There are a number of important things you need to do in the next few weeks - this section gives you a checklist of the essentials.

First things first - accept your place

Check your CAO offer notice carefully and follow the instructions to accept your place before the reply date. You can find all CAO information at www.cao.ie

Register online with UCD

Go to www.ucd.ie and use your log-in (CAO number) and password date of birth (ddmmyy) to access UCD Connect.

We advise you to change your password immediately using the Password Change Tool in the IT Services tab in UCD Connect.

All students must go online to register. Incoming undergraduate students can begin online registration within three working days of accepting their CAO offer.

Click on the Student Information System (SIS) link, which can be found under the Student Life tab. You can register online from here. Start by filling in your personal details.

UCD Connect provides you with a range of services including email and a personal calendar together with access to your files, software applications, the Blackboard eLearning environment and Library resources. You can access these online services anytime through UCD Connect, whether you are on campus, at home or abroad.

Pick your modules

UCD Horizons operates on a module based system (see page 102 for further detail). Module registration opens on Thursday 1st September 2011. For more information, please visit: www.ucd.ie/students/registration.html

The modules which are core to your programme (if any) will already have been assigned to you. You can also choose option and elective modules if you wish. Full information on all programmes is available on the Student Information System (SIS).

See www.ucd.ie/students/course_search.htm for an online directory of first year modules. It is advised that you check your eligibility for your chosen module as you register. You do not want to waste time attending a module that you are not eligible for, and if you do not check your eligibility at the start of the year then you may be left with very little time to change your module. All modules have a limited number of places; therefore it is important that you select your modules as early as possible.

If you need any assistance with registration you can visit the Incoming Students website at www.ucd.ie/incomingstudents

Assistance with online registration will be available face-to-face only if you need it. Go to Room 321 in the Engineering Building anytime from 9.30 - 17.00 from Monday 5th - Friday 9th September.For a step-by-step guide to theonline registration system, please see page 21. You need to registeronline before you can get your student card but you will have until Friday 23rd September to change your mind about your modules for the first semester.

For your choice of Semester 2 elective modules, you will have an opportunity in early January 2012 to change your mind online, if you wish.

Attend first year orientation (compulsory!)

New student orientation will take place from Monday 5th September to Friday 9th September 2011. It is very important that you attend Orientation week as there will be a series of events organised to prepare you for life in UCD. Some of the many important events will include:

• Student Card Collection• Academic Advisory meeting• UCD President’s Welcome

Ceremony • Library tours• IT induction courses

There are also many social events, some relating specifically to the course that you are beginning and other events open to all students such as the Orientation BBQ and the Tapas Night. These events will give you a great opportunity to meet new friends so it is well worth attending. Your specific timetable along with the list of social events taking place each day can be found at www.ucd.ie/incomingstudents

Download or print your orientation timetable for the week by selecting your programme using the CAO course code.Attendance at academic advisory meetings is compulsory, however if you have received a late offer and have already missed these events, please do not worry. Contact the student adviser for your programme as soon as possible. They will be able to assist you with the material you have missed.www.ucd.ie/studentadvisers

Pick up your Student Card

To collect your student card you must first fully complete online registration. You can then collect your card at a student card collection point during Orientation Week.

To collect your student card, you must have your passport or birth certificate with you as a proof of ID, as these are the only two documents that will be accepted as a form of identification. Your UCD student ID card is for the duration of your programme of studies, so please take care of it during your time in UCD. There is a replacement charge if you need to get another one.

Attend IT Induction Course

IT Induction Courses are run every day from 10.00-17.00 in the Daedalus Building on the Belfield campus from Monday 5th September to Friday 9th September 2011. These courses are the best way to learn quickly how to use the University’s IT systems, which are very different from your home computer. Once you finish the quick tutorial, you will receive a free 4 GB disk key – enough space to hold all your essays and much more!

Finalise module choice and print timetable

After you have attended your academic advisory meeting you may want to review your module choices. When you are happy with your choice, print off your timetable so that you know the time and location of your first lecture on Monday 12th September.

