Annex 1 Information regarding the Letter of Commitment

Each private partner contributing in kind and/or in cash must present a Letter of Commitment addressed to NWO, to the main applicant. The main applicants submits pdf-files of each individual Letter of Commitment, together with the pdf-file containing the filled out application form, using her/his own ISAAC account. Apart from filling out a form presented by the ISAAC programme, submitting an application involves uploading the filled out application form and at least two pfd-files that each contain a Letter of Commitment.

Partners are advised to use the Letter of Commitment example format that can be downloaded from the programme’s website. LoCs that do not meet all requirements render the whole application non-eligible. The applicant then has the opportunity to replace the LoC, within 48 hours. A Letter of Commitment has to meet the following standards:

Each partner contributing in cash and/or in kind has to write a Letter of Commitment (LoC) that is submitted as a separate pdf-document along with the pdf containing the filled out application form;

The letter of commitment has to be printed on official stationary of the supporting organisation. After it has been signed by the organisation representative it must be saved as pdf-file to be submitted by the main applicant, together with other LoCs and the pdf containing the application form;

The LoC must contain a formal confirmation of the commitment included in the application (just an intention is not accepted). The LoC may not be conditional in any way, except for the condition that the proposal needs to be granted by NWO;

A contribution in kind is the case for private partners providing the private contribution in connection with one or more Enabling Technologies Hotels taking part in the consortium. The in kind contribution has to have a value of € 3.000 per hotel involved and consists of 30 hrs of ‘knowledge utilisation communication activities’ at an hourly rate of € 100.-. All other required private contributions are in cash only.

In case of a contribution in cash, the LoC has to include the contribution in euros, in line with what was stated in the application. The LoC must confirm that the contribution in cash will be paid to NWO. The LoC also states when payments are due. The contribution in cash may consist of annual payments (equal parts or proportional to the number of project months) or consist of a single upfront payment;

Commitments to contributions in cash and in kind by a single partner may be combined into a single Letter of Commitment;

A letter of Commitment contains a formal confirmation that the representative on behalf of the partner, has read and understood the application in its submitted form, and agrees to the programme brochure and the documents it refers to;

if applicable, the Letter of Commitment contains a short description of the partner, its interest in enhancing photosynthesis and, if applicable, specific tasks in the project proposal to be performed by this partner;
