One of the most signifi cant changes within the new structure is the importance of top management engagement within the management system. Top management are now required to understand and engage with the leadership elements of the revised standards.

Do we have to be ready to transition to the revised standard straight away?No, not at all. The transition guidance from ISO shows that organisations have three years from publication to transition to the new standard, so they can choose to transition at any point within this period. Some may choose their next certifi cation cycle, although many will want to be ‘among the fi rst’ given the increased functionality that ISO 9001:2015 and ISO 14001:2015 will deliver, along with the bonus of a clear commitment to best practice being demonstrated to their interested parties.
Starting the transition planning early, including setting and communicating a transition date, will enable you and your organisation to pro-actively manage the transition at your own pace.
How will the changes impact smaller organisations? For smaller companies, all the new and changed requirements may well apply. The contextual nature of the new standards means that the approach and degree of formality should be appropriate to the organisation’s operating environment. To put it simply, an organisation should not be doing more than it needs to do to meet its customer and product / service regulatory requirements but should be achieving this through a management systems approach based on ISO 9001 or ISO 14001.
What are the next steps that organisations should be taking?Focus on the areas that are completely new or have been revised. Those are the areas that are likely to be included in your transition plan. Also, make sure that quality managers and internal auditors understand the differences that Annex SL (common text and structure) will bring to the design, operation and performance of your management systems and any other management system standards in your organisation.

Your fi rst step during the transition journey is to make sure you understand the new standards. To support you during your journey, LRQA has created a free-to-use, online transition tool.
LRQA Pathway is a two-step self-appraisal process to provide reassurance that you understand the new standards and to check the readiness of your management systems for meeting the new requirements.
Do you understand the new standards?Phase one of Pathway is designed as a questionnaire for you to determine your understanding of the changes to the new standards. Simply select the correct answers and at the end of the questionnaire, you will be sent a report indicating your level of understanding of the transition requirements.

Are you ready for the transition?Phase two is a free self-appraisal questionnaire that has been constructed as a simple multiple-choice checklist. Simply answer yes or no to the questions asked and at the end of the questionnaire, you will receive a report that clearly shows how you are progressing with implementing the requirements of the new standards.
Your report will highlight your management system’s overall readiness and the areas you need to focus on to ensure a successful transition.
During your transition journey, you can complete this questionnaire as many times as you need to until you feel confi dent that you’re ready for LRQA to assess you against the requirements of the new standards.
If your results weren’t what you were expecting and feel you need help understanding the standards, or implementing the new requirements, LRQA has various training courses that can build on your existing knowledge and support you further during the transition journey.
A formal gap analysis from LRQA will complete your transition preparation and provide you with confi dence that an LRQA assessor has checked your understanding and assessed whether your management systems are compliant to the new standards.

LRQA can support you throughout your transition journey, by offering you a gap analysis visit. A gap analysis from LRQA will provide you with an understanding of where your management systems sit in terms of compliance to the requirements of the new standards, and what remedial actions – if any – need to be taken.
Gap analysis - at a glanceLRQA’s gap analysis assessment examines and reports on your management systems’ readiness for transition. It focuses on how your management systems have addressed, or plan to address, the changes introduced in the new standards. Based upon the fi ndings, your LRQA assessor will advise whether your organisation is ‘likely’, ‘partially likely’ or ‘unlikely’ to meet the requirements of the new standards.
A gap analysis visit from LRQA gives you the opportunity to discuss any concerns you may have about your transition journey and your management system’s readiness for certifi cation.
Do I get a report?Yes, a report will be issued on any gaps found; especially where the response is ‘partial’ or ‘unlikely’. These gaps are clearly identifi ed within your report, and your assessor will then discuss how these gaps may be addressed in order to demonstrate compliance.
The gap analysis report will enable you to plan your next steps in your transition journey to close out any reported gaps. LRQA can help you achieve this through further training to enhance your knowledge of the new standards. How do we transition to the new standards?In order to transition successfully, you need to formulate a plan to meet the new requirements of the standard together with output from Pathways or Gap Analysis to guide you. Your assessor will then use this transition plan to verify that you have implemented the new requirements to your existing management system, confi rming suitable supporting evidence.
Your Assessor will need additional time to carry out your transition. This transition time can be scheduled as additional time with your current surveillance or certifi cate renewal visit, or as a separate stand-alone transition visit.
Any defi ciencies will be reported as fi ndings in the usual way, and as long as these are minimal and with an agreed corrective action plan, the assessor will recommend approval to the new standard.
Once you decide the best timing for your visit, please contact your Client Services representative to book your visit.
Can we transition to the new standards before our next surveillance visit?Yes. As long as you have completed your transition plan prior to our visit, we will schedule an additional transition visit between your surveillance visit schedule. As long as any minor non-conformities have agreed remedial actions against them, then our assessor will recommend you for approval.
Can my transition be done as part of my existing surveillance or certifi cation renewal visit?Your transition can be scheduled alongside any existing visit, subject to our Assessor’s availability, but we will need to increase the overall duration of the visit to allow the Assessor to complete the transition. A stand-alone transition visit may also be arranged.
Can you be issued with a certifi cate as soon as the standards are published?Yes. As long as we have completed your transition visit and your management systems meet the requirements of the new standards, we will be able to issue you with a certifi cate as soon as the standard is published.
How do I fi nd out how far we are through the transition process?Pathway is a two-phased self-appraisal process to provide reassurance that you understand the new standards and to check the readiness of your management system for meeting the new requirements – see the pathway page within this brochure for more information.
