Exhibitors must clear all items from the Shedding by Tuesday 21 July. Any items left are at the exhibitors own risk as the Society cannot guarantee their security or be held responsible for any damage.

Shedding (diagram 3)

• Temporary shedding is a long marquee that is divided into bays with marquee sheet divisions between each bay.

• The bays are either 3m frontage x 3m depth or 3m frontage x 6m depth, approximately 3.6m to the eaves.

• Temporary Shedding comes with canvas roof, back, sides and grass fl oor. Night drop sheets and side partitions are provided.

• Banner Frames are 600mm high and the width of the stand.

• Wood or carpet fl ooring are NOT provided and cannot be booked through the Society

• All exhibits must be within the confi nes of the shedding and under no circumstances must they encroach on the space outside.

• Temporary shedding will be dismantled at 9am on Friday 17 July so all items must be removed by this time.

• These are basic buildings in bays of 3m frontage x 4.5m depth, and 0.9m overhang. Precast concrete construction with brick back, fi bre corrugated roof, exterior grade plywood sides / partitions and concrete fl oor. Exhibitors must provide their own padlocks to secure these stands. The Society will ensure that the buildings are swept clean prior to arrival, however, internal painting and decorating is the responsibility of the exhibitor.

• Banner frames are 900mm high and the width of the stand. Exhibitors may hang their own banners.

• All exhibits must be within the confi nes of the shedding and under no circumstances must they encroach on the space outside.

• Each exhibitor will be issued with pre-show vehicle delivery passes, as per the table above, which will admit the vehicle during build up times until midnight Monday 13 July 2020 and for show breakdown on Thursday 16 July..

• Each exhibitor will also receive 1 Trade Stand Vehicle Pass. This will allow entry at a designated gate during Show build up and between 8pm – 10pm and 6am - 7.30am on show days. It also allows parking in the forward area trade stand car park.

Exhibitors tickets issued free of charge are for sta� only and are not for resale. Any exhibitors or their sta� found selling these tickets will be prevented from trading at the Show and asked to remove their stand.

Additional TicketsTickets above the free allocation can be purchased before 3 July 2020 on your Application Form or the Additional Ticket Booking Form sent in May. Tickets will not be sent until payment has been received and cheques will not be accepted after 19 June. Additional tickets are not refundable.

No electric hook-ups provided. Only 1 vehicle can be parked with each caravan / tent. Stand-alone and ‘factory in-built’ generators in caravans or vehicles are permitted between 06:00 – 23:00hrs providing they have the necessary test inspection certificates which must be kept with the vehicle.Blue caravan park has toilets and access to the Squash Club showers.Brown caravan park is on grass, has toilets and is a 5 minute walk to showers on the showground.

Advertising Booking Form


1. The Publishers shall not be bound by notice of stop orders or cancellations of advertisements less than 40 days before publication.

2. Copy: The copy must be supplied either on Mac/PC CD, either as an EPS fi le or high resolution PDF, with an accurate printed proof prior to the copy deadline for each advert booked. It is no longer acceptable to provide artwork as fi lm or bromide.

3. Layout: The Publishers shall have the right to make any alterations they consider necessary or desirable in an advertisement, or to require any blocks or copy to be amended to meet their approval. Where no layout or type mark up is supplied with the copy instructions, the composition of the advertisement will be at the discretion of the printer. Subsequent alterations will be charged extra on a time basis.

4. Corrections: The Publishers shall not be held responsible for any inaccuracies in an advertisement where the copy layout has been received after the published copy date.

5. Positions: Special positions given only if agreed in writing and at extra charge.

6. Refusal: The Publishers shall have at their absolute discretion the right to refuse to accept any advertisement without disclosing the reason therefore. Also, at their absolute discretion the right to refuse, omit, suspend or change the position of any advertisement accepted for insertion.

7. Price: Price shown overleaf for space only. Alterations to settings carried out according to copy layouts supplied by the advertiser, will be charged extra on a time basis. No artwork can be amended or created by the Yorkshire Agricultural Society.

8. Payment: Payment due at time of booking. A voucher copy will be provided following the Great Yorkshire Show.

9. Loss: The Publishers will not be responsible for any error in the insertion of, or omission to insert any advertisement or for any damage or loss of any blocks, drawings or other material supplied for the purpose of an advertisement.

10. Claims: The advertising agency or advertiser submitting the advertisement shall indemnify the Publisher in respect of costs, damages or other charges falling upon them as a result of legal actions or threatened legal actions arising from the publication of the advertisement published in accordance with the copy instructions supplied to the Publishers by the agency or advertiser. The placing of an order for the insertion of an advertisement shall amount to an acceptance of the above conditions and any conditions stipulated on an agency’s form or elsewhere by an agency or an advertiser shall be void in so far as they are in confl ict with them.

Yorkshire Agricultural SocietyConditions For The Supply Of Electrical Energy & Fittings On Hire

The prices shown are for the supply (on hire) and installation of equipment, together with necessary mains cable, circuit

protection and control. Prices include dismantling and removal of materials at the end of the show.

1. Supply 240 volts Single Phase, 415 volts Three Phase 50 cycles Alternating Current (AC).

2. The charges detailed on the price list include for the supply ON HIRE and installation from the electricity

power supply, a proportion of the necessary mains cable, overhead/underground network, switch fuse and

control gear, together with all necessary circuit wiring and fittings and for taking down and removing at the

close of show.

3. The Electricity Supply will be terminated at the nearest point on the stand to the distribution pillar. Exhibitors

requiring a di±erent termination point should give details on a separate paper and attach it to the application.

4. It is strictly understood that ONE item of equipment only is connected to each point. THE USE OF BAYONET

ADAPTORS IS PROHIBITED.

5. All exhibitors will be held responsible for any materials, etc. which are damaged or missing at the end of the show

6. Applications for the supply must be received by us NOT LATER THAN THE DATE STATED ON THE ORDER FORM, after

which date no guarantee will be given that the work will be carried out, but if it is carried out the cost will be as

price list plus the surcharge for modifications to our supply network.

7. We reserve the right to refuse to connect to the supply any faulty equipment. Any work carried out on

equipment to bring it to the required standard will be charged on a time and material basis.

8. THE USE OF PERSONAL GENERATING SETS IS STRICTLY PROHIBITED WITHIN THE SHOWGROUND. However silent

running in-built exhibition unit generators may be permitted but this will be at the discretion of the Show & Trade

Stand Department. The exhibitor would also need to provide an electrical condition report for the unit.

9. Supply of electricity should normally be available to most stands from midday on the day prior to the show

commencing until the o�cial closure of the show. However, should this not be possible for whatever reason this

company cannot be held responsible and will NOT accept any claims for loss of earnings or otherwise. Electrical

supplies will be disconnected when the show closes on the final day unless otherwise agreed with the Show & Trade

Stands Coordinator. If you do not wish the electrical contractor to enter your stand to disconnect the power then

please disconnect it yourself and leave the lead outside of your stand..

10. Refunds for cancellations will only be given if notice of cancellation is received by YAS prior to the deadline date

stated on the Order Form.