Start attending lectures

Lectures start on the hour and finish about 10 minutes before the hour to allow students time to get to their next lecture. Most lecturers distribute reading lists at the first lectures, so it is particularly important not to miss any of the early lectures. You will also have to attend tutorials and, in some cases, practicals. These are explained in more detail in the academic information section.

Nursing and Midwifery Students

Each prospective nursing/midwifery student will receive a separate pack in addition to this booklet with information and forms specific to their nursing/midwifery programme. Please return these forms as soon as possible. Health screening forms, Garda vetting forms and others will be forwarded to you at a later date.

Important reminder

Medicine, Physiotherapy and Radiography students

Do not forget to return the medical and Garda vetting forms which are enclosed with this booklet. Your registration will not be complete until all these procedures have been satisfactorily completed.

We really hope you will decide to accept your place but if you cannot, the following might be helpful:

Deferral

If you have decided that you would like to take a year out before starting at university, you may want to defer your place. If this is the case, DO NOT accept your offer of a place through the CAO. Instead, write immediately to UCD Registry – Admissions, UCD, Belfield, Dublin 4 (or email [email protected] - email requests will only be accepted from the email address used in your CAO application) giving the following information:

• Your name, address and contact telephone number

• CAO number • Course offered• Reason for wishing to defer

The deferral request should normally arrive in Admissions at least two days before the reply date on the offer notice.

If the deferral is granted, the next year you must apply again via CAO, placing the deferred course as the only preference on your CAO form, and advise UCD Registry Admissions of your new CAO application number. You will then receive an offer in early July 2012.

Cancelling

If you accept your place and then change your mind, please email [email protected] immediately to inform us.

Make sure to quote your CAO application number and the name of the course you are cancelling. It is really important that you let us know so that we can offer the place to somebody else. However, you do not need to do this if you are accepting another place via CAO.

UCD Orientation Week is about finding your way around UCD and settling into academic life. But, just as important, it is a great week to get involved. Below you will find information about Orientation Week and the events that are taking place to help you settle into college.

Making the transition into university can be a difficult experience and it can all seem somewhat daunting at first. Here in UCD we aim to make that transition as smooth as possible by organising Orientation Week for all new students.

This is a compulsory week for new students only, in which we prepare a timetable of academic and social events to introduce you to your new community. You will be assisted and guided by the Orientation Guides.

The UCD Orientation Guides are current students who have volunteered to help you settle in and welcome you into the UCD community. They can be seen wearing blue t-shirts with the Orientation Week logo and are there to assist you, so make sure you ask them plenty of questions and never be afraid to ask them for help.

The more you get involved during Orientation Week the more successful your first year in university will be, so it’s worth making the effort. Not every student is required to attend every day of Orientation Week, so it is important to check your Orientation Timetable which can be found on: www.ucd.ie/incomingstudents

Each student has their own personalised timetable. You will find your timetable at the above link.

Click on Orientation Timetables and select your CAO course code. By attending all the events planned out for you during Orientation Week, you can make your move to University College Dublin a whole lot easier. Equally important, and perhaps a little more fun, is the UCD Orientation Social Calendar which lists the many social events planned especially to help you settle in and make new friends.

To see a full list of what is happening, visit the Social Life pages on www.ucd.ie/incomingstudents or ask your Orientation Guide. All new first years are invited to a President’s Welcome Ceremony – you’ll find details of your specific ceremony on your Orientation Timetable.

Remember the key to making new friends and settling into life in UCD is to say ‘Hello’, try to get involved and ask for help if you need it.

During Orientation Week all the students you see in UCD are new just like you. So don’t be afraid to ask for help.

Academic Information

UCD Horizons is the name given to the structure of the taught degree programmes at UCD. The UCD Horizons programme is modular and based on credits. This is much more flexible than traditional degree structures and allows you to individualise your studies.

What are the different sessions on my timetable?

Lecture

These are formal presentations on a particular aspect of your course and are designed to stimulate your thinking and reading. The focus is on providing you with an overview of a topic, which you will then be expected to research in more depth using UCD libraries, the internet and other study aids.

