CMHA HCVP Landlord Portal Demonstration
Three ways to access:
Notes:
Once at the Landlord Portal home
page you will be able to:
See public messages
Register and/or log in
Link to other HCVP areas of
CMHA’s Web site
View HCVP landlord portal
contact information
This demonstration will show you
what information is accessible
within the portal, as well as how to
register for an account and send
requests for changes to CMHA.
Access the portal by:
Typing www.cmha.net/llportal in your address bar
Clicking the Landlord Portal menu option under Housing Choice Voucher Program
Or by clicking the link in the Quick Links section on our home page

Landlord Portal FAQs
Notes:
Clicking on a question will display
the answer, and any additional
information specific to the FAQ you
selected.
To view FAQs regarding the landlord
portal, click the FAQs/Help tab.

Landlord Portal Registration
Notes:
To register for an account, click the
Register link on the left-hand side of
the page. That link will take you to
the Portal Registration page shown
here.
First time registrants will have to
enter their SSN or Tax ID Number
and click before
continuing.
Once authenticated, your Vendor
Name will appear along with a form.
You can enter up to 20 different
SSN/Tax ID numbers to associate
with this account during
registration.
Enter the requested information,
and click the button on the
screen. Your email address will
serve as your user name. Be sure to
write down your user name and
password for future reference.
If you do not have an email address,
click the highlighted link that says,
“Click here if you do NOT have an
email address”.
A message explaining the no-email
registration process will appear.

Successful Registration/Login Home Page
Notes:
Once you have successfully
registered, you will be taken back to
the landlord portal home page.
Notice that the left-hand side of the
page, Account at a Glance, has been
updated to include your account
information that we have on file.
You are also shown any landlord
specific messages that a CMHA
administrator has posted for your
review.
Marking a message as “Read” will
prevent the message from
automatically being shown when
you are logged in.

Update Your Landlord Portal Information
Notes:
To update your landlord portal
account information, click the
“Update Portal Info” link on the left-
hand side of the page.
You can maintain the SSNs/Tax IDs
associated with your account by
clicking the update SSN link.
You can also elect to receive email
notifications when any of the
additional option boxes are checked.
Update the information as
necessary, and click the
button.

Viewing Account Notifications Online
Notes:
The landlord portal makes it easy to
view certain types of modifications
that are made to your units all on
one screen. This eliminates the
need for you to scroll through your
units and look for changes that were
made each day.
Clicking the link
on the left-hand side of the screen
will load a page that contains any
newly scheduled inspections and
changes to tenant obligation
amounts to you.
You will be able to access this
information whether you elected to
receive an email when one of these
items has changed or not.
These items are automatically
removed after appearing for 14
days. If you wish to remove certain
notifications, click the icon.

Maintaining the SSN/Tax ID Numbers Associated With Your Account
Notes:
Click the link on the Update Portal
Info page to get to the SSN/Tax ID
maintenance page.
You will then be shown a page that
includes all of your currently
associated SSN/Tax ID numbers, as
well as an area where you can
combine your existing accounts into
one (explained on the next page).
You can enter as many SSN/Tax ID
numbers as you would like to
associate with your account. Once
you enter an SSN/Tax ID in the box,
click the button.
The authenticated name will appear,
as well as a button to click to add
this SSN/Tax ID to your account.
After clicking the Add button, the
account will be shown in the list.

Notes:
If you’ve created multiple accounts
with different SSN/Tax ID numbers
within the landlord portal, you can
combine those other accounts into
one main account so you only need
to remember one user name and
password.
To do this, login to the account that
you want to use as your “main”
account and follow the steps above
to get to the Maintain SSN/Tax ID
numbers page.
The middle section of this page
allows you to enter the user name
and password to the account you
would like to combine with your
“main” account.
Enter the user name and password
to the account you would like to
combine and click the
button.
The information associated with the
account information you entered
will be listed, as well as any SSN/Tax
ID numbers associated with that
account. To combine this account
with your “main” account, click the
button. That
account’s information will now be
listed with the rest of the SSN/Tax
IDs associated with your “main”
account.

Notes:
By default, the SSN/Tax ID number
you used to create the main account
will be shown when you login.
To change this, click the icon in
the Make Default column. That
account will now be the default
account the next time you login.
Note that default accounts cannot
be deleted.
To remove an SSN/Tax ID number
from your account, click the icon
in the Remove column. You will be
prompted to make sure you really
want to remove this number from
your account. You can re-add
numbers to your account by
following the steps on the previous
page.
To load one of your accounts, you
can either click the name of the
account on the maintain account
page, or you can click the
link on the
left-hand side of the page.
Clicking the
link will bring up a box listing all
accounts that are linked to your
login. Click the name that you wish
to load.

Change Request Form
Notes:
Enter the correct information in the
boxes on the right-hand side of the
page and click the Send Request
button.
If the information that is displayed
in the Account at a Glance section is
not correct, you may complete a
Change Request form by clicking the
Change Request Form link on the
left-hand side of the page.
Your change request will be sent to
CMHA. Once the request has been
completed by a CMHA employee,
your information will be
automatically updated on the
landlord portal.

Change Request Form History
Notes:
To view your change request history,
click the Change Request Form link
on the left-hand side of the page.
Then click the View Request History
tab at the top of the page.
Select the status of request you
would like to view from the list.
To view the request information,
click the magnifying glass icon next
to the request you would like to
view.
The request information will be
displayed, and the information you
requested to be changed will be
shown in red.

My Units
Notes:
To view your units, click the My
Units tab.
Your units will be displayed, along
with the tenant’s name, unit
address, and other icons that relate
to that unit.
The columns are sort-able by clicking
on the column header.
If you have multiple pages of units,
you can scroll through them using
the navigation buttons in the upper
right-hand corner of the listing.

My Units - Details Page
Notes:
Next to each unit on the My Units
page, you will notice 3 icons:
View Details
View Statement
View Inspection
Clicking on the magnifying glass icon
allows you to view details about
each unit such as the current
contract rent, HAP, UAP, resident
rent to owner, etc.
Clicking on the Remittance
Statement icon will take you
directly to the remittance
statements for that unit paid out in
the past year.
Clicking on the Inspection icon
will take you directly to the
inspection results for that unit that
took place within the past year.
To return to the unit list, click
on the details
page.

Exporting Landlord Portal Information to Microsoft Excel
Notes:
Units, statements, and inspections
can be exported to Microsoft Excel
by clicking on the Export to Excel link
on the appropriate pages.
You will then be presented with
export options that allow you to
export all information, or on-screen
information for the tab you are
currently viewing.
You can also select which
information you would like in your
Excel document.
When you have selected your export
options, click the Export button.
Once your Excel document has been
created, you will be shown a link to
view/save it.

Remittance Statements
Notes:
To view your remittance statements,
click the Remittance Statements tab.
Your statements will be displayed
along with general information
about each statement.
Clicking on the magnifying glass next
to a statement will show each
transaction that was included in that
statement, along with a visual
“check”.

Inspections
Notes:
To view your inspections, click the
Inspections tab.
Your inspections will be displayed
along with general information
about each inspection.
Clicking on the magnifying glass next
to an inspection will show each
failed item for that inspection, and
additional details about the failed
item.
The current unit’s information will
be displayed above the inspections.

IRS 1099 Tax Forms
Notes:
To view your past 1099 forms, select
a year from the drop down list.
To view your 1099 forms, click the
1099s tab.
Your 1099 form will appear, and can
be printed for your files.
When printing your 1099 form, only
the form will be printed, not the
entire Web page.