Any portable electrical appliance over 12 months old, intended for use at this event must display a valid PAT test certificate, otherwise power will not be connected. Should equipment not be PAT tested, and you would like to use it at the show, you will be required to have it tested by our electricians (at a cost dependent on type of equipment). A PAT testing station will be located in the Food Hall, cost £20 per item. Failing this, or if the equipment fails the PAT test, you must surrender the equipment until after the show.

1. You must apply and pay for a static pass for all vehicles, caravans, motorhomes and tents requiring space outside of your stand area. Camping is not permitted inside the Showground behind or at the side of a trade stand, building, marquee or any other structure which is in an enclosed area or confined space and provides no safe means of an immediate escape in an emergency situation. Please see point 1.4 for more detailed information.

2. A parking charge system will be in operation on the showground during show days. Any unauthorised vehicles, trailers, tents and caravans will receive a £100 parking charge per day, legally enforceable through Parking Solutions 24. For authorised parking, camping and caravans on the showground on show days please apply for a static pass through the Trade Stand o�ce, cost £105+vat for the whole show period. These spaces are not guaranteed and are dependent on availability – please see point 1.4 for more detailed information.

3. The sale or display of firearms, imitation firearms or pellet guns is not permitted on a stand. In addition the sale of toy or replica guns that emit the sounds of gunfire or similar or are similar in appearance to or could be mistaken for a genuine firearm is not permitted.

4. The sale or display of the following types of knives is prohibited on stands. This includes but is not limited to military style combat, hunting or field, spring assisted, folding or lock, utility, every day carry or any other knives that contravene UK legislation. Please refer to the section on the use of Sharp’s on page 29.

5. The Society makes every e±ort to ensure your stand space is in good condition however we are an outdoor showground utilised all year round and open to the elements so please be aware the ground conditions are dependent on these circumstances. Please come prepared, we allow flooring, carpet, straw and sand to be used on your stand. Buildings and shedding are also susceptible to flooding if there is heavy rainfall as these are only basic structures..

6. Anyone staying on site after 10pm on show days must apply for a ‘residents’ wristband, this is for identification purposes only and will allow you access to the showground at night but will NOT allow you access to the show during the day. Please apply for the relevant number of residents bands on your booking form by stating the number of people who will be sleeping on the site at night..

7. Stands o±ering free food samples to visitors (excluding corporate hospitality) must only o±er small samples: Food – 1-2 bites only Drink – 10ml maximum

8. Stands in the Food Hall & Home & Gift Hall must keep any form of advertising, banners, flags within their trade stand space. No balloons, flags or banners can be displayed above the stand height.

9. Large vehicles should access the site for set-up and drop o± BEFORE Monday 13 July. On Monday 13 July the showground will be extremely busy and congested making it di�cult for large vehicles to manoeuvre. If large vehicles wish to access the showground on Monday 13 July we may not be able to guarantee them access and they may have to o± load outside of the showground and trolley or forklift products in to the stand..

10. Thursday 16 July between 7.30pm and 9pm is extremely congested with vehicles accessing site for breakdown, if you want to avoid the congestion come onto site after 9pm.

Rules And RegulationsPoints of Emphasis


1.1 Applications• Please apply on the enclosed booking form. In signing this form, you are accepting the Society’s rules and regulations. Unsigned booking forms will not be valid.• The closing date for existing exhibitors is 6 December 2019• When returning your completed booking form please include 50% of your payment along with your completed risk assessment and insurance documentation otherwise we cannot guarantee your stand space.• The remaining 50% will be due by 31 March 2020.• Payment of an o±ered stand space will be construed as acceptance of that space and the Society’s regulations.• Please note trade stands are re-numbered each year, therefore your stand number will change for 2020 even if you do not move stands.• All trade stands must complete a risk assessment with their application form. Tickets and passes will not be sent out until a satisfactory risk assessment has been received. Failure to submit a satisfactory risk assessment will result in the loss of the exhibitors stand and the forfeit of any money paid.

1.2 Refusal of ApplicationsThe Society reserves the right to refuse any application or cancel an entry at any time without any reason being given.

1.3 Site AllocationSite allocation is entirely at the Society’s discretion, although we will make every e±ort to meet requests from exhibitors. The Society reserves the right to re-position any stand at any time before and during the Show. Please remember the following important points when applying for space:• You must apply for enough space to include all footplates and marquee structures. The space must include foot plates and flooring which may exceed marquee area. Please check with your marquee contactor if you are in any doubt.• Each year we o±er exhibitors priority to rebook their existing stand space, however the exact position of the stand may vary slightly from year to year depending on the surrounding stand layout. Please inform the trade stand o�ce if you have any specific requirements to have the exact same stand location.• You are advised that for health and safety and fire safety purposes only framed marquees will be allowed on site.

1.4 Static Passes• If you wish to park a vehicle within your stand, that is not part of the display, you must apply for su�cient space. • If you require space for essential vehicles, trailers, caravans and tents behind your stand you should apply and pay for a static pass to ensure there’s enough space to accommodate everyone. • A static pass will be required to park both within and outside your stand space.

Essential vehicles, trailers and caravans parking behind stands:• Please apply for a static pass for each vehicle and trailer stating the exact size of your vehicle, the cost of each pass is £105+vat. Vehicle + trailer = 2 x static passes and vehicle + caravan = 2 x static passes. If you only want to pay for 1 static pass please un-hook your trailer or caravan and park the towing vehicle in trade vehicle car park.• We will let you know at the time of booking if we can accommodate your vehicle / trailer / caravan and send you a static pass.• It is preferable for all caravans and tents to be sited in one of our designated caravan and camping parks, however if you need a caravan behind your stand for security purposes please apply for a static pass stating the exact size of your caravan, the cost of this pass is £105+vat• Camping is not permitted inside the Showground behind or at the side of a trade stand, building, marquee or any other structure which is in an enclosed area or confined space and provides no safe means of an immediate escape in an emergency situation• Unauthorised tents will be dismantled by our security team.

If you book and pay for a vehicle or caravan behind your stand the access can only be guaranteed if you position your vehicle / caravan before erecting your stand.

Exhibitors parking on the showground without a static pass will receive a parking charge of £100 per day legally enforceable through Parking Solutions 24.

1.5 Sub Letting, Stand Sharing and Admission Charges

No sub-letting or sharing of stand space is allowed unless agreed with the Show & Trade Stand O�ce. Any exhibitor found subletting or sharing will not be invited back to the show the following year. Exhibitors may not charge for admission to their stand.

1 Stand Allocations


2.1 Refunds - Cancellation by Trade Stand ExhibitorCancellation of a trade stand space booked, for any reason, must be notified in writing to the Show & Trade Stands Coordinator. The Society reserves the right to re-let the cancelled space. The following refunds will be applicable:• Up to 31 March – Full refund of monies paid• 1 April onwards – No refund• If an exhibitor cancels after 31 March any outstanding invoices will be payable in full.• If full payment has not been received (or a request for refund has not been received in writing) by 31 March 2020, the Society reserves the right to re-let space without refund of any monies already paid.