Lecturer

You can always approach your lecturer directly, either after a lecture (although you may be asked to make an appointment if s/he is rushing to another lecture) or during his/her office hours – most lecturers have office hours every week during term time when they are available to meet students. You should check with your school office for details.

Seminar/Tutorial

These groups are smaller and the lecturer will encourage in-depth debate amongst students. These are also a good place for getting answers to any questions that you may have.

Tutor

Your tutor is a good person to approach if you are having difficulties with any of the material in that particular module.

Laboratory Practicals and Fieldwork

These are opportunities for you to do the practical work related to your course and to put into practice the knowledge and techniques you learn in your lectures, e.g. carrying out chemistry experiments or visiting historic sites.

Do I have to attend everything?

Yes. You are required to attend lectures, practicals and compulsory tutorials. If you miss a lecture, it is your responsibility to find out what you missed. You should try to catch up before the next lecture in the module, so that you do not get left behind as the module advances. If medical/personal circumstances impact on your attendance you should contact your Programme Office, who will be able to advise you on the appropriate course of action. If you find that you have a serious difficulty in attending, you should contact the Programme Office or your Student Adviser as soon as possible, so they can provide whatever help is appropriate.

When are my exams?

In UCD we use a wide range of assessments so you will not necessarily have an examination of the type you’ve been used to at school. The aim of assessments is to verify that you have achieved the learning outcomes of a module. There are many forms of assessment, such as a formal written examination (usually at the end of the semester), a report on practical work or an oral examination. The online Module Descriptor for each module gives the details of the types of assessment used, and how much each part of the assessment contributes to your overall grade in the module. These module details are available through the online curriculum browser: www.ucd.ie/students/course_search.html

The result of the assessment of your performance in a module is officially recorded as a grade. You can view results online through the SIS Web system.

If there are formal exams for your module, which are organised by Assessment, UCD Registry they’ll take place at the end of the semester – please refer to the dates of the Academic Year that are listed in the UCD Student Guide and Diary.

Programme Offices

Programme Offices are the first point of contact for students seekingacademic advice. They are here to help you with any concern or queryrelating to your degree programme. See page 20 in the ‘Student Support’ section of the UCD Student Guide and Diary for contact information.

School Offices

For queries relating to your individual subjects the School Office will be able to offer advice and support.

Online User’s Guide to the General Regulations

This is a very useful online resource covering all aspects of your degree programme. Visit www.ucd.ie/registry/academicsecretariat/asug

Mentors

For some programmes an academic mentor is appointed for each student. This person will meet with the student on a regular basis to discuss any academic problems.

Student Advisers

If you are having any personal, financial or academic difficulties, you should seek support from your student adviser. For moreinformation on the services your student adviser can offer, pleasesee page 17 in the ‘Student Support’ section of the UCD Student Guide and Diary.

Peer Mentoring

Peer mentors are students who have already completed their first year of study in a similar area and are there to help and assist on an informal basis. Please see page 16 in ‘Student Support’ section of the UCD Student Guide and Diary for more information.

Computer Programming Support Centre

The CPSC operates on a similar basis to the MSC. It supports all students who have academic problems with Computer Science modules. For more information, see: www.csi.ucd.ie/content/computer-science-support-centre

Are there online resources to help?

Blackboard is UCD’s eLearning tool. Lecturers use it to distribute notes, share course materials and post class announcements. Students can download their notes and course content for later use when offline. There are many other features such as discussion forums, blogs, wikis and surveys. Students automatically receive a username and password when they start at UCD. You can get access to all of UCD Library’s online resources for your subjects from home via the findit@UCD Library. To access Findit, visit the Library home page www.ucd.ie/library, click on Electronic Resources and use your UCD Connect login details. Click on Subject Search and choose your subject from the drop down menu.

Guide to Online RegistrationHow do I register?

How do I access online registration?

If you don’t have access to a computer at home or nearby in the local library or an Internet café, don’t worry – there will be computers available to you here in UCD at our Assisted Registration Lab in Room 321 Engineer-ing Building during Orientation Week (Monday 5th September – Friday 9th September 2011). The staff there will be able to help you if you have any queries about online registration. There are also Stand Up And Surf (SUAS) PCs available for you to use around campus.

