Top Five Mistakes Businesses Make When Planning A Move It is not just a moving day, it’s a moving process. It’s about organizing, planning, packing, and protecting your most valuable assets. It’s the thousand large and small things you normally wouldn’t think of. Avoid the following common mistakes when planning your business move: Mistake #1: Choosing services solely based on prices Making any decision based on price alone is a bad idea. Issues can occur if your moving company is unprofessional and generate inaccurate estimates, or they produce intentionally false proposals. If you fail to look closely now, you could see costly change orders after it’s too late. Know what’s included. Good proposals are detailed, with a clearly defined scope of work. Mistake #2: Underestimating the risks involved The unseen risks of moving a business are far more substantial. These risks include loss of your confidential information; your potential liability in the event of an accident and unplanned downtime. In addition, there could be unexpected losses if the mover lacks proper insurance and financial resources to protect you. Mistake #3: Overpaying for move related services Every business must accomplish more while using fewer resources. Between hiring space planners or IT support, you can spend up to three times what it costs to move. Many of these services can be provided at little or no additional cost from an experienced commercial mover. Mistake #4: Failing to realize that all eyes are on you Managing a move is a big responsibility that can help or hurt your career. Consider the ripple effect of your performance. It impacts fellow employees, supervisors, and upper management. Even the simplest office move affects everyone in your company. Mistakes can even result in losing your job. The good news is you don’t have to go it alone. Choose a true partner who asks the right questions and knows what to look for to help you avoid mistakes. Mistake #5: Overlooking small yet important details When coordinating an office move, overlooking small details can create large consequences. Will your furniture fit in the new space? Have the elevators been reserved? Is construction of your new office complete? An experienced mover can guide you through your entire moving process seamlessly. > > > > > Commercial Relocation | Facilities Support | Warehouse Storage | Technology Services | Furniture Management | corovan.com

Determine a time frame and moving schedule.

Set-up a communications plan to let customers, suppliers, and other pertinent parties know about the move.

Make a list of tasks and assign tasks to individuals.

Inform employees and get them involved; make sure they know their roles and what is expected of them.

Determine the new oce set-up and look; make sure you know ahead of time where oces will be located and where equipment needs to be installed.

Get quotes from moving companies, check references, and book movers.

Contact current service providers to inform them of the move, installation dates-including telephone lines, fax, Internet access, postal service, couriers, etc.

If you require special technical assistance to move and install equipment such as a photocopier, computer network, or specialty telephone service, make sure you book this well in advance so that the service is up and running on your move-in date.

Create a packing schedule; determine what can be packed in advance and what areas are packed last.

Purchase packing supplies, including the appropriate boxes.

Provide packing instructions to employees; make sure boxes are properly packed and labeled with oce location, importance, and content.

Prepare furniture for moving. Label each piece so it will be moved to the correct area of the new space. This can be accomplished by numbering or labeling areas of the new oce space on a blueprint map. Label the furniture accordingly and give the map to the movers so they know where to place items, including packed boxes.

Make sure equipment has been properly prepared for moving; this includes removing any liquids and ensuring removable parts are packed and labeled; if you’re don’t know how to pack equipment, hire a technical specialist or call the equipment manufacturer for information and advice.

To avoid additional charges, nd out in advance where the moving truck can park to load at the old oce location and where it can unload at the new location; inform surrounding businesses of your move and if you’ll be blocking entrances or taking additional parking spaces.