2.2 Refunds - Cancellation by Organiser / Force MajeureIf at the absolute discretion of the Society the Showground and car parks become unfit or unavailable for occupancy or it becomes impossible or impractical to hold the Show for reasons beyond the control of the Society including (without limitation) fire, flood, storm, government intervention, malicious damage, acts of war, acts of God, strikes, riots, disease or any other cause the Society reserves the right (but shall not be obliged to) cancel the Show. In these circumstances the parties agree and acknowledge the Society shall endeavour to refund the exhibitor 100% of their stand fees (excluding all other expenses and charges incurred by the exhibitor). However if the Show is cancelled once it has commenced stand fees will not be refunded.

3.1 The showground will be open at the following times for set-up:

Monday 6 July to Wednesday 8 July 8am – 8pm

Thursday 9 July to Saturday 11 July 7.30am – 10pm

Sunday 12 July to Monday 13 July Blue gate 24 hours a day Green gate, White gate, Brown gate 6.30am – 10pm

Gate controls will start from Thursday 9 JulySecurity will start from Saturday 11 July and will continue throughout the show until 6pm Friday 17 July. All vehicles will require a Pre-Show set-up pass to enter the showground during the set-up period. Pre-Show set-up passes allow access at the above times up until midnight Monday 13 July and then after 7.30pm on Thursday 16 July. The Trade Vehicle pass may also be used Post Show. Please enter via the gate indicated on your trade stand vehicle pass.

3.2 Temporary Shedding will be available to exhibitors from 9am Thursday 9 July.Temporary shedding is hired by the Society and any exhibitor damaging the structure in any way will be liable to reimburse the Society’s contractor for any damage together with a handling fee of £100 + VAT.

3.3 Food Hall & Great Yorkshire Home & Gift Hall stands will be available to exhibitors from 8am Friday 10 July.The Food Hall & Home & Gift Hall will be open at the following times: Friday 10 July 8am – 5pm

Saturday 11 July 8am – 8pm

Sunday 12 July 8am – 8pm

Monday 13 July 7am – 10pm

Exhibitors are not allowed to install branding above the shell scheme height of their stand.

3.4 Site boundaries will be pegged and exhibitors may not move these pegs or occupy space outside the space they have booked. Stand number plates must not be removed, disturbed or obscured.

3.5 It is the responsibility of the exhibitor to check the stand number before unloading to ensure that exhibits are placed on the stand allocated to them. Please ensure your contractors have the correct stand number and maps and a representative of your company is here to meet them to ensure the stand is sited correctly. The Society will not be held responsible for stands installed in the wrong location.

2 Refunds & Cancellations

3 Show Set-up


3.6 Exhibitors encroaching/erecting marquees in full or in part on other stands will be required to remove the item immediately and pay any associated costs. In addition if you drive over a neighbouring stand and cause damage to the ground you will be liable for repair costs.

3.7 Any site excavations must be approved in advance by the Facilities Manager due to the presence of underground services & reinforced plastic ground mesh. Marquee pegs must not be more than 500mm. Exhibitors and contractors must take note of service markings on the surface and contact the Show oªce or Facilities oªce if they need clarification on location of the services beneath the ground in their area. Any damage caused by not complying with this will be charged for.

3.8 No tree or shrub may be damaged, pruned or removed.

3.9 Flag poles must be erected at least 3m from any overhead service lines and must not be more than 500mm deep into the ground.

3.10 Goods and packages cannot be received by the Society and should not be sent to the Showground unless a representative of the exhibitor is on the stand to receive them. THIS INCLUDES MARQUEE INSTALLATION. The installation of individual exhibitor marquees is the responsibility of the exhibitor.

3.11 Tracked vehicles may not be driven on the Showground. They must be delivered on trailers and unloaded direct onto the stand where they are being exhibited.

3.12 Exhibitors using mobile units should arrange to have these in position one week before the Show. This is especially important when it is necessary to encroach on adjoining stand space to manoeuvre the unit into position.

3.13 Any damage caused to stands during the build–up period of the Show is the responsibility of the exhibitor.

3.14 No grass cutting will be carried out by the Society in the two weeks prior to the Show and after that date exhibitors are responsible for cutting grass on their own stands.

3.15 Monday 13 July is the busiest day for set-up, if exhibitors decide to set-up on this day they must expect a delay in services due to the number of vehicles on site and our increased workload. Likewise if exhibitors are setting up outside of core hours (after 6pm) there will be a reduced service available. On Monday 13 July there will be a one way tra�c system in operation within the Showground, please adhere to the system to ease the congestion on site for yourself and others.

3.16 All stands must be complete by 10pm Monday 13 July 2020.

4.1 Show Days Vehicle Access • Each exhibitor will be issued with 1 Trade Stand Vehicle Pass.• This pass allows access on show days between 8pm – 10pm and 6am - 7.30am• Vehicles are not permitted on the showground on show days between 7.30am – 8pm and 10pm – 6am, this includes ATV’s and similar vehicles. • Vehicles are not permitted to move on the showground during opening hours. All vehicles without a static vehicle pass must be removed by 7.30am including ATV’s and similar vehicles.• Any vehicles requiring access on show days, and not displaying a Trade Stand pass, will be required to pay a £50 deposit. This is refundable providing the vehicle exits the showground through the same gate, within the same time slot, between the following times;

Morning: 6am – 7.30am Evening: 8pm – 10pm

4.2 Food Hall Parking.If you wish to park your vehicle in the Food Hall Car Park you must buy an electric hook up pass for £105 + VAT for a 230V single phase supply. If you require a three phase supply please contact the Show & Trade Stands Coordinator, this is subject to availability. The Food Hall parking is located in hall 2 loading bay.

4.3 The Food Hall and Home & Gift Hall will be open on Show days at the following times:

Tuesday 14 July 6am – 8.30pm

Wednesday 15 July 6am – 8.30pm

Thursday 16 July 6am – 10pm

4 Show Days


4.4 Inconsiderate/Unauthorised Parking • Any vehicle parked on the Showground during Show opening hours without a static vehicle pass will be charged £100 per day, reducing to £60 if paid immediately this is legally enforceable through Parking Solutions 24.• Exhibitors who leave vehicles on stand space paid for by another exhibitor will be required to reimburse them for the space and inconvenience caused and in addition a £200 charge is payable to the Society.

4.5 For the enjoyment of our visitors and customers, all stands must be open and manned throughout the Show day as follows:

Tuesday 14 July 7.30am – 7.30pm

Wednesday 15 July 7.30am – 7.30pm

Thursday 16 July 7.30am – 6.30pm

4.6 Exhibitors must not play music, use PA systems or make any other noise at a level which will cause annoyance to adjoining exhibitors, this includes revving car engines on motor vehicle stands.

4.7 All stands should display the name of the exhibitor as entered in the catalogue and any goods for sale must be clearly priced. Trade Stand signs must be at the front of a stand and may not show to the rear overlooking other stands. Signs must not be erected in such a way that they overshadow a neighbouring stand.

4.8 Advertisements must be kept within the exhibitors stand. Leaflets and sample products may only be given out on stands and not on the Showground or in the car parks. Under no circumstances may exhibitors give out leaflets or promotional materials on the avenues, gates or car parks.