1. Go to www.ucd.ie

2. Log-in to UCD Connect using the panel on the right hand side of the page. Your log-in details will be: Username: Your CAO number (or your UCD student number if you have been here before). Password: Your date of birth (DDMMYY).

All administration-related information will be sent to your UCD Connect email address so make sure that you check it regularly.

What should I do next?

You should find yourself in the ‘Welcome to UCD’ page. The ‘Welcome to UCD’ page gives a brief explanation of the two steps that you will need to complete. Step 1 is Personal Information and Step 2 is Module Registration.

When you enter the Student Information System for the first time you will be required to agree to the ‘Terms of Usage’. Pressing the ‘Continue’ button is the same as signing a document, so be sure that you have read the terms carefully. Once you press ‘Continue’ you will be brought to another page. On this page please click the button that says:

This will confirm your registration to your programme for 2011/12.

1. Click on the ‘Student Life’ Tab.

2. Click on the Student Information System (SIS) link.

3. If you are asked to enter a SIS log-in you should use your CAO/stu-dent number and your date of birth.

Step 1: Personal Information

In the Personal Information step you will be asked to do the following:

1. Fill in your personal details, e.g. address, or amend existing details (from your application information).

2. Answer some survey questions.

3. If you are registering for certain Life Sciences programmes you will be asked to complete the programme requirements form.

4. Pay your fees online (see fees information below).

5. Upload your photo online so that you can pick up your student card during Orientation Week (Monday 5th September– Friday 9th September 2011).

You must complete any required fields that are empty and marked with an asterisk symbol (*). Some of your personal information (e.g. permanent address) will already be filled in from your CAO application details. Please check it carefully and amend as necessary. If your term address is different to your home address, please be sure to enter it.

You will be required to enter your full legal name online as per your passport or birth certificate. You will not be able to change this online once your student card has been printed by UCD and given to you. You must bring that document (i.e. your passport or birth certificate) with you when collecting your student card during Orientation Week.

You can collect your student card during Orientation Week when you have completed Step 1. The specific time will be in your Orientation timetable.

Note: for the very small number of students who register late online (i.e. those registering from Monday 5th September onwards), your student card will be available for collection one day after you have completed Step 1 of online registration.

Step 2: Module registration

Before you start, you should know what modules are part of your pro-gramme and the choices you will need to make. Go to www.ucd.ie/incom-ingstudents and click on the Course Search link for more information on your UCD Programme.

Check the registration dates at www.ucd.ie/students/registration to see when you can begin Step 2.

In this step you need to record your module choices:

• Core modules (that you must study as part of your programme).

• option modules (that you can choose from within your programme).

• Elective modules (that may be selected from any subject across UCD).

You have until 17.00 on Friday 23rd September 2011 to complete module registration. Popular option and elective modules will fill up quickly so it is important to register as early as possible!

Please note that Online Module Registration will close for the allocation of general elective places at 17.00 on Friday 9th September, and will reopen on the evening of Saturday 10th September at 18.00. It is recommended that you complete the module registration process in the following sequence:

1. Subject/Stream (Arts, Social Science and certain Science Students only).

2. Core/Options.

3. Main Labs/Tutorials (for your Core and Option modules).

4. Electives.

5. Elective Labs/Tutorials.

Subject/Stream Pages

First Arts, Social Science and certain Science students must choose their subjects on this page. Arts and Science students should carefully read the information leaflet included in their information pack before they start choosing their modules.

Arts Students/Social Science Students

In the ‘Selected Subjects/Streams’ section you will see any subject to which you are already registered. You may also pick the other subject/s that you wish to study.

1. The subjects available to you are displayed under ‘Available Sub-jects/Streams’. For Arts Students they are arranged in groups (A to F) and you can only choose one subject from each group due to timetable constraints.

2. To choose a subject area click on ‘Select’. You will then be asked to confirm your subject choice. Do this by clicking on ‘Sure’.

