activities for not-for-profits on their stand.

Please read the information listed below carefully, as each registration booking is subject to the standard terms and conditions of CORE Education Ltd. Registering for a stand at this event is deemed acceptance of these terms and conditions.

Please note these terms and conditions apply to exhibitors only. Sponsors will receive a separate agreement outlining appropriate sponsorship benefits and terms and conditions.

16. Exhibitors are welcome to hold competitions on their stand but must advise the Exhibitor Liaison at [email protected] of any such activity before the conference commences.

17. The Exhibitor is wholly responsible for the security of its materials and property during set up, conference hours, after hours and pack out/dismantling. CORE recommends important and expensive items are removed from the stand overnight.

18. CORE Education and Claudelands Events Centre accept no responsibility for loss or damage to exhibitor property associated with the conference.

19. CORE Education reserves the right to remove or alter any stand not considered to be in the best interests of uLearn17 at the expense of the exhibitor and with no liability to CORE Education.

Stand Set Up20. Exhibitors are responsible for the setup of their stands.

21. The venue will be available to exhibitors for set up on Tuesday 10 October 2017 from 1.30pm and must be completed no later than 7.00pm the same day.

22. All exhibitor stands are expected to be of a high standard. Displayworks is the preferred company for the exhibition build. Any exhibitors wishing to use a different contractor to set up their stand must seek the approval of the Event Coordinator no later than 10 September.

23. Exhibitors may only use ‘hook’ velcro, staples, pins or small household picture hooks to adhere items to the panel walls. These must be removed by the exhibitor immediately after the event and a fee for removing any such items not removed will be chargeable back to the exhibitor. If the exhibitor damages the panel walls in any way, including the use of unsuitable adhesives such as screws or nails, the exhibitor will be liable for any damage and the associated costs.

Insurance and Public Liability24. The exhibitor is responsible for any damage or loss they may cause to the venue, stand structure and/or goods or property of CORE Education or any other exhibitor, individual or company.

25. The exhibitor is advised to take out all necessary insurance and advise their insurers to extend cover, including public liability, to uLearn17.

26. For electrical safety, exhibitors are responsible for ensuring their power cords, multi boxes and electronic devices have been tested by a reputable company with electrical experience, according to the correct standard. No tag and testing procedures will be permitted before or during the conference.

Health & Safety27. All exhibitions must meet current Building Act 2004, Health & Safety at Work Act 2015 and New Zealand Fire Safety regulations.

28. The Exhibitor must, at all times, comply with the Venue’s regulations and policies.

Photography/Video29. Exhibitors agree to CORE Education staff and/or attending media representatives taking photographs and recording audio and video footage of the event, which may include the exhibition area. Materials produced may be displayed online, on television, in print or used by CORE Education for marketing or educational purposes.

30. Event delegates may take and distribute images or recordings, including via social networking sites, independent websites or reports. CORE Education takes no responsibility for material or images used in this way.

Stand Pack Down31. Exhibitors are responsible for the pack down of their stands.

32. Exhibitors must not pack down any part of their stands prior to 11.30am, Friday 13 October 2017. Exhibitors who attempt to do so may be excluded from involvement in future CORE Education events.

33. All stands must be removed by 3.00pm, Friday 13 October 2017. Any material left on the stand after this time may be removed by CORE Education at the expense of the exhibitor.

Cancellation, Postponement and Substitution Policy34. Cancellation of an exhibition stand by the Exhibitor must be submitted in writing to the Exhibitor Liaison at [email protected]

- Prior to 10 July 2017, cancellations will be refunded in full (if payment has been made).

- Between 10 July - 31 August 2017, cancellations will be liable for 50% of the package selected.

- From 1 September 2017, cancellations will be liable for 100% of the package selected and no refund given.

35. In the event that CORE Education cancels the event for any reason, the full exhibition package fee only will be refunded. Flights, accommodation, replacement staff and any other loss sustained will not be reimbursed.

36. In the event that CORE Education postpones the event for any reason and the exhibitor is unable or unwilling to attend on the rescheduled date, the full exhibition package fee only will be refunded. Flights, accommodation, replacement staff and any other loss sustained will not be reimbursed.

37. CORE Education is not responsible for any loss or damage as a result of a substitution, alteration or cancellation/ postponement of an event.

38. CORE Education shall assume no liability whatsoever if this event is cancelled, rescheduled or postponed due to a fortuitous event or any other occurrence that renders performance of this event impracticable, illegal or impossible, in the sole opinion of CORE Education. For the purposes of this clause, a fortuitous event includes, but is not limited to: war, fire, earthquake, labour strike, extreme weather or other emergency.

General39. All advice, decisions, opinions, recommendations, proposals, presentations, seminars and reports, whether written or oral, are made in good faith by CORE Education on the basis of value judgements influenced by current commercial and the organisation’s conditions. These may be affected by unforeseen events and factors outside CORE Education’s control and, as such, we reserve the right to amend or cancel planned or previously agreed arrangements. In this instance, CORE Education shall not be liable in any event to delegates, exhibitors, or any other person or third party for any direct or consequential loss or damage sustained arising out of or in connection with this event.

40. CORE Education reserves the right to alter these terms and conditions at any time.