4.9 Any banners or posters displayed outside an exhibitors stand without prior consent will be removed and destroyed. Contact Marketing for banner advertising availability.

4.10 Bluetooth / Proximity MarketingIn line with the Direct Marketing Association Code of Practice we view the use of Bluetooth / Proximity Marketing as a channel that should be conducted on a permission only basis. Therefore we are not allowing the use of Bluetooth Broadcasting on the Great Yorkshire Showground during the Great Yorkshire Show.

4.11 The use of Drones and other similar devices however operated are not permitted within the confines of the Showground or car parks.

4.12 Use of CCTV Systems. The unauthorised use of CCTV TV systems on your trade stand, marquee or temporary structure is not permitted as a matter of course. If you wish to install a CCTV system authorisation must be obtained from the Society in writing along with your reasons for wanting to install a system. If authorisation is granted, once the system is installed you must display signage which is clearly visible in a prominent position and includes the name of the person or company operating the system. Operation of CCTV systems should comply with the Data Protection Act at all times.

4.13 No kites, balloons or tethered balloons are allowed. Aircraft trailing advertising banners are not allowed over the showground and car parks.

4.14 The sale or display of firearms, imitation firearms or pellet guns is not permitted on a stand. In addition the sale of toy or replica guns that emit the sounds of gunfire or similar or are similar in appearance to or could be mistaken for a genuine firearm is not permitted.

4.15 The sale or display of the following type of knives is prohibited on stands. 4.16 The Society reserves the right to remove from the showground any exhibitor whose stand is not of su�cient quality or contains material likely to cause o±ence. The definition of ‘quality’ and ‘o±ensive’ rests solely with the Society. Any person found trading on site without being a bona fide exhibitor will be immediately removed.

4.17 Exhibitors are responsible for cleaning their stands each evening by 8pm and leaving their waste stacked for collection immediately outside the stand in their own waste bags. Exhibitors providing catering on their stands must provide their own bins for waste food. Exhibitors must provide their own bin bags.


4.18 No motorbikes, ATV’s or bicycles are allowed to be driven around the Showground whilst the Show is open to the general public. If you have an essential requirement to drive an ATV during the Show this must be agreed with the Show & Trade Stands Coordinator and a pass obtained. Drivers of authorised ATV’s and ORUV’s must hold a full driving licence and be competent to drive this type of vehicle. ATV drivers must wear an approved crash helmet. Prior to driving an ATV, ORUV or golf buggy the driver must complete a vehicle safety check, if the vehicle is damaged or unsafe it must not be used. Passengers may only be carried if a seat is provided and not in trailers. Site speed limits must be observed and caution exercised in pedestrian areas. Golf buggies should only be driven on level surfaces and steep hills and uneven ground should be avoided, caution should be exercised on wet or slippery surfaces and on sharp bends.

4.19 Catering on Stands• Exhibitors are responsible for ensuring that no alcohol is obtained by anyone under 18 years old.• Anyone wanting to sell alcohol for consumption must agree this with the Society and must obtain a TENS licence through the Society. The Premises User named in the application must be present on the premises or stand, or be available and contactable within the Showground during the period the licence is in force. They are responsible at all times for the conduct of people on the premises, stand or area. Please apply by 12 June 2020 for a TENs licence for the 2020 show.• Exhibitors operating under a TENS licence must display the licence at the entrance to their premises.• The sale of drinks in glass bottles is prohibited for consumption on the Showground. Drinks must be decanted first.• Exhibitors may o±er complimentary hospitality on their stands for their own customers. • Exhibitors may o±er complimentary samples to visitors, these must only be small bite size samples: Food – 1-2 bites maximum. Drink – 10ml maximum.• No food or drink is to be sold to members of the public for consumption on site unless the trade stand holder has a catering contract from the Society.• Only stands with a catering contract with the Society, who pay the Society a catering commission, are able to accept the £2 meal vouchers issued by the Society to sta±, judges and stewards.

• Records of refrigerator / freezer temperatures

• Records of cooked food temperatures and times

5.1 Exhibitors may not close or dismantle any part of their stands until 6.30pm on the last day of Show.

5.2 The gates will be open at the following times for breakdown: Thursday 16 July Green gate, White gate & Grey gate close at 10pm Thursday evening

Access will be available over the weekend 8am to 4.30pm.

5 Show Breakdown


5.3 Pre-Show/Post Show passes must be displayed by vehicles entering the Showground to dismantle.

5.4 Thursday 16 July between 7.30pm and 9pm is extremely congested with vehicles accessing site for breakdown. To avoid the congestion please come onto site after 9pm

5.5 Temporary shedding marquees will be dismantled at 9AM ON FRIDAY 17 JULY – All exhibitor items must be removed by this time.

5.6 The Food Hall and Home & Gift Hall shell scheme will be dismantled from 9AM ON FRIDAY 17 JULY – exhibitors are recommended to dismantle their stand either on Thursday evening 16 July or at 8.30am Friday morning 17 July.

5.7 All other stands must be cleared by 5pm on Tuesday 21 July 2020. Any exhibits remaining on site after this time will be charged at £500 per day.

5.8 The ground surface of all stands must be restored by 5pm on Tuesday 21 July 2020.

5.9 The earliest possible time that the gates will be opened on Thursday 16 July is 7.30pm but this may be delayed in the interests of public safety. The gate opening will be staggered. Vehicles are not allowed to move inside the Showground until the gates are opened.

5.10 The Food Hall and Home & Gift Hall will be open until 10pm on Thursday 16 July to allow for dismantling and then between 8.30am – 5pm on Friday 17 July.

6.1 Livestock and AnimalsAll livestock/animals requiring access to the Showground for the purpose of Trade Stand Exhibits will require an Animal Permit please contact the Society for further information.

Any animals used for

Due to DEFRA bio security regulations, livestock may only be exhibited on trade stands which fall within the licensed animal area on the Showground. For further information please contact the Operations Manager.

Dogs • Dogs are not permitted on any part of the Showground including the car parks. This includes dogs belonging to Trade Stand Exhibitors.• The only exceptions are dogs taking part in competitions or displays organised by the Society and Assistance Dogs.

6.2 Publicity AdviceThe Great Yorkshire Show Press O�ce welcomes press packs and media information which will be displayed in the Press Pavilion throughout the Show. If you plan to hold a media event, e.g. press conference, photocall or briefing, it would be helpful if you could let the PR Manager, Jo Francisco, know in advance. It may be possible to include the details in the o�cial media programme and also helps ensure events do not clash on timing, thus maximising the potential for coverage for all. 6.3 Charity CollectionsRegistered charities or other institutions wishing to make collections, appeals or run lotteries and tombolas for their own funds must first obtain written permission from the Show & Trade Stands Coordinator each year. If permission is granted collections must not be made outside the limits of the exhibitor’s own stand space, or on any other exhibitor’s stand.

6.4 PhotographyFilming, photography and broadcasting takes place during the Show at the Venue. You give your express consent to the use of your actual or simulated likeness and voice in connection with the production, exploitation and advertising of the show without compensation or credit, throughout the world.