3. Your choice will appear in a section called ‘Selected Subjects/Streams’ just above the grid. Remember that the choices you make here will have an impact on the future stages of your degree).

4. In your first year (called Stage 1) you will take 12 modules over two semesters i.e. 60 credits and you can study a number of subjects. You can choose all 60 credits from the Subject/Stream page or you can choose 50 credits from here and a further 10 as Electives. Once you are happy with your choices, make sure that you choose the modules you need for your subject areas. Do this on the Core/Op-tions page.

Core/Options page

This page shows your ‘Core Modules’. Core modules are compulsory for you to study as part of your programme. You may already be registered to these modules – you will see Pre-selected beside these modules. In some instances you are required to select your core modules in which case click “select module / choose time”.

You will also need to select your ‘Option Modules’.

Main Labs and Tutorials page

Remember to register to any Laboratories, Tutorials or Practicals that are part of your modules.

1. Click on Select Module beside the module of your choice.

2. When you click on Select Module an information box will appear for that module. Click on the different headings to read about that module. Always read the information in ‘Am I eligible to take this module?’ before you make your decision.

3. If there is a choice of time slots for a particular lecture a calendar will display the available timeslots on offer to you (highlighted in blue). Scroll down to see all the timeslots on offer.

4. When you click on Select Module an information box will appear for that module. Click on the different headings to read about that module. Always read the information in ‘Am I eligible to take this module?’ before you make your decision.

5. Select the timeslot that suits best. Click on ‘Register’ to confirm your choice and return to the ‘Core/Options’ page.

6. Make sure that you register to all of the ‘Option Modules’ that you need to have.

7. You may drop or swap modules by clicking on ‘Drop/Swap’ beside a chosen module.

Electives page

Once you are registered to your core and option modules/labs/tutorials you can choose elective modules (generally 2 elective modules = 10 credits). Please read the information text at the top of the page before picking elec-tives.

Searching for Elective Modules

You can search for electives in the following ways:

• Search by Subject

• Search by School

• Keyword Search

• Timeslot Search

• In-Programme or All Electives

1. Select your criteria (e.g. Category, Subject) and click on ‘Search’.

2. Choose a module from the list that appears and click on the mod-ule title. An information box will appear.

3. Click on the different headings to read about that module. Always read the information in ‘Am I eligible to take this module?’ before you make your decision.

4. If you wish to choose the module simply click Register. If there is a choice of time slots for a particular lecture you will be able to choose the one that suits your timetable best from the calendar displayed. Your elective choices will be recorded on the ‘Electives page’. You can choose from ‘In-Programme electives’ (modules from within your programme) or ‘All Electives’ (modules from any subject across UCD). If you see ‘Confirmed’ beside an elective choice that means that you have a place in it. If you see ‘Provision-al’ beside an elective choice it means that places for that module will be randomly allocated on the evening of Friday 9th September and Saturday 10th September. Please note that prior to Friday 9th September, confirmed places are available on In-Programme Elec-tives only.

5. Check your UCD Connect email on the evening of Saturday 10th September to see if you were successful in getting a place. If you did not get a place on your original choice you can choose an alter-native module at this stage.

Be sure to click on ‘Hide Full Modules’ (in the Show Modules For section) to exclude any modules that do not currently have places available.

6. To start a new Elective search you must always click on ‘Clear Search’ and then enter your new information. At this point, the ‘Your Summary’ page will show you a summary of the personal information that you have provided so far, and the modules to which you are registered. If you have any personal information left to complete, or any modules still to choose, you should return to the relevant page and complete the step. You will be able to return to the relevant page from the Summary page.

Location of the Assisted Registration Lab and Opening times Room 321 and 321b in the Engineering Building, 5th September to 9th September from 09.30 to 17.00 (not open Sat/Sun). The Student Desk in the Tierney Building can help if you have difficulties with the registration process that cannot be solved in the Assisted Registration Lab.

Fees Information In order to be a fully registered student, you must make the appropriate payment. Your fee status and the details of the fees you are being charged will be shown on the screen. See www.ucd.ie/fees for more details.