Only the Society’s accredited photographers may take professional photographs on site. All exhibitors agree to an accredited photographer taking photographs of them and their stands and to the Society storing and using the resulting image (including edited or altered versions) for any of the Society’s commercial or non-commercial purposes in all and any media, including, without limitation, use in promotional materials and on the Society’s website, or supply to carefully selected third parties for use for their own purposes. The Society shall own the copyright in any such images.

Any photographer wishing to apply for accreditation should contact the PR Manager. Any photographer infringing this rule will be removed from the showground

6 General Rules and Regulations


6.5 Public Performances of Copyright MusicExhibitors should obtain their own licences as they are not covered by the Society’s licence. Exhibitors should contact PPL, 1 Upper James Street, London, W1F 9DE, 0207 5341030 or www.ppluk.com

6.6 Furniture HireThe Society does not hire furniture to trade stands. Exhibitors should organise their own stand furniture, tables, chairs and flowers.

6.7 All exhibitors, their contractors and employees, are subject to the Rules and Regulations of the Society and in signing the application form for trade stand space you are agreeing to be bound by the rules and regulations.

6.8 Any exhibitor / exhibit not complying with the regulations will be removed from the showground and all trade stand fees paid will be forfeited.

6.9 Any exhibitor not paying trade stand charges or any other charges (including fines) in full will not be allowed to take part in future Shows until outstanding sums have been paid in full.

6.10 The Society is not responsible for anything exhibited on a trade stand on the Showground. The Exhibitor is fully responsible for the security of their stand and stock and all claims arising out of the conduct of the stand.

6.11 The Yorkshire Agricultural Society, and its subsidiary companies, are committed to protecting your personal data and processing it only in accordance with legal requirements. For more details you should request a copy of our GDPR policy. The Society shall have permission to store, process and retain, including electronically, all data and personal information provided by exhibitors, for the purposes of operating the Show and maintaining appropriate records. We retain your data in accordance with our retention schedule to simplify future applications. The name, contact details and any promotional material provided by an exhibitor may be used in Show catalogues, on the Show website and elsewhere as part of the operation and promotion of the Show and future Shows. We will not transfer your data outside of the EEA (European Economic Area) and will not share your data with third parties.

6.12 Each exhibitor shall indemnify the Society against all claims howsoever caused by or arising out of the presence of the exhibitor on site. Exhibitors must carry Public Liability Insurance with a reputable insurance company with an indemnity limit of no less than £5 million per incident. The insurance must be valid for the whole time that the exhibitor is on site over the Show period and a copy must be submitted with the exhibitors booking form. Each exhibitor is responsible for the protection and insurance of their own stock and stand.

6.13 Disclaimer of Liability: The Society and its o�cers shall not be responsible for any accident, damage or loss however caused that may occur to any exhibitor or his sta± or to any animal, article or property exhibited or brought onto the Showground by him. Each exhibitor shall indemnify the Society from and against all actions, suits expenses or claims on account of or in respect of any such damage or injury however caused.


Health and Safety, Emergency and Fire Safety InformationEmergency & Evacuation ProceduresIn the event of an emergency, exhibitors should follow any instructions given to them by the organisers, safety stewards or the police either verbally, over the PA system, or by text alert.

Calling the Fire BrigadeThe Fire Brigade should be called immediately to every outbreak of fire from the nearest available telephone by dialling 999.

Health and Safety Policy StatementThe 2020 Great Yorkshire Show

It is the policy of the Yorkshire Agricultural Society (YAS) as organisers of the Great Yorkshire Show (GYS) to ensure, as far as is reasonably practicable, the provision and maintenance of: • Safe and healthy working conditions and equipment for all personnel; and • Such resources, information, training and supervision as required for these purposes.

All plant and equipment used in connection with this event is maintained and safe and complies with its legal requirements and standards and safe systems of work are set out and followed. The YAS will provide adequate welfare facilities and arrangements for all persons involved in the build up to, when the Show is open and breakdown period of the Great Yorkshire Show. All relevant information, including this policy is available to all participants and other organisations by the YAS. The YAS will ensure that articles and substances within their management or control are moved, stored, handled and used safely including the transport of these items as is reasonably practicable.

During the build-up and breakdown periods of the Show and when it is open to the general public the YAS will ensure that there are safe entrances and exits to the Showground and work areas within the Showground and that they are maintained in a safe condition. The YAS will liaise with all exhibitors to ensure that any contractors and sub-contractors under their control fulfil statutory obligations, including carrying out assessments of the health and safety risks involved in their work activities. The YAS will not be liable for circumstances beyond their control or the failure on the part of any individual or organisation to cooperate with the YAS in respect of health and safety legislation and providing and maintaining a safe working environment at the Great Yorkshire Show or the Great Yorkshire Showground.

Owing to the diverse nature of the Show and the type of activities taking place a large number of organisations contracted by the Society employ personnel on site during the pre-Show build-up, when the Show is open to the public and during the post-Show breakdown in addition to sta± employed directly by the Society. In order to ensure a consistent approach and standard of health and safety management all organisations are required to operate in accordance with site regulations and contractor safety rules outlined in the policy. Contractors have a legal responsibility to ensure that all their employees, sub-contractors and their employees are made aware of the policy and comply with the standards at all times whilst on site

Emergency ProceduresIn the event of a major incident during the Great Yorkshire Show the YAS/GYS emergency procedures will be put into e±ect.

See supplementary document GYS Major & Critical Incident Plan (Revised March 2019). A copy of the plan is available on request from the Operations Manager.

First Aid

First aid and medical facilities for the Great Yorkshire Show are provided by an appointed contractor who will provide extensive coverage for the three days of the show. First aid points are clearly identified on the Showground and on maps and in catalogues. All medical personnel are qualified first aid or Emergency Care Practitioners. Persons needing hospital care will be transported to Harrogate District Hospital. There is a dedicated Medical Centre on the Showground.


Fire Precautions

All sta±, temporary workers, contractors and exhibitors must comply with the requirements of the Regulatory Reform (Fire Safety) Order 2005 including persons in charge of activities within temporary structures and marquees including multi-occupancy units.

Prior to opening all trade stands will have a suitable fire extinguisher, an adequate method of raising the alarm and all trade stand sta± must understand how to raise the alarm and what action is required in the event of a fire. This requirement is an essential part of the trade stands contract with the Society. Failure to fulfil this requirement will result in a stand or marquee remaining closed as it compromises the fire safety standards for the Show.

All fire exits must be clearly marked and the route to them will be kept clear at all times. No person shall place an obstruction in aisles, corridors or walk ways that are designated escape routes at any time. Fire extinguishers and other safety equipment will be located at easily accessible points and will be clearly visible and identified as fire safety equipment. No person should attempt to use any fire safety equipment which places themselves or others at risk. Fire safety equipment must not be moved or tampered with.

The use of naked flames, or any direct burning appliance is prohibited within multi-occupancy marquees and trade stands. This includes candles and other similar items of any type.

ANY PERSON WHO DISCOVERS A FIRE SHOULD DIAL 999 AND INFORM EVENT CONTROL.