In the ‘Fees Payment’ section of online registration you will see the amount you have been assessed as owing. Enter the amount you need to pay in the box provided. Tax relief is available for specified tuition fees. If that situation applies to you, please enter the requested information in this section. Details on tax relief can be found under information on fees at www.ucd.ie/fees

EU Students with ‘free’ fees who will be getting a grant just need to pay the Student Centre Levy charge. EU Students with ‘free’ fees who will not be getting a grant should pay the Student Centre Levy charge and the Student Contribution.

First year non-EU students must pay half their fees on acceptance of a place. EU students who are not eligible for ‘free’ tuition should pay a mini-mum of 50% of the amount shown on screen at this stage.

If you believe that you have been incorrectly assessed for EU or “free fees” you should contact the Student Desk, UCD Registry at [email protected]

All students on undergraduate ‘free fees’ programmes pay the Student Contribution of €2,000. Reductions for second and subsequent children in third level education takes place through the tax system, i.e. all students must initially pay the €2,000.

For further details on tax relief please refer to the Revenue Commissioners.

In conclusion, families deal directly with the Revenue Commissioners on claiming relief, not with the University.

Bank Giro

If you cannot pay your fees online, you should ask for a Bank Giro to be posted to you by ticking the box provided at the bottom of the online fees page. Giro payments should be paid through any bank in the Republic of Ireland and completed five working days prior to you starting in UCD.

Grant students: if you have a grant, you must bring a letter from your grant authority to the Student Desk in the Tierney Building as confirmation that you will be receiving a grant.

Criteria for eligibility for ‘free’ fees

The Irish Exchequer will pay fees to the University on behalf of students registered for full-time undergraduate degree programmes (of minimum two years’ duration) who meet ALL the criteria as follows:

• EU nationals with no previous third level attendance

• Those who have been permanently resident in an EU Member State for three of the five years prior to entry to university and have no previous third level attendance

If you do not meet all the above conditions you are liable for the full pro-gramme fee as listed on the UCD web page: www.ucd.ie/fees

Please note: The Department of Education and Skills may change any of the above criteria before September 2011.

If you already hold a university degree you are liable for full fees for all years of the undergraduate degree programme. If you have attended and not completed a third level degree, diploma or certificate course in the past five years you are liable for fees for the equivalent period of attend-ance. You must provide confirmation of the period of registration from the institution attended.

Local Authority Grant holders

If you have received a letter from your Grant Authority confirming your entitlement to a grant then you just need to pay the Student Centre Levy in order to complete your registration.

Important: You must bring your grant letter to the Student Desk, in the Tierney Building in Belfield, as soon as you get it. If your grant has not yet been approved you may pay the Student Centre Levy charge in order to register on a temporary basis. However, it is essential that you pursue your grant application. If your grant has not been approved by Saturday 15th October 2011 you will be required to pay the balance outstanding. If your grant has been delayed you may pay the amount shown to you on screen in order to fully register. A refund will be made to you when the Grant Author-ity pays the fee to UCD on your behalf. If you think you may be eligible for a grant and you have not applied to your local authority yet, you should do so immediately (see information on grants at www.ucd.ie/fees). Application forms are available from the Student Support Units in all local authority offices.

Fee implications of withdrawing for a ‘freefees’ student

If you decide that you do not want to continue your studies this year at UCD it is essential that you notify Admissions ([email protected]) imme-diately, quoting your student number, so that your place may be offered to the next student on the CAO waiting list. If you notify UCD of your inten-tion to withdraw after 1st October 2011 then the appropriate fee must be paid and half tuition fees will be claimed on your behalf from the Excheq-uer. You will have to pay half tuition fees for one year if you register in the next five years in any Irish third level institution. See www.ucd.ie/fees for the implications of withdrawing.

You must speak to your Programme Office if you intend to withdraw. In or-der to withdraw officially you must complete a withdrawal form with your Programme Office and return your UCD student card with that completed form at the Programme Office. The date of receipt of the written notifica-tion will be taken as the withdrawal date.