To supplement any portable fire safety equipment carried on machinery or plant the YAS will have additional equipment on the site located in the Facilities Department.

Smoke Free Regulations/Policy

All enclosed and substantially enclosed areas on the Showground are Smoke Free (No Smoking including the use of e-cigarettes). This includes all permanent buildings, temporary structures, tents, marquees or similar, stables, cattle sheds, sheep, pig and goat lines and the Main Ring and TopSpec White Rose Ring Grandstands.

Smoking is only permitted in open spaces on the Showground. Exhibitors who smoke in contravention of this regulation will be excluded from future Shows.

The requirements apply to all smoking, including the use of e-cigarettes 24 hours a day and the Safety Stewards/Security will be responsible for enforcing these regulations on behalf of the Society.

Health and Hygiene - Contact With Animals

Farm animals naturally carry micro-organisms some of which may be harmful to people.Washing hands thoroughly with soap and water immediately after contact with animals will reduce the risk of infection. Hand gels or wipes are not a substitute for washing hands with soap and running water as they may not remove the bacteria.There are a number of permanent toilet blocks with washing facilities on the Showground and their locations are clearly indicated on the Showground maps. .

Accident Reporting / Investigation

The Show medics will record all injury accidents or illness in an accident report book and will inform the Event Safety O�cer of all accidents.All accidents or incidents will be fully investigated to ensure that an accurate record is made in the event of any claim or investigation arising at a later date.The responsibility for recording all reportable accidents/incidents in accordance with RIDDOR 2013 will be the Event Safety O�cer.

Vehicle Movements/Speed Limits on the Showground

Vehicle movements are not permitted on the Showground when the Show is open to the public except essential service and emergency vehicles. The maximum speed limit on the Showground for any type of mechanically driven vehicle including ATV’s and Quad bikes is 20 mph. This should not be exceeded under any circumstances and due care and consideration should be demonstrated by the drivers of all vehicles when the Show is open to the public particularly in crowded public areas and when livestock and horses are moving or visible. In public areas if the volume of the public in these areas is so great as to be a hazard or risk to the drivers of mechanical vehicles they should not enter these area’s until it is safe to do so. The safety of the public and workers on foot is of primary consideration at all times regardless of the purpose that the vehicle is being used for. A banksman must be used where any vehicle is required to reverse in a public area.


Trade exhibitor’s and contractors who are responsible for delivering items or unloading/loading equipment during the period of the Show should follow the guidelines ‘Delivering Safely – Driver Safety’ which sets out site safety rules for drivers which they are expected to comply with. These are outlined in Appendix 2 of the Policy.

Complaints in relation to the manner in which a vehicle is driven on site should be reported to the Operations Manager, the Facilities Manager or Event Safety O�cer.

Risk Assessment

The Management of Health and Safety at Work Regulations 1999 requires an employer to assess the health and safety risks to an employee, whilst at work and to any other persons a±ected by work activities.

This process is called risk assessment and it determines the measures needed to ensure that any danger identified does not cause harm to anyone. In order to ensure that this is done the regulations require the employer (the YAS) to examine the work place, work activities and systems of work. The examination must:

• Identify any hazards that might exist;

• Identify the risks associated with those hazards; and

• Identify the control measures needed to eliminate, or minimise the risks or hazards as far as is reasonably practicable.

A hazard is any source of harm. A risk exists when there is exposure to the hazard and harm is possible. A control measure is what is done to prevent any possible harm. The purpose of a risk assessment is to ensure in respect of the Great Yorkshire Show that all activities undertaken at the Show by individuals, companies or contractors acting on behalf of the YAS, comply with the three points identified above.

Exhibitors and contractors who are required to provide risk assessments have been notified and must provide a suitable assessment prior to the Show commencing.

A Risk Assessment has been prepared by the Society that identifies potential hazards that could pose a risk during the build up, breakdown and when the Show is open to the public and the controls in place to remove or reduce the risks. A copy of the risk assessment is available on request.

The Risk Assessment is a legal document and will be made available in the event of any subsequent claim or investigation against the YAS or an exhibitor or contractor for negligence or damages arising from any act or incident at the Great Yorkshire Show.

Other Arrangements

Fork Lift Truck (FLT) Operations/Plant Equipment/All Terrain Vehicles

Only authorised personnel with a current licence for that class of vehicle or plant must operate the above equipment. ATV drivers must be competent in the use of that type of vehicle. All operators must observe the correct safety guidelines for the vehicle or plant. Only Fork Lift Trucks that are specifically designed for rough terrain should be used on grass, uneven surfaces or rough terrain on or around the Showground.

No person shall be carried on any vehicle, plant or equipment unless a seat or pillion is provided for that purpose and no vehicle shall exceed its maximum permitted laden weight. Riders of sit astride quad bike all terrain vehicles and their pillion passengers must wear approved motorcycle crash helmets whilst riding the vehicles around the showground and the helmets must be securely fastened.

Due care must be taken to avoid collisions with other vehicles, livestock, horses or accidents to pedestrians. Operators will be responsible for ensuring the equipment is in a safe condition to operate and safety restraining devices if fitted to the machines to prevent them falling out or o± will be used

Lifting Operations

All lifting operations will be supervised by a competent person. The guidance outlined in the Lifting Operations and Lifting Equipment Regulations 2002 will apply to all lifting activity. All lifting equipment and lifting tackle will be suitable for its purpose, free from defect, well maintained and operated by a competent person. All loads will be slung in accordance with recommended slinging plans and be carried out by a competent banksman or slinger.

Suitable barriers will be in place to prevent accidental access of unauthorised persons into any area of danger. Lifting operations will be carried out in areas where possible away from persons not directly involved in the operation so as to reduce the risk to as low a level as is reasonably practicable.


Personal Protective EquipmentExhibitors and contractors will be responsible for providing their own personal protective equipment. Individuals are responsible for their own safety and sta± and temporary workers must ensure that if PPE is provided for their work activity it must be worn or used correctly at all times while undertaking that activity in accordance with the manufacturers guidelines.

Storage

Exhibitors or contractors are not permitted to store items or equipment on the Showground particularly hazardous substances unless prior agreement has been reached with the Show and Trade Stands Co-ordinator prior to the show or it forms part of the contractual arrangements for the Show.

Any items that are stored must be stored in accordance with specific instructions outlined by the YAS and must be stored safely. Exhibitors and contractors must ensure that the storage of any items or equipment does not contravene fire safety regulations.

Flagpoles, Banners & Signs

Flagpoles, banners and signs must be securely installed in accordance with any specific manufacturer’s guidelines if applicable, and of adequate strength to withstand adverse weather conditions and high winds. The use of guide ropes is not permitted. In the event of adverse weather all flagpoles, banners and signs must be inspected to ensure they are still safe and suitable for purpose. The Society reserves the right to request that any flagpoles, banners or signs are taken down and removed if they are considered to be unsafe or a nuisance.

Generators

Stand-alone generators are not permitted inside the Showground.

Stand-alone and ‘factory in-built’ (by the manufacturer) generators in caravans or vehicles are permitted in the caravan

and camping areas providing the following requirements are in place.

• Stand-alone generators (outside a caravan or vehicle) can only be operated between 0600 and 2300 hours. Outside these hours they should be switched o± to prevent noise nuisance and potential for carbon monoxide poisoning to near neighbours. Security patrols are empowered to switch o± any generators they find in use outside of the permitted hours.

• Current Test/Inspection certification if applicable, must be produced if requested.

The Society reserves the right to request or arrange the removal of any generator that does not meet the above requirements or is considered to be unsafe.

Any contravention of these regulations may result in enforcement action being taken by Harrogate Borough Council Environmental Health O�cer and/or the North Yorkshire Fire and Rescue Fire Safety O�cer.


Guidance Notes for the completion of Risk Assessments

Introduction

It is a legal requirement that exhibitors and contractors complete a suitable risk assessment.

These should be sent to the Show & Trade Stands O� cer who will provide further advice and guidance if required.

Any exhibitor or contractor who fails to complete and return a suitable risk assessment will have their tickets/passes withheld and may be refused entry to the Show.

Guidance Notes are provided for Trade Stand Exhibitors and persons in charge of activities within temporary structures and marquees including multi-occupancy units for the completion of risk assessments.

All Trade exhibitors will be visited in the build up to and during the show to ensure that the control measures outlined in the risk assessment are in place and that safe systems of work are followed. Enforcement action may be taken against exhibitors who fail to comply with these requirements and a Prohibition Notice may be served on them prohibiting further trading or use of the stand.

Machinery/Equipment

Exhibitors are asked to include the type of equipment or machinery on display and whether it will be operational or isolated from its power source. Any machinery being demonstrated must comply with the relevant British or European standards and used in accordance with the manufacturer’s instructions.

Liquid Petroleum Gas (LPG)

LPG may be used as a source of energy for machinery or cooking appliances on external displays only. The use of LPG on an internal stand or display is not permitted. If it is an exhibitor’s intention to use LPG, please indicate its specifi c use, volumes of use and volumes to be stored on or near the display.

If exhibitors intend to store LPG containers in an area remote from their stand, a barrier must be erected around the storage area and any larger containers should be staked or otherwise supported to prevent falling over. Gas containers should be 15 Kgs or smaller to prevent falling over. If the storage facility is remote from the site, exhibitors must indicate means of transport to their stand. Exhibitors are reminded that LPG cylinders should not be stored in private vehicles in or around the Showground.

All gas appliances and containers must conform to the relevant standards and any connections and fi ttings must be of an approved type.

Electrical Appliances/Supply/PAT

Exhibitors should include the type of electrical appliance and the intended use of any electrical items. All portable electrical appliances must be (PAT) tested to the relevant standard within 6 months preceding the Show.All electrical equipment brought on site is subject to inspection by the on-site electrical contractors, who have the authority to restrict the use of any items deemed unsafe for use. Modifi cations must not be made to the mains electrical supply or components under any circumstances.

Compressed Air

Exhibitors should include details of any equipment that has compressed air and gas as its energy source, including details of any equipment in which compressed air is stored or produced i.e. air compressors and generators. All connections and hoses must be of the correct pressure rating.

Live / Practical Demonstrations

Details of any proposed live or practical demonstrations must be forwarded to the Trade Stands O� cer for prior approval. Exhibitors are responsible for maintaining a safe working area and ensuring that safe systems of work are followed. Public safety is essential when a live demonstration is taking place and the appropriate safety controls must be in place including barriers if appropriate.


Exhibitors Catering

Exhibitors must provide details of any catering facilities and equipment. This should include any food that is o±ered to visitors to the stand for payment or otherwise. Strict hygiene procedures must be followed if food preparation and cooking occurs on the stand or adjoining area. Persons preparing food should be in possession of a Basic Food Hygiene Certificate as a minimum requirement and catering arrangements must conform to current hygiene standards required by Harrogate Borough Council’s Environmental Health Department.

Use of Sharps

Exhibitors must provide details of the proposed use of sharps i.e. tools, knives, axe’s, saws, chain saws, needles etc to the Trade Stands O�cer. If there is a likely risk to users adequate personal protective equipment must be provided and used and a safe working area must be maintained particularly in respect of visitor safety with the appropriate controls in place.

Use of Barbecues

The use of barbecues by exhibitors or contractors is not permitted within the Showground perimeter unless they form part of a legitimate trade stand demonstration and the necessary safety controls are in place. The Trade Stands O�cer must be notified prior to the Show if a barbecue is to be used and approval given in writing.

Working at Height

Working at height is one of the biggest causes of serious or disabling injuries in the UK. All work at height is now subject of a formal risk assessment. Any work o± the ground or over an edge is considered to be work at height. Working at height should be avoided whenever possible, however when this is unavoidable a properly constructed working platform or MEWP is the preferred method of operation. Ladders and steps are only suitable for short duration light work and the equipment must be of an industrial specification incorporating the appropriate safeguards and not for light weight domestic use.

All work at height must conform to a written SSW and all exhibitors or contractors must be competent and physically able to carry out the work. Strict controls must be in place including barriers, warning signs and approved harnesses for roof work where appropriate. Fall arrest equipment must be used where there is a risk of falling a distance greater than two metres or where the distance may be less but there remains a significant risk of injury. Vehicles must not be used as substitute platforms for working at height and in all cases precautions must be taken to protect people and property below from falling objects.

All work involving the construction and dismantling of temporary structures and marquees will be managed in accordance with the CDM Regulations 2015.

Naked Flames

The use of naked flames including candles and other similar items of any type is not permitted on trade stands or multi-occupancy marquees.

Other Activities

Exhibitors must state clearly on the risk assessment if any activity is intended or may take place which has not already been mentioned on the form and which involves members of the public, overhead activities or hazards, moving vehicles or chemicals, etc.

Having identified the risks, the final part of the risk assessment must now be completed. This involves detailing the measures necessary to reduce or negate the risks and the control measures that will be in place.


Regulatory Reform (Fire Safety) Order 2005& Health and Safety at Work Act 1974

Fire and General Risk Assessments

Guidance notes for Trade Stand exhibitors and personsin charge of activities within temporary structures and

marquees including multi occupancy units

The Regulatory Reform (Fire Safety) Order 2005 replaces all previous fi re safety legislation and this guidance tells you what you have to do to comply with fi re safety law and helps you identify the general fi re and other safety precautions you need to have in place at the Great Yorkshire Show to comply with your legal obligations under the Health and Safety at Work Act 1974.

Responsibility for complying with the order rests with the ‘responsible person’ which in the case of temporary structures and marquees on the Showground including multi-occupancy units is the person in control of them. If there is more than one responsible person in any type of premises, all must take reasonable steps to co-operate and co-ordinate with each other.

If you are the responsible person you must carry out a combined fi re and general risk assessment, which must focus on the safety in the case of fi re of all persons. You should pay particular attention to those at special risk, such as disabled people, those who you know have special needs and children, and must include consideration of any dangerous substance liable to be on the premises. Good management of health and safety at the Great Yorkshire Show will help to ensure that any fi re and general safety matters that arise will always be addressed e± ectively. Therefore identifi cation of the ‘responsible person’ is imperative and a requirement of entry at the Show.

The risk assessment that you must carry out will help you to ensure that your fi re safety procedures, fi re prevention measures, fi re precautions (plans, systems and equipment) and general safety procedures are all in place and working properly during the Show. Your risk assessment should identify all safety issues that need attention..

The aims of your fi re and general risk assessment are:

• To identify fi re and other hazards on your stand or area that might exist.

• Identify the risks associated with those hazards.

• Identify control measures to reduce the risk of those hazards causing harm to as low as reasonably practicable.

• To decide what physical fi re precautions and other safety arrangements are necessary to ensure the safety of people in your structure, marquee or unit if a fi re starts or other safety problems occur.

Fire Detection and warning systems

The means of giving a warning of fi re should be suitable for your structure, marquee or unit, taking account of its size, layout and number of people likely to be present and the activity taking place. In a small area the only practicable solution for raising an alarm upon the discovery of a fi re could be a simple shout of ‘fi re’ or a manually operated device such as a bell or air horn that can be heard by everybody.

Fire-fi ghting equipment and facilities

Fire-fi ghting equipment can reduce the risk of a small fi re developing into a larger one. In a small area, having one or two portable extinguishers of the appropriate type, readily available for use, may be all that is necessary. In larger areas where a number of portable extinguishers are required they should be sited in suitable locations and it may be necessary to indicate the location of them by suitable pictogram signs. Fire blankets should also be considered for higher risk areas, e.g. catering facilities. All your sta± should be familiar with the location and basic operating procedures for the equipment provided and aware of the guidance outlined in these notes. Sta® working on your stand or area should be competent and capable of reacting to and managing the initial stages of an emergency situation.


Escape Routes

If a fire starts, has been detected and a warning given, everyone in your structure, marquee or unit should be able to escape to a place of total safety unaided and without the help of the fire and rescue service. However, some people with disabilities and others with special needs may need assistance from other people. Your escape routes should be designed to ensure, as far as possible, that any person confronted by fire, is able to turn away from it and escape to a place of reasonable safety, e.g. outside the marquee. From there, they will be able to go directly to a place of total safety. When determining whether your area has adequate escape routes, you need to consider a number of factors, including;

• The type and number of people likely to visit your structure, marquee or unit, i.e. children, people with disabilities, the elderly.

• The number and size of exits from your area and all exits are unlocked and free from obstruction.

• All exits and doors are clearly indicated by suitable signs which are illuminated if necessary.

• The occupants are directed by sta± to all available exits so that their evacuation is without delay.

From a marquee or other enclosure there should usually be at least two escape routes available but a single escape route may be acceptable in some circumstances e.g. premises accommodating less than 60 people or where travel distances are limited. Where two escape routes are necessary and to further minimise the risk of people becoming trapped, you should ensure that the exit routes are completely independent of each other. Exit and escape routes that provide escape in a single direction only may need additional fire precautions to be regarded as adequate. Exit doors on escape routes should normally open in the direction of travel, and be quickly and easily opened without the need for a key.

Escape routes should be kept clear and hazard free at all times. You must ensure that external escape routes are not obstructed by vehicles, stalls or rubbish. Items that may be a source of fuel or pose an ignition risk should never belocated close to an escape route from a tent or marquee.

Daily Checks

Each morning prior to the Show opening you should remove any bolts, locks or security devices from fire exits and check escape routes to ensure they are clear from obstructions. Check the provision of fire extinguishers and that they are present and all safety signs are in place and notices are legible. Any new sta± should be aware of their responsibilities in the case of fire.

Good management of fire safety will help you to ensure that any fire safety matters that arise are always e±ectively addressed.

FIRE PREVENTION AND FIRE RISK REDUCTION MEASURES

Remove or reduce sources of ignition

There are various ways that you can reduce the risk caused by potential sources of ignition, for example:

• Wherever possible replace a potential ignition source by a safer alternative.• Replace naked flame and radiant heaters with fixed convector heaters. • Candles or other naked flames are not permitted and barbecues are only permitted inside the Showground as part of a controlled trade stand demonstration.• The Society operates a Smoke Free Policy in all enclosed and substantially enclosed structures, marquees and units on the Showground. This also includes exhibitor’s caravans used in conjunction with or adjacent to a trade stand or marquee regardless of whether the Show is open to visitors or not. Please ensure that you and persons in your area comply with this at all times• Ensure electrical, mechanical and gas equipment is installed, used, maintained, and protected in accordance with the manufacturer’s instructions. All electrical equipment used in connection with the Show must be PAT tested within the six months proceeding the first day of the Show.• Ensure cooking and catering equipment is installed, used, maintained, and protected in accordance with the manufacturer’s instructions.


Remove or reduce sources of fuel

There are various ways that you can remove or reduce the risks caused by materials and substances, which burn, for example:

• Ensure that display materials (including artificial and dried foliage), props, scenery and stands, are fire retardant, or have been treated to give some fire retardancy.• Reduce stocks of flammable materials, liquids and gasses on display in public areas to a minimum. Keep remaining stock in secure storage areas or containers where the public are not allowed to go, and keep the minimum amount required for the operation of the business or display.• Ensure that all upholstered furniture, curtains, drapes, tents and marquees, are fire retardant, or have been treated to give some fire retardancy.• Ensure safe practice with respect to refuelling generators. Wherever possible, diesel generators should be used in preference to petrol.• Develop a formal system for the control of combustible waste by ensuring that waste materials and rubbish are not allowed to build up and are carefully stored until properly disposed of, particularly at the end of each day.

The Health and Safety at Work Act 1974 and the Management of Health and Safety at Work Regulations 1999 places a legal duty of care on you to assess the health and safety risks to your employees whilst working on your stand, temporary structure or marquee and any other person visiting it and to ensure that the nature of your business and activities and the stand or area is safe. You are also required to record your findings on a written risk assessment which is a legal document and which will be made available by the Yorkshire Agricultural Society in the event of any claim or investigation involving the Society arising from any act or incident at the Great Yorkshire Show.

All exhibitors who occupy a trade stand, temporary structure, marquee including multi-occupancy units are required to complete a Trade Stand Fire & General Risk Assessment for the Great Yorkshire Show as a general condition of entry to the Show.

The person completing the risk assessment must clearly identify all the hazards including potential hazards, the risks associated with those hazards and the control measures that will be in place to eliminate or minimise them. It is unacceptable to the Society to indicate on the risk assessment that no hazard or risk exists if there clearly are hazards or risks associated with your work, activity or stand and they must be recorded.

North Yorkshire Fire and Rescue Fire Safety O�cers may visit all trade stands during the Show to ensure that the requirements of the Regulatory Reform (Fire Safety) Order and the Show Regulations are complied with and Enforcement O�cers from Harrogate Borough Council will be monitoring general health and safety management on the Showground.

The Society has carried out a general and fire risk assessment for the Show and we are satisfied that we have taken all reasonable steps to ensure that the risks we have identified have been minimised and are adequately controlled.

Completed risk assessments should be sent to the Trade Stands O�cer.
